Private AI Assistants for Teams: What to Look For Instead of Public Chatbots

The short answer: a private AI assistant for a team is not defined by a product name or a “business” label. Privacy depends on the exact account type, subscription, contract, enabled features, connected data, administrator settings and the permissions applied to each user. A suitable alternative to public chatbots should let your organization control who can use it, what company information it can reach, how long records are kept, whether prompts and responses are used for model training, and what administrators can audit or export.

Use vendor documentation as a starting point, then verify the terms and settings for your own plan. Microsoft, OpenAI, Anthropic and Google each describe protections for specified commercial products or qualifying Workspace accounts; those statements do not automatically apply to consumer accounts or to every feature in every subscription.

What “private” should mean for a team AI assistant

In a team setting, “private” should describe a managed data boundary rather than a promise that no person or system can ever access a conversation. The boundary normally includes:

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  • Commercial terms: the organization, not an individual employee, is covered by the relevant agreement, data-processing terms and product conditions.
  • Model-training policy: the provider states whether prompts, uploaded files and generated responses are used to train foundation models, and identifies exceptions such as explicit feedback or opt-in programs.
  • Identity and authorization: users sign in through an organization-controlled identity system, and the assistant inherits or checks permissions before retrieving email, documents or other connected content.
  • Administration: designated administrators can provision users, manage roles and features, set retention where the plan allows it, and review appropriate audit information.
  • Data handling: encryption, processing or storage regions, deletion and export rules, and contractual commitments are stated for the selected plan.

A consumer chatbot account can have useful privacy settings, but it is not automatically equivalent to a commercial workspace. Treat “private AI assistants for teams” as a procurement and configuration question, not as a universal product category.

Start with the data your team must protect

Before comparing products, list the information employees might submit or retrieve. Separate ordinary work material from data that requires stronger controls.

Define approved and prohibited data classes

  • Public or already published material.
  • Internal operational information, project notes and ordinary business correspondence.
  • Confidential customer, partner, financial, legal or strategic information.
  • Regulated or highly sensitive records, such as personal, health, payment or security data.
  • Credentials, private keys, incident details and other information that should never be pasted into a general assistant.

For each class, record the permitted region, retention requirement, people who may access it and whether the assistant may use it as connected context. This list becomes the acceptance test for every plan you consider.

Map the systems employees actually use

Document the productivity suite, identity provider, document repositories, email, ticketing systems and other applications that the assistant would need. An assistant that cannot work inside the team’s existing systems may encourage copy-and-paste into less controlled accounts. Conversely, an integration that can search too broadly creates a larger exposure if permissions are misconfigured.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Five comparison axes that matter

Use the same questions for every candidate. The table summarizes the published scope described by the providers; it is not an independent security audit or a hands-on product test.

Service and scope Training and human review Access and connected context Retention, audit and administration Residency and contractual scope
ChatGPT Business and Enterprise OpenAI says business data is excluded from training by default. Check the applicable terms for feedback or other opt-in exceptions. Business users have separate chat histories and choose what to share. Connected-data permissions and available controls depend on the workspace features and configuration. OpenAI distinguishes Business from Enterprise in its feature list and describes retention controls for qualifying organizations. Confirm which controls your plan includes. Eligible data residency is described for Enterprise, Edu, Healthcare and API customers; it is not presented as a blanket Business feature.
Microsoft Copilot and Copilot Chat Microsoft’s enterprise data protection context states: “Your data isn’t used to train foundation models.” Review the product and subscription scope for the feature you enable. Microsoft describes inherited identity and permission controls, tenant isolation, sensitivity labels and protection for Microsoft Graph data. Microsoft lists retention and audit capabilities, while cautioning that particular controls vary by subscription. Organizational use is described as covered by Microsoft’s Data Protection Addendum and Product Terms. Confirm the subscription and tenant configuration.
Claude for Work: Team and Enterprise Anthropic says inputs and outputs are not used for model training by default. Explicit feedback and opt-in are identified exceptions. The organization’s agreement governs the work account. Validate how connected content is authorized before enabling it. The organization’s Primary Owner manages account data and can request exports containing conversations, uploaded files and usage patterns. Confirm the commercial agreement, eligible plan and any regional commitments that apply to your organization.
Google Workspace with Gemini Google says qualifying Workspace users receive protections in which submissions are not used for model training or reviewed by humans. Interactions stay within the organization under the described Workspace protections, and existing Workspace controls apply. Third-party apps connected to Gemini operate under different terms. Data-region policies and data-loss-prevention controls can apply through Workspace. Verify the exact edition and administrator settings. The protections apply to qualifying Workspace users, not automatically to every Google account or third-party connection.

Training and human review: ask for the default and the exceptions

“Not used for training” is important, but it answers only one question. Ask whether the provider can access content for abuse prevention, troubleshooting, service improvement, legal compliance or support, and who can authorize that access. Also ask what happens when a user clicks a feedback control or joins an optional improvement program.

