Secure email gateway buying guide: features, deployment, and support to compare

Short answer: choose an email-security design only after comparing it with the protections already licensed in Microsoft 365, then test the exact mail-flow mode you would deploy. MX gateways inspect messages before delivery and give you centralized routing and pre-delivery policy control. API or journaling services change fewer DNS and routing settings, but they detect and remediate after delivery and may not include the same continuity features. A hybrid can cover both needs, at the cost of more routing and operational complexity.

The buying decision should cover threat detection, identity authentication, DLP and encryption, investigation, continuity, platform compatibility, administration, support obligations, and renewal terms. Vendor feature lists are not a substitute for a proof-of-value using your own phishing, business-email-compromise, malicious-link, attachment, spoofing, and internal-compromise scenarios.

What a secure email gateway does

A secure email gateway sits between senders and your mail system, or connects to the mail platform through an API or journal. Its job is to identify and control unwanted or dangerous messages, enforce organization policy, and give administrators evidence and recovery tools when a message is misclassified or a user is compromised.

That broad description hides an important buying choice: when the service examines a message. An inline MX gateway receives mail before your mailbox service and can quarantine or reject it before delivery. An API or journaling service lets Microsoft 365 deliver or expose the message first, then scans it and can remove or remediate it. A hybrid uses both paths for different traffic classes.

There is no responsible universal winner. The right design depends on whether you need pre-delivery control, protection for non-Microsoft mail systems, internal-message visibility, continuity during an outage, low-touch deployment, or the deepest policy and investigation workflow.

Use Microsoft 365 as the baseline

Microsoft documents built-in anti-malware, anti-spam, and anti-phishing protections for cloud mailboxes, together with authentication, investigation, and encryption workflows. Before buying another service, document which Microsoft 365 license and features your organization actually has, how policies are configured, and which incidents your administrators can investigate today.

Microsoft publishes a 99.999% monthly uptime SLA for Microsoft 365, a 100% known-viruses detection and blocking SLA, and phone and web technical support 24 hours a day, seven days a week for Microsoft 365 for business (Microsoft, 2026). These are Microsoft’s stated service commitments, not independent performance measurements. A third-party gateway should therefore close a clearly demonstrated gap rather than duplicate controls you already operate effectively.

  • Inventory current anti-spam, anti-malware, anti-phishing, authentication, investigation, and encryption policies.
  • Record which mailboxes, shared mailboxes, domains, and internal messages are in scope.
  • Measure the operational gap: missed impersonation, unsafe links, malicious attachments, delayed remediation, inadequate audit evidence, or continuity requirements.
  • Ask whether an additional service improves that gap enough to justify another quarantine, console, contract, and mail-flow dependency.

Compare the three deployment models

MX-based secure email gateway

In an MX design, your domain’s mail exchanger records point to the gateway. The service receives inbound mail, applies policy, and forwards approved messages to Microsoft 365 or another destination. Mimecast describes its MX-based cloud gateway as a pre-delivery quarantine before Microsoft 365. Cisco’s gateway mode performs inline, pre-delivery inspection and supports Microsoft 365, Google Workspace, Exchange on-premises, and other mail servers.

This model is strongest when the gateway must block or hold a message before a mailbox receives it, when you need one routing policy across several mail platforms, or when outbound controls and centralized transport are important. The trade-off is a DNS and routing cutover, dependency on the gateway’s availability, and a need to design bypass, failover, and rollback procedures.

API or journaling-based protection

With API or journaling deployment, Microsoft 365 delivers the message to the mailbox or exposes a copy through journaling. The security service then scans it, records a verdict, and can remediate it after delivery. Mimecast documents this post-delivery flow. Cisco ETD Essentials uses journaling for supplemental Microsoft 365 visibility and protection. Proofpoint describes API deployment as easy to onboard with preset controls and automated remediation.

API or journal integration reduces MX changes and is attractive to Microsoft 365-centric teams that want a low-touch rollout. It also changes what you must test: how quickly a malicious message is removed, whether internal mail is covered, what happens to messages sent between compromised accounts, and whether the service can act when Microsoft 365 or the API is delayed. Do not assume that a post-delivery product supplies the same continuity, backup, restore, secure-messaging, or large-file capabilities as its gateway mode.

