Short answer: choose retail POS analytics software by the decisions it helps you make, not by the number of dashboard tiles. Compare sales and margin reporting, inventory and replenishment visibility, customer and staff analysis, data refresh and export behavior, ecommerce and accounting integrations, multi-location consolidation, hardware support, permissions, implementation effort, and the full cost of ownership. For a single location, Square publishes a Free plan at $0 per month and a Plus plan at $89 per month per location (both plus payment-processing fees); Premium is custom-priced. Shopify is designed around one ecommerce-and-retail data model, while Lightspeed emphasizes retail inventory analytics, customizable reports, mobile access, and reporting across multiple Retail POS accounts.
This guide explains what to test, how the leading approaches differ, and how to build a defensible cost and implementation plan before you sign a contract.

What retail POS analytics software actually does
A retail POS analytics system turns checkout, product, inventory, customer, employee, payment, and location records into reports you can use to run the business. At minimum, it should answer four operational questions:
- What sold, where, when, and at what price after discounts, refunds, taxes, and fees?
- What inventory is available, committed, slow-moving, or likely to run out?
- Which customers, staff members, stores, products, and channels are driving results?
- Can the numbers be reconciled with your payment processor, accounting system, ecommerce store, and physical cash?
Analytics is different from a simple transaction history. Transaction history shows individual receipts; analytics lets you compare periods, group products or locations, detect trends, export data, and assign access to the people who need it. The useful system is the one whose definitions match your business. For example, “sales” might mean gross register sales, net sales after returns, or deposited funds after processing fees. Document those definitions before comparing vendors.

Start with the decisions your reports must support
Write the decisions you make weekly and monthly, then map each to a report and its required dimensions. A specialty shop may need replenishment and sell-through by SKU; a chain may need same-store comparisons and consolidated management reporting; a retailer selling online and in-store may need one customer and inventory view across both channels.
Sales, margin, and promotion decisions
- Compare net sales by day, week, month, store, channel, category, product, variant, and employee.
- Measure discounts, refunds, taxes, fees, gift-card activity, and payment-method mix separately from product sales.
- Where cost data is available, calculate gross margin and identify products whose volume is high but profitability is low.
- Evaluate promotions without mixing discounted units, returns, and full-price units into one unexplained total.
Inventory and purchasing decisions
- Find current on-hand, committed, and available quantities by location and SKU.
- Identify slow-moving products, stockouts, excess stock, and items approaching a reorder point.
- Compare sales velocity with supplier lead times and order minimums before generating a purchase recommendation.
- Track transfers and receiving so a product is not treated as available merely because it was shipped between stores.
Customer and staff decisions
- Use complete purchase histories to understand repeat buying, average order value, and channel behavior.
- Review sales and transactions by employee while respecting permissions and local employment rules.
- Separate loyalty activity, returns, discounts, and gift-card redemption from ordinary sales.
Location and channel decisions
- Consolidate stores while preserving each location’s underlying transactions.
- Compare physical stores with ecommerce or other selling channels using consistent product, tax, and refund definitions.
- Understand whether a result reflects customer demand, a stockout, a local promotion, or a reporting delay.
Core capabilities to compare
Use a weighted scorecard rather than choosing the product with the longest feature list. Assign each criterion a weight based on its effect on your operation, score every shortlisted system with the same test data, and record evidence for every score.
| Criterion | What to verify | Why it affects the purchase |
|---|---|---|
| Sales and margin reporting | Net and gross sales, returns, discounts, taxes, fees, cost of goods, margin, period comparisons, and drill-down to transactions | Prevents decisions based on totals that cannot be reconciled to the register or books |
| Inventory and replenishment | On-hand and available quantities, transfers, receiving, reorder logic, purchase suggestions, SKU and variant handling | Determines whether the system can reduce stockouts and excess inventory |
| Customer analytics | Purchase history, identity resolution across channels, loyalty activity, consent and export controls | Shows whether customer insights are usable without creating duplicate profiles |
| Staff analytics | Sales by employee, permissions, approval workflows, audit history, and treatment of shared registers | Balances coaching and accountability with privacy and control |
| Refresh speed | Documented delay, behavior during busy periods, and timing of refunds, returns, and inventory changes | A “real-time” label is not useful if a dashboard lags when you need to reorder or close a shift |
| Multi-location consolidation | Store-level detail, consolidated views, location filters, inter-store transfers, and account limits | Determines whether growth requires manual spreadsheets or a repeatable operating view |
| Ecommerce and accounting integrations | Supported connectors, field mapping, sync direction, error handling, tax treatment, and reconciliation | Integration gaps create duplicate data entry and unexplained differences |
| API and export | CSV fields, API availability, rate limits, historical retention, scheduled exports, and ownership of exported data | Protects your ability to analyze data independently or migrate later |
| Permissions and auditability | Role-based access, report-level restrictions, change logs, approval records, and retention | Limits exposure of customer, payroll, and financial information |
| Hardware compatibility | Operating systems, scanners, receipt and label printers, cash drawers, connection types, and offline behavior | Unsupported peripherals can delay launch or force an expensive replacement |
| Implementation and support | Migration tools, onboarding, training, service hours, escalation, and renewal terms | Determines how quickly accurate reporting becomes available |
| Total cost | Subscription, processing, hardware, add-ons, onboarding, migration, training, support, and future locations | The advertised plan is only one component of the operating budget |
Reporting depth: what each platform documents
Square Analytics and retail reports
Square documents real-time views of sales, item, customer, employee, and location data, period comparisons, daily summaries, and CSV downloads. Its support documentation lists sales, item, category, modifier, discount, tax, fee, transaction, gift-card, dispute, cash-drawer, and custom reports. That breadth is useful when the owner, store manager, bookkeeper, and operations lead need different slices of the same transaction set.
Square’s published product description frames the dashboard as a way to see what sells, when funds transfer, and the bottom line. Treat that as a starting point rather than proof that every metric is included in every plan. During a trial, confirm which reports and historical ranges are available at your selected subscription level, and verify that the CSV contains the fields your accountant or warehouse requires.
Shopify POS reporting
Shopify describes a unified online and retail data model, complete customer purchase histories, reporting and analytics, and loyalty integrations. Its retail sales reports are limited to sales from POS locations and can be grouped or filtered by product, variant, vendor, product type, location, or staff. Shopify states that retail report data can take 1–5 minutes to update. That delay is normally acceptable for management reporting, but it should be considered when a manager expects a just-completed transaction to appear immediately during a busy shift.

