1Scan for outdated or missing drivers - takes under a minute2Clear out junk files and repair common Windows errors3Fix the driver behind crashes, sound loss and screen glitchesThe safest approach is to match access to the task, not to the assistant’s maximum capability. For a summary, search or draft, keep the inbox disconnected when possible; otherwise use the smallest read-only scope, a separate or narrowly delegated mailbox, and a workflow that keeps sending and deletion behind human approval. Treat every email as untrusted input, review retained data, and revoke the authorization when the task ends.
Why full inbox access is a bad default
An OAuth connection is not the same as giving an app your password, but it is still an ongoing authorization grant. Until it expires or you revoke it, the connected service can use the scopes you approved. Google’s OAuth policy says, “You must only request the smallest set of scopes that are necessary for providing functionality knowingly chosen by the user.” The same principle applies to Microsoft 365 and other providers: grant only the data and operations the workflow actually needs.

Full mailbox access creates two separate exposures:
- Data exposure: the assistant may process messages, attachments, addresses, calendars or historical correspondence that are irrelevant to your task.
- Action authority: a connector may be able to modify, delete, label, move or send mail, depending on its permissions.
Those risks are independent. A read-only assistant cannot normally send or delete a message, but it can still read every message within its scope, including confidential material. Read-only access also does not remove prompt-injection risk. Text inside an email can attempt to influence an agent that is processing it, especially when the agent is also authorized to act.

The Cloud Security Alliance describes inbox-connected features as an attack surface and recommends least-privilege permissions plus human approval for high-consequence actions. Narrower permissions reduce the damage a mistake or malicious instruction can cause; they do not guarantee that a model will interpret every message safely.
Choose the smallest capability that completes the job
Think of email permissions as separate capabilities rather than one all-or-nothing switch. The exact names vary by provider and connector, but Microsoft’s permission model illustrates the distinction:
| Capability | What it permits | Typical use | Safer default |
|---|---|---|---|
| Read | View message content and metadata within the granted scope | Summaries, search, classification | Use only when the task needs mailbox content; restrict the data boundary |
| Write or modify | Change message state, folders, labels or drafts | Filing, tagging, draft creation | Leave disabled for read-only analysis |
| Send | Transmit a message as the account or delegated identity | Automated replies or outbound workflows | Keep unavailable, or require explicit review before every consequential send |
| Delete | Remove or move messages so they may no longer be where expected | Cleanup and retention workflows | Do not grant unless deletion is the specific, reviewed purpose |
Microsoft identifies Mail.Read and Mail.ReadWrite as inbound Outlook permissions, while Mail.Send or Mail.ReadWrite can provide outbound capability. The exact effective authority depends on the provider, consent type and connector configuration. Read the consent screen rather than relying on a product label.

Six safer ways to use AI with email
1. Keep the inbox disconnected and share selected messages
For occasional work, copy or forward only the messages the assistant needs. Remove unrelated names, addresses, attachments and quoted history before sharing. This creates no standing connector permission and gives you a visible boundary around each task.

The trade-off is manual effort. A copied message is still sensitive data: handle the conversation, attachments and any generated output under the same privacy rules as the original. If the assistant stores conversation history, remove that copy when your organization’s retention policy allows.
2. Use narrow, read-only access for summaries or search
If manual sharing is impractical, choose the smallest provider scope that supports the selected function. A summarizer generally needs to read messages; it does not automatically need to send, delete or modify them. Ask these questions before consenting:
- Does the integration need the entire mailbox, or only a folder, label or date range?
- Is write access required, or is the service merely displaying analysis?
- Can attachments be excluded?
- Will the connector continue polling after the task is complete?
Google’s policy specifically says an app that occasionally sends Gmail should not need full email access. Microsoft likewise recommends the least-permissive permission that still enables the intended function. A narrow read scope is safer than full read/write access, but it still exposes every message inside that scope to the service.
3. Put the assistant behind a separate or delegated mailbox
Use a dedicated account, shared mailbox or selected folder for messages that an automated workflow is allowed to see. Do not forward an entire personal or executive inbox merely to simplify setup. For business deployments, an administrator may be able to grant access to one mailbox or a small set of mailboxes through Exchange role-based access control (RBAC). Microsoft documents this mailbox-granular approach in its guidance for granting agents access to Microsoft 365 resources.
A separate mailbox is a boundary, not a guarantee. It can still receive contracts, credentials or personal information, so apply its own retention, sharing and monitoring rules. Restrict who can add mail to it and review forwarding rules that could silently widen the data set.

4. Separate drafting from sending
Allow the assistant to produce a draft, but keep the send action unavailable. A person should verify recipients, quoted text, attachments, claims and tone before anything leaves the organization. For workflows that genuinely need automation, require an explicit approval event immediately before sending external mail.
The Cloud Security Alliance recommends human-in-the-loop gates for consequential actions, including external communications. Approval should be meaningful: show the final body and recipients, make the approval identity clear, and prevent a later model step from changing the approved content without another review.
5. Prefer a provider feature when it meets the need
Some email platforms provide built-in summaries or search without asking you to authorize an unrelated third-party connector. Google’s Workspace developer policy lists productivity applications that provide generative AI summaries among approved Gmail-scope use cases. That policy status is not a security endorsement of any particular assistant and does not prove that broad access is necessary.
Check the exact permission request and the provider’s current terms for storage, model training, retention, deletion, subprocessors and incident response. Those details can vary by account type, region and edition, so do not infer them from a feature name.
6. Revoke access as soon as the task ends
Remove the app’s OAuth grant from your account, or ask an administrator to remove delegated authorization. Google instructs developers to revoke scopes that are no longer needed; Microsoft recommends revoking unused or reducible permissions and auditing applications periodically. Schedule a review for recurring integrations rather than assuming an old consent is still appropriate.