Hybrid deployment

A hybrid design can keep an inline gateway for external mail while using an API or journal connection for internal-message visibility and Microsoft 365-specific remediation. It can address gaps that neither path handles alone, but it creates two enforcement paths to document and operate.

Before approving a hybrid design, validate duplicate scanning, header preservation, routing loops, internal-recipient handling, quarantine ownership, incident-response ownership, and the order in which each system reclassifies or releases a message.

Mail-flow differences at a glance

Decision point MX gateway API or journaling Hybrid
Inspection timing Before delivery; can reject or quarantine inline After delivery or journal capture; remediation follows detection Before delivery for selected traffic, after delivery for connected mailboxes
DNS and routing change Required for inbound MX routing; outbound routes may also change Usually limited to tenant consent, connectors, journaling, or API permissions Both routing and integration changes
Internal-mail coverage Depends on whether internal traffic is routed through the gateway Depends on journal/API scope and remediation timing Can combine both, but ownership must be explicit
Continuity during destination outage Potentially available through gateway queueing; verify entitlement Not automatically equivalent to gateway continuity; verify mode-specific features Can preserve gateway continuity while adding API visibility
Best fit Pre-delivery policy, multiple platforms, centralized routing Microsoft 365 teams seeking low-touch onboarding Organizations needing both inline control and post-delivery insight

Feature checklist for a fair comparison

Threat protection

Require a written description of how each product handles anti-spam, malware, phishing, impersonation and business-email-compromise (BEC), malicious URLs, suspicious attachments, sandboxing or detonation, and post-delivery remediation. Ask which detections apply to inbound, outbound, and internal messages.

Test the product’s response, not just the marketing label. A useful proof-of-value records whether a message is blocked, quarantined, delivered with a warning, or removed later; how long each action takes; what evidence is shown to an analyst; and whether the user can report a missed verdict.

Identity and authentication

Compare SPF, DKIM, DMARC, ARC, sender reputation, and impersonation-policy controls. Ask how the service treats aligned and unaligned domains, forwarded messages, lookalike domains, and legitimate senders that fail authentication because of a third-party relay. Require a clear explanation of which system makes the final allow, quarantine, or reject decision when Microsoft 365 and the gateway disagree.

  • [Dont Hesite to Order] 24 hours customer services and professional technology team are standing by

Policy and data protection

Compare data-loss prevention (DLP), encryption, information-rights controls, outbound policy, quarantine, legal hold, and audit logging. Determine whether policies can target users, groups, domains, data patterns, message direction, and attachment type. Ask whether encrypted mail can be searched, recalled, placed on hold, and exported for an investigation.

Investigation and remediation

Administrators should be able to trace a message, see the verdict evidence, search related messages, reclassify or release a message, and remove a malicious copy from other mailboxes. Check retention periods for message search and quarantine, role-based access, approval workflows, configuration-change history, and export formats for a SIEM or case-management system.

API and journaling products deserve a specific timing test. Record the interval between delivery, detection, user notification, and removal. A product that eventually remediates a message may still be unsuitable if your response policy requires prevention before a user can open it.

Continuity and resilience

Ask about queueing when Microsoft 365 or another destination is unavailable, backup and restore, secure messaging, large-file handling, and the ability to continue sending or receiving during a provider outage. Mimecast notes that some continuity features are unavailable in API deployment, so compare mode-specific entitlements rather than assuming the product name guarantees them.

Platform and traffic coverage

Confirm support for Microsoft 365, Google Workspace, Exchange on-premises, other SMTP systems, shared mailboxes, aliases, distribution groups, and internal mail. If the organization is migrating platforms, ask whether one policy can cover both systems during the transition and whether message headers and authentication results survive the handoff.

Administration and integration

Compare role-based administration, configuration analysis, reporting, message trace, SIEM/SOAR integration, APIs, rate limits, and change-management controls. Ask whether the vendor supplies migration assistance, documentation, an implementation owner, and training, and whether those services are included or separately scoped.

