Proton Mail vs Gmail: Privacy, Features, Storage, and Which One to Choose

Proton Mail is the better choice when your priority is limiting the provider’s access to message content and using encrypted workflows. Gmail is the better choice when you need Google integration, collaboration, familiar productivity tools, and a large free-storage allowance. The difference is not simply “encrypted versus unencrypted”: both services encrypt data in some circumstances, but Proton offers stronger provider-resistant and end-to-end encryption options, while Gmail combines encryption in transit and at rest with controls such as confidential mode. Storage, prices, aliases, and domain support depend on the current plan and country, so verify live plan pages before subscribing.

The short answer: privacy-first or ecosystem-first

Choose Proton Mail if you want a privacy-focused mailbox, encrypted storage, and the option to send password-protected end-to-end encrypted messages to people who do not use Proton. Choose Gmail if your work depends on Google services, shared documents, calendars, broad collaboration, and a familiar productivity ecosystem.

Neither choice makes every email private from everyone. Encryption protects different parts of the journey, and the recipient’s provider, device, account security, and mail settings still matter. The practical decision comes down to four questions:

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  • How much do you want to reduce the provider’s ability to read stored message content?
  • Do you need Google’s integrated tools and team workflows?
  • How much storage do you need, and is it shared with other products in the same account?
  • Will you migrate existing mail, use aliases, or connect a custom domain?

Encryption: what Proton and Gmail actually protect

Proton’s zero-access and end-to-end encryption model

Proton says that Proton Mail uses end-to-end encryption so that no one else can access your data, including Proton itself. Its encryption documentation describes zero-access encryption for inbox messages and attachments. In practical terms, the service is designed so the provider cannot ordinarily decrypt the stored mailbox content using its own server-side access.

Proton also supports password-protected messages to non-Proton recipients. You compose the message in Proton, set a password, and the recipient receives a link or instructions for opening the encrypted message. This is an end-to-end encrypted workflow across the Proton message and the protected recipient experience, rather than ordinary email being magically converted into end-to-end encryption.

Encryption does not hide every piece of information. Mail systems still need some routing and account information to deliver messages, and Proton’s policy says it retains account-activity records such as messages sent, storage used, total messages, and last login. Proton says stored data is encrypted on servers in Switzerland, Germany, or Norway.

Gmail’s encryption in transit and at rest

Google’s Gmail documentation says messages are encrypted at rest and while in transit between Google data centers. Transport encryption helps prevent interception while mail moves between systems; at-rest encryption protects stored data on the provider’s infrastructure. Those safeguards are valuable, but they are not the same as universal end-to-end encryption where only the sender and recipient hold the keys.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

When a Gmail message is sent to another provider, protection depends on the connection and encryption capabilities of both systems. A normal Gmail-to-Proton or Proton-to-Gmail message should therefore not be described as automatically end-to-end encrypted. If you need a protected cross-provider message, use Proton’s password-protected workflow or another explicitly end-to-end encrypted method.

Gmail confidential mode is a control layer, not end-to-end encryption

Gmail confidential mode can set an expiration date and restrict forwarding, copying, downloading, and printing. These controls can reduce casual redistribution, but they do not make the message universally end-to-end encrypted. A recipient may still photograph the screen, and the protection model depends on how Google delivers and manages the confidential message.

Privacy controls and provider access

What Proton’s policy means for a privacy-first user

Proton’s model is aimed at reducing provider access to stored message content. Its encrypted storage and password-protected external mail are useful if your concern is a mailbox provider being able to inspect message bodies and attachments. The service’s stated European server locations may also matter to readers evaluating jurisdiction and data residency.

Privacy does not mean zero records. Proton lists operational account activity, including message counts, storage use, sent-message totals, and the time of the last login. Treat those records as metadata rather than message-content access, and review the current privacy policy for the exact retention and disclosure rules that apply to your account.

Google’s personalization and Smart features controls

Google’s Gmail privacy help says users can decide whether Gmail data is used to personalize their experience and provide Smart features in other Google products. These settings let you limit certain personalization and cross-product conveniences, but they do not turn Gmail into a provider-blind, end-to-end encrypted mailbox.

For an existing Google user, the trade-off is often practical: Gmail’s controls can preserve useful suggestions and integrations, while disabling them may reduce convenience. Review the Gmail settings for personalization and Smart features, then check the broader Google account privacy controls if you also use Drive or Photos.

Threat-model test

Use this test before choosing:

  • Concerned about interception on a network? Both providers document encryption in transit, although delivery can fall back to weaker paths when a receiving system does not support modern transport encryption.
  • Concerned about the provider reading stored mail? Proton’s zero-access and end-to-end encryption approach is the stronger fit for message-content privacy. Gmail’s at-rest encryption does not provide the same provider-resistant model.
  • Concerned about accidental forwarding? Gmail confidential mode and careful recipient permissions can help, but neither can prevent screenshots or a recipient deliberately copying information.
  • Concerned about account takeover? Use a unique password, multifactor authentication, recovery methods you control, and device security with either service.

