To create an OCR file, place a PDF or image in Google Drive, right-click it on a computer, and choose Open with → Google Docs. Drive creates an editable document containing recognized text. For paper pages, the Drive mobile app can capture the document and save it as a searchable PDF (or, on Android, a JPG). The result is useful for searching, copying and correcting text, but it is not a guaranteed replica of the original page: tables, columns, lists, footnotes and endnotes may be lost. Prepare a clear, upright file, then proofread the converted text before using it as a record.
What an OCR file does
OCR stands for optical character recognition. It analyzes the shapes in a scanned page or photograph and produces character data that a computer can search, select, copy and edit. A normal photograph of a page contains pixels only; an OCR result adds a text layer or creates a document whose words can be edited.

That distinction matters in everyday work. OCR can turn a scanned contract into text you can search, extract a paragraph from a paper receipt, or make a captured page searchable in a document library. Recognition is an interpretation, not a perfect transcription. Dirt, blur, skew, unusual typefaces and damaged pages can change characters or words, so the resulting file needs a human check when accuracy matters.
There are two different outcomes in the Google Drive workflows documented here:
#1 Best Overall

- Existing PDF or photo converted on a computer: Drive opens the file with Google Docs and creates a document containing recognized text.
- Paper captured in the mobile Drive app: Drive saves the scan as a searchable PDF; on Android, the save choice can also be JPG.
Use the first route when you already have a digital image or PDF. Use the second when the source is a physical page.
Choose the right workflow
| Situation | Workflow | Primary result | Important limitation |
|---|---|---|---|
| You have a PDF or photo file on a computer | In Google Drive, right-click the file and choose Open with → Google Docs | An editable Google document with recognized text | Text styling and line breaks may remain, but lists, tables, columns, footnotes and endnotes are not likely to be detected |
| You have paper documents and a phone | Use the scan function in the Google Drive mobile app, adjust the captured pages, name the file and save it | A searchable PDF; Android also offers JPG as a save format | Capture quality still determines how much correction is required |
This is a workflow choice, not a ranking of OCR products. The documented material covers Google Drive’s conversion and mobile scanning paths; it does not establish which OCR service is most accurate, cheapest or most private for every language or document type.
Convert an existing image or PDF on a computer
1. Put the source file in Drive
Upload or locate the PDF, JPEG, PNG or GIF in Google Drive. Google’s preparation guidance specifies those input types and recommends a file of 2 MB or smaller. That figure is a product guideline, not a measured accuracy threshold. If your file is larger, make a smaller, readable copy before trying the conversion rather than reducing it until characters become blurred.
2. Open it with Google Docs
- Open Google Drive in a computer browser.
- Locate the PDF or photo.
- Right-click the file.
- Choose Open with, then Google Docs.
Drive converts the image file and opens a new Google document. The original upload remains a separate file in Drive, so keep it as the visual reference while checking the generated text.
3. Wait for the document to load
Large or multi-page files can take longer to process. Let the document finish opening before assuming that a page or paragraph is missing. The converted document may contain the image followed by recognized text, depending on the source and conversion, so scroll through the entire file instead of checking only its first page.

- WORKS YOUR WAY – Use the Brother free iPrint&Scan desktop app for scanning to multiple “Scan-to” destinations like PC, Network, cloud services, Email and OCR. (2) Supports Windows, Mac and Linux and TWAIN/WIA for PC/ICA for Mac/SANE drivers. (3)
- OPTIMIZE IMAGES AND TEXT – Automatic color detection/adjustment, image rotation (PC only), bleed through prevention/background removal, text enhancement, color drop to enhance scans. Software suite includes document management and OCR software. (4)
4. Save a clearly named working copy
Give the generated document a name that identifies the source and status, such as “Invoice-2024-03 OCR review.” Keep an untouched original and, if the text will be edited, distinguish the corrected version from the initial OCR output. This simple separation lets you resolve an uncertain character by looking back at the scan.
Prepare the input for better recognition
Google’s guidance emphasizes four visual conditions: sharp text, even lighting, clear contrast and an upright page. These conditions reduce ambiguity before recognition starts.
Do these 3 things before closing this tab:
1Scan for outdated or missing drivers - takes under a minute2Repair Windows errors before they cause bigger problems3Fix the driver behind crashes, sound loss and screen glitchesKeep text sharp
Use the clearest scan or photograph available. Focus on the page rather than the background, and avoid enlarging a blurry image simply to make it bigger. Google recommends text at least 10 pixels high. This is a stated preparation recommendation, not a promise that every 10-pixel character will be recognized.
Use even light and strong contrast
Shadows across a fold, glare on glossy paper and gray text against a gray background can hide character strokes. Re-capture the page with diffuse, even light and make sure the writing stands out from the paper. Do not over-process a scan until thin strokes disappear.
Straighten the page
Rotate sideways pages so the writing is upright. Keep the camera parallel to the sheet where possible, because severe perspective distortion makes one side of the line larger than the other. Crop away unrelated surroundings, but leave every character and punctuation mark visible.

