They do not guarantee identical rendering, macro behavior, cloud collaboration, or privacy outcomes. Microsoft 365 is a vendor-hosted service with integrated applications, storage, identity, collaboration, and enterprise controls. A self-hosted open-source deployment gives you more control over where systems run, but you also become responsible for servers, updates, access, backups, and security.
The right choice depends on the documents you exchange, whether work must continue offline, who should administer the service, and which connected or Microsoft-specific features your organization requires.

What “open source” means in an office suite
Open source describes how software is licensed and how its source code can be inspected, modified, and redistributed under the applicable licenses. It does not, by itself, tell you where documents are stored, who operates the service, whether files leave your network, or how an optional connected feature processes content.
LibreOffice is primarily a locally installed desktop suite. ONLYOFFICE provides desktop editors and browser-based editors, with free community builds available for self-hosting. Nextcloud’s administrator documentation lists Nextcloud Office and Collabora Online as browser collaboration options, but both require an office document server and a properly configured deployment.

- Classic Office Apps | Includes classic desktop versions of Word, Excel, PowerPoint, and OneNote for creating documents, spreadsheets, and presentations with ease.
- Install on a Single Device | Install classic desktop Office Apps for use on a single Windows laptop, Windows desktop, MacBook, or iMac.
- Ideal for One Person | With a one-time purchase of Microsoft Office 2024, you can create, organize, and get things done.

There are therefore three different control models:
- Local desktop: applications and documents can remain on a computer or local file share unless a user chooses to synchronize or transmit them.
- Self-hosted collaboration: your organization operates the server, identity system, network access, storage, backups, and document-processing components.
- Vendor-hosted cloud: a provider operates the service and supplies infrastructure, updates, availability, and administrative controls under a subscription and service agreement.
Calling a suite “open source” does not automatically make a local installation private, nor does using a cloud service automatically make it unsuitable for confidential work. The operational boundary matters more than the label.

Can LibreOffice open Microsoft Office files?
Yes. LibreOffice Help states that it can open and save Microsoft Office formats, including Microsoft Office Open XML formats. Writer maps to Word DOC and DOCX files, Calc maps to Excel XLS and XLSX files, and Impress maps to PowerPoint PPT and PPTX files.
Do these 3 things before closing this tab:
1Clear out junk files and repair common Windows errors2Scan for outdated or missing drivers - takes under a minute3Repair Windows errors before they cause bigger problemsYou can also use LibreOffice’s document converter to convert folders of Microsoft files into OpenDocument formats. That is useful for a planned migration, but conversion should be treated as a controlled process rather than a guarantee that every object will remain identical.
What usually transfers well
- Ordinary text documents with headings, paragraphs, tables, and basic page layouts.
- Standard spreadsheets containing values, common formulas, and uncomplicated charts.
- Presentations using ordinary text boxes, images, and simple slide layouts.
Where differences appear
File-format support is not the same as identical behavior. A format can contain application-specific features that another program only partly understands. Microsoft’s format guidance explains that applications may read only portions of another format and that unsupported or differently implemented features can change how a document works. When a file is saved in a different format, content or behavior can be altered or removed.
Common warning signs include complex charts, uncommon fonts, embedded objects, advanced page-layout rules, content controls, fields, tracked-change details, and workbook features that depend on a particular spreadsheet engine. The only reliable way to assess an important workflow is to open representative files, edit them, save them, and inspect the result in the other application.

Is LibreOffice compatible with Microsoft 365?
LibreOffice is compatible at the file-exchange level, not as a drop-in replacement for every Microsoft 365 service. It can exchange common DOCX, XLSX, and PPTX files with Microsoft applications, but it does not reproduce Microsoft’s complete cloud identity, storage, collaboration, administration, and connected-feature stack.
If your team sends ordinary documents to Microsoft 365 users, LibreOffice may be sufficient. If your workflow depends on simultaneous browser editing, Microsoft-specific templates, cloud permissions, enterprise identity, or automation tied to Microsoft services, you need a pilot before switching.
Macros are a separate compatibility problem
LibreOffice Help says: “With a few exceptions, Microsoft Office and LibreOffice cannot run the same macro code.” Microsoft Office commonly uses VBA, while LibreOffice uses Basic based on the LibreOffice API. Some Excel VBA scripts can run when the relevant feature is enabled, but scripts may need editing to preserve equivalent behavior.
Do not judge a macro-dependent workflow by opening the workbook and checking whether it displays correctly. Run the actual process: import data, execute the macro, generate the report, print or export it, and verify the outputs. Keep a copy of the original file and test with non-production data.
How Microsoft’s formats and OpenDocument support affect your choice
Microsoft recommends Open XML—DOCX, XLSX, and PPTX—as the default format unless there is a specific reason to choose another format. Those formats are therefore the safest default when your recipients primarily use Microsoft Office.