Ask how online orders, returns, exchanges, inventory reservations, and customer identities are represented when the same item is sold through both channels. A unified platform reduces the number of connectors, but it does not remove the need to test field definitions and permissions.
Lightspeed Retail reporting
Lightspeed highlights in-depth inventory tracking, data-driven order recommendations, customizable and real-time retail reports, mobile analytics access, and an Analytics Enterprise view for multiple Retail POS accounts. Lightspeed’s published product description does not provide a complete current price table or a definitive list of plan-by-plan integration limits, so request those details directly for your edition, region, and number of locations.

Integration architecture: map the entire data flow
Before a demonstration, draw every system that creates or consumes retail data: ecommerce, payments, accounting, inventory or purchasing, loyalty, tax, payroll, customer messaging, and a data warehouse or spreadsheet process. For each connection, record the system of record, sync direction, frequency, key fields, failure notification, and reconciliation owner.
Questions for ecommerce
- Is a product, SKU, variant, vendor, and location represented identically in both systems?
- Which system controls price, promotional price, tax category, inventory quantity, and customer identity?
- How are online returns, exchanges, cancellations, and split shipments posted to the POS?
- Can you prevent duplicate customers when an email address or phone number changes?
Questions for accounting and payments
- Does the connector post gross sales, discounts, taxes, refunds, fees, gift cards, and deposits to separate accounts?
- Can a daily close be reconciled to processor settlements and the bank deposit rather than only to a dashboard total?
- What happens when a payment is captured offline and synchronized later?
Questions for inventory, loyalty, and tax
- Are receipts, transfers, purchase orders, and adjustments synchronized with a visible error queue?
- Does loyalty credit or redeem points consistently across channels and locations?
- Where are tax rates and exemptions maintained, and how are historical transactions preserved if a rate changes?
APIs, CSV, and data ownership
CSV export is valuable for a quick analysis, but recurring operations may require an API or scheduled export. Confirm endpoint coverage, authentication, rate limits, pagination, webhooks, retention, and whether deleted or corrected records remain available for audit. Ask whether exports include stable IDs for products, customers, employees, locations, transactions, refunds, and payments. A report that looks complete on screen may omit the identifiers needed to join data reliably.