Revocation stops future use of the authorization. It may not erase copies the service already retained. Before connecting an account, find the vendor’s current deletion and retention terms; do not assume that revoking a token deletes stored messages, embeddings, logs or generated drafts.
A practical approval checklist
Use this checklist before accepting an email integration’s consent screen:
- Identify the operator and purpose. Know which company runs the service and why it needs email data.
- Read every requested scope. Mark each permission as read, modify, send or delete. Reject capabilities unrelated to the chosen task.
- Set the mailbox boundary. Prefer one folder, a date-limited export, a shared mailbox or a dedicated account over the whole inbox.
- Disable consequential actions. Keep sending and deletion off. If modification is necessary, limit it to a reversible operation such as creating drafts or labels.
- Require review. Confirm that a person must approve external messages and that the assistant cannot silently change an approved draft.
- Check data handling. Review current statements about model training, storage location, retention, deletion, subprocessors and incident response.
- Plan revocation. Know where a user or administrator will remove consent and who owns that process for a work account.
- Secure the account. Use strong, phishing-resistant sign-in for sensitive mail. The Cloud Security Alliance identifies FIDO2 hardware tokens or device-bound passkeys as a baseline, while noting that phishing resistance does not stop prompt injection.
How prompt injection changes the email threat model
Traditional phishing tries to persuade a human. Prompt injection aimed at an email-connected agent places instructions in the agent’s input stream. A message might contain hidden or natural-language text telling the assistant to forward a confidential file, reveal another message, change a rule or send a reply. The model may treat that text as data, instructions or a mixture of both.

- Keep send, delete and broad write permissions disabled.
- Require a person to approve external communication and irreversible changes.
- Never let an email’s instructions override the connector’s fixed policy or approval requirement.
- Log which messages informed a draft and which identity approved the action.
The Australian Signals Directorate and Australian Cyber Security Centre advise assigning only the minimum access required for each role and using exact resource, operation and time scopes where possible. Their May 2026 guide also discusses ephemeral credentials and revocation. These controls narrow the blast radius; they cannot make untrusted email trustworthy.

OAuth grants, tokens and revocation
OAuth approval avoids sharing a password with the app, but it creates tokens or grants that can be misused if exposed. RFC 9700, the January 2025 OAuth security best-current-practice document, addresses access-token leakage and replay and recommends sender-constrained tokens as a mitigation. Token binding and other protections are primarily implementation responsibilities for providers and developers, not settings most users can switch on inside a consent dialog.
Your practical controls are simpler: approve fewer scopes, use a smaller mailbox boundary, avoid long-lived access when a one-time export will do, monitor connected applications, and revoke grants that are unused or broader than necessary. After revocation, check whether the service retained content independently of the token and follow its documented deletion process.
Choosing among the alternatives
| Approach | Email exposed | Authority | Mailbox or folder boundary | Human approval | Persistence |
|---|---|---|---|---|---|
| Selected-message sharing | Only the messages you provide | None in the mailbox | Defined manually per task | You control every output | No standing connector; copies may remain in chat history |
| Narrow read-only connector | All content inside its granted scope | Read | Available only if the provider or connector supports it | Needed for any later send | Continues until revoked or expired |
| Dedicated or delegated mailbox | Messages delivered to that mailbox | Choose read, write and send separately | Strong organizational boundary when configured correctly | Can be enforced for outbound actions | Persistent account or delegation; audit it regularly |
| Draft-only workflow | Whatever the drafting step can read | Create drafts, not send | Depends on connector configuration | Required before transmission | Revoke when the workflow ends |
| Provider-native feature | Defined by the provider’s implementation and scope | Check the current consent screen | Depends on product controls | Use review settings for actions | Check account and provider retention terms |
Do not rank a named assistant as “private” from its marketing description alone. Compare the current consent screen, mailbox boundary, approval controls and data-handling terms for the exact edition and account you will use.

When full access might be justified
A broad grant can be defensible only when the business function truly requires broad search or mailbox-wide automation, the data owner has approved it, and compensating controls are in place. At minimum, document the purpose, limit the identities and mailboxes covered, disable unnecessary operations, require approval for external or irreversible actions, log use, set an expiry or review date, and provide a tested revocation path.
Convenience alone is not a sufficient reason. If a weekly digest can be produced from one folder or a selected export, granting access to every historical message creates exposure without adding necessary capability.
A repeatable operating procedure
- Define the task. Write down whether the assistant must summarize, search, draft, file, send or delete.
- Map task to permissions. Start with no access, then add only the smallest read, write or send capability that is technically required.
- Choose the data boundary. Select messages, a folder, a dedicated mailbox or a narrowly delegated account.
- Test safely. Use non-sensitive sample mail and confirm that the assistant cannot perform actions outside the stated scope.
- Add approval gates. Require human review for external sending, deletion, forwarding or disclosure.
- Monitor and review. Inspect logs, connected-app lists and mailbox rules on a schedule appropriate to the sensitivity of the account.
- End the grant. Revoke authorization when the project or one-time task finishes, then address any retained copies under the service’s deletion terms.
Bottom line
Do not connect an AI assistant to your entire inbox merely to obtain summaries or drafts. Share selected messages for occasional work; otherwise use a narrow read-only scope, a dedicated or delegated mailbox, and draft-only operation. Keep sending and deletion behind explicit human approval, treat email as untrusted input, secure the account with phishing-resistant authentication where appropriate, and revoke the grant when it is no longer needed.