Microsoft’s guidance cautions that some features are unsupported or implemented differently, which can change the way users work with a file or cause content loss. If your organization standardizes on OpenDocument, establish that expectation with external recipients before exchanging files.

A practical rule is to keep an editable master in the format best suited to the team that owns the workflow, then export a stable sharing copy—often PDF—when recipients only need to read or print it. Do not use PDF as a substitute for an editable source when comments, formulas, accessibility structure, or future revisions matter.
Online collaboration: what must be deployed
Nextcloud Office and Collabora Online
Nextcloud’s administrator manual describes Nextcloud Office and Collabora Online as browser-based collaborative editing solutions. An office document server is required; installing the file-sharing platform alone does not create an online word processor or spreadsheet engine.
Administrators must plan the document server, network routing, TLS certificates, authentication, storage, backups, updates, and capacity. A failure in the document server can prevent editing even when the underlying files remain available.

The ONLYOFFICE integration guide says that its document service and Nextcloud must be reachable from one another and from clients. Its editors use OOXML as their basis and convert non-OOXML files for editing. The guide warns that converting back can lose data or formatting when a source format does not support the same structures, and that non-OOXML files are generally read-only by default, subject to format-specific exceptions and configuration.
That means “browser-based” does not remove compatibility work. Decide which formats your users may edit online, which should remain read-only, and how the organization will handle a conversion that changes layout or content.
Microsoft 365 collaboration
Microsoft 365 supplies connected cloud experiences around its applications. The service model reduces the amount of infrastructure your team must operate, but it moves important decisions into tenant configuration, account permissions, sharing settings, retention policies, region availability, and the selected plan.

Privacy: compare control boundaries, not slogans
The meaningful question is not whether one category is “private.” Ask which systems can receive document content, who controls administrator accounts and encryption settings, where data is stored and processed, and who is responsible for keeping the environment secure.

Local and self-hosted deployments
A local LibreOffice workflow can keep files on a computer or internal file share when users do not synchronize or send them elsewhere. The available documentation does not establish that every LibreOffice workflow is offline or that every third-party installation has the same security posture.
Self-hosted ONLYOFFICE or Nextcloud-based collaboration can place servers and storage under your organization’s control. That control comes with obligations: patch the operating system and applications, restrict administrator access, protect credentials, configure encryption where appropriate, monitor logs, test restores, and maintain an incident-response plan. A neglected self-hosted server can be less secure than a well-managed hosted service.
Microsoft 365 connected experiences
Microsoft Learn explains that connected experiences send and process required service data to deliver those features. Enterprise privacy controls can manage certain connected experiences, but required service data for essential services is always collected and sent. Microsoft gives PowerPoint Designer as an example in which text or images in a slide may be processed to produce the requested feature.
Microsoft also documents encryption at rest and in transit, data-residency choices, and limited, approved access by Microsoft personnel for service operations. These are descriptions of Microsoft’s commercial service controls, not an independent conclusion that every plan meets every organization’s requirements. Consumer plans and capabilities can differ from enterprise offerings.
Questions for a privacy review
- Is the suite local, self-hosted, or vendor-hosted?
- Which features transmit document text, images, telemetry, or usage data?
- Where are files stored, and where can processing occur?
- Who controls tenant, server, database, and encryption-key administration?
- What retention, deletion, audit, and legal-hold controls are included in the exact plan?
- Who patches, backs up, monitors, and restores a self-hosted deployment?
Feature and workflow differences that affect daily work
Writing and page layout
For letters, reports, and basic templates, LibreOffice Writer can be a practical local alternative. Check documents that use strict corporate templates, unusual fonts, complex section breaks, fields, or embedded objects. A layout that looks correct on screen may reflow when opened by another application or printed with different fonts.

Spreadsheets
Calc can handle ordinary formulas and tables, but test named ranges, external links, pivot-style summaries, data connections, custom functions, and macros. Verify not only displayed values but also recalculation, print areas, exports, and downstream files.
Presentations
Impress can exchange common PPTX slides. Test theme fonts, animations, transitions, media, speaker notes, and presenter workflows when a deck must be delivered on another computer.
Comments, tracking, and review
If a document passes through several organizations, agree on one application for final review. Differences in tracked changes, comments, fields, and protection settings can make a document appear resolved in one program while still containing changes in another.

