OneNote vs Goodnotes vs Notability: Which Note-Taking App Fits Your Workflow?

There is no universal winner. Choose OneNote if you need flexible, mixed-media pages and broad organization; choose Goodnotes if tablet handwriting and PDF work are central; choose Notability if recording, transcribing, and replaying audio alongside notes is decisive. Before subscribing, verify your exact device, operating system, plan, sync method, and local price.

Quick answer: match the app to the work

Your priority Best starting point Why
Free-positioned pages containing typed text, images, links, lists, ink, audio and video OneNote Microsoft documents a page model in which you can click anywhere, create separate text containers and combine many content types.
Handwritten tablet notes and marked-up PDFs Goodnotes Its product materials put handwriting, PDF annotation and search at the center of the workflow.
Audio recorded, transcribed and replayed with the note Notability Its official comparison lists recording, transcription and audio-playback synchronization, subject to plan and platform.
One library used on several operating systems Compare Goodnotes and Notability plans first; verify OneNote on your target devices Cross-device access and cloud features depend on the app, plan, account and rollout status.
Lowest known annual price in the United States Goodnotes Essential, if its feature set is sufficient Goodnotes lists US Essential at $11.99 per year. Regional and platform prices differ.

Those are workflow matches, not performance-test results or a universal ranking. A student who annotates lecture slides may value a different app than a project manager collecting web clips, and an interviewer who needs searchable recordings has a different requirement again.

OneNote: the flexible digital notebook

OneNote is built around pages that behave more like an open canvas than a fixed document. Microsoft’s guidance says you can click anywhere to begin typing and create additional text containers elsewhere on the page. With a pen-input device, you can write directly on the page. A single note can combine typed text, pictures, graphics, captured web content, digital handwriting, audio and video clips, lists and links. Search and tags are also part of the documented workflow. See Microsoft’s note-taking and formatting guidance.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Where OneNote fits best

  • Mixed-media project pages: Keep meeting text, screenshots, links, checklists, ink and recordings together without forcing each item into a rigid sequence.
  • Research repositories: The free-positioned page lets you place copied material, annotations and references next to one another.
  • People who alternate between typing and handwriting: You can type in one area and add pen input in another instead of choosing one input mode for the entire note.
  • Tag- and search-driven retrieval: Use tags and search when your priority is finding a detail later rather than maintaining a notebook of polished pages.

Important OneNote qualification

The cited Microsoft page applies to Microsoft 365, OneNote 2024, OneNote 2021 and OneNote 2016. Controls and synchronization behavior can differ between editions and devices, so confirm the version you will actually use. The documentation establishes that audio clips are supported note content; it does not establish synchronized audio playback tied to a handwriting position in the way Notability documents that feature.

  • Read Before You Buy — No Video Output: These adapters support charging and USB 2.0 data transfer, but cannot transmit video signals. Except for standard USB webcams (which use USB data only), they are not compatible with HDMI/DisplayPort cables, video-capable USB-C hubs, or docking stations with video output.
  • Convert USB-A Ports to USB-C: Designed to connect USB-C earphones, cables, flash drives, card readers, and other USB-C accessories to standard USB-A ports. Plug-and-play with no drivers or software required.
  • Aluminum Alloy Housing: Built with a sturdy aluminum alloy shell that aids in heat dissipation and protects against daily wear and scratches. Designed to maintain a stable and secure connection.
  • Compact & Travel-Friendly: The ultra-compact design allows the adapter to stay plugged into your device without blocking adjacent ports or adding bulk, reducing wear and tear on your original USB ports.
  • 12-Month Warranty: Backed by a 12-month manufacturer warranty for peace of mind. Designed to meet strict quality control standards for reliable everyday performance.

Goodnotes: handwriting and PDF work first

Goodnotes presents itself as a handwriting-centered app for tablets, with PDF annotation, search and access across tablet, phone and laptop highlighted on its product page. That emphasis makes it a natural starting point for digital planners, lecture slides, worksheets, journals and long documents that you mark up with a stylus.

Where Goodnotes fits best

  • Handwritten study notes: A tablet-and-stylus workflow is the product’s core identity.
  • PDF-heavy work: Import documents, write on them and use the documented search capability to retrieve content.
  • People moving between device types: Goodnotes advertises work across devices, but the plan and cloud option determine how a library syncs.
  • Audio-supported notes: Goodnotes documentation lists audio recording, and its own comparison says notes can sync to audio. Verify the feature in your plan and platform before relying on it for an important workflow.

