For a durable, mostly personal “everything” knowledge base, choose Obsidian when local Markdown files, offline access, backlinks and deep customization matter most. Choose Notion when your system must also run shared databases, dashboards, permissions, publishing and integrated AI. A split setup—Obsidian for your private archive and Notion for collaborative operations—works when those jobs are genuinely different.
The decision in one minute
Start with the kind of information you expect to manage every day. If you mainly want to connect ideas, keep a long-lived research archive, journal privately and retain direct control of the files, Obsidian is the better foundation. If you want records with properties, filtered views, task boards, shared pages, permissions and a polished workspace without assembling those pieces yourself, Notion is usually the better fit.

Neither product is universally “better.” They model knowledge differently. Obsidian treats your vault as a folder of Markdown files that you can inspect with ordinary file tools. Notion treats your workspace as a managed collection of pages, blocks and databases. The first model favors ownership and connected thinking; the second favors structured operations and collaboration.
What each app actually is
Obsidian: a local Markdown vault
Obsidian stores notes as Markdown-formatted plain-text files in a vault, which is simply a folder on your device. You can open those files with other text editors, move them with a file manager and process them with scripts or other tools. The application adds backlinks, metadata, graph views, search and an extensibility layer on top of those files.

That architecture matters for an “everything” system because your archive is not trapped inside a proprietary database. If the application changes, you still have readable text files and the surrounding attachments. Obsidian describes its data as stored on your device and its notes as non-proprietary plain text. Its open API and more than 1,000 plugins let you tailor the interface and workflows, although every plugin also becomes another component to maintain.
Notion: a managed workspace of pages and databases
Notion organizes information into pages, blocks and databases inside a hosted workspace. A page can hold prose, media and nested pages; a database stores records with properties and can display those records as tables, boards, calendars, timelines or other views. Relations connect records across databases, while filters, formulas, charts and dashboards turn the same underlying data into different operational screens.
This model is especially effective when your knowledge base doubles as a project system. A book note can be a database record with an author, status, rating and tags; the same records can feed a reading dashboard. Shared blocks, guests, teamspaces, database permissions, integrations, automations and workspace-level AI are built into the product’s service model rather than assembled from local extensions.

Ownership, portability and your exit plan
Why Obsidian is easier to take with you
In Obsidian, the source of truth is the vault folder. Markdown is readable, diffable and supported by a wide range of editors and conversion tools. You can back up the folder with your normal file-backup process, keep it on multiple devices through a synchronization method of your choice, or archive a copy without needing the Obsidian application to read the text.
This does not mean every feature survives outside the app. Plugins may store settings in hidden configuration files, and some advanced views or embedded content are specific to Obsidian. Still, the core note text remains directly accessible, which lowers the risk of a difficult migration years later.
What exporting from Notion preserves—and what it may not
Notion documents export to HTML, Markdown, CSV and PDF. Those formats give you an exit route, but a workspace is more than a pile of pages. Databases include properties, relations, filters, sorts and multiple views; permissions, comments, automations and dashboard behavior also live in the hosted model. An export can preserve content while requiring reconstruction of how the workspace operates.
For a long-term archive, schedule exports and test one before you depend on it. Open the resulting files, confirm that attachments are present, and check whether relations and database views are represented in a way you can actually use. Treat the export as a migration artifact, not as a perfect clone of the live workspace.

