POS System for a Restaurant or Retail Business: Choosing the Right Setup

Choose a restaurant POS when your core sale is a prepared order that must move through service or a kitchen. Choose a retail POS when you mainly sell finished goods identified by catalog items, SKUs, and stock counts. If you operate a café, bakery, deli, market, bottle shop with prepared food, or another mixed concept, test both workflows in the same proposed setup before signing a contract.

A POS is not just the device that accepts a card. It connects checkout with records and operating tasks such as menu or item management, inventory, staff activity, reporting, and communication with the kitchen or service team. The right choice follows how your business takes orders, fulfills them, tracks products, and handles payment.

What a POS system includes

A point-of-sale system records a transaction and the information around it. Depending on the business, that can include menu items and modifiers, a retail item catalog, stock movements, purchase orders, employee permissions, customer records, sales reports, online orders, delivery connections, reservations, and kitchen tickets. The payment terminal is only one part of that operating system.

Start with the transaction rather than the brand name. Ask what an employee must do from the moment a customer orders until the item is delivered or handed over:

#1 Best Overall
Touch Screen Computer Point of Sale POS System for Restaurant Bar Full Package inc Software Kitchen Order Printers
  • Large Touch Screen Display: Features a 17 inch touch screen display monitor for easy navigation and operation
  • Complete POS System: Includes PC controller and POS software built in for seamless point of sale management
  • Secure Cash Storage: Comes with a cash drawer for safe and organized cash handling during transactions
  • Customer Receipt Printer: Equipped with a receipt printer to provide customers with printed transaction receipts
  • Kitchen Order Printer: Includes a dedicated kitchen order printer for efficient order management and food preparation (long cord included)
  • For prepared food, the employee may select a menu item, apply modifiers, send a ticket to a prep station, manage a table or check, add a tip, and split payment.
  • For merchandise, the employee usually searches or scans a catalog item, decrements stock, applies a price or promotion, and completes payment while preserving an accurate inventory record.
  • For a mixed business, both paths must work without duplicate items, confusing reports, or manual reconciliation.

This operating-model test is more useful than calling a system “regular” or “advanced.” A technically capable payment terminal can still be a poor fit if it slows order entry, cannot route work correctly, or makes stock and sales reports unreliable.

Restaurant POS versus retail POS

Toast describes the central distinction this way: restaurant POS is organized around prepared orders and service, while retail POS is organized around merchandise, SKUs, and inventory. That difference affects nearly every screen, device, and back-office task.

Decision area Restaurant-oriented POS Retail-oriented POS
Primary transaction Prepared food or drinks that may require modifiers, courses, timing, and service steps Finished goods selected from a catalog and sold as individual items or quantities
Order flow Order entry, kitchen or prep routing, table and check handling, tips, refunds, and service-status changes Catalog lookup or barcode scan, payment, returns, exchanges, and stock adjustment
Inventory focus Menus and food or ingredient operations, with operational needs varying by concept Item catalog, SKUs, on-hand quantities, purchasing, receiving, and barcode workflows
Service modes Full service, quick service, bar, counter service, tableside, kiosk, or a combination Store counter, pop-up or event checkout, multiple locations, and warehouse-supported selling
Typical connected work Kitchen communication, online ordering or delivery, staff management, sales reporting, and reservations where relevant Purchase orders, customer directory, sales reports, multi-location stock, and customer-facing records
Common hardware Terminal or tablet, card reader, receipt printer, cash drawer, handheld or kiosk, and kitchen printer or display Phone, tablet, or POS device, card reader, receipt printer, barcode scanner, and cash drawer as the format requires

When a restaurant POS is the better fit

A restaurant setup should let staff enter an order the way the customer requests it, deliver the right information to the kitchen or service team, and settle the check according to the service style. Toast’s official product description says restaurant POS systems are “purpose-built for high-velocity, complex environments, handling real-time kitchen routing, complex modifier logic, split checks, and rapid tip management under peak volume.” That is a vendor description, not an independent performance test, but it identifies the functions restaurant buyers should verify.