Goodnotes plans, limits and rollout details

The official plan comparison identifies a Free option, a one-time Special Edition purchase for Apple devices, Essential as a yearly cross-platform plan and Pro with advanced features and Goodnotes Cloud cross-platform library sync. The page lists US prices of $11.99 per year for Essential and $35.99 per year for Pro. Those are US list prices shown on that support page, not a worldwide price promise; Goodnotes states that prices vary by region and purchase platform.

Goodnotes Cloud library sync is associated with Pro and is rolling out gradually, so do not assume that every account has identical availability. The Free plan has limits on files, folders, storage, import size and audio length. Check the plan table for your country, store and device immediately before purchase.

Notability: notes connected to audio

Notability combines handwritten notes and document annotation with audio features. Its official plan comparison lists note-taking, handwriting and annotation, PDF/document/slide import, audio recording, transcription, audio-playback synchronization, handwriting recognition and collaboration. Several capabilities are marked as limited by platform, including iOS- and Android-only availability for specific features.

Where Notability fits best

  • Lectures, interviews and meetings: Record while writing, then use the documented playback synchronization to revisit the audio alongside the note.
  • Transcription workflows: The plan table lists transcription, but confirm the language, platform and tier supported for your account.
  • Annotated documents: Import PDFs, documents and slides and mark them up in the same workspace as ordinary notes.
  • Shared work: Collaboration appears in the official comparison, with availability dependent on the plan and device.

Notability Cloud is identified as the route for syncing across devices. The retrieved comparison does not provide a complete current consumer price schedule, so use the live Notability checkout or your regional store listing rather than carrying over a price from another site.

Feature comparison by workflow

Workflow question OneNote Goodnotes Notability
Can I place content freely on a page? Yes. Microsoft documents click-anywhere text containers and mixed content on a page. Its materials emphasize handwriting, sketches, images, text and documents rather than OneNote’s free-positioned canvas model. Its documented feature set covers notes, handwriting and annotation; the cited comparison does not describe an equivalent free-positioned page model.
Is handwriting a central use case? Supported with a pen-input device. Yes; handwriting is a primary product focus. Yes; handwriting and annotation are listed, with recognition availability varying by platform or tier.
What about PDF annotation and search? Check the exact version and import/markup workflow you need; the cited Microsoft page is general note-taking documentation, not a full PDF comparison. PDF annotation and search are explicitly described in product materials. PDF, document and slide import and annotation are listed in the official comparison.
Can audio stay connected to notes? Audio clips can be note content; synchronized playback is not detailed in the cited page. Audio recording is documented, and the vendor comparison says notes can sync to audio; verify availability. Recording, transcription and audio-playback sync are listed, subject to plan and platform.
How does cross-device sync work? Check the Microsoft account, edition, storage and target-device combination you intend to use. Essential provides cross-platform access and sync features; full Goodnotes Cloud library sync is associated with Pro and rolling out gradually. Notability Cloud is the documented path for syncing across devices.
What is the published price information? Check the current Microsoft plan and storage requirements for your use. US annual list prices shown by Goodnotes Support: Essential $11.99; Pro $35.99. Regional and platform variation applies. The official comparison establishes feature tiers but not a complete current consumer price schedule in the reviewed material.

Which app is best for handwritten notes?

Start with Goodnotes when the tablet, stylus and page are your primary tools. Its positioning, handwriting features and PDF workflow align directly with writing on lecture slides, workbooks or planners. Notability is the better fit when handwriting must be paired with a recording or transcription. OneNote is the better fit when handwriting is only one element of a larger page containing typed text, links, images, lists and other media.

Before committing, test a representative page: write a full page at your normal speed, switch between ink and typing, erase and lasso selections, then search for a handwritten term if your chosen plan advertises recognition. This practical check catches stylus, palm-rejection and recognition differences that feature lists do not quantify.

Which app is best for annotating PDFs?

Goodnotes is the clearest first choice when most of your day is spent importing, marking up and searching PDFs. Notability is a close workflow match if those documents need to sit beside recordings, transcriptions or shared notes. OneNote can hold document content and ink, but the Microsoft page cited here does not establish a complete PDF-import and markup comparison, so verify the exact reader, edition and file-handling requirements before selecting it for a PDF-centered job.

PDF checks to perform before choosing

  1. Import one of your real files, including a large or image-only PDF if that is common in your work.
  2. Write, highlight, erase and add typed comments on several pages.
  3. Search for text that is printed in the PDF and, where supported, a handwritten word.
  4. Export a marked-up copy and inspect page order, annotations, links and readability in another PDF reader.
  5. Confirm that the plan permits the file size, number of documents and storage volume you expect.