A representative-document pilot before migration
There is no published universal compatibility or privacy ranking in the cited official material. A short pilot using your own files produces more useful evidence than a generic feature checklist.
- Inventory the workflow. List document types, senders and recipients, storage locations, required offline periods, sharing rules, macros, templates, fonts, external links, and accessibility requirements.
- Select representative files. Include a simple document, a heavily formatted report, a formula-heavy workbook, a macro-enabled workbook if applicable, and a presentation with media or custom fonts.
- Test round trips. Open each file in the candidate suite, make normal edits, save in the required format, reopen it in Microsoft Office, and record changes in layout, formulas, charts, comments, tracked changes, and embedded objects.
- Run the business process. Execute imports, macros, approvals, printing, PDF export, and hand-offs—not just visual inspection.
- Test collaboration separately. For a self-hosted option, verify account provisioning, simultaneous editing, sharing, external access, backup restoration, server failure behavior, and update procedures.
- Review privacy settings. Document where files and service data are stored, which connected features are enabled, who has administrator access, and what logs or telemetry are generated.
- Set acceptance criteria. Decide which differences are acceptable, which files remain on Microsoft software, and who owns exceptions and support.
Choosing by priority
Choose a local open-source suite when
- Offline desktop work is essential.
- Your documents are mostly conventional text, spreadsheet, and presentation files.
- You want to reduce dependence on a vendor-hosted service.
- Your organization can test formats and support users through occasional layout differences.
Choose self-hosted collaboration when
- You need browser editing but want control of hosting, identity, and storage.
- You have staff or a service provider able to operate document servers, updates, backups, and security controls.
- You can accept the deployment complexity of integrating the office editor with the file platform.
Choose Microsoft 365 when
- Your work depends heavily on Microsoft-specific templates, macros, cloud permissions, or integrated identity and storage.
- You prefer a vendor to operate much of the infrastructure and provide documented enterprise controls.
- Your organization can meet its privacy, residency, retention, and connected-experience requirements under the exact plan and region.
Use a mixed environment when
Many organizations can use a local open-source suite for routine documents while retaining Microsoft applications for macro-heavy work, complex templates, or collaboration with a Microsoft-dependent partner. This is workable only when the organization defines ownership of each workflow and avoids repeatedly converting the same master file between formats.
Cost, licensing, and operational responsibility
LibreOffice is free software under the Mozilla Public License 2.0, with other licenses also present in the project. ONLYOFFICE lists free and commercial offerings, including community builds for self-hosting. “Free” does not mean that deployment has no cost: servers, storage, backups, authentication, monitoring, migration, training, and support all require time or money.
Microsoft 365 pricing and included capabilities vary by plan, region, and customer type. Compare the exact subscription with the total operating cost of an open-source deployment, including administration and recovery. A low licence bill is not a saving if compatibility testing or downtime disrupts essential work.

Practical troubleshooting checklist
A DOCX looks different after editing
- Confirm that the same fonts are installed on both systems.
- Check section breaks, margins, headers, footers, fields, and embedded objects.
- Save a copy, reopen it in the original application, and compare the printed or exported result.
- For a recurring template, simplify unsupported elements or keep that template in the application that owns the workflow.
An XLSX calculation or macro fails
- Identify whether the problem is a formula-engine difference, external link, add-in, or VBA macro.
- Run the workbook on a non-production copy and capture the expected output.
- Rewrite or retain the macro workflow based on the pilot rather than assuming automatic equivalence.
Browser editing is unavailable in a self-hosted setup
- Verify that the office document server is installed and healthy.
- Check that the document platform, editor service, and client can resolve and reach each other over the required network paths.
- Review TLS certificates, reverse-proxy rules, authentication, and service logs.
- Test backup restoration and the behavior of the file platform when the document server is offline.
Bottom line
Open-source office software is a credible choice for local work and many ordinary Microsoft-format documents, but format support is not identical behavior. Microsoft 365 offers a tightly integrated hosted platform with documented privacy, encryption, and residency controls, while self-hosting offers greater operational control only when an organization is prepared to operate the stack responsibly. Test your real documents, macros, collaboration paths, and privacy requirements before committing to either model.
