Self-Hosted Cloud Storage Explained: Servers, Sync, Backups, and Security

Self-hosted cloud storage gives you control over your files, but also makes you responsible for server upkeep, secure access, backups, and tested recovery.

Self-hosted cloud storage keeps your files on a server you administer—at home, on a compatible NAS, or on rented infrastructure—while web, desktop, and mobile clients let you access or synchronize them. With Nextcloud as one example, the trade-off is clear: you gain control over the server and its data, but you also take responsibility for updates, secure access, backups, and recovery.

What self-hosted cloud storage does

A self-hosted service gives an account a central set of files stored on a server under the operator’s administration. You can access files through a browser or compatible clients; desktop and mobile apps can synchronize selected files between devices. Nextcloud also supports access methods such as WebDAV, along with sharing and other file-management features described in its User Manual.

Nextcloud is an example, not a synonym for every self-hosted storage platform. A deployment might run on a home computer, a NAS capable of supporting the required software, or rented infrastructure that you administer. The choice changes costs and operational details, but not the central responsibility: someone must keep the service available, secured, and recoverable.

What running a server requires

Nextcloud is a software stack, not just a folder-sharing app. Its documented requirements include a supported operating system, database, web server, and PHP runtime. The compatible choices change over time, so check the requirements for the exact Nextcloud release before buying hardware or upgrading. The current requirements documentation lists MariaDB 12.3 and PostgreSQL 18 among its recommendations, and Apache 2.4 or nginx with PHP 8.5; those version details should not be treated as timeless compatibility advice. Nextcloud says memory needs vary with the number of users, apps, files, and amount of server activity. Its current documentation gives a minimum of 128 MB RAM per process and recommends 512 MB per process. These are per-process figures, not a total-memory prescription for a machine. The database, caching, background jobs, concurrent users, and installed apps also affect system sizing.

Before choosing a home server or NAS, consider whether it supports the required software stack, has enough expandable storage for your data and backup plan, and can remain reachable over your network. Power use, noise, uptime needs, and the time you can devote to administration also matter. Renting infrastructure shifts the hardware upkeep elsewhere, but does not automatically remove your responsibility for the Nextcloud installation and its data.

How sync differs from backup

Sync keeps selected files available across devices; it is not, by itself, an independent recovery copy. If you delete a file or synchronize an unwanted edit, that change may reach other clients too. Nextcloud documents deleted-file handling and file versioning, but their retention and behavior depend on configuration and release. Treat those features as useful recovery aids, not as a substitute for a separate backup.

A backup should preserve restore points outside the failure domain of the server. That might mean a separate local drive, a remote destination, or both. If the server and its only backup are in the same place, a site-wide event such as fire or theft could take out both.

What a recoverable backup needs

A recovery copy must contain what the particular deployment needs to run again—not just user files. Plan for the files, database, configuration, and secrets required by your installation, and keep essential recovery material somewhere safe and separate from the machine being protected. Nextcloud’s Backup App project documentation describes a workflow for creating restore points, packing them, moving completed copies to a different local or remote location, checking integrity, and restoring individual files or a whole instance. These instructions apply to that app workflow, not necessarily every backup method.

The Backup App documentation says its first pass places the instance in maintenance mode and requires substantial temporary disk space. Allow for that operational impact and storage overhead when planning a run. Whatever method you choose, verify that the copy is usable by performing a restore test; a backup that has never been checked may not be a dependable recovery plan.

For encrypted backups made with the Backup App, the exported setup and its key are required to recover the data. Losing that recovery material can make the backup unusable. Nextcloud also warns that losing encryption keys or the instance secret can result in permanent data loss. Store those items securely, but not only on the server or alongside the sole backup they unlock.

An external hard drive can provide a separate local backup destination. Choose its capacity based on the amount of data, how many restore points you retain, and expected growth—not a universal size recommendation. Add an off-site or remote copy if you need protection from loss affecting the whole site.

Which security controls address which risks

“Encrypted” can mean different protections at different stages. Nextcloud’s documentation distinguishes server-side encryption (SSE), end-to-end encryption (E2EE), and disk or block encryption. They address different threats and are not interchangeable.

Control Where it applies Important limitation
HTTPS Protects the connection between clients and the server while data is in transit. It does not, by itself, protect stored data or a compromised server.
Server-side encryption (SSE) The server encrypts files at rest; Nextcloud says this is mainly intended for files on external third-party storage. Keys are held on the server; SSE does not encrypt filenames or directory structure and does not protect against a compromised server or malicious administrator.
End-to-end encryption (E2EE) Clients encrypt content before upload; only clients with the relevant keys can decrypt protected content. It is the relevant choice when administrators must not be able to read protected content; key loss still threatens access.
Disk or block encryption Protects the storage device against certain physical theft or tampering risks while it is locked. It does not replace secure remote access, application security, or independent backups.

HTTPS and SSE protect different parts of the data path. Nextcloud notes that HTTPS terminates before server-side encryption is applied, leaving a plaintext interval in server memory. Transport encryption therefore does not mean the server never handles readable data. For guidance on the encryption options and their key requirements, consult the Nextcloud encryption documentation.

How to reduce exposure and keep the service maintainable

Nextcloud recommends using HTTPS in production and never permitting unencrypted HTTP, and placing the data directory outside the web root. Its hardening guide warns that a connection without encrypted HTTPS can expose user data and passwords to interception or a man-in-the-middle attack. Read the hardening and security guidance for the deployment-specific configuration.

Installation is only the beginning of administration. Keep software and dependencies maintained, protect credentials and secrets, configure authentication and public access deliberately, and retain backups that you can restore. Nextcloud may flag missing critical settings, but the administrator remains responsible for security maintenance. A service exposed to the internet also depends on reliable network access and careful configuration; neither a NAS nor a rented server makes that work disappear.

When self-hosting is a good fit

Self-hosting makes sense when control over the server and its administration is worth the work of operating it. Before choosing it over a hosted service, compare who controls the server and encryption keys, whether the clients and sharing features meet your needs, how reliable remote access must be, and who will handle backup, recovery, updates, and security. Include hardware or hosting, storage, electricity, and administrator time in the cost comparison. There is no universal winner: the better option depends on your workload, budget, availability needs, network conditions, and willingness to maintain the system.
