Proton Mail can do more than send and receive encrypted messages. Its shortcuts, scheduling, snooze, filters, address aliases, sender lists and side panel can remove repetitive work while reducing how often you expose your primary email address. The ten techniques below show where each feature fits, what its limits are, and which options require a paid plan.

1. Turn keyboard shortcuts into your fastest navigation

Keyboard shortcuts are enabled by default in Proton Mail. Proton describes them as a way to quickly navigate the interface, and they cover folders, messages, navigation and composing.

Find the shortcut reference

  1. On the desktop web app, open Settings.
  2. Select All settings, then Messages and composing.
  3. Use the shortcut tooltip or reference shown there to review available actions.

Learn the commands you use repeatedly first: moving between messages, opening a folder, archiving, marking mail and starting a new message. Because shortcuts act on the currently selected message or open conversation, confirm the selection before using a destructive action such as deleting.

2. Schedule an email instead of leaving it in Drafts

Scheduling is useful when you have finished writing but want delivery to happen at a particular local time, during a workday, or after a recipient is likely to be available.

Schedule from desktop or mobile

  1. Write the message and add its recipients and subject.
  2. On desktop, select the arrow beside Send. On mobile, tap the clock icon.
  3. Choose one of the preselected delivery times, or select a custom date and time if your plan supports it.
  4. Confirm the schedule.

Custom scheduling requires a paid Proton plan in the documented workflow. Before confirming, check the time zone shown by your device and account; a scheduled message is only useful if the selected time means what you intend in your own zone.

Change or cancel a scheduled message

Open the scheduled message before its delivery time to edit it or cancel the schedule. Editing lets you correct the text or recipients without creating a second copy. Canceling returns control to you before the message is sent; it is not the same as recalling a message that has already been delivered.

3. Give yourself an Undo Send safety window

Undo Send is a short sending delay, not a recall system. Proton Mail enables it by default for 10 seconds and lets you choose an interval from 0 to 20 seconds.

Use the delay

  1. Compose and send the message normally.
  2. Watch for the Undo Send control during the configured delay.
  3. Select it if you notice a wrong attachment, recipient or sentence.

When canceled in time, the message returns to Drafts, where you can edit it or delete it. Once the delay expires and the message is sent, Undo Send cannot pull it back from a recipient’s mailbox. Set a longer interval if you often catch mistakes late, but remember that even 20 seconds is only a brief review period.

4. Snooze messages until you can act on them

Snooze removes a message from your immediate inbox view and brings it back at a reminder time. It is suited to mail that matters but cannot be handled now, such as a booking confirmation you need on travel day or a task you will do tomorrow.

Set a snooze reminder

  1. Enable Conversation view if it is not already enabled; the snooze option appears when that view is active.
  2. On the web or in a mobile app, open the message or conversation and choose Snooze.
  3. Pick one of the offered reminder times and confirm.

Proton documents custom snooze dates and times as a paid-plan feature. Free users can use the available preset choices, while subscribers can choose a reminder that matches a specific appointment or deadline. Snoozing changes when the message reappears; it does not delete the message or stop future mail from the sender.

5. Let filters sort recurring mail automatically

Filters handle predictable work such as moving newsletters to a folder, applying a label to receipts or separating messages sent to a particular alias. They are more reliable than manually repeating the same action.

Create a rule for a recurring pattern

  1. Open Proton Mail’s settings and the section for custom filters.
  2. Define the condition that identifies the messages, such as a sender, subject pattern or destination address.
  3. Choose the action, for example moving the message or applying a label.
  4. Save and activate the filter, then check a few matching messages to confirm the result.

Free accounts can have one active custom filter. Paid plans can have up to 250 active custom filters. Proton runs filters sequentially. If two rules apply conflicting actions, the action from the later filter in the sequence wins, so order matters when you build a chain of rules.

Keep filter behavior predictable

  • Use a narrow condition for high-volume mail so an important personal message is not swept into a bulk folder.
  • Put broad cleanup rules before specific exceptions, then place the exception later so its action takes precedence.
  • Test a new rule with a small, known set of messages before relying on it for bills or account notices.

6. Hide your primary address with sign-up aliases

A hide-my-email alias gives a website or service a different address while forwarding incoming mail to your Proton mailbox. The service receiving the alias does not see your primary address, which makes the alias useful for newsletters, trials and other signups.