Refresh, reconciliation, and offline behavior
Put a timestamp and source definition on every critical dashboard. Shopify documents a 1–5 minute report update interval; Square provides dashboard access from web and mobile and downloadable CSV files. Lightspeed describes real-time reporting, but you should confirm the actual delay for your chosen reports and devices.
What’s actually slowing this PC down?
Pick the symptom - the matching free tool is one click away.
Run a controlled test: ring a sale, apply a discount, process a refund, receive inventory, transfer an item, and close a cash drawer. Record when each event appears in the POS report, inventory view, export, accounting feed, and payment settlement. Repeat the test during a busy period if possible. Then reconcile totals by date, location, tender, tax, discount, refund, and fee. Differences should be explained by a documented timing rule, not by an unexplained adjustment.
Test an internet outage on the intended register and handheld devices. Confirm what can be sold offline, how inventory is reserved, which tenders are permitted, how receipts are issued, what happens to duplicate transactions, and how long synchronization takes after reconnection. Do not assume that a dashboard marked real-time includes offline transactions before they sync.
Hardware compatibility and deployment
Hardware is part of analytics reliability because a failed scanner, printer, or cash drawer creates manual workarounds and incomplete records. Square says retailers can scan barcodes to add products and use compatible scanners and label printers. Treat compatibility as a model-by-model check, not a generic promise.
Confirm before ordering
- Supported operating systems and minimum versions for registers, tablets, and handhelds.
- Connection type for scanners and printers: USB, Bluetooth, Wi-Fi, or another supported method.
- Receipt width, label dimensions, barcode symbologies, and whether templates can be customized.
- Cash-drawer kick codes, drawer assignment, end-of-day counting, and replacement availability.
- Offline operation, battery life, device enrollment, and how peripherals behave after reconnecting.
- Whether the vendor or a third party supplies warranty service, spare units, and compatible replacements in your region.
Use your own catalog and a sample receipt in a proof-of-concept. Scan a product with a variant, print a shelf label, process a return, open and close a drawer, and export the transaction. A successful demo with generic hardware is not sufficient evidence for your deployment.

Pricing and total cost of ownership
Subscription price is only the visible layer. Build a three-year model with one-time, recurring, and usage-based costs.
Published Square example
| Square plan | Published subscription price | Qualification |
|---|---|---|
| Free | $0 per month | Square’s 2026 retail pricing example for one location; payment-processing fees still apply |
| Plus | $89 per month per location | Square’s 2026 published price; payment-processing fees still apply |
| Premium | Custom-priced | Request a quote for the required locations, features, and terms |
The table is a subscription example, not a forecast of your bill. Add card-present and other processing charges, extra locations, hardware, optional applications, implementation, migration, training, support, and any tax or contract fees. Ask whether a price is monthly or annual, whether it changes at renewal, and how adding a location or register changes the rate.
Costs to include for every vendor
- Software: base plan, additional locations or registers, analytics modules, loyalty, advanced inventory, and premium support.
- Payments: processing rates, keyed-entry or alternative-tender charges, refunds, chargebacks, and settlement timing.
- Hardware: registers, tablets, stands, scanners, receipt printers, label printers, cash drawers, network equipment, spares, shipping, and replacement cycles.
- Implementation: catalog cleanup, SKU mapping, historical migration, tax setup, integrations, testing, and project management.
- People: training hours, temporary productivity loss, store-by-store rollout, and ongoing report ownership.
- Data and support: API access, storage or warehouse costs, support tiers, export services, and contract exit assistance.
Calculate cost per location and cost per transaction, then model a second scenario with the next planned store. A low entry price can become expensive if every new location requires a separate subscription, connector, or implementation project.
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone.Implementation plan: a repeatable proof-of-concept
- Define success criteria. Choose the reports and reconciliations that must work on launch: daily close, inventory availability, margin view, staff permissions, and location comparison.
- Prepare representative data. Export a catalog containing variants, vendors, tax categories, discounts, bundles, and discontinued items, plus historical transactions with refunds and gift cards.
- Map dimensions. Verify product, SKU, vendor, location, staff, tax, discount, refund, payment method, customer, and transaction identifiers in every system.
- Configure roles. Create owner, manager, cashier, accountant, and analyst access. Confirm which reports each role can view, export, edit, or delete.
- Run transaction scripts. Test a normal sale, promotion, partial refund, exchange, gift-card redemption, cash close, inventory receipt, transfer, and an offline sale if supported.
- Measure timing. Timestamp each event and compare appearance in dashboards, exports, accounting, inventory, and processor settlement records.
- Reconcile totals. Require the vendor to explain every difference by timing, scope, rounding, or documented business rule.
- Test integrations. Send data to ecommerce, accounting, inventory, loyalty, tax, payroll, and the data warehouse. Intentionally create a mapping error and verify the alert and recovery path.
- Test hardware. Use the intended scanners, receipt and label printers, cash drawers, and devices. Check replacement and offline procedures.
- Price the rollout. Obtain written subscription, processing, hardware, add-on, onboarding, training, support, renewal, and cancellation terms.
- Pilot one location. Operate a complete close and replenishment cycle before expanding. Keep the old process available for audit during the pilot.
- Document ownership. Assign who approves catalog changes, investigates sync failures, reconciles deposits, maintains reports, and exports data for an eventual migration.

