Yes. Monthly invoice collection can be made repeatable with a mix of supplier email or API integrations and browser automation for portals that require sign-in. A robust workflow saves each invoice in a predictable location, checks that it belongs to the right vendor and billing period, and sends exceptions to a person rather than silently filing the wrong document. It will not eliminate oversight: login challenges, missing invoices, and changing portal layouts still need attention.
Choose the least fragile way to get each invoice
Before automating clicks, check how each supplier can deliver its invoice. A supported API, scheduled invoice email, or finance-system integration can avoid dependence on a portal’s changing page layout. Use browser RPA when the supplier’s authorized workflow requires visiting a website and interacting with its controls. If the supplier provides a stable, documented file-download route, a direct download may be simpler than navigating pages—but use only supported access methods and credentials you are authorized to use.
Microsoft describes browser automation in Power Automate as UI automation: a flow launches or attaches to a supported browser and interacts with web elements. Most browser actions use page elements captured for the flow. Its separate “Download from web” action supports GET or POST and can save files directly to disk. Build a monthly invoice workflow
- Inventory the suppliers. Record each portal or delivery method, invoice location, billing period label, expected file format, authentication requirements, and where the completed file should go. Note which suppliers already send scheduled invoices.
- Choose the access route. Prefer a documented supplier API, scheduled delivery, or finance integration if it meets the need. For a portal without a suitable supported alternative, create browser automation for that portal’s actual workflow.
- Automate one portal pattern at a time. Sign in through the approved method, open billing history, select the intended period, and download the invoice. Avoid making one brittle flow responsible for unrelated portals with different navigation and login behavior.
- Use a predictable filename and folder structure. For example, save as
VendorName/2026/2026-09-invoice.pdf. Choose a naming convention that makes the vendor and invoice period unambiguous. Do not overwrite an existing file without checking whether it is a duplicate or a corrected invoice. - Verify the result before treating the run as successful. Check that a file appeared, has a plausible size and filename, and corresponds to the expected vendor and billing period. Where possible, route a mismatch, empty file, or missing statement to a person.
- Log the outcome and handle exceptions visibly. Record the supplier, run time, expected period, output path, and success or failure. Route login challenges, missing statements, unexpected page layouts, and download errors to a person instead of reporting a false success.
- Protect the archive and credentials. Store invoices in an access-controlled folder with a retention and backup policy appropriate to your accounting needs. Do not hard-code passwords in a flow. Use an approved credential store and least-privilege accounts where the platform supports them.
- Review the process periodically. Portal layouts, login rules, and download paths can change. Check that each supplier’s invoice is still being collected correctly, especially after a portal update or a failed run.
Choose a tool that fits the work

Power Automate Desktop is a direct fit when the task is interacting with a browser page or retrieving a file through its documented web-download action. Browser flows commonly depend on captured page elements, so a changed button, label, or page structure may require maintenance. Microsoft notes that some browser actions can run while the browser is minimized, but actions configured for physical interaction require it to remain focused and not minimized. A desktop flow also cannot attach to a browser opened under a different system user.

Plan the runtime around those constraints. Test whether the exact actions used in your flow can run in the intended session, and do not assume that a scheduled process can complete every portal interaction invisibly in the background.
UiPath for a broader finance process
UiPath may be relevant if invoice collection is one stage in a larger finance workflow, such as extracting invoice fields and entering or verifying them in an accounting system. UiPath’s vendor-described invoice example covers retrieval, reading invoices, entering details in SAP, verification, posting, and notifications; it is an illustration of a broader process, not evidence that every supplier portal can be automated or that a particular amount of time will be saved. Eligibility, limits, and terms can change, so check the current details before choosing it: UiPath Developers.
Compare operational fit, not just the flow designer
- Can the supplier provide an API, scheduled delivery, or supported finance integration?
- Does the tool support the browser and page interactions the portal needs?
- What runtime and licensing are required for scheduled or unattended runs?
- How will MFA or another sign-in challenge be handled by a person or an explicitly supported integration?
- Where are credentials stored, and what access controls apply?
- Can the workflow validate files, retry appropriate failures, and keep useful run logs?
- Who will maintain the automation when a supplier changes its portal?
Neither reviewed product documentation establishes that these tools bypass MFA or supplier restrictions. Do not evade access controls or a supplier’s terms. Arrange a human sign-in step or use a supplier-supported integration when authentication requires it.

Keep security and accounting checks in the workflow
Invoice PDFs and portal credentials can expose sensitive business information. Limit what the automation account can access, restrict the archive to people who need it, and define retention and backup practices in line with your accounting requirements. Before putting invoice data into a cloud service, review that provider’s product-specific handling and contractual terms.
UiPath says its cloud customer data is encrypted in transit and at rest and that its cloud products use subprocessors. Its FAQ distinguishes this from on-premise deployments, for which UiPath says it does not share or access customer data. Before sending an invoice to an accountant or importing it elsewhere, confirm the vendor and billing period. A successful browser action only means the automation completed its steps; it does not prove that the downloaded document is the intended invoice.

There is no substantiated general time-saved figure or payback period for automating monthly invoice downloads here. Measure your own starting process instead: how many suppliers require manual collection, how long each one takes, how often exceptions occur, and how much time it takes to review and correct them. Compare that with the time spent maintaining the flow and handling its exceptions. This gives your business a grounded basis for deciding whether automation is worthwhile without assuming that every portal behaves reliably.

Troubleshoot common failures
- The flow cannot find a button or field: the portal may have changed its layout or the page elements captured by the flow may no longer match. Inspect the current page and update the captured elements and navigation steps.
- The browser does not attach: check that the flow and browser run under the same system user. If an action uses physical interaction, keep the browser focused and not minimized.
- The download is missing or empty: confirm the selected period, whether the portal completed the download, and whether the flow waited for the file. Treat an absent or implausibly small file as a failure, not a successful collection.
- The downloaded invoice is for the wrong month: verify the portal’s period selection and the document itself before filing or forwarding it. Add a check for the expected billing period rather than relying only on the filename.
- A login challenge blocks the run: route the run to an authorized person or use a supplier-supported integration. Do not attempt to bypass MFA, CAPTCHA, or other access controls.
- A file would overwrite an existing invoice: stop and compare the existing document with the new one. Use a collision-safe naming rule or a review step for duplicates and corrected statements.
- The flow reports success but no usable invoice exists: make completion depend on a verified file and a recorded outcome, not merely reaching the end of the click sequence.
