QuickBooks Online’s U.S. plans run from a constrained free option to an Advanced tier for 25 users. The current pricing page shows Simple Start at $38/month list price ($19/month promotional price), Essentials at $85 ($42.50 promotional), Plus at $140 ($70 promotional), and Advanced at $340 ($170 promotional). The displayed 50% prices are temporary for three months, not the ongoing subscription rates. Choose the lowest tier that supports your real users and workflows, then verify the checkout and renewal amount before subscribing.

The following figures are the U.S. prices displayed on QuickBooks’ official pricing page, accessed October 13, 2026. “List price” is the regular monthly rate shown for the plan; “current offer” is the temporary 50% price displayed for three months.

The 50% display is an introductory offer
The pricing page currently displays half-price monthly amounts for Simple Start, Essentials, Plus and Advanced for three months. For example, Plus is shown as $70 instead of its $140 list price. Unless your checkout states otherwise, budget for the list price after the offer ends. The Free plan has no promotional transition because its listed subscription price is $0.

Separate 2026 renewal changes
Intuit says subscription prices for Essentials, Plus and Advanced change for renewals on or after August 1, 2026. Free, Lite, Ledger and Simple Start remain unchanged under that announcement. Recent subscribers keep their initial price for six months, with updated pricing applying from the seventh invoice. The exact timing depends on the individual subscription and any promotion. Intuit states: “The exact date of price change depends on the details of the individual subscription.” Read the announcement at Intuit’s QuickBooks Online pricing-change update.
These are two different timing questions: the three-month introductory offer and the later renewal-price schedule. Check both the offer terms at signup and the renewal amount in your billing account.
What each QuickBooks Online plan includes
Free: a narrow no-cost option
Free is not simply a paid plan with a discount removed. The pricing page describes one user, no accountant access, a connection to one bank and three reports. It allows up to two invoices per month, with an exception for eligible users of QuickBooks Payments. That limit makes Free suitable for testing a basic account or handling very occasional invoicing, not for a business that sends invoices routinely or needs a bookkeeper to work directly in the file.

Move to a paid tier as soon as those limits interfere with normal billing, reconciliation or professional accounting support.
Simple Start: core accounting for one business user
Simple Start is the entry paid tier. It is listed for one user, while allowing access for two accountants. It adds the standard paid-plan accounting capabilities described on the pricing page: general business reports, automated bookkeeping, invoicing and payments, and bill-pay features subject to terms and transaction limits.
- Best fit: an owner or single operator who is the only day-to-day business user.
- What it adds over Free: regular paid-tier bookkeeping and invoicing rather than Free’s two-invoice and three-report constraints.
- Watch: a second employee who needs their own login is a user-capacity issue, even if an accountant can access the file.
Simple Start is the logical lowest tier when one person performs the work and the business does not need the multi-user, inventory or project controls in higher plans.
Essentials: three users and fuller bill workflows
Essentials raises the included user count to three and keeps access for up to two accountants. It emphasizes enhanced reports, adding employee time to invoices and broader business workflows. The subscription comparison also describes bill management, multiple currencies, recurring transactions and billable-time reporting.

- Choose it for people: up to three business users need separate access.
- Choose it for bills: the business needs bill management inside the accounting system rather than only customer invoicing.
- Choose it for time: employees’ time must flow onto invoices or into billable-time reporting.
- Additional workflows: recurring transactions and multiple-currency support are listed in the subscription comparison.
Essentials is the step up to evaluate when Simple Start’s one-user limit or basic workflow coverage is the actual obstacle. It does not, on the current comparison, provide the Plus inventory and project-profitability functions.
Plus: the tier for inventory, budgets and project profitability
Plus includes five users and access for two accountants. It includes everything described for Essentials plus the controls that most often determine a plan decision: budgeting, project profitability, inventory management, and up to 40 classes and locations on the current pricing page.

A company with fewer than five people may still need Plus: feature requirements, not just headcount, can make it the lowest workable plan.
Advanced: 25 users and control-oriented features
Advanced is listed for 25 users and up to three accountants. It adds configurable user permissions, automated workflows, Excel data sync, batch transactions, priority support and training, advanced reporting, and construction/project financial tools.
- Permissions: configure what different users can see or do instead of giving every user the same access.
- Automation: automate more repeatable workflows than the lower tiers provide.
- Batch work: process transactions in groups where supported, reducing repetitive entry.
- Data and reporting: use Excel data sync and advanced reporting for more involved analysis.
- Support: priority support and training are listed as Advanced benefits.
- Industry workflows: construction and project financial tools are included, although some industry-specific capabilities have geographic limits.
Advanced is not automatically the right choice for every growing company. It earns its price when a business needs its 25-user capacity, granular permissions, workflow automation, batch processing, deeper reporting or relevant industry tools.

Accountant seats are separate from the business-user count shown on the pricing page. Do not assume that two accountant-access slots let two additional employees use the file for daily operations.
A practical method for choosing the lowest workable tier
- Count people who need individual business logins. Count owners, employees and managers who will enter, approve or review transactions. Compare that number with Free’s one user, Simple Start’s one, Essentials’ three, Plus’ five and Advanced’s 25.
- List mandatory workflows, not desired extras. Mark whether you need bill management, employee time on invoices, recurring transactions, multiple currencies, inventory, budgets, project profitability, classes or locations.
- Check control and reporting requirements. If users need different permissions, automated workflows, batch transactions, Excel data synchronization or advanced reports, test the Advanced requirement explicitly.
- Check industry and geography. Construction and other industry-specific tools may have geographic limits. Confirm that the feature is available for your U.S. business and use case.
- Price the post-promotion period. Record both the promotional amount and the list amount. A three-month 50% offer should not be treated as a permanent operating cost.
- Verify terms at checkout. Payment and bill-pay functions can have eligibility rules, transaction limits and fees. Standard ACH transaction fees may apply over monthly allotments. Read the terms shown for your account rather than assuming every payment is unlimited or free.
- Recheck renewal timing. For Essentials, Plus and Advanced, compare the announced August 1, 2026 renewal changes with your subscription date, promotion and invoice schedule.
Important limits and feature qualifications
Payment and bill-pay terms
Invoicing, payments and bill pay are not necessarily unlimited services bundled without conditions. The pricing page notes eligibility, terms and transaction limits, and standard ACH transaction fees can apply over monthly allotments. Review the applicable fee schedule and allowance displayed for your account before making payment processing part of a cost estimate.
Beta and limited-capacity intelligence features
The official pages mark some Intuit Intelligence capabilities as beta or limited capacity. Availability and capacity can change, so treat those capabilities as beta/limited rather than guaranteed standard features. Do not select a plan solely on the assumption that a beta feature will remain available or have unlimited capacity.
Cloud access and devices
QuickBooks Online is a cloud service rather than downloaded desktop software. QuickBooks explains: “There is no need to download QuickBooks Online because it is connected to the cloud, which means you can access online accounting from any device with an internet connection.” The mobile app is another software access method, not a physical accessory. You still need a reliable internet connection and compatible device for online work.

Bottom line: match the plan to the constraint
Free is only practical for very light activity within its two-invoice, one-bank and three-report limits. Simple Start is the lowest paid choice for one working user. Essentials is the first meaningful step for a small team, bill management and employee time. Plus is the plan to inspect when inventory, budgeting or project profitability matters. Advanced is justified by larger teams or the need for permissions, automation, batch processing, deeper reporting and specialized financial workflows. Treat the displayed 50% prices as a three-month offer, account for the relevant 2026 renewal rules, and confirm your exact checkout and invoice amounts before subscribing.
