Fix the driver behind crashes, sound loss and screen glitchesFind Drivers →Clear out junk files and repair common Windows errorsFree Scan →Most Ubuntu desktops can print after three actions: connect the printer by USB, Ethernet, or Wi‑Fi; open Settings → Printers → Add Printer; and print a test page. Ubuntu uses the Common UNIX Printing System (CUPS) to create queues and process jobs, and compatible network printers can often be configured with driverless IPP. If the device is not discovered, the fix is usually a connection check, a model-specific driver, or a documented IPP-over-USB setup rather than reinstalling everything.
The labels differ slightly between Ubuntu releases and desktop environments, so treat the wording below as a map to the equivalent control on your system. The procedures cover local desktop printing first, then show how to diagnose queues with CUPS without accidentally exposing a print server to the internet.

What Ubuntu needs before you add a printer
Have the printer powered on and complete its own initial setup first. For a USB connection, use a data-capable cable and connect directly to the computer. For Ethernet or Wi‑Fi, finish the printer’s network wizard, note the network name if it is wireless, and put the Ubuntu computer on that same local network. Ubuntu’s desktop guidance covers USB, wired network, and wireless connections and notes that a driver may be required when a printer does not appear (Ubuntu Desktop Help: Set up a local printer).
What’s actually slowing this PC down?
Pick the symptom - the matching free tool is one click away.
- Power: Clear any paper, cover, or ink error shown on the printer itself.
- Connection: For Wi‑Fi, avoid a guest network that isolates devices from one another. For Ethernet, check that the printer’s link indicator is active.
- Permissions: Use an Ubuntu account allowed to administer printers. A desktop normally includes the printing components it needs; installing a server stack is not a prerequisite for ordinary local printing.
- Model information: Keep the exact model name available. It is needed if automatic discovery fails or a vendor driver is required.
An optional USB printer cable is useful only when the printer did not include one. Connector type and included accessories vary by model, so confirm the printer’s manual before buying a cable.

Choose USB, Ethernet, or Wi‑Fi
There is no universally best connection. USB is direct and private, while a network connection lets several devices reach the same printer. Driverless setup depends on the printer advertising a compatible IPP mode and allowing IPP traffic, not simply on whether it has Wi‑Fi.
| Connection | How it reaches Ubuntu | Visibility to other devices | Driverless considerations | When a model-specific driver may matter |
|---|---|---|---|---|
| USB | Plug the printer into the Ubuntu computer and power it on. | Normally limited to that computer unless you deliberately share the queue. | Some USB-only AirPrint-compatible devices can be exposed as IPP-over-USB with ipp-usb. |
Special print modes, unusual hardware, or printers without a compatible IPP implementation. |
| Ethernet | Connect the printer to the router or switch; Ubuntu and the printer must share the reachable LAN. | Available to other devices on the network when each device adds the printer or a queue is shared. | Often suitable for IPP Everywhere or another supported driverless family when IPP communication works. | Vendor finishing, proprietary status reporting, or features not represented by standard IPP. |
| Wi‑Fi | Join the printer to the same wireless network as Ubuntu. | Convenient for multiple computers and phones on that network. | Works driverlessly only when the printer advertises a supported IPP service and discovery is allowed. | Guest-network isolation, enterprise authentication, or proprietary features can require extra configuration. |
Ubuntu’s driverless utility documents support for IPP Everywhere, AirPrint, Mopria, Wi‑Fi Direct, network printers, and supported IPP-over-USB devices. That list describes protocol families the utility can work with; it does not guarantee that every printer in a family exposes every feature. See the Ubuntu driverless manpage for the release-specific details.
Step-by-step: add the printer in Ubuntu Desktop
1. Connect and wake the device
- Turn on the printer and wait until its display or status lights show that it is ready.
- For USB, connect the cable directly to the Ubuntu computer rather than through an unpowered hub while you are setting it up.
- For Ethernet or Wi‑Fi, complete network setup on the printer and verify that Ubuntu is on the same LAN. If the printer shows an IP address, record it; it is useful for manual setup later.
2. Open the printer panel
- Open the Ubuntu application menu and launch Settings.
- Select Printers. On some releases this appears under a hardware or system section.
- Choose Add Printer (the button may be shown as a plus sign). Wait while Ubuntu searches USB and network backends.
Desktop labels can change between releases, but the path is the same: open the printer settings panel, start adding a printer, and select the discovered device.
3. Select the discovered queue
- Click the row that matches the printer’s model and connection. A network device may display a hostname, an IP address, or an IPP service name.
- When Ubuntu offers a driverless or recommended option, prefer it for a printer that advertises a compatible IPP service. This keeps the queue based on standard IPP capabilities instead of a downloadable vendor package.
- If Ubuntu presents a specific manufacturer/model driver, read the model carefully before accepting it. Do not choose a similar-looking model merely to make the dialog continue.
- Confirm with Add, Apply, or the equivalent button. The new queue should now appear in the Printers panel.
4. Print a test page
- Select the new printer and open its properties or options menu.
- Choose Print Test Page. Ubuntu documents this action as the basic confirmation that the queue can send a job to the device (Ubuntu Desktop Help).
- Watch the printer for a sheet and check the queue status. A successful page proves that the basic connection, queue, and print path work; it does not prove that every duplex, color, finishing, or scanning feature is available.
5. Set normal defaults
After the test page, open the queue’s properties and set the options you use most often: paper size, orientation, color or monochrome, duplex, input tray, and print quality. The names and available controls come from the printer’s driver or IPP capabilities. If an option is missing, that is a capability limitation of the selected queue, not a reason to change random settings.

