If a file seems to vanish from your Windows 11 OneDrive folder, first check whether it is still on OneDrive.com. A blue cloud icon in File Explorer usually means the file is online-only—not deleted. But deleting a file inside the synced OneDrive folder can delete its cloud copy and remove it from other synced devices. The distinction determines whether you need to download the file or restore it from a recycle bin.
Is OneDrive deleting files, or making them online-only?
Files On-Demand lets Windows show OneDrive files in File Explorer without storing every file on the PC. Storage Sense can automatically change inactive files to online-only to free local disk space. Microsoft says that, beginning with Windows 11 version 22H2, the default is to make OneDrive cloud files online-only after 30 days unopened. This changes local availability; it does not delete the cloud copy. Files marked “Always keep on this device” are exempt. Microsoft’s Storage Sense guidance explains the setting.

Check the status icon beside the file in File Explorer:
- Blue cloud: The file is online-only and does not take up local disk space. Open it while connected to the internet to download it.
- Green check: The file is locally available.
- Green circle with a white check: The file is marked “Always keep on this device.”
These icons describe whether a local copy is available; they do not by themselves prove that a file was deleted. In File Explorer, right-click a file and choose “Free up space” to make it online-only, or choose “Always keep on this device” to retain a local copy. Neither option deletes the file from OneDrive. See Microsoft’s Files On-Demand guide.

How to find a missing OneDrive file
- Search OneDrive on the web. Sign in at OneDrive.com with the Microsoft account that should contain the file, then search by filename or identifying words. If you find it online, the cloud copy is present; check local availability and sync rather than trying to recover a deleted file.
- Check File Explorer’s status icon. A blue cloud means online-only. Open the item with an internet connection to download it.
- Review Storage Sense. Open Settings > System > Storage > Storage Sense and inspect “Content will become online-only if not opened for more than.” Labels and paths may vary by Windows build. The setting frees local space; reopening an online-only file requires network access.
- If it is not on the website, check OneDrive’s recycle bin. Restore it there if available. Microsoft states a recovery period of up to 30 days for personal OneDrive and up to 93 days for work or school OneDrive or SharePoint in Microsoft 365. These are not guarantees that every item will remain for the full period: organization settings can change work or school retention.
- Verify the account and check other locations. Confirm that you are signed into the expected personal or work/school account. Check the PC’s Recycle Bin for a locally available file deleted from the synced folder, and search Personal Vault separately. Vault contents do not appear in ordinary search results; deleted Vault items may need to be exposed in the recycle-bin view. A shared folder removed by its owner may no longer be available to you.
Microsoft’s instructions for finding missing files and restoring deleted files cover these checks. Deleted online-only files do not appear in the Windows Recycle Bin; use the OneDrive or SharePoint web recycle bin instead.
What can actually delete a file from OneDrive?
Deleting it in the synced OneDrive folder
OneDrive syncs additions, changes, and deletions between the local OneDrive folder and the cloud. So deleting a file in File Explorer from that folder can delete its cloud copy and propagate the deletion to other synced devices. This also applies when the file is online-only: deleting its listing removes the OneDrive item, rather than merely clearing a local download. Be especially careful with shared items or bulk deletions; Microsoft notes that deleting a shared item can remove it for others. See Microsoft’s OneDrive deletion guidance and sync guidance.

Storage Sense changing local availability
Storage Sense’s OneDrive cloud-content setting can make inactive files online-only. Microsoft says Storage Sense runs when a device is low on space by default and cleans selected temporary files; it does not manage Downloads or cloud content unless configured. The OneDrive setting is about freeing local storage, not permanently removing the cloud file. “Always keep on this device” items are not managed by this setting.

Restore the cloud copy—and avoid causing another deletion
If the file is absent from OneDrive.com but present in the web recycle bin, select it and choose Restore. Personal OneDrive items have a stated recovery period of up to 30 days; work or school OneDrive and SharePoint in Microsoft 365 have a stated period of up to 93 days, subject to administrator settings. If a Microsoft 365 subscriber is eligible, Microsoft also documents “Restore your OneDrive,” which can roll back file and folder actions from the past 30 days; eligibility and access depend on the subscription and account.
While diagnosing, avoid deleting or moving items within the synced OneDrive folder: those actions can sync to the cloud. If you want to keep a file on the PC but remove it from OneDrive, Microsoft’s documented approach is to move it outside the OneDrive folder. If you want it to remain in OneDrive without using local disk space, use Files On-Demand and make it online-only instead. Exact labels and behavior can vary with Windows and OneDrive updates.