- STAY ORGANIZED – Easily convert your paper documents into digital formats like searchable PDF files, JPEGs, and more.Power Consumption : 2.5W or less (Energy Saving Mode: 0.7W). Suggested Daily Volume : 500 scans..Does it contain liquid: no
- CONVENIENT AND PORTABLE –lightweight and small in size, you can take the scanner anywhere from home offices, classrooms, remote offices, and anywhere in between
- HANDLES VARIOUS MEDIA TYPES – Digitize receipts, business cards, plastic or embossed cards, reports, legal documents, and more
- FAST AND EFFICIENT – No technical hurdles or complicated setups here; easily scan both sides of a document at the same time, in color or black-and-white, at up to 12 pages-per-minute, and with a 20 sheet automatic feeder
- BROAD COMPATIBILITY – Works with both Windows and Mac devices, be it laptop or computer
Keep pages and language consistent
Drive says it detects the document language. Mixed-language pages, decorative lettering and handwritten content can still require more correction than a clean page in one standard typeface. If a particular word looks wrong, compare it with the image rather than silently accepting the first suggestion.
Quick wins for a faster PC:
Clear out junk files and repair common Windows errorsFree Scan →Fix the driver behind crashes, sound loss and screen glitchesFind Drivers →What survives the conversion—and what may not
Google says text styling and line breaks may be retained. “May” is important: the result should be treated as an editable text draft, not a layout-preserving replica.
Google specifically warns that lists, tables, columns, footnotes and endnotes are not likely to be detected. A two-column article can become a single stream of lines; table cells can arrive in the wrong reading order; a footnote can appear beside the paragraph it annotates or disappear from the useful sequence. Numbering and indentation may need to be rebuilt manually.
For a document whose visual arrangement carries meaning—financial tables, forms, legal clauses with references or academic notes—retain the original scan alongside the OCR document. Use the image to verify headings, amounts, dates, symbols and the order of columns.
Scan paper with the Google Drive mobile app
The mobile route starts with a physical page rather than an existing file. Google documents the Drive app as a way to capture and adjust pages, name the document and save it in Drive. Google describes the resulting scans as searchable PDFs. On Android, the save choices include PDF or JPG.

- IRIScan document scanner : Versatile scanning capabilities, including scanning to Word, PDF, and Excel formats with companion software provided Readiris OCR
- Receipt scanner and card scanner with Additional features include scanning business cards directly to Outlook, photo scanning, and receipt scanning for efficient document management
- Open the Google Drive app on the phone.
- Start the document scanning function.
- Position the page in the camera view and capture it.
- Adjust the page boundary or image as needed, then add additional pages if the scan contains more than one sheet.
- Name the file so it can be identified later.
- Choose the available save format—PDF or JPG on Android—and save it to Drive.
Labels and screen arrangement can vary by app version and operating system, so follow the scan control shown in your current Drive app. The key distinction is that this process creates the scan in Drive; it is not the same as right-clicking an already uploaded photo on a computer.
Capture habits that reduce later correction
- Place the page on a flat, contrasting surface.
- Hold the phone steadily and fill the frame without cutting off margins.
- Avoid shadows from your hand or the phone.
- Check every page thumbnail before saving.
- For a multi-page document, capture pages in order and use a name that identifies the set.
A searchable PDF is convenient for finding words, but searchability does not prove that every word was recognized correctly. Open the saved file and test representative terms before distributing it.