Which app records audio with notes?

Notability has the strongest documented audio workflow in this comparison: its official table lists recording, transcription and synchronized playback. Goodnotes also documents audio recording and describes note-to-audio synchronization in its comparison material, but check your plan and device. OneNote supports audio clips as note content, while the cited Microsoft guidance does not describe synchronized playback tied to note positions.

For a lecture or interview, confirm three details before relying on any app: whether recording continues while the screen is locked or the app is backgrounded, whether transcription supports your language, and where audio files are stored and exported. These operational details can vary by operating system and plan and are not fully established by the feature summaries above.

Cross-device use and synchronization

“Works across devices” can mean several different things: an app may open on multiple platforms, while its paid plan, cloud library, recognition or collaboration features remain restricted. Treat platform support and library synchronization as separate checks.

  • OneNote: Identify your edition (Microsoft 365, OneNote 2024, 2021 or 2016), sign in with the intended Microsoft account and verify storage and target-device behavior.
  • Goodnotes: Essential is described as cross-platform, while Pro includes Goodnotes Cloud cross-platform library sync; rollout is gradual and availability can vary.
  • Notability: Notability Cloud is the documented cross-device sync route. Check the comparison table for platform labels on the features you need.

A safe sync test

  1. Create a small test notebook containing typed text, handwriting, an image, a PDF page and (if relevant) a short recording.
  2. Allow synchronization to finish on the first device.
  3. Open the library on every device you plan to use and verify that each element appears and remains editable.
  4. Make a change on device two, wait for sync, then confirm it returns to device one.
  5. Check offline behavior and export a backup before moving important notebooks.

A practical selection process

  1. List your non-negotiables. Write down whether you require handwriting, PDF markup, recordings, transcription, collaboration, offline access, search or a specific operating system.
  2. Choose the dominant artifact. Open-canvas project pages point toward OneNote; handwritten notebooks and PDFs toward Goodnotes; recordings linked to notes toward Notability.
  3. Check every target device. Include your phone, tablet, laptop and any work or school device. Do not assume that a feature available on one platform appears on another.
  4. Match the plan to the library. Compare file counts, import sizes, storage, audio length, cloud sync and collaboration—not just the subscription headline.
  5. Run a same-day trial. Recreate one real assignment or meeting in each finalist and test writing, search, import, export and synchronization.
  6. Verify the checkout page. Confirm local price, renewal terms and which account receives the purchase.
  7. Export before migrating. Keep originals of important PDFs, recordings and notebooks so a plan change or platform switch does not become a data-loss event.

Common pitfalls and how to avoid them

Choosing from a feature checklist alone

A check mark for “audio” does not tell you whether playback is synchronized, transcription is included, or the feature is available on your device. Read the plan table and perform a short real-world test.

Assuming cross-platform means identical features

Goodnotes distinguishes cross-platform access from Pro’s Goodnotes Cloud library sync, and Notability labels several capabilities by platform. Confirm the exact combination rather than relying on the app name appearing in a store for your device.

Carrying a US price into another country

The Goodnotes figures above are US list prices and the company warns that region and purchase platform affect cost. Notability’s reviewed comparison does not provide a complete price schedule. Check the local listing immediately before subscribing.

Expecting OneNote’s page model to behave like a paper notebook

OneNote’s freedom is useful for mixed content, but it can produce pages that are less visually uniform. Use headings, tags and a consistent notebook structure if you need fast retrieval across a large archive.

Buying a stylus without checking compatibility

A compatible tablet stylus can improve any handwriting workflow, but compatibility depends on the specific tablet. Confirm supported pen technology, pressure features and palm rejection for your hardware before buying.

How Goodnotes’ own comparison should be read

Goodnotes publishes a head-to-head comparison with Notability. It is useful for identifying feature categories and plan differences, but it is vendor-authored and naturally includes Goodnotes’ own recommendations. Treat its evaluative language and comparative claims as the company’s position, then verify decisive details in each app’s current documentation. It is not an independent comparison of all three apps and does not replace checking OneNote’s edition-specific behavior.

Bottom line by reader profile

  • Pick OneNote when your notes are working pages: typed material, web captures, images, links, lists, ink, audio and video in flexible positions.
  • Pick Goodnotes when a tablet and stylus are your main tools and PDFs, handwriting and search dominate the day. Compare Free, Special Edition, Essential and Pro against your device and region.
  • Pick Notability when the recording is as important as the writing and you need documented transcription or playback synchronization, subject to plan and platform.
  • Keep testing if your workflow spans several categories. A short trial using your own files and devices is more reliable than a generic “best app” list.
