Is a date of birth a safe payslip password?
It is a weak choice when people other than the employee may know or discover the date, or when the password format is predictable. A birth date is personal information, but it is not necessarily secret. The account’s risk came from the combination of knowledge of the employee’s date of birth and access to the email client containing the payslip.
Vendor documentation confirms that DOB-based formats are real configuration options, not just a hypothetical example. It does not establish their prevalence or provide an independent security audit. For example, Staffology Payroll documents choices including initials plus date of birth, a National Insurance number, or a custom password; Xero UK documents uppercase first and last initials plus date of birth; and SimplePay Ireland and Singapore document date of birth in YYYYMMDD format for emailed PDFs. A portal avoids placing the payslip PDF directly in an email attachment, but its protection depends on account security, recovery and administration. An emailed PDF with a separate custom password still requires careful handling of both the document and the secret.
What should employers check before choosing a method?
- Who can obtain the unlocking secret? A personal detail may already be known by others. A custom password should be separate from reused website credentials.
- Where is the document exposed? Consider the employee’s inbox and any shared devices or mail clients, as well as the controls around a self-service account.
- How does recovery work? Review the employer’s actual vendor configuration and identity checks for password resets or account recovery. The cited pages do not provide enough detail to rank recovery practices.
- Can employees use the method reliably? Make the password format and access steps clear, and do not send a document and its unlocking secret together. Staffology specifically says password details should be sent separately.
What should employees do if they receive a DOB-protected payslip?
Ask payroll or HR what format is being used and whether a self-service option is available. If the PDF is sent by email, treat the inbox and any device with access to it as part of the exposure: someone who can open the mailbox and knows the password pattern may be able to read the attachment. Do not forward the payslip or password to others, and contact payroll through a known channel if the password instructions are unclear.
