Choose Notion if you want a managed online workspace built around connected pages and collaboration. Neither is a universal winner. The better home for your knowledge base depends on how you work offline, how many devices you use, how you recover from mistakes, and whether you are willing to maintain a local-file workflow.
The fundamental difference: a local vault versus an online workspace
Obsidian and Notion can both hold notes, plans, reference material, and task systems, but they begin with different storage assumptions.
As an Amazon Associate I earn from qualifying purchases.
Obsidian’s core object is a vault: a folder on your device’s local file system. The notes inside are local files, and the application needs access to the whole vault for operations such as updating links when you rename a file. You can add a synchronization method, but local storage is the base model. Obsidian’s license page says the application is free for personal, commercial, and nonprofit use, while Sync and Publish are separate services (Obsidian pricing).

Which one should you choose?
Start with Obsidian when control is the deciding factor
- You want your primary notes available as ordinary files on your own devices.
- You value a storage model that is understandable without relying on a hosted database.
- You expect to keep a knowledge base for many years and want to inspect or copy it directly.
- You are comfortable selecting and maintaining a sync and backup strategy.
- You need to keep working from a local vault when an internet connection is unavailable.
- You want to choose where copies of your notes and attachments are stored.
- You may eventually move to another editor and prefer not to request a platform export first.
Start with Notion when a managed workspace is the deciding factor
- You prefer an online service that brings pages and workspaces together under one account.
- Your system is used with other people and benefits from a shared, connected workspace.
- You would rather not manage folders, synchronization tools, or local backup jobs yourself.
- Web publishing is part of how you share information.
- You want one account-level place to organize personal and shared work.
Do not decide from a feature checklist alone
Both products can be configured in many ways, and the available official material does not establish a current, complete comparison of every database, collaboration, offline, or automation behavior. Define the failure you most want to avoid first: losing direct custody of files, maintaining synchronization, being unable to work without a connection, or rebuilding a structured workspace during migration.
Storage, access, and offline work
How Obsidian stores notes
A vault is a folder on the local file system. Obsidian’s help documentation explains that you choose how to synchronize that folder across devices (Sync your notes across devices). You can therefore open the files with other tools, copy them to another drive, and include them in a backup system without first requesting an export from a service.
The trade-off is responsibility. Multi-device use is not automatic merely because the vault is local. You must choose a synchronization approach, ensure that it handles conflicts safely, and decide where independent backups will live. Giving Obsidian access to only a partial set of files can also prevent features that require the complete vault, such as link updates after a rename.
Before creating several vaults, decide whether you truly need separate boundaries. One clearly named folder is easier to sync and back up. Separate vaults can make sense for genuinely different security or ownership requirements, but they also create more locations to maintain and more chances to overlook a backup.
How Notion presents storage
Notion’s own description centers an online connected workspace. That is a useful mental model for account-based access and shared work, but it does not by itself answer every offline question. Current offline behavior, limits, and feature availability can change by app, platform, and plan; check the current Notion Help documentation before choosing Notion specifically for travel, unreliable connectivity, or a no-internet workflow.
An online workspace also changes the access question. Your practical recovery path includes the account, authentication method, device sessions, and the service’s ability to deliver your pages. Plan how you would regain access if you lose a device or change an email address, and keep an export outside the account rather than assuming that signing in is the same thing as having a backup.
A practical offline test
- List the devices on which you will read or edit your system.
- Identify the places where you regularly lose connectivity.
- For Obsidian, open the same test vault locally on each device and verify that your chosen sync method handles edits and conflicts.
- For Notion, test the exact pages and work areas you use while disconnected, then reconnect and confirm what changes are retained.
- Record which functions are essential offline; do not treat the ability to view one page as proof that your whole system works offline.
- Repeat the test with attachments, links, and your most important task or reference pages.
Privacy, encryption, and recovery
What Obsidian does and does not encrypt
Obsidian Sync uses end-to-end encryption by default when you create a new remote vault. Obsidian says it cannot access notes protected this way (Security and privacy). The encryption password is therefore part of your recovery plan: if it is forgotten or lost, Obsidian cannot make the protected remote data usable again.