Proofreading is part of creating a dependable OCR file. Recognition errors are easy to miss when reading quickly because the sentence can still look plausible.
Use a visual-to-text check
- Keep the original PDF, photo or paper page open beside the OCR document.
- Check the title, names, dates, numbers and headings first; these are often the fields where one incorrect character changes the meaning.
- Compare each paragraph or form field with the image, not just the words flagged by a spell checker.
- Inspect punctuation, decimal points, minus signs, quotation marks and superscripts.
- Mark uncertain readings for a second review instead of guessing.
Check reading order
When a source has columns or a table, compare the sequence of extracted lines with the visual order. Rebuild a table in the document only after confirming which value belongs to which heading. For a form, preserve the original page as the authoritative layout and use the OCR text as a searchable companion.

Record the provenance
Keep the source filename, capture date and a note that the text was OCR-generated. If someone else will rely on the file, tell them whether it has been proofread and which pages still contain uncertain characters. This prevents an unverified transcription from being mistaken for a manually typed original.

Troubleshoot common failures
The file does not open with Google Docs
Confirm that you are working in Drive on a computer and that the item is a supported PDF, JPEG, PNG or GIF. Re-upload a readable copy if the file is damaged. The documented conversion path is the file’s context menu: Open with → Google Docs.
The text is empty or almost empty
Look at the source at full size. If characters are blurry, too small or hidden by glare, capture or scan the page again. Check that the page is upright and that contrast is clear. Google’s 2 MB and 10-pixel recommendations describe preferred preparation; meeting them does not guarantee recognition, but ignoring them makes a poor result more likely.
Words are jumbled
Columns, tables, lists, footnotes and endnotes are formats Google says are not likely to be detected. Use the original image to establish reading order, then rearrange the text or recreate the table manually. Do not treat the order in the generated document as authoritative for a complex layout.
Only some pages look correct
Inspect pages individually. A document can contain a sharp page followed by a shadowed, skewed or low-contrast page. Re-scan the weak page, save it separately if necessary, and insert the corrected text into the working document while retaining the original page for reference.
The mobile scan is not searchable
Open the saved item in Drive and test a distinctive word. Confirm that you used the Drive scanning workflow and saved the capture as the documented searchable PDF rather than relying on a plain photograph. If search still fails, recapture the page with upright orientation, even lighting and clearer contrast.
When this workflow is a good fit
- Occasional documents: A few receipts, letters or pages can be converted without setting up a separate OCR system.
- Searchable archives: Mobile scans provide searchable PDFs for paper collected into Drive.
- Editable excerpts: Converting a photo or PDF to a Google document is useful when you need to quote or revise a section.
- Layout-critical records: Keep the original and plan manual reconstruction when tables, columns or notes carry essential meaning.
This workflow does not by itself answer questions about every OCR provider’s language coverage, privacy terms, on-device processing or price. Those are separate selection criteria that require current information for the specific tools and region under consideration. If your organization has rules about uploading confidential pages to a cloud service, check those rules before placing the source in Drive.
A practical quality checklist
Before you call the file finished, verify each item:
Free tools Windows power users keep installed
One-click scans. No signup required.
- The original image, PDF or paper source is retained.
- The input is upright, sharp, evenly lit and high contrast.
- The source is one of the documented formats: PDF, JPEG, PNG or GIF.
- The computer conversion used Open with → Google Docs, or the paper source was captured with Drive’s mobile scan function.
- The text was checked against the image, especially names, dates, amounts and symbols.
- Tables, columns, lists, footnotes and endnotes were inspected for lost structure.
- The file name and review status make clear whether the OCR has been proofread.
- The original remains available whenever the OCR text could be challenged.
Following this sequence gives you a useful OCR file without confusing machine-recognized text with a guaranteed facsimile. The computer path is best for converting an existing PDF or photo; the mobile path is best for turning paper into a searchable PDF. In both cases, image quality and a deliberate human review determine whether the result is merely searchable or dependable.
