Set Picture as Background in OneNote

OneNote’s “background” feature is the closest you’ll get to a true page backdrop: the picture sits behind ink and text so it doesn’t compete with notes. In most modern OneNote builds, this is a right-click option on the image.

This guide walks you through the exact steps for setting a picture as the background in OneNote, then shows what to do when that option isn’t available (which happens on some platforms and older builds).

Prerequisites and version differences

Before you change anything, confirm you’re on a OneNote version that supports background images. The feature is available in many OneNote for Windows builds (including OneNote for Microsoft 365 desktop). Some platforms—especially OneNote web—may not offer the same context-menu command.

  • Supported most often: OneNote for Microsoft 365 (Windows desktop), OneNote 2016 (desktop), and OneNote apps that include the image context menu background command.
  • Often limited: OneNote for the web and some macOS builds (background mode may be missing or behave differently).
  • What you’ll need: An inserted picture on the page (PNG/JPG/GIF work well). A page layout where you’re placing the image behind notes.

If you’re unsure which OneNote you have, open OneNote and check the app name in the title bar (Windows) or in the About menu (macOS). Background behavior can differ even when the UI looks similar.

Set a picture as a page background (Windows desktop and OneNote for Microsoft 365)

On Windows, the most reliable way is to insert the image, then use the image’s context menu command.

Method 1: Use Set as Background from the image context menu

  1. Open OneNote and go to the page where you want the picture.
  2. Insert your picture: click Insert > Pictures (or drag-and-drop an image onto the page).
  3. Right-click the image you just inserted.
  4. Click Set as Background.
  5. Scroll or move notes on the page to confirm the picture stays behind ink/text while you write.

After you set a background, OneNote treats that image differently than a normal inserted picture. That’s why it’s a page-level backdrop rather than a layer you’re constantly selecting.

Method 2: Use the same command, but ensure you didn’t create an embedded object

If your image came from copying/pasting, screenshots, or a third-party embed, sometimes the object isn’t exactly a “picture” that OneNote recognizes for background mode. You can normalize it:

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  1. Insert the image again (use Insert > Pictures and pick the file), or paste and then drag the resulting image to free space on the page.
  2. Right-click the new image.
  3. Choose Set as Background.

If you still can’t see the command, your OneNote build may be missing it—use the troubleshooting section or one of the alternatives below.

Set a picture as background in OneNote for Windows 10/11 (touch-first UI)

Touch-focused OneNote layouts can change what you see on right-click. The goal is the same: set the inserted image as background, not just positioned on the page.

  1. Open your notebook and navigate to the target page.
  2. Tap Insert > Pictures (or use the gallery/menu to insert an image).
  3. Tap the image to select it.
  4. Use the image’s options menu (often a small toolbar or context panel) and look for Set as Background.
  5. If you don’t see it, try long-pressing the image to bring up the context options.

When background mode isn’t exposed in touch UI, it’s usually a version limitation. Your best bet is to use a desktop OneNote client that supports the command or use a workaround (covered later).

Set a picture as background on macOS or OneNote web

On macOS and OneNote for the web, the “Set as Background” option may not exist in the same way. If you don’t see it in the image context menu, don’t keep clicking around—switch to a supported workflow instead of fighting the UI.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  • macOS: Try right-click (or Control-click) the image and check for a background-related command. If absent, use a workaround such as a pre-filled page template.
  • OneNote web: Background image commands are frequently limited or missing. If you need true background behavior, use the Windows desktop app to set it, then continue taking notes in the browser.

If your notebook is shared, setting the background on a supported client typically syncs to others, but verify your notes remain readable on the platform you use most.

Adjusting the background position, size, and layering

Once the picture is in background mode, you usually need to position it carefully so it aligns with lines, grids, or a template layout.

  • Resizing: Click the background image (if selectable) and use the corner handles to resize while keeping the aspect ratio if needed.
  • Moving: Drag it into place. If dragging feels constrained, zoom in (100% or 125%) and try again.
  • Note interference: Background images should allow ink on top. If your writing still feels blocked, you may not have true background mode—re-check with the context menu.

For best results, set the background early, then add text/ink on top. Mixing layout changes later can lead to misalignment that’s annoying to fix.

Remove or replace the background image

If you want to revert the page back to normal or swap the picture, you’ll need to undo background mode.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  1. Right-click (or open the image options) on the background picture.
  2. Choose the command that reverses the background state (commonly Remove Background or toggling background off).
  3. Insert a new picture and select Set as Background again.

