Should You Use a Separate Account for an AI Agent?

Generally, yes. If an AI agent can read private files, call APIs, operate applications or send messages, give it a distinct identity with narrowly scoped permissions instead of your personal credentials. A separate account or workspace improves attribution and revocation, but it is only one security control: you must also limit tools and data, protect credentials, log activity and require approval for consequential actions.

What “a separate account” actually means

The phrase describes two different arrangements, and choosing the right one matters.

A separate local account or agent workspace

On a personal computer, separation can mean a distinct operating-system login or a platform-provided workspace. The boundary is useful only if it restricts which files, applications and runtime resources the agent can reach. A second login that can still open your entire home directory is mostly an attribution change, not meaningful isolation.

A separate workload identity

In an organization, an agent commonly needs a machine identity rather than a full human-style user account. That identity can be a service account, application identity, bot user or GitHub App with its own credentials and entitlements. Microsoft Entra guidance says a user object should be created only when the scenario genuinely needs user features such as a mailbox or Teams presence; otherwise, application credentials avoid the extra complexity of a human-style account.

These identities authorize APIs and services. They do not necessarily create a new desktop login, and they should not automatically inherit the permissions of the person who configured them.

Why sharing your own credentials is a bad default

When an agent uses your login, an audit trail may show only your name. That makes it difficult to determine whether you or the agent performed an action, complicates incident investigation and can make independent revocation impossible. The National Institute of Standards and Technology (NIST) Cybersecurity Insights program puts the problem plainly: “Sharing credentials – between humans or agents – creates accountability gaps that can result in any number of security, privacy, and legal issues.”

NIST also says agents should be treated as “first-class entities with their own unique identifiers, credentials, and associated entitlements that are bound to and by the identity of the user or system operating the agent.” A distinct identity lets you answer who acted, what it was allowed to do and which credential must be disabled when the agent is retired or compromised.

Reusing a personal login also transfers your accumulated access: old project folders, browser-linked services, administrative consoles and unrelated applications. An agent usually needs only a small subset of that access.

Compare the main account models

Model Identity and attribution Permission approach Isolation boundary Best fit
Your personal login Human and agent activity are difficult to distinguish Often inherits the user’s existing access Usually just the user’s normal session Not a safe default for agents that access private data or take actions
Separate local account or workspace Agent activity can be associated with a distinct local identity Permissions can be reduced to selected files and applications Depends on the operating system or platform; a separate login alone may not restrict runtime access Interactive agents operating on one computer
Dedicated workload identity Service, application or bot actions are independently attributable Scoped tokens, app permissions and separate read/write identities are possible Defined by the services, tools and execution environment you authorize Autonomous agents calling APIs or running scheduled jobs
Delegated, on-behalf-of access Records both the user context and the acting agent User consent and access policies apply to the requested operation Bound to the user’s permitted scope for that transaction Interactive assistants acting for a person

Choose the identity pattern for the agent’s operating model

Autonomous agent with no user present

For a scheduled or event-driven agent that acts without a person at the keyboard, Microsoft Entra guidance uses a client-credentials pattern with only the app permissions required for its job. A managed identity or certificate is preferred over a long-lived client secret in production. Keep credentials separate by environment, so a test agent cannot authenticate to production services.

Do not create a human user account merely because the software needs an identity. Use a user object when the workflow needs user-specific capabilities, such as a mailbox or Teams presence; otherwise an application identity is generally the simpler boundary.

Interactive assistant acting on your behalf

If a person initiates each task and the agent needs that person’s permitted data, an on-behalf-of flow preserves the user context. The service can apply the user’s policies and consent rather than granting the agent a permanent copy of the user’s broad access. This is a vendor-specific implementation example, not a universal standard, so verify the identity and consent features of the platform you deploy.

Build least privilege into the account

OWASP’s DevSecOps guidance recommends giving an agent its own identity, using scoped and short-lived tokens, keeping it out of administrative roles and separating read-only access from write-capable access. Apply that principle as a concrete build sequence:

  1. Define the task. List the exact data sources, tools, operations and destinations the agent needs. “Access to the company drive” is too broad; identify the specific repository, folder or API scope.
  2. Create a dedicated identity. Use a service account, application identity, bot user, GitHub App or supported local workspace. Do not copy your personal password, session cookie or API token into the agent’s configuration.
  3. Grant the minimum permissions. Start with read-only access where possible. Add a separate write-capable identity or approval-gated operation when the task genuinely requires changes.
  4. Remove administrative rights. The agent should not be a tenant administrator, local administrator or equivalent simply because setup is easier that way.
  5. Use bounded credentials. Prefer short-lived tokens, certificates or managed identities where the platform supports them. Store secrets in a protected secret store that the agent can use without being able to enumerate unrelated secrets.
  6. Separate environments. Use different credentials and permissions for development, testing and production. A prompt or tool output encountered in testing should not provide a route into live systems.
  7. Test denial paths. Confirm that the agent is refused access to an unrelated file, an administrative endpoint and a write operation outside its assignment. A permission that has never been tested is an assumption.

