Preview is mainly a local Mac PDF tool for filling a form and placing your own captured signature. Acrobat can do that too, but its Acrobat Sign workflow also lets you send an agreement to other people, choose a signing order, place fields, and manage the signing process through cloud services.
Those are workflow differences, not a guarantee that every signature has the same identity assurance or legal effect. A visible signature image, a basic electronic signature, and a certificate-based digital signature can represent very different levels of verification.

Preview is therefore the simpler choice when one Mac user needs to complete and return a PDF. Acrobat becomes more useful when a document must travel between people, when signing order matters, or when the recipient needs a certificate-backed signature that can be validated.

Apple’s Preview guide for filling and signing PDF forms describes a straightforward Mac workflow. You can type into form fields when the PDF supports them. If it does not, Preview lets you add a text box. You can then create a signature and place it in the document, moving or resizing it to fit the signature line.

Ways to create a signature
Preview supports three capture methods in Apple’s documented workflow:
- Trackpad: draw the signature with your finger.
- Mac camera: write on paper and let the camera capture it.
- iPhone or iPad: use a nearby Apple device to create the signature.
After capture, select the saved signature from Preview’s signing tools, click or tap where it belongs, and adjust its size and position. The result is a visible signature placed in the PDF, alongside any text you entered.
Saved signatures and iCloud Drive
Apple says saved signatures can be made available on other Macs when iCloud Drive is enabled. That is a convenience for the same user across Macs, not a recipient-management or identity-verification system. The signature is still the mark you captured and placed; iCloud availability does not by itself prove who signed a particular document.

On macOS 14.2 or later, Apple documents enhanced AutoFill for contact information in Preview. Not every PDF supports it, so a form may still require manually adding text boxes. AutoFill helps complete fields; it does not change the assurance level of the signature.
What Acrobat adds beyond placing your own signature
Adobe’s Acrobat e-signature overview describes two related capabilities that are easy to conflate.
Signing a PDF yourself
With Acrobat’s Fill & Sign feature, you can type a signature, draw one, or insert an image of a handwritten signature. Acrobat can save the signature and entered text in the PDF. This is broadly comparable to Preview’s personal, one-document workflow.

Requesting signatures from other people
Acrobat’s distinctive workflow uses Acrobat Sign cloud services to send an agreement to recipients. Adobe’s request-signatures instructions describe uploading a document, configuring the agreement, adding recipients, optionally choosing a signing order, placing signature and form fields, and sending it.

The recipient receives an email link. Adobe says signers can complete the agreement in a web browser or on a mobile device without purchasing an Acrobat product. This is fundamentally different from emailing a PDF that already contains your signature: the sender can define who must sign and where each person signs.
Account and version qualifications
Adobe notes that enterprise customers may be redirected to Acrobat Sign and that administrator settings can restrict access. The available controls can also vary by product version, subscription, geography, and organization configuration. Treat the current Acrobat interface as authoritative for your account rather than assuming every installation exposes the same buttons.
Signature image, electronic signature, and digital signature are not the same
The word “signature” describes the visible result, but it does not identify the underlying technology. Adobe’s signature-types guidance separates several categories.
Basic electronic signatures
An electronic signature is a broad category. Adobe says a basic e-signature can include a graphical image of a handwritten signature and may provide little or no signer identification beyond an email address. A signature drawn in Preview or inserted through Acrobat’s Fill & Sign can look convincing while providing no independent certificate that proves who created it.
Electronic signatures with stronger identification
Some e-signature workflows add identification steps beyond displaying a mark. The exact method can depend on the service, account, and agreement settings. A recipient may be authenticated through the service’s available controls, but the presence of a typed or drawn signature alone does not tell you which controls were used.

