The correct OneNote screenshot shortcut on a Mac
OneNote for Microsoft 365 for Mac, OneNote 2024 for Mac and the other Mac editions listed by Microsoft do not have a dedicated screen-clipping keystroke in the desktop keyboard-shortcut reference. The reliable desktop workflow is the macOS screenshot tool followed by OneNote’s picture insertion command. - Display the page, document or application area you want to capture.
- Press Shift+Command+4. The pointer becomes a crosshair.
- Drag from one corner of the required area to the opposite corner, then release.
- macOS saves the screenshot as an image file; Microsoft’s instructions identify the Desktop as the default location.
- Open OneNote, click the page where the image should appear, and choose Insert > Picture.
- Select the screenshot file and click Insert.
This is a file-based workflow: the desktop app receives the image through the Insert menu, not through a OneNote clipping shortcut.
Choose the capture scope before pressing a key

For a clean note, selected-area capture usually avoids unrelated tabs, notifications and desktop items. Full-screen capture is useful when the surrounding context matters. Window capture is the middle option when you want the complete application frame without manually tracing its edges.

Insert the saved screenshot in OneNote for Mac
1. Put the insertion point on the correct page
Open the notebook and section, then click at the location where the image belongs. OneNote inserts the picture at the current insertion point, so verify the page before opening the file picker.
2. Use the Mac desktop menu
Choose Insert > Picture. Microsoft documents this path for OneNote for Microsoft 365 for Mac, OneNote 2024 for Mac and OneNote 2021 for Mac in its picture insertion instructions.
3. Select the screenshot file
Browse to the Desktop, select the image created by macOS and confirm with Insert. The picture becomes an object on the page that you can reposition or resize using OneNote’s normal picture controls.
4. Check the result
Make sure the captured text and edges are visible at the displayed size. If you selected the wrong region, take another capture rather than trying to stretch a small image until it becomes unreadable.

Desktop OneNote and OneNote for the web are different
Microsoft publishes a separate workflow for OneNote for the web. Do not substitute its key combination for the desktop app. In a Mac browser, Microsoft’s web instructions use Command+Control+Shift+4 for a selected area or Command+Control+Shift+3 for the entire screen. The result goes to the clipboard; return to OneNote for the web and press Command+V to paste it. The procedure is described in Microsoft’s OneNote for the web screen-clipping article.

If a shortcut places an image on the clipboard instead of creating a file, check whether you are following the web-app instructions. That behavior belongs to the documented OneNote for the web workflow, not the desktop insertion path.
Common problems and fixes
The shortcut does nothing
- Confirm that you are pressing the Mac Command key, not Control or Windows/Option.
- Press the keys together: Shift, Command and 4 for an area, or Shift, Command and 3 for the whole screen.
- After Shift+Command+4, wait for the crosshair before dragging. The screenshot is not created until you release the mouse or trackpad.
The capture contains too much or too little
Repeat Shift+Command+4 and start the drag at a more precise corner. For a complete application frame, use the Space step and click the window instead of estimating its borders. Use Shift+Command+3 only when the surrounding desktop is intentionally part of the record.
You cannot find the image
Check the Desktop first; Microsoft identifies it as macOS’s default screenshot location in the relevant instructions. If you are using a managed Mac or a third-party screenshot utility, verify which tool actually handled the keypress and where that tool saves files.

Insert is unavailable or the wrong page receives the picture
Click inside the intended OneNote page before choosing Insert > Picture. If you are in a browser tab, use the web workflow instead: capture to the clipboard and paste with Command+V. The desktop file-insertion menu and the web clipboard method are not interchangeable.
The image is difficult to read
Capture a tighter region so the relevant text occupies more pixels. A full-screen image often becomes illegible when displayed at note width. Retake the screenshot at the scope that matches the information you need to preserve.
Practical choices for repeatable notes
Use area capture for evidence
When recording a dialog, error message or a single result, Shift+Command+4 keeps the note focused and reduces later cropping. Leave a small margin around the important content so edges are not clipped.
Use window capture for application context
The Space key after Shift+Command+4 selects a complete window. This is useful when the title bar or application identity is part of the evidence and you do not want the rest of the desktop included.

Use full-screen capture sparingly
Shift+Command+3 is fastest for a complete state of the display, but it can include private notifications or unrelated windows. Review the image before inserting it into a shared notebook.
Keep desktop and web instructions beside the right product
Microsoft’s general screenshot and screen-clipping guidance and its screen-clipping page cover related concepts, but the exact key combination still depends on whether you are running the Mac application or OneNote for the web. The edition names matter when you document a team procedure.