Know the plan limits

Plan Hide-my-email aliases

Mail Plus Up to 10
Pass Plus Unlimited
Proton Unlimited Unlimited

Use a separate alias for a service you may later want to cut off. If that address begins receiving unwanted mail, you can disable or replace the alias without changing the address used by friends, family or essential accounts.

An alias conceals the address you give to the service; it does not guarantee that the service cannot track you through cookies, account details, payment information or other identifiers. Treat it as address compartmentalization, not complete anonymity or a promise of security.

7. Use plus aliases for quick, lightweight categorization

For a fast variation of your existing address, append a plus tag before the at-sign, such as [email protected]. Mail sent to that variation arrives in the same inbox as the underlying address.

Pair the tag with a filter

  1. Give a service the plus-addressed variation when you sign up.
  2. Create a filter that matches that full variation.
  3. Have the filter apply a label or move matching messages to a folder.

This method is convenient because you can create the variation without managing a separate mailbox or alias inventory. Its privacy trade-off is important: Proton cautions that the underlying address is easy to infer by removing the plus tag. Use a hide-my-email alias when concealing the primary address from the recipient matters.

Address option Best use Can the recipient infer the primary address? Permanence
Additional address A separate, lasting identity for regular correspondence Not stated for this option Permanent address
Hide-my-email alias Signups where your primary address should stay private Designed to conceal it Can be replaced or disabled
Plus alias Quick categorization with a filter Yes; the base address is easy to derive Variation of the same inbox address

8. Choose deliberately between Spam, Block and Allow

These sender controls produce different outcomes, so choosing the wrong list can either hide mail you wanted or leave unwanted mail visible.

List What happens to matching mail Use it when
Spam Messages are routed to the Spam folder You want them separated from the inbox but still available to review
Block Messages are dropped You do not want mail from that sender or domain delivered
Allow Messages are delivered to the inbox A legitimate sender is being misclassified or must always reach you

Manage the lists

On the web or in the mobile apps, open the sender-list controls in settings and add either an individual address or a domain. Use an address for a single correspondent and a domain only when you trust every sender under it. If a receipt or security notice is disappearing, check the Block and Spam lists before creating a new filter; Allow is the targeted fix when the sender is legitimate.

9. Use the side panel instead of opening separate tabs

The Proton Mail side panel connects mail with related tasks. From the panel you can reach other Proton apps, view or create calendar events, access contacts, create hide-my-email aliases and manage account security.

Practical ways to use it

  • Turn an appointment request into a calendar event while the message remains visible.
  • Check a contact’s details before replying without leaving the conversation.
  • Create an alias during a signup workflow rather than exposing your primary address.
  • Open account-security controls when a message prompts you to review access.

The panel reduces context switching, but verify the details before saving an event or sending a reply. A calendar entry created from a message still needs the correct date, time and participants.

10. Encrypt a message to someone who does not use Proton Mail

When the recipient is outside Proton Mail, Proton describes password-protected email as an option for encrypted communication. This is useful for a document or detail that should not be readable as ordinary email in transit or in a recipient’s mailbox.

Set expectations with the recipient

  1. Choose the password-protected message option while composing the email.
  2. Set a strong password that the recipient can use to open the message.
  3. Send the password through a suitable separate channel, such as a phone call or an already trusted messaging conversation.
  4. Tell the recipient how to use the password when they receive the protected message.

Do not put the password in the same ordinary email: anyone who obtains both messages could open the protected content. Also do not assume that regular email to every recipient is automatically end-to-end encrypted; the password-protected workflow is the deliberate choice for this cross-provider case.

Build a simple routine from the ten hacks

Start with the features that remove immediate friction: learn two or three shortcuts, set Undo Send to a delay you can use, and snooze messages that otherwise become forgotten. Next, create one filter for a recurring category and use a plus alias to test its sorting without exposing a separate address.

For new signups, choose a hide-my-email alias when concealing your primary address is the priority. Reserve Allow for trusted senders, Spam for mail you may need to inspect later and Block for mail you want dropped. Finally, use scheduling and password-protected messages intentionally: scheduling controls when a message leaves your account, while password protection addresses who can read sensitive content after delivery.