Certificate-based digital signatures
A certificate-based digital signature is generated with a digital certificate issued by a Trusted Service Provider or Certificate Authority. The certificate links the signature to a digital identity and enables software to check whether the signed document has changed. This is a different technical object from a pasted signature image.
Qualified Electronic Signatures
Adobe also describes Qualified Electronic Signatures, a certificate-backed category defined under European Union law. Whether a signature is legally equivalent to a handwritten signature depends on the applicable country’s rules and the circumstances of the transaction. Do not assume that a Preview signature, an Acrobat signature image, or any generic “e-signature” automatically meets a qualified-signature requirement.
Cloud signatures and digital seals
Adobe’s classification also discusses cloud signatures and digital seals. These terms describe other certificate or service arrangements, not a guarantee attached to every document signed in Acrobat. If a contract, regulator, or internal policy requires a particular certificate type, confirm that the selected workflow produces it.
How to fill and sign a PDF in Preview
- Open the PDF in Preview on your Mac. Confirm whether the document has interactive fields. If it does, click a field and enter the required text.
- Add text where fields are missing. Use Preview’s text-box tool to place typed information on the page. Check alignment at normal and zoomed views before saving.
- Open the signing controls. Use Preview’s Markup tools to create or select a signature.
- Capture the signature. Choose the trackpad, Mac camera, or iPhone/iPad method and follow the on-screen capture process.
- Place the signature. Select the saved signature, click the intended location, and resize it so it does not cover nearby text or form fields.
- Review the completed PDF. Check names, dates, initials, page numbers, and every required field. A visual check is important because Preview’s workflow does not, by itself, tell a recipient that the mark is certificate-validated.
- Save a clean copy and a working copy. Keep the original unsigned file if the document may need corrections or additional signatures. Export or save the completed PDF using the format requested by the recipient.
Apple’s guide is for Preview on Mac. It does not establish that the same tools or signing behavior exist in Preview on another platform.
How to sign a PDF directly in Acrobat
- Open the PDF in Acrobat and choose the Fill & Sign workflow. The exact control name or location can differ between Acrobat desktop and web experiences.
- Enter the form information. Type into available fields or add text where the PDF requires it.
- Create your signature. Type it, draw it, or insert an image of a handwritten signature, as described in Adobe’s overview.
- Place and size the signature. Position it on the designated line and add any required dates or initials.
- Save the signed PDF. Review the output before sending it. If the recipient needs a certificate-based signature, use the digital-signature workflow rather than assuming Fill & Sign creates one.
This path is appropriate when you are the person completing the document. It does not automatically create a recipient list, enforce a signing order, or provide the same agreement-management process as sending through Acrobat Sign.
How to request signatures from other people in Acrobat
- Start the request-signatures flow. Upload the document you want signed.
- Configure the agreement. Review the agreement settings presented by your Acrobat account.
- Add recipients. Enter each person who must sign. If the document requires sequential approval, enable the signing-order option when it is available.
- Place fields. Add signature fields and other form fields, assigning each field to the correct recipient.
- Send the agreement. Acrobat sends recipients an email link to the signing experience.
- Monitor the agreement in the available management view. The controls shown can depend on account type and administrator settings. Do not promise a particular reminder, tracking, or audit control unless it appears in your organization’s interface and plan.
Adobe’s request guide is dated April 9, 2026, and its overview was updated November 5, 2025. Interfaces and availability can change, so use the current in-product labels when following these steps.

Verification: seeing a signature is not validating one
A signature image answers “what mark was placed on the page?” It does not necessarily answer “which identity created it?” or “has the document changed since signing?”