Feature comparison

Area Proton Mail Gmail
Core privacy model Privacy-centered design with zero-access encryption for inbox messages and attachments, plus end-to-end encryption options. Encryption at rest and in transit, with account controls for personalization and Smart features; not universal end-to-end encryption.
Mail to an outside recipient Password-protected end-to-end encrypted messages are available for non-Proton addresses. Confidential mode can expire messages and restrict some actions, but it is not universal end-to-end encryption.
Provider ecosystem Focused mailbox plus a broader Proton suite; paid plans may bundle additional products. Deep integration with Google’s productivity ecosystem and collaboration tools.
Storage reference Plans can reach 1 TB depending on the plan; paid storage and products start at $3.99 per month in Proton’s 2026 comparison, subject to billing period, currency, geography, and plan packaging. 15 GB free storage is the figure reported for Gmail by TechRadar in 2026; verify the current allowance and how it is allocated before relying on it.
Migration Easy Switch is promoted for importing email and contacts from another provider. Existing Google account and Gmail workflows require little migration; moving away requires exporting or importing data.
Aliases and custom domains Availability depends on the current paid plan; compare the included mailbox allocation, aliases, and domain rules. Availability depends on the account type and whether you use consumer Gmail or a business administration plan.
Collaboration Suitable for private mail and Proton’s connected services, but the ecosystem is narrower than Google’s. Strong fit for teams already using Google productivity and shared-workflow tools.

The table compares service models rather than promising that every feature appears on every plan. Providers change packaging, quotas, and labels, so inspect the current plan documentation for the account type you intend to buy.

Storage: what the headline numbers do and do not tell you

Gmail’s 15 GB free figure

TechRadar reported 15 GB of free Gmail storage in its 2026 comparison. Treat that as a current comparison figure, not a permanent guarantee: storage quotas and account packaging can change. Before migrating a large archive, check Google’s live storage page and determine whether the quota is shared with other Google services used by the same account.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Storage needs are larger than message text alone. Attachments, sent mail, trash, spam, and years of newsletters can consume space quickly. Export or delete large attachments before a migration if you are close to the limit.

Proton’s tiered storage

Proton offers tiers that can reach 1 TB depending on the plan. Its official comparison says paid storage and products start at $3.99 per month in 2026. That figure must be checked against the live checkout because the final amount may depend on monthly versus annual billing, currency, country, taxes, and whether the plan bundles a shared Proton storage pool with other services.

Compare usable mailbox capacity rather than headline storage. A plan that includes multiple Proton products may show a large total, while the portion available to Mail and the rules for sharing storage across products determine whether it meets your needs.

Calculate your real requirement

  1. Check the current size of your mailbox and largest attachments.
  2. Separate active mail from archives you rarely open.
  3. Estimate annual growth from attachments, receipts, and work files.
  4. Leave headroom for several years instead of choosing a quota that is already nearly full.
  5. Compare the mailbox allocation and total shared storage on the exact Proton or Google plan, not just the advertised maximum.

Features and everyday usability

Where Gmail is usually stronger

Gmail’s advantage is breadth. It sits inside a large Google account ecosystem, making it convenient to move between email, documents, calendars, storage, and collaborative workflows. That matters for teams that share files, comment on documents, schedule meetings, or need familiar administration and onboarding.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

The same integration can be a drawback for someone trying to minimize data linkage between services. Gmail’s privacy controls let you decide whether data supports personalization and Smart features, but the ecosystem remains broader than a standalone mailbox.

Where Proton is usually stronger

Proton puts privacy controls at the center of the product. Password-protected mail to any address, encrypted mailbox storage, and a suite of privacy-oriented services reduce the need to assemble separate tools for sensitive communication.

The trade-off is ecosystem depth. A Proton mailbox may require more work when collaborators rely on Google-specific workflows, and advanced capabilities may require a paid plan. Check current plan documentation rather than assuming a feature is included in the free tier.

Sending protected mail to someone who uses another provider

Use Proton’s password-protected message option when the recipient is outside Proton:

Free tools Windows power users keep installed

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  1. Compose the message in Proton Mail.
  2. Choose the password-protection or encrypted-message option.
  3. Set a strong password and communicate it through a separate channel, such as a phone call or an already trusted messenger.
  4. Send the notification to the recipient’s ordinary email address.
  5. The recipient opens the protected link and enters the password to read the message.
  6. Send a new message if the information changes or the password may have been exposed.

Do not send the password in the same ordinary email as the notification. Also remember that the recipient can still copy, screenshot, or forward what they can read.