Restaurant workflow checklist

  • Menu structure: Create items, sizes, add-ons, substitutions, required choices, and time-based menus without forcing staff to type free-form notes for routine requests.
  • Modifiers: Confirm that modifiers can change price when needed and appear clearly on the kitchen or prep ticket.
  • Routing: Test whether food, drinks, desserts, or other items can route to the correct printer, kitchen display, or preparation station.
  • Tables and checks: For full-service operations, verify table maps, seat or course handling, transfers, split checks, merged checks, discounts, and void controls.
  • Tips and payments: Check tip prompts, tip adjustments, partial payments, refunds, card-present and card-not-present flows, and end-of-day reconciliation.
  • Service modes: Evaluate the exact mix you run: full service, quick service, bar, counter service, tableside, kiosk, or multiple modes in one location.
  • Digital orders: If you accept web, app, delivery, or marketplace orders, determine how they enter the same menu, pricing, tax, and kitchen process.
  • Reporting and staff controls: Review sales by item and category, labor or staff activity, discounts, refunds, tips, and permissions.

Square’s U.S. food-and-beverage setup guidance covers menu creation, payment processing, table and inventory management, and full-service, quick-service, and bar modes. Its menu import or upload detail is specified for quick-service restaurants in the United States, so do not assume that setup option applies to every restaurant type or country.

When a retail POS is the better fit

Retail checkout depends on a dependable catalog and dependable stock records. The system should make it fast to find or scan an item, adjust quantities when goods are received or returned, and see what sold across locations or channels.

Retail workflow checklist

  • Catalog: Define item names, variants, SKUs, prices, taxes, suppliers, and categories in a structure employees can search quickly.
  • Barcode operations: Confirm scanner support and test scanning, weighted or variable items if relevant, duplicate barcodes, and items that do not have a barcode.
  • Stock control: Test receiving, transfers, adjustments, low-stock visibility, returns, exchanges, and stock counts. Decide whether stock is tracked per location.
  • Purchasing: Check whether purchase orders, supplier details, receiving records, and partial deliveries fit your buying process.
  • Customer records: Review customer directory fields, receipts, returns lookup, loyalty or marketing integrations, and privacy controls.
  • Reports: Verify sales by item, category, location, employee, and time period, plus inventory valuation or movement reports that your accountant needs.
  • Multiple selling locations: If you sell at a shop, pop-up, event, or warehouse, test how devices share catalog and stock data and what happens when a device is temporarily offline.

Square’s retail guidance specifically covers sales, inventory, purchase orders, customer directory, reports, item catalog, and barcode-related hardware. Those are the capabilities to validate, regardless of which provider you consider.

How to evaluate a hybrid business

A mixed operator should not assume that a restaurant package plus a retail package will automatically produce one coherent operation. Toast identifies examples such as a market with a deli or a bakery selling made-to-order coffee as potential users of both foodservice and retail workflows.

Build a practical test script

  1. Enter one prepared item. Use a real menu item with at least one relevant modifier, such as size, substitution, temperature, or add-on.
  2. Send it through fulfillment. Confirm that the order reaches the correct kitchen printer, display, or prep station and that the employee can see its status.
  3. Settle the prepared order. Test the payment, tip, receipt, refund, and reporting path used in your service model.
  4. Enter one finished good. Add or scan a merchandise item using the retail catalog and confirm that the correct SKU, price, tax, and stock quantity are used.
  5. Receive and adjust stock. Record a purchase or receipt, then test a return, correction, or transfer if your business performs those tasks.
  6. Run combined reports. Check whether prepared sales and merchandise sales can be separated or combined as your accountant and managers require.
  7. Test shared rules. Verify pricing, discounts, taxes, customer records, permissions, and receipts across both transaction types.

Do this demonstration with realistic data before purchasing. A single checkout screen is not proof that the back office, inventory, reporting, and fulfillment processes are integrated correctly.