If you can’t find the “remove” command, look for a background-related toggle in the same menu where you set it. Some builds name it slightly differently.

Troubleshooting: when Set as Background is missing or behaves oddly

When the feature doesn’t appear, it’s usually one of three things: the app type/version doesn’t support it, the inserted object isn’t treated as a simple image, or the UI context menu is different than expected.

Symptom: right-click doesn’t show Set as Background

  • Confirm you clicked the actual image: Right-click the picture itself, not nearby page space or a container.
  • Try re-inserting the image: Use Insert > Pictures from a file rather than copying content from a browser.
  • Update OneNote: Older OneNote builds can omit image background support. Update your Microsoft 365 Apps for enterprise/consumer or reinstall the desktop OneNote you use most.
  • Use the Windows desktop client: If you’re on web/mac and the menu doesn’t include it, set the background on Windows and then open the notebook elsewhere.

Symptom: background doesn’t stay put while you move/scroll

If the image acts like a normal object, it may not truly be set as background. Re-check by right-clicking the image and looking for a background state toggle. Also confirm you didn’t resize it in a way that makes it appear to “shift” relative to your notes.

Symptom: background is clickable or blocks ink

In true background mode, the picture should be behind ink/text. If it’s still interfering, try these:

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  1. Re-apply background mode: remove background (if possible) and set it again via context menu.
  2. Reduce selection issues: zoom in, then write. Sometimes selection rings make it feel like ink won’t “stick,” even though it does.

Symptom: image tiles instead of fitting (or looks stretched)

OneNote doesn’t always preserve the exact “background repeat” behavior you might expect from web design. If it looks wrong, resize the image to the portion of the page you want. For grid/graph paper backgrounds, a vector-like PNG (or an image exported at the right dimensions) usually fits better than a low-resolution image that gets stretched.

Reliable alternatives when background mode isn’t available

If you can’t access “Set as Background” (common on some platforms), these workarounds often get you the same end result: a fixed-looking backdrop that your notes sit on top of.

Alternative 1: Insert the image and lock it by preventing selection (manual workflow)

OneNote doesn’t always offer a perfect lock for pictures, but you can reduce accidental edits:

  1. Insert the image.
  2. Resize and position it precisely.
  3. Write/ink on top carefully without selecting the image again.

This won’t be as robust as true background mode, but it’s fast and works everywhere.

Alternative 2: Use a page template with a pre-inserted background image

If you repeatedly use the same background (like a checklist, worksheet, or branded header), templates are the cleanest workaround.

  1. Create a “starter” page with the picture positioned where you want it.
  2. Convert it to a template (use OneNote’s template controls available in your client).
  3. Create new pages from that template so the image is always present.

Even if the picture isn’t in true background mode, consistent templates keep layout predictable.

Alternative 3: Place the image in a table/shape layer to reduce interference

Some users find that placing the picture inside a stable container makes it less likely to be selected while writing.

  1. Insert the picture.
  2. Place it in a dedicated area (for example, aligned to a page region).
  3. Create a clear writing area above or alongside it, so you’re not constantly brushing the image.

This is a layout strategy more than a technical one, but it’s practical for daily note-taking.

Alternative 4: Use a “frozen” layout via Print to OneNote (careful tradeoff)

If your main goal is a backdrop-like sheet (forms, handouts, or static documents), printing to OneNote can create a static page that behaves more like a page image.

FAQs

Can I set multiple pictures as background on the same page?

Typically, you can set backgrounds per picture, but you may run into layering limits or interaction issues (especially if the images overlap). For complex layouts, consider combining images into one composite before inserting.

Why can I set the background on Windows but not on my phone?

Mobile OneNote clients often don’t expose the same picture context menu actions as desktop. The most reliable workflow is to set the background on a desktop client that supports it, then open the page on mobile to take notes.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Does the background sync to other devices?

In most cases, yes—OneNote syncs page content. However, if another device can’t interpret the background setting the same way, you might see a normal picture instead of a true backdrop. Test on the device you care about most.

Will background mode affect search or OCR?

Background pictures are still images, so text inside them may require OCR depending on your OneNote capabilities and settings. Search for your notes text as usual, but don’t expect image-only text to behave identically to typed text.

The Verdict

On OneNote for Windows desktop (including OneNote for Microsoft 365), setting a picture as background is usually as simple as inserting the image, right-clicking it, and choosing Set as Background. When that option is missing, it’s almost always a platform/version limitation rather than user error.

Use a supported desktop client to set the true background when you need it. For everything else, templates and careful layout workarounds can still deliver a stable, worksheet-ready backdrop.
