Outlook Reply Attachments: Why They Disappear and How to Send Them

Outlook normally removes files from a message when you choose Reply or Reply All. This is intentional: Microsoft says a reply does not include the original attachment because it would send the same file back to the person who sent it. To keep the file, choose Forward, or add the file again with Attach while writing the reply.

Reply and Reply All behave the same way for attachments; they differ only in who receives the message. In supported classic Outlook editions, you can also attach the entire original email item, but that setting is not the same as copying each original file into your reply.

Why Outlook removes attachments when you reply

Outlook treats a reply as a response to the conversation, not as a request to resend the previous message’s files. Microsoft Support explains: “When you reply to a message, attachments aren’t included because you’d be sending the exact same attachment back to the person who sent it to you.” Its documentation for Outlook.com and Outlook on the web states that “Files attached to the original message aren’t included when replying.”

That behavior applies even when the original file is still visible in the conversation. The attachment belongs to the earlier message; creating a new reply does not copy it into the new message. Nothing is wrong with the mailbox, download, or attachment control simply because the reply composer starts without the file.

A reply and a reply to everyone use the same attachment rule. Reply sends to the original sender. Reply All sends to the sender plus the people listed in the original To and Cc fields. Neither command carries the original files automatically.

Reply, Reply All, or Forward: what changes

Action Recipients Original files carried automatically What you must do
Reply The original sender No Use Attach to add a file again, or change to Forward.
Reply All The original sender and the original To/Cc recipients No Use Attach to add a file again, or change to Forward.
Forward Recipients you choose Yes, the original message and its attachments are included Check the recipient list, then remove or add files if needed.

The practical choice is therefore based on two questions: must the message remain a reply, and must the original file travel unchanged? If the file must go back exactly as received, forwarding is the simplest route. If the conversation must stay a reply, reattach the file yourself.

How to reply and keep the file

You can keep the reply format and add a new copy of the original file. First make sure the file is available on your computer or in OneDrive; if it is still only in the incoming message, download it before starting or while the message is open.

  1. Open the message and choose Reply or Reply All.
  2. In the compose window, select Attach.
  3. Browse to the downloaded file on your computer, or choose the file from OneDrive.
  4. Wait for the attachment or sharing link to appear in the message header.
  5. Review the recipients and send the reply.

Microsoft describes a local attachment as a copy of the file. A file selected from OneDrive can be shared as a link instead. That difference matters: a local copy travels with the outgoing message, while a OneDrive link gives recipients access through the cloud location and its sharing permissions. Choose the method that matches the recipient’s access and the way you need the document delivered.

Adding a file manually does not restore the old attachment automatically. It creates a new attachment in the reply, so verify that you selected the intended version before sending.

When forwarding is the right fix

Use Forward when the recipient needs the original email and its files, or when you do not want to download and attach each file separately. Outlook includes the original message and its attachments in the forwarded message. You can then enter the intended recipients and add an explanation above the quoted content.

  1. Open the message containing the files.
  2. Select Forward, not Reply or Reply All.
  3. Enter the new recipients. Forward lets you choose them rather than inheriting the original To and Cc list.
  4. Confirm that the original files appear in the compose window.
  5. Add your note, remove anything you should not disclose, and send.

Forwarding is especially useful when someone asks for “the original document” or when a colleague who was not on the first message needs the complete package. Because the recipient list is newly chosen, inspect it carefully before sending; a forwarded message can expose the original conversation and its files to people who were not on the first thread.

Attach the original email item in classic Outlook

Classic Outlook includes a separate setting for attaching the original message itself when you reply. Microsoft documents this setting for classic Outlook versions including Outlook for Microsoft 365, Outlook 2024, and Outlook 2021.

  1. Open classic Outlook.
  2. Choose File > Options > Mail.
  3. Scroll to Replies and forwards.
  4. Under When replying to a message, select Attach original message.
  5. Select OK to save the setting.

With that option enabled, a reply includes the original email item as an attachment. It does not mean that Outlook copies every file from the earlier message into the visible attachment list of the reply. The recipient receives the original message item and can open it according to the mail application and permissions available to them.

If the requirement is for a standalone PDF, spreadsheet, photograph, or other file, use Attach in the reply or use Forward. The original-message setting is for preserving the email item, not for changing the normal Reply attachment behavior.

Behavior by Outlook version and service

Outlook experience What happens in a reply Documented way to include the original content
Classic Outlook for Microsoft 365, Outlook 2024, and Outlook 2021 Original files are not copied into Reply or Reply All. Forward the message, manually attach the file, or enable Attach original message under File > Options > Mail > Replies and forwards.
Outlook.com Original files are not included when replying. Forward to include the original message and files, or select Attach and add the file again.
Outlook on the web Original files are not included when replying. Forward, or attach the downloaded file or a OneDrive item manually.
Light version of Outlook Attachments are not copied when replying. Forwarding is the documented way to include them.

The labels and layout can vary between these experiences, but the key distinction remains the same: Reply and Reply All create a new response without the earlier files, while Forward carries the original message and attachments.

Troubleshoot a missing attachment before sending

1. Confirm which command you selected

Look at the compose window and the message heading. If you selected Reply or Reply All, the missing file is expected. Cancel that draft and choose Forward if the original files must accompany the message unchanged.

2. Decide whether the recipient needs the email or just a file

Choose Forward when the full original message, its context, and its attachments are needed. Choose a manual attachment when the recipient needs only a particular document or when you want to write a normal reply without forwarding the entire conversation.

3. Reattach from the correct location

In the reply, select Attach and browse to the file on your computer or choose it from OneDrive. If the incoming message is open in another window, download the file first so you can select it in the attachment picker. Wait until the file or OneDrive link is visible before sending.

4. If you need the original email item, check the classic Outlook setting

In supported classic Outlook editions, verify File > Options > Mail > Replies and forwards and select Attach original message. This option affects the original email item, not automatic copying of each separate file.

5. Review recipients and attachments together

Reply All can address everyone who was included in the original To and Cc fields, while Forward uses a new recipient list. Check both the names and the files immediately before sending. This catches the two most common workflow errors: sending the file to too many people with Reply All, or forwarding the conversation to an unintended address.

Common points of confusion

“The attachment was visible in the original message, so why is it gone?”

Visibility in the earlier message does not make the file part of the new reply. Outlook keeps the attachment associated with the original message and omits it from the response by design.

“Does Reply All keep attachments when Reply does not?”

No. Reply All changes the recipient scope only. It does not change Outlook’s decision not to include the original files.

“Can I send the original file back without forwarding the whole conversation?”

Yes. Use Reply, select Attach, and add the downloaded file or a OneDrive item. This keeps the response as a reply while creating a new attachment for the outgoing message.

“Why did enabling Attach original message not place the PDF in the reply?”

That setting attaches the original email item. It is intentionally different from copying each file that was attached to that email. To send the PDF itself, attach the PDF manually or forward the message.

A reliable decision sequence

  • Need the original files unchanged? Choose Forward.
  • Need a normal response to the sender? Choose Reply, then use Attach to add the required file.
  • Need to answer everyone from the original thread? Choose Reply All, then attach the file manually and verify every recipient.
  • Need the complete original email as an item in classic Outlook? Enable Attach original message in the Replies and forwards settings.
  • Using Outlook.com, Outlook on the web, or the light version? Forward or attach the file manually; the original files are not copied into a reply.

Once you identify whether the recipient needs a file, the whole original message, or simply a text response, Outlook’s behavior is predictable. The missing attachment is not an error to repair; it is the expected result of choosing Reply or Reply All.
