If you want to run a password manager on infrastructure you control, start by choosing the operating model rather than a brand. Vaultwarden is a community-maintained server that aims to work with Bitwarden clients; Passbolt is designed around team credential sharing with explicit resource permissions; and Psono combines a self-hosted vault with documented sharing, secure notes, passkeys, synchronization, and optional security-key authentication. None is proven universally safest or easiest by independent testing here. The practical choice depends on whether you need a personal vault or a managed team workspace, how finely you must control access, which clients your users will accept, and whether you are prepared to administer a server.

This comparison uses vendor documentation and a vendor-published comparison available as of October 13, 2026. Features, client compatibility, authentication options, and audit materials can change, so verify the current project documentation before deploying.

What “self-hosted” actually changes

Self-hosting means you or an operator you designate run the password-manager instance on infrastructure you control. That control can help you choose the operating system, network boundaries, storage location, backup policy, and administrative access. It does not remove maintenance. You remain responsible for configuring the server, applying updates, managing user access, protecting administrative credentials, monitoring availability, and planning recovery if the host or its data becomes unavailable.

Passbolt’s administration guidance assigns administrators responsibility for user access and instance settings and points them toward hosting and update documentation. That is a useful description of the operational contract for any self-hosted manager: the application can provide encryption and access controls, but your deployment decisions still determine how safely it is exposed and maintained.

Yubico - Security Key C NFC - Basic Compatibility - Multi-Factor authentication (MFA) Security Key and passkey, Connect via USB-C or NFC, FIDO Certified
  • POWERFUL SECURITY KEY: The Security Key C NFC is the essential physical passkey for protecting your digital life from phishing attacks. It ensures only you can access your accounts.
  • WORKS WITH 1000+ ACCOUNTS: Compatible with Google, Microsoft, and Apple. A single Security Key C NFC secures 100 of your favorite accounts, including email, password managers, and more.
  • FAST & CONVENIENT LOGIN: Plug in your Security Key C NFC via USB-C and tap it, or tap it against your phone (NFC) to authenticate. No batteries, no internet connection, and no extra fees required.
  • TRUSTED PASSKEY TECHNOLOGY: Uses the latest passkey standards (FIDO2/WebAuthn & FIDO U2F) but does not support One-Time Passwords. For complex needs, check out the YubiKey 5 Series.
  • BUILT TO LAST: Made from tough, waterproof, and crush-resistant materials. Manufactured in Sweden and programmed in the USA with the highest security standards.
  • Control: you decide where the service runs and who can administer its host and data.
  • Work: you handle setup, updates, access administration, and recovery planning.
  • Risk boundary: a home server is not automatically safer than a professionally managed environment; an exposed, unpatched, or poorly backed-up instance can create new failure modes.
  • Evidence: product feature pages describe intended designs, not the security of your particular network, credentials, backups, or update process.

Which manager fits which situation?

One person or a household wants a familiar client ecosystem and a lightweight server implementation. Vaultwarden A Passbolt-published comparison characterizes it as a community-driven, Rust-based implementation of the Bitwarden API intended for lightweight self-hosting and used with Bitwarden clients. Are the current Bitwarden clients and Vaultwarden server versions compatible with the features you need, and are you comfortable with different entities maintaining client and server software?
A team needs explicit, item-by-item sharing and revocation. Passbolt The comparison describes permissions on individual resources and folders, while Passbolt documents local encryption and recipient-specific public-key encryption for shared secrets. Can your administrators operate the service and enforce your access, update, and recovery procedures?
A self-hosted deployment needs a broad feature set that includes shared credentials, secure notes, synchronization, passkeys, and optional security-key authentication. Psono Psono documents client-side encryption and those features in its product materials. Which capabilities are available in the current plan and deployment you intend to run, and which clients and security keys are supported?

This table is a starting point, not a ranking. The available material does not establish comparative performance, cost, capacity, breach rates, or a universal security winner.

Vaultwarden: a community-maintained Bitwarden-compatible server

What the project is

A comparison published by Passbolt describes Vaultwarden as a community-driven, Rust-based implementation of the Bitwarden API under the AGPLv3 license. It is intended for relatively lightweight self-hosting and relies on Bitwarden clients for the user-facing experience. That arrangement can be attractive if your users already understand those clients and you want to operate the server yourself.