Ignoring returns, discounts, and fees
Gross sales alone overstates performance. Include refunds, discounts, taxes, fees, gift cards, disputes, and processor deposits in the reconciliation design.
Underestimating catalog cleanup
Duplicate SKUs, inconsistent vendor names, and missing tax categories create misleading cross-location and cross-channel reports. Clean and map the catalog before migration, not after launch.
Buying hardware before confirming compatibility
Printers and scanners that work with one operating system or connection type may fail on another. Obtain a supported-device list and test the exact models you intend to deploy.
Do these 3 things before closing this tab:
1Scan for outdated or missing drivers - takes under a minute2Clear out junk files and repair common Windows errors3Fix the driver behind crashes, sound loss and screen glitchesFailing to plan for growth
A system that works for one store may require separate accounts, manual consolidation, or a higher tier at the second store. Model the next location and the next integration before signing.
Leaving permissions until the end
Analytics often exposes employee performance, customer history, and financial information. Create role-based access and an audit process during the proof-of-concept, then review it when staff responsibilities change.
Which approach fits which retailer?
| Retail situation | Priorities | Evaluation emphasis |
|---|---|---|
| One physical store with straightforward inventory | Reliable sales, cash, product, discount, and inventory reports at a predictable cost | Square’s Free and Plus subscription examples, processing fees, hardware, exports, and daily reconciliation |
| Retailer selling online and in stores | One product, customer, inventory, order, and return model across channels | Shopify’s unified data approach, POS-location report scope, 1–5 minute refresh, and field mapping |
| Several stores with complex assortments | Deep inventory, purchasing recommendations, customizable reports, mobile access, and consolidation | Lightspeed’s documented retail analytics capabilities, plus written confirmation of current plan, price, hardware, and integration limits |
| Growing chain with a data team | Stable identifiers, API or scheduled exports, permissions, retention, and warehouse compatibility | API limits, historical access, error handling, audit logs, and multi-account consolidation |
A practical buying decision
Shortlist two or three systems only after documenting your required reports and integrations. Give each vendor the same catalog, transaction scenarios, hardware list, and reconciliation targets. Reject any option that cannot produce a required report, explain a timing difference, protect sensitive data with appropriate permissions, or provide a workable export and recovery process.
Then compare the three-year total rather than the first invoice. Include the Square published example where relevant, but do not treat it as a universal quote; payment fees and every other operating cost remain specific to your business. For Shopify, verify that the unified model covers your actual online, retail, return, and customer workflows. For Lightspeed, obtain current commercial and technical terms because the available product description does not establish a complete price table or all integration limits.
The best POS analytics purchase is the one that produces numbers your team trusts at the moment a decision is made, keeps those numbers consistent across systems, and remains affordable and supportable as locations, products, and channels grow.