How the main options fit different environments

Option Where it can fit Questions to resolve
Microsoft Defender for Office 365 Strong starting point for organizations already using Microsoft 365 because core anti-malware, anti-spam, anti-phishing, authentication, investigation, and encryption capabilities are present in cloud mailboxes. Which licensed plan is active? Are policies configured correctly? What investigation and encryption workflows are available? What measurable gap remains?
Mimecast Email Security Compare its MX gateway for pre-delivery control with its API mode for post-delivery Microsoft 365 protection. Which continuity, backup, restore, secure-messaging, and large-file features are included in the selected mode and contract? How are internal messages handled?
Cisco Secure Email Threat Defense and Secure Email Gateway ETD Essentials provides supplemental Microsoft 365 protection through journaling. ETD Advantage is the broader fit when non-Microsoft mail servers or inline, pre-delivery policy enforcement matter. Is DLP licensed? Which integrations are included? Where are the boundaries between Essentials, Advantage, and other gateway components?
Proofpoint Core Email Protection Compare the breadth and customizability of a secure email gateway with API onboarding and automated remediation. Request evidence for the exact threat classes, platforms, internal-mail scope, and support tier in the proposal.

Proofpoint’s Essential Capabilities for Modern Email Security Solutions buyer guide (2025) states: “SEGs offer complete protection for a wide variety of environments.” The same guide says: “API-based deployment. This option provides easy onboarding and preset controls within cloud platforms like Microsoft 365.” Treat those as the vendor’s descriptions and ask for proof against your own requirements.

Run a proof-of-value before signing

A short, controlled evaluation is more useful than a feature-counting exercise. Keep production mail flowing through the existing protection until the test has a rollback plan and an owner.

  1. Define success criteria. Specify required pre-delivery blocks, maximum remediation time, internal-mail coverage, false-positive handling, continuity behavior, search retention, and support response targets.
  2. Map traffic. List domains, inbound and outbound routes, Microsoft 365 connectors, shared mailboxes, aliases, distribution groups, journaling or API permissions, and any non-Microsoft SMTP systems.
  3. Build representative test cases. Include phishing, BEC and impersonation, malicious URLs, weaponized attachments, spoofing, authentication failures, benign bulk mail, encrypted messages, large files, and an internal account-compromise scenario.
  4. Test both timing paths. For MX, record the pre-delivery verdict and quarantine or rejection evidence. For API or journaling, measure delivery-to-detection and detection-to-remediation intervals. For hybrid, verify that one message is not duplicated, looped, or given conflicting headers.
  5. Exercise investigation. Have an administrator trace a message, find related copies, release a false positive, remove a confirmed threat, export evidence, and document every permission required.
  6. Simulate outages. Disconnect or throttle the destination in a controlled window and observe queueing, retry behavior, user notifications, and recovery. Ask which continuity functions are licensed in the tested deployment mode.
  7. Test support. Open a severity-defined case, record acknowledgement and restoration times, and verify escalation contacts and incident communications.
  8. Write the acceptance report. Capture evidence, exceptions, required configuration changes, licensing dependencies, and a go/no-go decision. Do not rank a product on vendor claims alone.

Support, SLA, and procurement questions

Support quality becomes visible during a mail-flow incident, when a quarantine rule blocks a business process, or when a compromised account requires rapid removal. Put the following items in the proposal and contract rather than accepting a generic promise of 24-hour support.

Area What to require in writing
Implementation Named implementation owner, migration tasks, MX or connector cutover plan, testing window, dependencies, and customer responsibilities
Rollback Exact DNS, connector, routing, and policy steps to restore the previous path, with an estimated recovery time
Severity handling Definitions for service outage, active security incident, degraded detection, and configuration issue; acknowledgement, update, and restoration targets for each
Escalation 24×7 coverage or stated business hours, escalation path, incident commander ownership, and executive notification criteria
Service credits Availability calculation, exclusions, claim window, credit formula, and whether credits are the sole remedy
Data and retention Quarantine and message-search retention, legal hold behavior, export capability, data residency, encryption, and subprocessor list
Integration limits API and SIEM/SOAR rate limits, event retention, supported connectors, authentication method, and change-notification process
Commercial protection Renewal notice period, price-increase cap or protection, license true-up rules, implementation fees, and support-tier entitlements

Compare Microsoft’s published service commitments with the vendor’s contractual commitments, but do not treat identical percentages as equivalent. An uptime SLA, a known-virus detection commitment, and a support response target measure different things and may have different exclusions.