For certificate-based digital signatures, Acrobat provides configurable validation preferences. Its validation guide describes checking signatures when a PDF opens, certificate-related checks, revocation checking, and the time used for verification. These settings apply to digital-signature validation, not to the mere presence of a drawn or scanned signature image.
What a recipient should check
- Whether Acrobat shows a valid digital-signature status rather than only a picture of handwriting.
- Which certificate issued the signature and whether the certificate is trusted.
- Whether the document reports changes after signing.
- Whether the signing identity and authentication method meet the contract or organizational requirement.
If a recipient only needs a completed form and the parties accept a basic electronic signature, a Preview mark or Acrobat Fill & Sign result may be sufficient for that use. For high-consequence transactions, ask for the required signature category before anyone signs.
Editing, locking, and keeping an unsigned original
Certificate signing can change what is editable in a PDF. Adobe’s signed-PDF limitations guidance says that a digital ID or certificate signature can affect editing and accessibility. If you select “Lock document after signing,” Adobe says edits and additional signatures are blocked.
Adobe also explains that a sole signer may be able to clear their own signature, while a document signed by others may require obtaining the original unsigned copy or asking a signer to remove a signature. The practical safeguard is simple: retain an unsigned master before applying a certificate signature or a lock.
Do not apply these restrictions indiscriminately to every visible signature. A signature image placed through Preview or basic Fill & Sign is not automatically governed by the same certificate-lock rules. The behavior depends on how the PDF was signed.
Choosing between Preview and Acrobat
Choose Preview when all of these are true
- You are working on a Mac.
- You need to complete a PDF and add your own signature.
- The recipient accepts a visual or basic electronic signature.
- No multi-person routing, signing order, or cloud agreement management is required.
Choose Acrobat direct signing when
- You want a similar one-person workflow but already work in Acrobat.
- You need to type, draw, or insert a signature image in the same application used for other PDF tasks.
- You may need Acrobat’s digital-signature tools instead of a simple visual mark.
Use Acrobat’s request workflow when
- Several people must sign the same agreement.
- The sender needs to assign fields to recipients.
- Signing must happen in a defined order.
- Recipients should sign through a browser or mobile device instead of editing a file locally.
- The organization needs a service-based process for sending and managing agreements.
Ask for a different workflow when
- A regulator or contract specifies a Qualified Electronic Signature or another certificate standard.
- The document requires identity checks beyond an email link.
- The signer must be independently validated by a Trusted Service Provider or Certificate Authority.
- The parties need a tamper-evident, certificate-validated record rather than a visible signature image.
Legal and compliance questions to settle before signing
There is no universal rule that a Preview signature is invalid or that every Acrobat signature is legally sufficient. Legal effect depends on the governing law, document type, jurisdiction, consent, identity evidence, record retention, and the process used to obtain the signature.
Before sending a consequential agreement, confirm:
- Which country or countries’ laws govern the transaction.
- Whether the recipient requires a basic e-signature, a stronger identification process, a certificate-based digital signature, or a qualified signature.
- Whether the signing service must preserve an audit record or specific certificate information.
- Whether later edits or additional signatures are allowed.
- How the final document and unsigned original will be retained.
Adobe’s signature-types page, updated April 1, 2026, explains the technical categories but is not a legal opinion for your transaction. For regulated or high-value documents, obtain advice appropriate to the governing jurisdiction.
Common problems and fixes
The PDF will not accept typed text
The file may not contain interactive fields. In Preview, add a text box instead. In Acrobat, use the text controls in Fill & Sign. Zoom in and verify that the text sits inside the intended area.
The signature is too large or covers existing text
Select the placed signature and resize it before saving. Keep a working copy so you can reposition it without repeatedly modifying the final file.
A recipient expected to sign but received a completed PDF
Placing your own signature in Preview or Acrobat does not create a signing request. Start Acrobat’s request-signatures workflow, add each recipient, assign fields, and send the agreement link.
The recipient asks whether the signature is certificate-validated
A visible mark does not answer that question. Check whether the PDF contains a digital signature with certificate details and whether Acrobat can validate it. If the requirement is certificate-based, redo the signing with the specified digital-ID workflow rather than adding another image.
The signed PDF cannot be edited
Certificate signing or the “Lock document after signing” option may have restricted changes. Use the retained unsigned original, or follow Adobe’s procedure for clearing or removing a signature when you are authorized to do so.

Bottom line
Preview is a Mac-first way to fill a PDF and place your own captured signature. Acrobat’s Fill & Sign can perform the same basic personal task, while Acrobat Sign adds recipient routing, signing order, field assignment, and cloud delivery. Neither product name alone tells you the legal strength of the result. Decide first whether you need a visual mark, a managed multi-person e-signature, or a certificate-backed digital signature, then use the workflow that produces that specific outcome.