Migration from Gmail to Proton Mail

Plan before moving

  • Inventory Gmail labels, filters, forwarding rules, signatures, contacts, calendars, and third-party logins that use the old address.
  • Identify newsletters, banking notices, government accounts, and recovery addresses that must be changed manually.
  • Decide whether you need a new address, an alias, or a custom domain.
  • Measure mailbox size and remove unnecessary large attachments before importing.
  • Keep the Gmail account available during the transition so you can catch messages sent to the old address.

Use Easy Switch for the initial import

Proton promotes Easy Switch for importing email and contacts. Follow the current Proton import flow, grant only the permissions requested for the transfer, and review the import summary when it finishes. Do not assume that every Gmail label, filter, calendar item, or third-party integration will reproduce perfectly; verify the items you rely on most.

Finish the changeover

  1. Send test messages to and from several addresses, including one outside Proton.
  2. Recreate important filters and signatures.
  3. Update account-recovery addresses and two-factor authentication settings.
  4. Change your address with financial, medical, government, employment, and subscription services.
  5. Set an appropriate forwarding or vacation response on Gmail if you need a transition period.
  6. Check both inboxes for several weeks before deciding whether to close the old account.

Costs, plans, and the price-comparison trap

Proton’s 2026 comparison lists paid storage and products from $3.99 per month. That comparison does not establish the billing period, currency, taxes, or geographic availability behind that figure, so use it as a starting reference rather than a universal checkout price. Proton may bundle Mail with other products, which means a higher total storage number does not necessarily mean the same amount is dedicated to Mail.

Gmail’s free 15 GB figure can be compelling for light users, but a free allowance is only valuable if it covers your actual mailbox and the services sharing that account. Business or administration requirements may move you to a different Google offering with different pricing and controls.

Compare plans using this worksheet:

Question Why it changes the decision
How much storage is dedicated to Mail? Bundled or shared storage can make headline capacity misleading.
Is the price monthly, annual, promotional, or introductory? A monthly equivalent may not equal the amount charged at checkout.
Which country and currency apply? Taxes, local pricing, and availability can change the total.
Are aliases and custom domains included? Moving to a paid plan solely for these features changes the effective cost.
What happens if you downgrade? Check storage overage, address retention, and access rules before relying on a paid feature.

Common mistakes and how to avoid them

Mistake: calling every encrypted message end-to-end encrypted

Encryption in transit and at rest protects data in different places from end-to-end encryption. Use that distinction whenever you describe Gmail, Proton, or a message sent between them.

Mistake: assuming confidential mode prevents copying

Confidential mode can restrict forwarding, copying, downloading, and printing in the supported experience, but it cannot stop screenshots or prevent a recipient from manually re-entering information.

Mistake: comparing total storage without checking allocation

A bundled Proton plan and a Google account may include storage used by more than email. Look at current mailbox usage and the exact plan rules.

Mistake: deleting Gmail immediately after importing

Imports can miss a filter, label, contact, or account dependency. Keep the old account while you test delivery and update every important service.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Mistake: treating metadata as message content

Proton’s stated retention of account-activity records shows why privacy claims need precision. A provider may be unable to read encrypted message content while still processing operational information needed to run an account.

Which service fits your situation?

Choose Proton Mail when

  • Reducing provider access to stored message content is your main objective.
  • You need password-protected end-to-end encrypted messages for people outside Proton.
  • You prefer encrypted storage and a privacy-focused product suite.
  • You accept a narrower ecosystem or a paid plan for larger storage, aliases, or custom-domain features.

Choose Gmail when

  • You already work in Google’s productivity ecosystem.
  • Shared documents, calendars, collaboration, and familiar team workflows matter more than provider-resistant encryption.
  • The current free-storage allowance meets your needs.
  • You value broad integrations and convenience and are willing to manage Google’s personalization and Smart-feature controls.

Choose a hybrid approach when

Some people retain Gmail for ordinary collaboration and use Proton for sensitive conversations. If you do this, define clear rules: which account handles financial or medical correspondence, where recovery addresses point, and how you will recognize the correct mailbox before sending. A hybrid setup adds account-management work, so use it only when the separation provides a real benefit.

Final decision checklist

  • Encryption: Do you need zero-access storage and explicit end-to-end workflows, or are transport and at-rest encryption sufficient?
  • Recipients: Will you frequently send protected messages to non-Proton users?
  • Workflow: Do your collaborators depend on Google services?
  • Storage: What is your current mailbox size, annual growth, and required headroom?
  • Plan: Does the exact plan include the aliases, custom domain, and products you need?
  • Migration: Can you keep the old account during testing and update every important login?
  • Security: Will you enable multifactor authentication and maintain secure recovery methods?

For a privacy-first communication system, Proton Mail is the more appropriate default. For Google-centered collaboration and convenience, Gmail remains the more practical choice. Verify live quotas, plan prices, and feature availability immediately before switching because those details change more often than the underlying privacy models.