Offline use: local-first versus selective caching
Obsidian’s default posture
Because the vault is stored on the device, Obsidian starts from an offline-capable design. You can read and edit notes on a plane, in a basement or during an outage, then synchronize changes later if you use a sync service. Your practical constraint is whether the relevant files and attachments have been copied to that device and whether your chosen synchronization method handles conflicts safely.
How Notion offline mode differs
Notion supports offline work in its desktop and mobile apps, but its documented behavior is selective. You choose pages for offline access, and the apps automatically download recent pages and favourites. A large workspace is therefore not necessarily available in full when you lose connectivity. Before a trip or a field session, open and mark the pages you need while online; verify that embedded files and linked databases behave as expected offline.
For a knowledge base that must be completely usable without a network, the distinction is decisive: Obsidian begins with local files, while Notion begins with a hosted workspace and adds offline caching.
Linking ideas versus managing records
Obsidian for a connected-note “second brain”
Obsidian’s strongest linking workflow is a note-to-note network. You can link a concept while writing, inspect backlinks to see where it is referenced, add metadata for filtering and use Graph view to explore clusters. This suits evergreen notes, literature notes, personal research, journaling and any subject where the value comes from unexpected connections.
Free tools Windows power users keep installed
One-click scans. No signup required.
A practical pattern is to keep one idea per note, give it a descriptive title, and link from broader notes to narrower ones. Backlinks then become an automatic index of context. Tags and frontmatter can add status, source or review dates without forcing every note into a rigid row-and-column schema.
Notion for structured collections
Notion links pages too, but its distinctive strength is the database record. Properties make fields explicit: status, owner, due date, source, priority, topic or rating. Relations connect one database to another, and a single collection can appear as a filtered table for editing, a board for workflow, a calendar for deadlines and a dashboard for summaries.
This is the better fit when you repeatedly ask questions such as “Which projects are blocked?”, “Which books are unread?” or “Show every contact associated with this initiative.” The answer comes from properties and views rather than traversing a graph of prose notes.

Databases, dashboards and project tracking
Choose Notion when project operations are a first-class requirement. You can create linked databases for projects, tasks, meetings and reference material; expose only the relevant fields in each view; and share a page with collaborators while controlling access. Templates reduce setup for recurring records, and integrations or automations can move information between services.
Recommended Free Tools
Obsidian can represent tasks and structured data through Markdown, metadata and plugins, but you design the system yourself. That flexibility is valuable if you enjoy tuning a workflow or need a highly personal model. It also means more decisions about schemas, plugin quality, synchronization and maintenance. If your priority is to start with a functioning project dashboard rather than build one, Notion has the shorter path.
Customization and maintenance trade-offs
Obsidian’s ceiling is high
The open API and plugin ecosystem can reshape nearly every part of Obsidian: templates, task queries, calendars, spaced repetition, publishing, diagrams and specialized editors are all possible. You can keep the interface minimal or create a highly automated environment.
The cost is operational. Plugins can conflict, change behavior after updates or become unmaintained. Keep a list of essential plugins, back up the vault and configuration, and avoid making a critical workflow depend on a single abandoned extension. Start with core Markdown, links and search; add automation only after the manual process is stable.
Notion favors configuration over assembly
Notion offers templates, integrations, automations, API features and plan-dependent AI capabilities without asking you to manage a local plugin stack. Configuration is still work—you must design properties, permissions and views—but the components share one workspace model.

You work within the features and limits of the service, and your most sophisticated workflows may depend on a paid plan or a workspace connection.
Collaboration, sharing and publishing
Notion has the clearer native team model. You can invite guests, organize people in teamspaces, collaborate on blocks, set database permissions and connect integrations. That makes it suitable for a shared team wiki, project hub, client portal or lightweight publishing workflow.

Obsidian’s official positioning centers on privacy, local ownership and extensibility. You can share Markdown files through your own process or use additional services, but the cited product material does not document an equivalent built-in team-editing experience. If simultaneous editing, comments, granular workspace access or a shared dashboard is central to the requirement, start with Notion.
Costs and plan limits
Obsidian presents its core application as free and user-supported. Sync is a separate optional service; check its current regional price and terms before subscribing because the available product information does not establish one universal figure.

Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone. How to build your system in Obsidian
- Create one vault for the durable archive. Keep the folder in a location included in your normal backup routine. Avoid scattering a single knowledge base across several unrelated vaults unless you have a clear boundary.
- Define a small note taxonomy. Start with folders such as Inbox, Projects, Areas, Resources and Archive, or use fewer folders and rely on links. The goal is a predictable capture path, not a perfect hierarchy.
- Capture in plain language. Give each durable idea its own descriptive note. Add the source, date and context in frontmatter or a short header when that information will matter later.
- Link while writing. Link names of people, concepts, projects and source notes as soon as they recur. Use backlinks to discover related material instead of creating a large manual index.
- Add metadata only for decisions you will make. Useful fields include status, review date, source type and project. Do not create properties merely because a template offers them.
- Establish a review loop. Process the Inbox on a schedule, turn temporary captures into durable notes, merge duplicates and archive finished projects. A small routine is more sustainable than elaborate automation.
- Secure synchronization deliberately. If you use an optional sync service or another file-sync method, test conflict handling with a disposable vault first and keep independent backups.
- Add plugins last. Install only what solves a demonstrated problem, record the essential list and export or back up your configuration so the system remains recoverable.
How to build your system in Notion
- Create a top-level home page. Use it as navigation, not as a dumping ground. Link to your inbox, active projects, reference databases and review views.
- Choose the databases you truly need. A practical starting set is Notes, Projects, Tasks and Sources. Add a database only when a recurring question requires structured properties.
- Design properties around decisions. For a project, that might be status, owner, priority, due date and area. For a source, it might be author, URL, topic and processing state.
- Build views for specific jobs. Create a filtered “Today” task view, an active-project board, an unread-source list and a review calendar. Name each view after the question it answers.
- Use relations sparingly. Relate tasks to projects and sources to notes when the connection supports navigation or reporting. Excessive relations make every record harder to edit.
- Set permissions before sharing. Decide which pages are private, which are team-facing and which can be edited by guests. Test access with a non-owner account.
- Prepare offline pages in advance. While connected, mark essential pages for offline use and open the pages you expect to need. Do not assume an entire workspace will be cached.
- Schedule exports. Export a representative section, open the files and verify that the resulting archive is useful before treating it as your backup plan.
When a split setup makes sense
Using both tools is reasonable when the boundaries are explicit. Keep the durable personal archive—journals, evergreen ideas, private research and long-term notes—in Obsidian. Use Notion for shared projects, team tasks, permissions, dashboards or pages that need to be published.
Define a source of truth for every information type. For example, a project status may live only in Notion, while your private project reflection lives only in Obsidian. Link or periodically summarize across the boundary instead of copying every note. Duplicate databases and mirrored notes create stale information and make maintenance harder than choosing one tool.
Common failure modes and fixes
“Everything” becomes an unsearchable dump
Symptom: You capture aggressively but cannot retrieve anything. Fix: create one inbox, process it on a fixed schedule and add links or properties only when they improve retrieval. A smaller, consistent vocabulary beats dozens of tags.
Best Value
The system is over-engineered before it is used
Symptom: You spend more time tuning templates, plugins or dashboards than recording knowledge. Fix: run a two-week minimum system with plain notes, links and one review view. Automate only a repeated task that already works manually.
Offline assumptions fail at the moment you need them
Symptom: a Notion page or attachment is unavailable without a connection. Fix: select pages for offline access while online and verify them before travel. If complete local availability is non-negotiable, keep the canonical archive in a local-file system.
A migration becomes a surprise rewrite
Symptom: exported pages lose the behavior of databases, relations or views. Fix: export early, inspect the result and document which parts are content versus workspace logic. Preserve important prose in portable formats and avoid making irreplaceable meaning depend on a single view.
What’s actually slowing this PC down?
Pick the symptom - the matching free tool is one click away.
Two tools create two conflicting truths
Symptom: the same task, status or reference appears in both apps with different values. Fix: assign ownership by information type, keep the boundary visible and copy only summaries or links that serve a clear purpose.
A practical choice by use case
| If your main goal is… | Better starting point | Reason |
|---|---|---|
| Private research archive | Obsidian | Local Markdown files, backlinks and offline access support a durable personal archive. |
| Journaling and evergreen notes | Obsidian | Connected notes and direct file ownership keep personal writing flexible and portable. |
| Reading notes with linked concepts | Obsidian | Backlinks and Graph view make relationships between ideas easy to inspect. |
| Task and project tracking | Notion | Properties, relations, filters and multiple database views answer operational questions quickly. |
| Shared team wiki | Notion | Guests, teamspaces, collaborative blocks and permissions are native workspace features. |
| Dashboards and publishing | Notion | Structured pages, views, integrations and sharing support presentation and access control. |
| Personal archive plus shared operations | Both | Each tool handles the workflow it is designed for, provided sources of truth stay separate. |
Final recommendation
Pick Obsidian if the defining promise of your knowledge base is that it remains yours: local, readable, link-rich and usable without a service connection. Pick Notion if the defining promise is that information becomes an operating system for projects and people: structured databases, dashboards, permissions, collaboration, publishing and integrated AI.
Make the choice based on the dominant workflow you will perform every week. Feature count is a poor tiebreaker; storage model, offline expectations, collaboration needs and your tolerance for maintenance are the decisions that determine whether an “everything” system remains useful after the initial enthusiasm fades.