Hardware: match devices to the operating model

Hardware needs vary by location, service style, and software support. A pop-up may need only a supported phone or tablet and card reader. A permanent store may add a receipt printer, while multiple stores or a warehouse may also need a barcode scanner and cash drawer.

Phone, tablet, or POS terminal Order entry, catalog lookup, payment, tableside service, kiosk, or fixed checkout Supported model, operating system, network requirements, mounting, and power
Card reader or payment terminal Card-present and contactless payment at a counter, table, event, or kiosk Country availability, payment processor support, connection method, and tipping or receipt behavior

Kitchen display system Digital order queues, station routing, and preparation status Screen placement, network reliability, bump or completion workflow, and menu-routing support
Barcode scanner Fast retail catalog lookup and receiving or stock-count tasks Supported scanner model, barcode types, connection, and behavior for unknown items
Cash drawer Cash transactions at fixed counters Printer or terminal connection, opening permissions, till procedures, and reconciliation
Scale or customer-facing pole display Selected food or merchandise operations and customer visibility where applicable Whether the POS supports the device and the units, peripherals, and local regulations involved

Toast’s hardware documentation lists tablets used as order terminals, kiosks, handheld devices, kitchen display systems, or payment terminals; thermal receipt printers; impact kitchen printers; and optional scales, cash drawers, pole displays, and scanners. It states: “Printers, which can include both thermal receipt printers and impact kitchen printers.” Treat that as the platform’s documented hardware scope, not a guarantee that every model works with every setup.

A thermal receipt printer is a sensible accessory when your operation needs printed receipts, and a barcode scanner is useful when retail scanning is part of the workflow. Buy only after checking the POS vendor’s supported-device list, your country, connection type, operating system, and the exact software edition. A generic printer or scanner is not universally compatible.

Device requirements can change

Shopify’s hardware page says its requirements are scheduled to change from January 2027: Android devices must run Android 13 or higher, and iPads or iPhones must run iOS 18 or higher. Older supported devices are expected to be updated by June 6, 2027. This is a future-dated vendor policy that may change, so recheck the live requirements close to purchase and confirm hardware availability in your country.

Cost and contract questions to answer in writing

Comparable, current total prices and processing rates were not established across the systems described here, and vendor pricing can vary by country, business profile, hardware bundle, and negotiated terms. Request a written quote that separates every recurring and one-time charge.

  • Hardware purchase, lease, or financing and replacement coverage
  • Onboarding, installation, menu or catalog migration, and training
  • Software subscription by location, terminal, employee, or feature tier
  • Payment processing rates, authorization fees, chargeback handling, and settlement timing
  • Add-ons for online ordering, delivery, loyalty, reservations, payroll, advanced inventory, or extra reporting
  • Contract length, renewal terms, cancellation fees, minimum commitments, and support hours
  • Data export format, access after cancellation, and migration assistance

Ask the provider to price your actual country and operating model. U.S.-oriented setup pages do not establish availability or terms elsewhere, and Shopify notes that hardware availability varies by country.

A decision sequence that avoids an expensive mismatch

  1. Describe your core sale. Write one sentence: prepared order, finished merchandise, or both.
  2. Map the busiest workflow. Include modifiers, routing, tables, tips, scanning, receiving, returns, or any other step employees perform under pressure.
  3. Select the service mode. Identify full service, quick service, bar, counter, tableside, kiosk, pop-up, permanent store, multi-store, or warehouse needs.
  4. List required integrations. Include online ordering, delivery, customer records, reservations, staff management, accounting, and reporting only where your operation uses them.
  5. Run the test script. Use real examples for both prepared and merchandise transactions if the business is hybrid.
  6. Verify hardware and country support. Match each device to the software edition, operating system, location, network, and payment setup.
  7. Compare written total-cost quotes. Review fees, contract, support, and data-export terms together rather than ranking a subscription price alone.

The best POS is therefore conditional: restaurant-first workflows for service and kitchen operations, retail-first workflows for catalog and stock operations, and a deliberately tested hybrid for businesses that do both. Do not commit until the proposed setup completes your real transactions and produces the reports you need.
