Online Reputation Monitoring: How to Track Mentions and Reviews

Online reputation monitoring means finding public discussion about your business, products, and relevant people, then deciding who should respond and what needs to change. Track customer reviews separately from broader public mentions, assign alerts to a person, and route recurring complaints to the team that can address them.

What to monitor

Build a monitoring list around the names customers actually use. Start with your business and product names, then include common misspellings, relevant executives or spokespeople, and campaign names. Add competitor or industry terms only when you have a clear reason to compare or follow category conversations.

Terms that distinguish your brand from unrelated uses help reduce noise. Listening services may offer source, country, and language filters, along with exclusions; refine those settings after reviewing sample results. Mention’s alert guidance describes these controls and recommends defining an alert goal.

Monitor review sites and public conversation separately

Review profiles show ratings and feedback submitted by customers. Social listening can surface public posts and discussions on sources such as social platforms, news sites, blogs, and forums. The two kinds of monitoring overlap, but neither guarantees complete coverage of the other.

#1 Best Overall

Before relying on an alert, verify which exact review sites, social pages, countries, and languages it covers, whether access depends on connecting an account, and how quickly alerts arrive. A vendor’s stated coverage is not proof that it can access every platform or every public mention. Mention’s overview describes monitoring for specified social pages and review websites; check its current documentation for the sources relevant to your business.

Set up a monitoring workflow

  1. List the terms: Record business and product names, variants, key people, and any campaign terms. Add category or competitor terms only if someone will use the results.
  2. Choose sources: Include official review profiles, industry-specific review sites, owned social accounts, and public-web sources important to your audience.
  3. Configure alerts: Set the available source, geography, and language filters. Exclude unrelated terms or uses where possible, then inspect sample results and tune the query.
  4. Assign ownership: Name a primary reviewer and a backup. Set an escalation route for urgent safety, legal, service, or reputational issues, and agree on who is authorized to reply.
  5. Review and close the loop: Check alerts on a routine schedule; increase the frequency during a significant incident. Reply where appropriate, report suspected policy violations through the platform’s process, and send recurring themes to the responsible team.

For ordinary operations, a daily or weekly check may be practical; the right cadence depends on your volume and risk. This is a workflow choice, not a universal standard. During a developing incident, a routine schedule may be too slow.

Get alerts for new Google reviews

Google documents notifications for new and updated reviews through its Business Profile API. The documented setup involves configuring a Google Cloud Pub/Sub topic; it is an API-based route, not evidence of a universal one-click alert switch for every business. Review the Google Business Profile Notifications API reference and confirm current availability and setup requirements before building an integration. The reference is older than the current date, so verify that its details still apply.

If you use a listening service instead, check its current notification channels and integrations, and confirm whether the relevant review sources are supported on your account or plan. Do not assume that an alert will reach the person able to resolve the issue unless you test the routing.

Respond to reviews professionally and honestly

Google recommends replies that are professional, relevant, and short. A useful response acknowledges the specific concern, avoids exposing personal information, and offers a suitable next step when follow-up is needed. Move sensitive account or customer details to a private channel rather than debating them publicly.

A negative review is not automatically removable. Google says reviews are eligible for removal only when they violate its policies; disagreement or dislike is not enough. Suspected violations should be reported through the platform’s process, and Google says review evaluation typically takes several days. Continue addressing the underlying customer issue while a report is pending. See Google’s review tips and review reporting guidance.

Keep review requests genuine. Google requires reviews to reflect actual experiences and prohibits incentives in exchange for posting, changing, or removing a review. Do not buy reviews, offer a discount for a desired rating, or pressure a customer to delete criticism. Consult Google’s content policy as well as its review tips.

Measure useful outcomes, not just mention volume

A growing count of public mentions does not necessarily represent how all customers feel. Track measures that help your team act, such as:

  • Time to first response and unresolved complaints.
  • Recurring issue categories and whether they reach the team responsible for fixing them.
  • Rating trends on the review profiles that matter to your business.
  • The share of alerts that are relevant, which can show whether queries need refinement.

These are practical internal measures, not industry benchmarks established by the sources cited here. Interpret them in context: a change in monitoring coverage or alert filters can change the counts without any change in customer sentiment.

How to compare monitoring services

Compare services against your actual sources and workflow rather than a broad promise to monitor “the web.” Check:

  • Which review sites, social pages, and public-web sources are covered, and whether account connection is required.
  • Country and language controls, query filters, exclusions, and alert delay.
  • Notification routes, team assignment, reporting, and data export.
  • Whether the product distinguishes public listening from analytics available only on connected accounts.
  • Total cost at your expected volume and the limits that apply to your selected plan.

Mention is one documented example to evaluate: its help material describes brand and competitor alerts, source filtering, notifications, reporting, and monitoring for specified social pages and review websites. Those are vendor-documented features, not an independent evaluation or a guarantee of universal platform coverage. Confirm current sources, account requirements, pricing, and integrations before choosing it. See its overview and alert documentation.

Agencies and other third parties managing Google Business Profiles should follow Google’s third-party rules: reports must clearly distinguish Google data from data from other platforms, and a client’s explicit approval is required before responding to reviews on the client’s behalf. See Google’s third-party policy.

Or skip the browser setup

If your monitoring workflow needs screenshots of public pages—for documentation, triage, or an internal record—ScreenshotNeo takes a screenshot or PDF with one GET request. Its capture options include custom CSS and JavaScript, wait conditions, and full-page capture with lazy images loaded. A screenshot records what a page displayed; it does not replace review or mention alerts.

For a PNG, JPEG, or WebP screenshot, request the API endpoint directly. Replace the target URL as needed and use your API key:

curl -G "https://api.screenshotneo.com/v1/shot" -d access_key=YOUR_API_KEY --data-urlencode url=https://stripe.com -o shot.webp

See the ScreenshotNeo API documentation for request options. Cookie banners are accepted and removed before capture, along with supported newsletter popups and chat widgets; those steps can be turned off. Bot checks, blank pages, failed loads, timeouts, and cache hits are not billed, and response headers identify the page verdict and billing status. An MCP server gives AI agents tools to take screenshots, get page information, and capture PDFs. The free plan includes 1,000 screenshots a month with no card; paid plans start at $5 for 3,000 shots.

Frequently Asked Questions

Does a rise in mentions mean customers are less satisfied?

Not by itself. Mention counts reflect public discussion and can change with coverage or alert settings; they are not a representative measure of all customers’ views.

Can Google remove a review just because it is inaccurate or unfair?

Google’s stated standard is whether the review violates its policies, not whether a business disagrees with it. Report a suspected violation through Google’s process.

Product prices and availability are accurate as of the date/time indicated and are subject to change. Any price and availability information displayed on Amazon at the time of purchase will apply.