The same comparison notes that the client and server are maintained by different entities. Treat compatibility as something to verify, not a permanent promise. Before committing, check the current Vaultwarden compatibility notes and the release information for the clients your users will install. A client update can introduce behavior that the server implementation has not yet adopted, even when the API target remains similar.

Sharing model

The Passbolt comparison describes Vaultwarden organization sharing through collections, roles, and policies. This model groups shared items and assigns organization-level responsibilities. It can suit a household or small team that thinks in terms of shared collections and role-based administration.

Ask how you will handle a departing user, a temporary contractor, or a single credential that should be withdrawn without changing an entire collection. Map those real events to the available roles and policies before importing production secrets.

When to investigate Vaultwarden

  • You want a community-maintained server that speaks the Bitwarden API and can be used through Bitwarden clients.
  • Your users prefer a familiar browser, desktop, or mobile workflow and you have verified current client compatibility.
  • Your sharing needs align with collections, organization roles, and policies rather than highly granular permissions on every individual resource.

Do not infer that “lightweight” means maintenance-free or that API compatibility guarantees every Bitwarden feature. Those points require current, deployment-specific verification.

Passbolt: team sharing built around explicit permissions

Design and intended audience

Passbolt describes itself as an open-source password and credential manager for teams, available as either self-hosted or cloud-hosted software. Its documentation emphasizes a browser extension and mobile app workflow. The product comparison places its sharing model at the resource and folder level, which is relevant when a team needs to grant, limit, or revoke access to particular credentials rather than an entire collection.

Encryption description

Passbolt’s security documentation states: “All encryption and decryption happens locally in your browser extension or mobile app, never on the server.” It also describes shared secrets as encrypted for recipients with their public keys. These are Passbolt’s descriptions of its design. They explain where the product says cryptographic operations occur, but they are not an independent assessment of the complete system or of your deployment.

That model makes key management and account recovery questions especially important. Determine how users create, protect, rotate, and recover their keys; what happens when a user loses access to a device; and how an administrator removes a former employee. The answers should come from the current Passbolt documentation and your own operating procedures.

Administrative responsibilities

Passbolt’s documentation explicitly places user-access and instance-setting responsibilities on administrators and directs them to hosting guidance for setup and updates. Plan those tasks before inviting users. A team password manager is an access-control system as well as a vault, so define who can create accounts, approve or remove access, apply updates, and execute recovery procedures.

Security materials

Passbolt’s security page lists public security-assessment materials, including a July 2026 GDPR audit report. The existence of a vendor-published audit or assessment is useful evidence to review, but it does not guarantee the security of a particular installation, eliminate configuration risk, or settle comparisons with other products. Read the scope, date, assumptions, and findings and decide whether they address your organization’s requirements.

Psono: a self-hosted vault with a broad documented feature set

Capabilities described by Psono

Psono presents itself as an open-source, self-hosted password manager. Its feature documentation lists client-side encryption, synchronization, password sharing, secure notes, and passkeys. Those capabilities make it worth examining when one deployment must cover more than passwords alone, such as API tokens in secure notes or passkey-based sign-in where supported.

Feature lists are not test results. Confirm which functions are included in the current plan, which clients implement them, and whether any feature requires a particular server configuration. Pay particular attention to synchronization behavior and sharing workflows before moving a large existing vault.

Authentication and security keys

Psono documentation lists YubiKey as an authentication option. That supports considering a hardware security key as optional multi-factor authentication for a Psono deployment. It does not establish compatibility with every YubiKey model, every authentication mode, or the other two managers in this article. Test the exact key, client, and recovery process you plan to use, and maintain a fallback procedure that does not weaken account security.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

When to investigate Psono

  • You want a self-hosted system that documents sharing, synchronization, secure notes, and passkeys alongside passwords.
  • Your users can adopt the supported clients and you are willing to verify plan-specific feature availability.
  • You want to evaluate optional hardware-key authentication and can test the exact key and recovery path.

Sharing and permissions: match the model to real events

Permission terminology can hide important workflow differences. The cited Passbolt comparison describes Vaultwarden’s organization model as collections, roles, and policies, while Passbolt uses permissions on individual resources and folders. Neither approach is automatically superior; they optimize for different administrative habits.

Rank #4
Yubico - Security Key NFC - Basic Compatibility - Multi-Factor Authentication (MFA) Key, Connect via USB-A or NFC, FIDO Certified
  • POWERFUL SECURITY KEY: The Security Key NFC is the essential physical passkey for protecting your digital life from phishing attacks. It ensures only you can access your accounts.