Account separation does not make an agent a sandbox

An agent can still use every file, API and tool granted to its identity. If that identity can read confidential material and send external messages, malicious instructions embedded in a document, web page or tool response may persuade the agent to disclose or alter information. OWASP specifically warns about untrusted content being followed by agents that have both private-data access and external action capabilities.

Control the tools, not only the login

  • Allow-list the commands, APIs, applications and destinations the agent may use.
  • Separate retrieval tools from tools that modify systems or communicate externally.
  • Pass only the data required for the current task; do not expose an entire drive or mailbox for convenience.
  • Treat retrieved pages, uploaded files and tool output as untrusted instructions, not as policy.
  • Keep secrets out of prompts, source files, environment variables visible to the agent and documents it can read.

Require proportionate human approval

Put a review step before high-impact or irreversible actions such as deleting records, publishing content, transferring money, changing access controls or sending sensitive data outside the organization. Approval should show the proposed action and the relevant inputs. Do not require a confirmation for every harmless read; excessive prompts train people to click through warnings without checking them.

Log and revoke

Record the agent identity, user context where applicable, tool invoked, target resource, result and time. Make the logs available for investigation and alert on unusual destinations, privilege changes or large data transfers. Maintain a tested revocation procedure: disable the identity, invalidate active tokens, remove app permissions and preserve the logs needed to understand what happened.

What Windows’ preview example does—and does not—prove

Microsoft Support documents an “Experimental agentic features” setting that creates an agent account and workspace intended to keep agent activity separate from the user. The setting is off by default and the feature is explicitly a preview. Microsoft describes runtime isolation and scoped authorization, but also documents possible requests for access to Documents, Downloads, Desktop, Music, Pictures and Videos. Supported preview builds provide per-agent consent controls for those folders.

This is a platform-specific example, not evidence that every operating system or AI product supplies the same boundary. Check the exact build, availability and consent behavior before relying on it. Even with the workspace enabled, granting an agent a folder still gives it access to the contents and any tools available inside that workspace.

When a separate account may be unnecessary

A distinct identity is most valuable when an agent reaches private data, external services or consequential tools. A low-risk experiment that has no credentials, no private files, no network actions and no ability to change anything can run in an ordinary session, provided those limits are real and enforced. The moment the experiment gains access to personal documents, cloud accounts, write operations or external communication, move to a dedicated identity and tighten the permissions.

Do not interpret “separate account” as permission to give the agent a second account with the same administrator rights. That preserves the most dangerous part of the original arrangement while making the setup harder to understand.

Common mistakes and practical fixes

Creating a second account with full access

Problem: The agent has a different name but can still read every user folder and administer the machine.

Fix: Remove administrator membership, restrict file paths and allow only the applications and APIs required for the task.

Putting a permanent secret in the prompt

Problem: The secret can leak through logs, model context, copied transcripts or a malicious tool response.

Fix: Use a secret store or managed identity, issue short-lived credentials and ensure the agent cannot read the underlying secret value.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Giving one identity both read and write power

Problem: A prompt-injection mistake can turn harmless retrieval into an unauthorized change.

Fix: Use separate read and write identities or put writes behind an approval service that validates the target and operation.

Assuming a user consent screen is permanent protection

Problem: A one-time approval may grant a broad scope that remains valid long after the original task.

Fix: Review consented scopes, set expiration where available, monitor use and revoke access when the task ends.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Skipping lifecycle planning

Problem: A retired agent still has active tokens or scheduled jobs.

Fix: Document ownership, rotation, expiration and off-boarding. Test that disabling the identity actually stops API calls and automations.

A decision checklist

  • Can the agent read private files, email, source code or customer data?
  • Can it modify records, execute commands, publish content or contact external recipients?
  • Can you attribute each action to the agent independently of the person who configured it?
  • Are permissions limited to the current task, with read and write separated where practical?
  • Are credentials short-lived or independently revocable, and hidden from agent-readable locations?
  • Does the account or workspace restrict files, applications, network destinations and runtime access?
  • Are tool calls logged, unusual activity detectable and high-impact actions reviewable?
  • Is the design appropriate for an autonomous workload or for an interactive, on-behalf-of assistant?

If several answers are no, creating a separate login without redesigning permissions will provide false confidence. Fix the identity, authorization, tool and oversight controls together.

Bottom line

Use a separate account or workload identity for an AI agent whenever it can access private information or act through tools. Give that identity the smallest practical set of permissions, isolate credentials and environments, treat external content as untrusted, log activity and require deliberate approval for consequential actions. A distinct login improves accountability; only the complete control boundary makes the deployment safer. NIST’s agent-identity work is still evolving, and its February 2026 concept-paper announcement is an active standards effort rather than a finalized universal standard, so revisit platform guidance as implementations change.