How driverless IPP printing works
IPP (Internet Printing Protocol) lets a printer describe its capabilities and receive jobs through a standard network protocol. CUPS can create a queue from those capabilities, so a separate vendor driver is often unnecessary for printers that implement IPP Everywhere, AirPrint, or Mopria correctly. Ubuntu’s driverless tooling integrates with CUPS setup tools and also documents supported network and IPP-over-USB paths (driverless manpage).
Driverless is conditional, not universal. The printer must advertise an applicable IPP service, Ubuntu must be able to reach that service, and the printer’s features must be expressible through the standard. A wireless printer can still fail driverless discovery because the access point blocks multicast discovery, the computer is on a guest VLAN, or the device has IPP disabled. Conversely, a USB printer can be driverless when it exposes a supported IPP-over-USB interface.
When to choose the vendor package
Use the printer maker’s Ubuntu instructions when the model does not advertise supported IPP, when the queue is detected but lacks essential features, or when the maker documents a required filter or firmware component. Download a package intended for your Ubuntu release and architecture; do not install a driver for a similar model. If the maker supplies only an older package, keep the working driverless queue rather than replacing it without a specific need.
Do these 3 things before closing this tab:
1Fix the driver behind crashes, sound loss and screen glitches2Clear out junk files and repair common Windows errors3Scan for outdated or missing drivers - takes under a minuteIf Ubuntu does not list the printer
Check the simple causes first
- Confirm the printer is powered, ready, and not showing a paper or cover error.
- For USB, reseat both ends, try another port, and remove hubs or docking stations temporarily.
- For Ethernet or Wi‑Fi, verify that the printer and Ubuntu computer are on the same reachable network. A guest SSID or client-isolation setting can prevent discovery even when both devices have internet access.
- Close and reopen the Printers panel, then use its refresh or rescan control if present.
- Read the exact model name from the printer’s label or display. Ubuntu’s help notes that a missing device may need a driver (Ubuntu Desktop Help).
Use a documented address instead of guessing
If automatic discovery fails on a network printer, obtain the printer’s IPP address or URI from its own network-information page, display, or model documentation. Add the printer manually in Ubuntu’s dialog only after you have that documented address. IPP URIs can differ by model; inventing a path or substituting an HTTP URL commonly creates a queue that never reaches the device.

USB-only AirPrint-compatible devices
The ipp-usb service can expose compatible USB-only AirPrint printers and multifunction devices through IPP-over-USB, enabling driverless printing and scanning. It is not a universal USB fix: the hardware must implement the supported AirPrint interface. Ubuntu’s Noble (24.04 LTS) manpage documents this behavior and package line (ipp-usb manpage).
On a release that packages it, install ipp-usb through Ubuntu’s normal package manager, reconnect the device, and rescan Printers. Package names and versions vary by release, so consult the manpage for your Ubuntu version rather than copying a package from another release.
When the printer is detected but a job fails
Job remains paused or held
- Open the queue and remove the failed job, then submit a small test page.
- Check whether the printer itself is offline, out of paper, or reporting an error.
- Verify that the selected paper size and tray actually exist on the device. A queue can be online while the printer holds a job waiting for unavailable media.
Job disappears without paper
Open the queue’s properties and confirm the destination is the intended printer, not an old queue created for a previous IP address. Network printers can receive a new address after a router change. Re-add the queue using the current documented IPP address if necessary.