Use collection-oriented sharing when groups are stable

A collection-and-role model can be straightforward when a department or household should receive the same bundle of credentials. The trade-off is that a single-item exception may require a new collection, a policy adjustment, or a role change. Write down how you will handle temporary access and emergency revocation, then confirm the product’s current controls can express those cases.

Use resource-oriented sharing when exceptions are common

Resource and folder permissions are useful when individual credentials have different owners, readers, or editors. They can make least-privilege decisions visible at the item level, but they also demand disciplined administration. Define naming conventions, folder ownership, review intervals, and a process for removing stale permissions.

Test the departure scenario

For each candidate, perform a documented dry run with a non-production account: invite a user, share one item, change the user’s role or permission, revoke access, and verify what remains available on existing devices. This exercise tests your process and the product’s current behavior without claiming a benchmark or universal result.

Encryption, clients, and authentication questions

Separate product claims from deployment assurance

Passbolt describes local encryption and decryption in its browser extension or mobile app and recipient-specific public-key encryption for shared secrets. Psono documents client-side encryption. Vaultwarden’s compatibility story centers on the Bitwarden API and Bitwarden clients, as characterized by Passbolt’s comparison. These descriptions help you identify assumptions, but they do not prove that your network, endpoints, browser extensions, mobile devices, backups, or administrators are secure.

Ask each project for current details on key generation, recovery, export, device revocation, session handling, and encrypted backups. If the documentation does not answer a question that matters to your threat model, treat that as an unresolved requirement rather than filling the gap with marketing language.

Verify the client path

  • List the browsers, desktop systems, and mobile platforms your users actually have.
  • Confirm that the current client versions support the server version and the features you will use.
  • Check how offline access, device loss, and account recovery work.
  • Test multi-factor authentication with the exact method and hardware you intend to standardize.

Operational readiness checklist before deployment

  1. Define the threat model. Decide what you are protecting, which administrators are trusted, and whether the service will be reachable from the public internet or only through a private network.
  2. Choose an accountable operator. Assign responsibility for server configuration, updates, user access, monitoring, and recovery. Do not assume that the person who installs the software will always be available.
  3. Read current hosting documentation. Use the project’s supported deployment guidance for prerequisites, upgrades, and rollback considerations. Product capabilities and instructions may change after October 13, 2026.
  4. Protect administrative access. Use strong, unique administrator credentials and the strongest supported multi-factor method. Limit who can reach management interfaces.
  5. Plan encrypted backups and recovery. Establish where backups are stored, who can restore them, how often restoration is tested, and how keys or recovery material are protected. The source material does not prescribe one universal backup procedure, so tailor this to your environment.
  6. Stage a small pilot. Create test users and non-production entries. Exercise sharing, revocation, device replacement, offline behavior, export, and recovery before importing your primary vault.
  7. Document maintenance. Record update windows, dependency checks, security-advisory monitoring, and the person who approves emergency changes.
  8. Review evidence. Read any audit or assessment reports for scope and date. A July 2026 GDPR audit listing from Passbolt, for example, is evidence to examine, not a blanket guarantee.

How to make the final choice

Choose Vaultwarden when compatibility is the priority

Investigate Vaultwarden if your users want Bitwarden clients and your organization is comfortable relying on a community-maintained implementation of the Bitwarden API. Confirm the exact client features and accept that client and server maintenance are handled by different entities.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Choose Passbolt when granular team control is the priority

Investigate Passbolt if individual-resource and folder permissions match how your team delegates credentials. Its documented local-encryption design and public security materials can inform due diligence, while its administrator responsibilities make operating discipline essential.

Choose Psono when breadth and optional hardware MFA are the priority

Investigate Psono if documented support for secure notes, synchronization, sharing, passkeys, and client-side encryption maps to your requirements. Verify the current plan, clients, and exact YubiKey authentication path instead of assuming every combination is supported.

Evidence limits and a sensible 2026 decision

The available material is primarily vendor documentation and a Passbolt-published comparison, not an independent head-to-head test. It does not establish which product is fastest, uses the least memory, supports the most users, costs less, or has suffered fewer breaches. It also cannot guarantee that a correctly configured deployment will remain secure without timely updates and careful administration.

A defensible decision is therefore fit-based: write down your sharing and recovery scenarios, map them to each product’s documented model, verify current client and authentication compatibility, and pilot the chosen deployment. Recheck official documentation immediately before launch because product features, audit listings, and deployment instructions can change.