Questions to put in writing

  • Are prompts, uploaded files, outputs and feedback excluded from model training by default?
  • Does the exclusion cover every model and feature in the selected plan, or only specified commercial services?
  • Can a human review content, under what circumstances, and with what notice or approval?
  • Does an individual user’s explicit feedback change the default treatment?
  • Are third-party connectors governed by the same terms?

Keep the answer with the plan name and effective contract. A provider-level statement cannot establish the treatment of every feature in your tenant.

Identity, permissions and connected data

The highest practical risk often comes from what the assistant can retrieve rather than from the text-generation model itself. A useful assistant should respect the organization’s existing authorization model: a user should not gain access to a document, mailbox or record merely because the assistant can search it.

Test permission inheritance

  1. Create two test identities with deliberately different access to representative documents, mail and knowledge sources.
  2. Connect those sources using the same configuration planned for production.
  3. Ask identical questions from both identities, including requests for a document the second identity must not see.
  4. Check citations, summaries, previews, suggested actions and generated files—not only the final paragraph—for unauthorized information.
  5. Remove a permission, wait for the documented synchronization period, and repeat the test.

Microsoft describes tenant isolation, inherited identity and permission controls, sensitivity labels and Microsoft Graph protections for its organizational Copilot context. Google describes existing Workspace controls and warns that third-party applications connected to Gemini operate under different terms. For any product, verify the behavior in your own authorization model rather than assuming that a connector is safe because the vendor calls it enterprise-ready.

Control sharing and collaboration

Decide whether users may share chats, generated files or connected prompts with colleagues, guests or external links. OpenAI describes separate chat histories for ChatGPT Business users and says users choose what to share. That is a boundary to validate in your workspace, not a substitute for a documented sharing policy.

Retention, deletion, export and audit

Retention is a business requirement, not merely a storage preference. A legal, security or operations team may need a defined deletion period, a hold process, an export capability or an audit trail showing who used a feature.

Specify the lifecycle

  • How long are conversations, uploaded files, prompts and outputs retained?
  • Can an administrator set different periods for different users or data classes?
  • What does deletion remove immediately, and what remains in backups or logs?
  • Can the organization export records in a usable format for an investigation or departure?
  • Which administrators can view content, metadata or usage statistics?
  • Are retention and audit controls available in the chosen plan or only in a higher tier?

OpenAI distinguishes Business and Enterprise and describes retention controls for qualifying organizations. Anthropic states that the organization’s Primary Owner manages account data and can request exports containing conversations, uploaded files and usage patterns. Microsoft lists retention and audit among its enterprise controls but explicitly cautions that controls vary by subscription. Google says Workspace data-region and data-loss-prevention policies can apply to qualifying users. Confirm the exact settings in the administrator console and the contract before promising a regulator, customer or employee that records will be deleted or preserved.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Residency and contractual scope

“Hosted in the cloud” does not identify where data is processed, stored, backed up or accessed for support. If your organization has regional, sectoral or customer-specific requirements, obtain a written answer for each relevant operation.

Check these boundaries

  • Primary processing and storage regions for prompts, files, logs and backups.
  • Whether support or abuse-investigation access can occur from another region.
  • Data-processing agreements, subprocessors and regulatory commitments incorporated into the plan.
  • Whether the commitment applies to all users, only a qualifying edition or only selected features.
  • What happens when a connector sends information to a third party.

OpenAI’s published eligibility for data residency covers Enterprise, Edu, Healthcare and API customers rather than presenting it as a blanket Business feature. Google’s Workspace protections apply to qualifying users and do not automatically govern third-party applications connected to Gemini. Microsoft ties its organizational protections to its Data Protection Addendum and Product Terms. Anthropic’s work accounts are governed by the organization’s agreement. Those scopes are materially different, so compare the documents side by side instead of treating a vendor’s general privacy page as a universal guarantee.

Workflow fit and administration

A private assistant is useful only if it fits the work people need to do while remaining governable. Evaluate both everyday productivity and the administrator’s workload.

Workflow questions

  • Does the assistant work in the team’s existing email, documents, meetings and knowledge systems?
  • Can it cite or link to source material so a reviewer can check an answer?
  • Can users distinguish an answer based on approved company data from one based only on the general model?
  • Does the integration honor labels, folders, groups and existing sharing rules?
  • Can the organization disable a risky connector or feature without removing the whole service?

Administration questions

  • How are users provisioned and removed when they join, change roles or leave?
  • Which roles can change connectors, retention, sharing and model settings?
  • Can administrators separate pilots from production users?
  • Are usage, security and audit events available to the team responsible for oversight?
  • Can the organization export data before ending the subscription?

Microsoft and Google emphasize integration with their respective productivity ecosystems. That can reduce copying between systems, but it also makes the assistant’s permission boundary a direct extension of the suite. Choose the integration that matches your actual work, not the longest feature list.

What the named commercial options say—and what they do not prove

ChatGPT Business and Enterprise

OpenAI says business data is excluded from training by default and encrypted in transit and at rest. Its published feature distinctions separate Business from Enterprise and describe retention controls for qualifying organizations. Data residency is described as eligible for Enterprise, Edu, Healthcare and API customers, not as a blanket Business capability. Business users have separate chat histories and choose what to share. Before adoption, confirm the workspace plan, retention settings, administrator roles, connectors and any feedback or opt-in path that could change the default training treatment.