Plan the migration and mail-flow cutover

  1. Prepare the tenant and domains. Verify accepted domains, connectors, transport rules, authentication records, forwarding, and administrator roles before changing routes.
  2. Stage policies in monitor mode. Import allowlists and blocklists carefully, identify legitimate bulk senders, and avoid copying undocumented exceptions from the old system.
  3. Configure logging and ownership. Decide who owns quarantine, user release requests, incident response, and after-hours escalation. Confirm that logs reach the required SIEM or case system.
  4. Test a pilot group. Include executives, finance, help desk, shared mailboxes, mobile users, and users who receive external attachments. Check internal and external traffic separately.
  5. Lower DNS risk before cutover. Use an appropriate DNS TTL and schedule the change with both the gateway and Microsoft 365 teams available. Record the old MX and connector values for rollback.
  6. Change inbound routing and verify. Send authenticated and unauthenticated test messages, inspect headers, confirm SPF/DKIM/DMARC results, and check that quarantine and notifications work.
  7. Validate outbound flow. Test policy-triggering content, encryption, large files, external recipients, and replies. Confirm that return paths and bounce handling are correct.
  8. Monitor the stabilization period. Review false positives, delayed delivery, queue depth, authentication failures, API or journal lag, and support tickets. Keep the rollback path available until results are stable.

Common failure modes and how to prevent them

Assuming API protection is pre-delivery protection

An API or journal service can remediate a message after Microsoft 365 delivers it. If your requirement is to prevent mailbox delivery, select and test an inline gateway path or document the residual exposure and response time.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Leaving internal mail outside the design

Messages sent between users may bypass an external MX gateway. Confirm whether journaling, API access, or internal routing covers that traffic, and include a compromised-account test in acceptance criteria.

Buying continuity without checking the mode

Continuity, backup, restore, secure messaging, and large-file functions can depend on deployment mode and contract. Put each entitlement in the order form and test it during an outage simulation.

Creating routing loops or duplicate scans

Loops often arise when Microsoft 365 connectors, gateway routes, and hybrid exceptions are configured independently. Draw the complete inbound, outbound, and internal path; then inspect headers and message IDs during pilot testing.

Overlooking evidence and retention

A detection that cannot be explained, searched, exported, or tied to a user action slows incident response. Verify verdict evidence, quarantine retention, message-search limits, legal hold, role separation, and audit history before deployment.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Comparing support labels instead of obligations

“24/7 support” does not state how quickly a critical case is acknowledged, who owns restoration, or when executives are notified. Require severity definitions, response and restoration targets, escalation contacts, and service-credit language.

Choose by scenario, not by feature count

Your primary need Likely starting point Validation priority
Microsoft 365 only, minimal mail-flow change Native Microsoft 365 controls, optionally supplemented by API or journaling protection License scope, internal-mail coverage, remediation timing, investigation workflow, and API limits
Multiple mail platforms or Exchange on-premises Inline MX gateway with documented platform support Pre-delivery policy enforcement, routing, authentication preservation, and continuity
Strict pre-delivery DLP and outbound control MX gateway or hybrid design DLP licensing, encryption, information rights, quarantine ownership, and fail-open or fail-closed behavior
Need internal-message visibility plus external pre-delivery filtering Hybrid gateway plus API or journaling Duplicate scanning, loops, header preservation, remediation authority, and operational staffing
High continuity requirement Gateway design with explicitly contracted queueing and recovery features Destination-outage test, queue duration, backup and restore, secure messaging, and large-file handling

What to put in the final decision record

Document the licensed Microsoft 365 capabilities, the threat and policy gaps that justify an additional service, the selected deployment mode, every mail path, internal-message scope, continuity entitlement, retention period, support SLA, escalation contacts, data-residency terms, subprocessors, renewal protections, and rollback procedure. Attach proof-of-value evidence for each acceptance criterion and list exceptions with an owner and due date.

Prices and feature availability can change by region, edition, deployment mode, and contract. Obtain a dated proposal and verify that the tested capabilities, support tier, API limits, continuity functions, and professional-services scope appear in the order documents. No independent efficacy test or comparable pricing study establishes a defensible ranked winner among these options, so the purchasing decision should rest on measured fit and enforceable obligations.

Product prices and availability are accurate as of the date/time indicated and are subject to change. Any price and availability information displayed on Amazon at the time of purchase will apply.