Standard IPP exposes common capabilities, but proprietary finishing and status functions may require a model-specific driver. Compare the options shown in the queue with the printer’s documented capabilities. Do not assume that a missing checkbox indicates a hardware fault.

Discovery works intermittently
Intermittent discovery usually points to network reachability rather than the print queue itself. Keep Ubuntu and the printer on the same non-isolated LAN, avoid changing between multiple access points during setup, and use the printer’s documented address to create a stable queue when multicast discovery is unreliable.
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone.Use CUPS for detailed diagnostics
CUPS is Ubuntu’s print-service layer: it manages queues, accepts jobs, selects a backend, and communicates with local or network printers. Ubuntu describes CUPS as the most widely used way to manage printing and print services in its server documentation (Ubuntu Server: Install and configure a CUPS print server).
Open the local administration page
For deeper queue inspection on the same computer, open http://localhost:631/admin in a browser. You can inspect printers, jobs, and server settings there. Authentication or administrator privileges may be required. This interface is useful when the desktop panel hides a queue state or backend error.
Read the error log
Ubuntu’s documented CUPS error log is /var/log/cups/error_log. Check entries written at the time of a failed job. They can distinguish a missing backend, permission problem, unreachable network endpoint, or filter failure. Save the relevant lines before changing settings so that you can compare the result of each fix.

Install CUPS only when it is actually missing
A normal Ubuntu desktop often already has the printing components installed. If you are configuring a separate print server or a minimal installation without CUPS, Ubuntu’s server instructions use:
sudo apt install cups
That command belongs to server configuration, not to every desktop setup. Installing a second stack on a functioning desktop can create confusion without solving a model or network problem.
Sharing a printer with other computers
Adding a network printer directly on each computer is usually simpler than sharing a USB queue. Sharing becomes useful when one Ubuntu computer is permanently connected to a USB-only printer. CUPS listens on loopback by default; remote clients require deliberate listener and access-control configuration, as described in Ubuntu’s server guide.

- On the host computer, use CUPS administration to enable sharing and define which local network addresses may connect.
- Allow only the required LAN interfaces and firewall rules. Ubuntu’s examples use port 631 for IPP administration and printing.
- Add the shared queue from client computers using the host’s documented address.
Do not expose http://localhost:631/admin or a newly opened port 631 to a public network. CUPS access controls are part of the security boundary; follow the LAN-oriented configuration in the Ubuntu CUPS server documentation.
Release and version differences to keep in mind
The Ubuntu desktop help page uses stable, general labels, while the driverless manpage consulted for this guide is for the 26.10 development (“stonking”) release and documents package version 2.0.1-0ubuntu5. The ipp-usb reference is for Noble/Ubuntu 24.04 LTS and package version 0.9.24-0ubuntu3.3. Treat those protocol and package details as release-specific documentation: verify the command output, package availability, and dialog wording on your installed Ubuntu release.
Core concepts remain consistent: connect the device, add a queue in Printers, select a compatible driverless or model-specific option, and print a test page. If a release changes a button label, look for the equivalent Add, Apply, Properties, or Test Page action rather than following the label literally.
A practical decision checklist
- Need the fastest single-computer setup? Start with USB, then add the queue and print a test page.
- Need several computers to print? Connect the printer to Ethernet or Wi‑Fi when its network setup is reliable, or configure an explicitly secured CUPS share from a dedicated host.
- See a driverless option? Use it when the printer advertises compatible IPP and the required features are present.
- Do not see the printer? Check power, cable, LAN membership, isolation settings, and model-specific support before changing CUPS.
- Have a USB multifunction device? Check whether it is an AirPrint-compatible model supported by
ipp-usb; otherwise use the maker’s Ubuntu instructions. - Need to know why a queue fails? Inspect the queue in CUPS at
http://localhost:631/adminand correlate the failure with/var/log/cups/error_log.
Once the test page prints, save the queue’s exact name and connection details. That record makes it easier to recreate the setup after an Ubuntu upgrade or a network change without guessing at a driver or URI.