Microsoft Copilot and Copilot Chat

Microsoft describes organizational use under its Data Protection Addendum and Product Terms, with encryption, tenant isolation, inherited identity and permission controls, sensitivity labels, retention and audit. Its enterprise data protection statement says, “Your data isn’t used to train foundation models.” Microsoft also cautions that particular controls vary by subscription. Confirm which Copilot experience, license and tenant settings your users will receive; do not extend the statement to an unrelated consumer account.

Claude for Work

Anthropic states that inputs and outputs for commercial use are not used for model training by default, with explicit feedback and opt-in as exceptions. It says the organization’s Primary Owner manages account data and can request exports containing conversations, uploaded files and usage patterns. The work-account agreement is therefore central: verify who holds administrative authority, how exports and departures are handled, and which connected sources are permitted.

Google Workspace with Gemini

Google says qualifying Workspace users receive enterprise-grade protections: submissions are not used for model training or reviewed by humans, interactions stay within the organization, and existing Workspace controls such as data-region policies and data-loss prevention apply. Google’s privacy guidance says third-party apps connected to Gemini operate under different terms. Check the Workspace edition, administrator settings and every connector before allowing confidential information into a workflow.

A practical due-diligence process

  1. Write the requirement: list data classes, prohibited inputs, required regions, retention periods, audit needs and approved workflows.
  2. Identify the exact offer: record the product name, edition, account type, contract, enabled models and connectors. Exclude consumer accounts from a commercial comparison unless they are being evaluated as a separate risk.
  3. Collect the governing documents: obtain the applicable privacy terms, data-processing agreement, product terms, security documentation and administrator controls.
  4. Resolve training and review: document the default, every feedback or opt-in exception, human-access conditions and third-party boundaries.
  5. Map permissions: diagram which identities can reach each source and test inherited authorization with least-privilege accounts.
  6. Configure lifecycle controls: set retention, deletion, export, audit and administrator roles before inviting a broad user group.
  7. Pilot representative work: use approved, realistic tasks and data classes. Test accurate answers, refusal behavior, citations, sharing, connector removal and permission changes.
  8. Record residual risk: note controls that are unavailable, plan-dependent or dependent on user behavior. Obtain approval from the security, legal or privacy owner before production use.
  9. Recheck after changes: repeat the review when the provider changes a plan, model, connector, contract or regional availability.

Common failure modes and fixes

Assuming a “business” label covers every feature

Why it fails: vendor protections are often tied to a named plan, qualifying account or selected feature.

Fix: keep the plan and contract beside each requirement in your decision record; ask the provider to identify exclusions in writing.

Testing only a privileged administrator

Why it fails: an administrator’s broad access can hide permission leakage that ordinary users would experience.

Fix: test multiple identities, including a user who must not see a source, and repeat the test after revoking access.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Confusing no training with no access

Why it fails: training exclusion does not by itself describe support, abuse-prevention, legal or feedback-related access.

Fix: document human-review conditions and opt-in paths separately from model-training treatment.

Ignoring third-party connectors

Why it fails: a connector may operate under different terms and create a new processing or residency boundary.

Fix: inventory every connected application, read its terms and test the complete data path before enabling it.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Letting users paste sensitive data because the pilot is convenient

Why it fails: informal behavior becomes difficult to unwind once it enters chat histories, exports or shared outputs.

How to choose among the options

There is no universal winner in the published policies. Choose the option whose documented controls match your organization’s data boundary and whose workflow reduces unsafe workarounds.

  • Favor a productivity-suite assistant when identity, document permissions, labels and existing administration are more important than switching models.
  • Favor a general commercial workspace when the team needs a separate assistant environment and the plan’s sharing, retention and connector controls meet your requirements.
  • Require a higher-tier or different plan when residency, retention, audit or contractual commitments are mandatory but absent from the edition under consideration.
  • Reject or restrict a workflow when the provider cannot state who may access content, how long it persists, or which terms govern a connector handling confidential data.

Make the final decision from the organization’s approved data classes, tested permissions and current contract—not from a generic “private AI” claim.

Frequently Asked Questions

Is a business AI chatbot automatically private?

No. Privacy depends on the exact product, plan, account type, enabled features, configuration and contract. A commercial workspace should be evaluated separately from a consumer account.

Does exclusion from model training mean nobody can read a conversation?

No. Training policy and human-access policy are separate. Check support, abuse-prevention, legal, troubleshooting, feedback and opt-in exceptions.

Can an AI assistant see documents a user cannot open?

It should not, if connected-data permissions are correctly inherited and enforced. Test with accounts that have different access, including after a permission is revoked.

Why do third-party integrations need a separate review?

Google’s privacy guidance notes that third-party apps connected to Gemini operate under different terms. Any connector can introduce another processor, permission model or data region.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

What should a team pilot before production?

Use approved representative data to test answer quality, citations, sharing, retention, exports, connector removal and behavior after permissions change.