The same documentation states that Obsidian does not encrypt a local vault. Local protection comes from your operating system, device encryption, account security, physical controls, and any separate encrypted backup you create. Sync encryption should not be confused with encryption of every copy of the vault.
Write down which copies are protected by which layer. A laptop’s local vault, a removable backup drive, and an encrypted Sync remote vault may have different protections. If another person can unlock the device or access an unencrypted backup, Sync’s remote encryption does not solve that exposure.
What Notion’s terms say about your content
Notion’s Personal Use Terms state that you retain ownership of User Content. They also grant Notion a non-exclusive, transferable, worldwide, royalty-free license to use, host, cache, store, reproduce, transmit, display, perform, publish, distribute, and modify content for formatting purposes, solely in connection with operating and providing the services (Personal Use Terms of Service).
That language does not say Notion owns your personal notes. It does mean that a hosted service must receive defined rights to process and deliver content. Read the current terms and privacy documentation for your jurisdiction if the material is confidential, regulated, or subject to contractual restrictions.
For sensitive material, classify what may be stored in either system before importing it. Keep credentials, recovery codes, and information covered by a client or employer agreement out of a personal workspace unless the relevant policy explicitly permits it.
Recovery is more than encryption
Ask how you will recover from accidental edits, deletion, a lost device, a compromised account, or a service failure. Obsidian’s Sync history can help with note-level rollback, but it is not a complete backup strategy.
Obsidian documents note-history retention of one month on Standard and twelve months on Plus; older attachment versions are retained for two weeks (Version history). These are plan-dependent details and may change, so verify the current limits before relying on them. Keep an independent copy of important files, and store the Sync encryption password in a secure password manager with a tested recovery route.
What’s actually slowing this PC down?
Pick the symptom - the matching free tool is one click away.
Recovery should be observable, not theoretical. Restore a few notes to a temporary location, open attachments, follow links, and confirm that filenames and dates remain understandable. For Notion, periodically open an exported workspace or page outside the account. A backup that has never been opened is an assumption, not a proven recovery path.

Portability and the cost of switching later
Obsidian’s file-level portability
Because the vault is a local folder, you can copy the files directly, inspect them outside the application, and move them to another location without converting the entire collection first. The practical portability questions are whether your future tool understands the file format, how it interprets links and attachments, and whether you have documented any plugins or conventions your workflow depends on.
Portability is strongest when the meaning is present in the files themselves. Use stable filenames, predictable attachment locations, and plain-language notes about recurring processes. If an essential workflow exists only in an undocumented plugin, a search filter, or a device-specific path, moving the folder may preserve text while losing the behavior you depended on.
Notion export is useful, but test fidelity
A Notion GDPR page says you can export a whole workspace as Markdown files in a folder or export an individual page (Notion’s GDPR information). The surfaced guidance does not establish how every database relation, view, property, or other structured behavior survives that export.
Do these 3 things before closing this tab:
1Repair Windows errors before they cause bigger problems2Fix the driver behind crashes, sound loss and screen glitches3Clear out junk files and repair common Windows errorsIf switching costs matter, perform a representative export before committing. Include a simple page, a deeply nested page, attachments, a task view, and any structured records or relationships you rely on. Open the exported files outside Notion, check links and filenames, and decide which information would need manual reconstruction.
Do not wait until you have years of material. A small test reveals whether your preferred destination can interpret the exported structure and whether your naming conventions make sense outside the workspace. Keep the original data untouched until the destination has been audited.
Migration test checklist
- Export a small but representative workspace or vault.
- Verify that headings, links, images, attachments, and dates remain intelligible.
- Check whether structured records become usable files or merely flattened text.
- Measure the manual work required to rebuild views, relations, templates, and permissions.
- Keep the original data untouched until the destination has been audited.
- Record which items were intentionally excluded so the export is not mistaken for a complete archive.
Sync, backup, and multi-device setup
Designing an Obsidian setup
- Create one clearly named vault folder for the knowledge base rather than scattering notes across unrelated locations.
- Choose a synchronization method for the devices you actually use. Obsidian documents available approaches in its sync guide (Sync your notes across devices).
- If you use Obsidian Sync, recognize that end-to-end encryption is the default for a new remote vault, and store the encryption password securely before adding irreplaceable notes.
- Open the vault on each device and test a new note, a rename, an attachment, and a change made on two devices.
- Configure a separate backup that can restore an earlier folder state; do not count synchronization alone as backup.
- Periodically perform a restore drill to a temporary folder so you know the backup is readable.
- Document which device is the authoritative starting point if a conflict appears.
Designing a Notion setup
- Define the workspace hierarchy before importing years of material: identify reference areas, active projects, and archive boundaries.
- Decide which pages are private, shared, or intended for web publication.
- Check the current account plan for storage, collaboration, export, and access limits that affect your design.
- Test the pages you need on each device and under the connectivity conditions you expect.
- Schedule periodic workspace exports and keep at least one copy outside the account.
- Open a sample export after each major redesign to ensure that your recovery path still works.
- Maintain a short map of important pages, databases, and relationships so a flat export can still be interpreted.
Workflow design for a personal knowledge base
Use the tool’s strengths deliberately
With Obsidian, make the vault’s folder structure, filename conventions, link style, and attachment locations explicit. A simple convention is easier to migrate and repair than a system that depends on undocumented plugins or one device’s paths. Keep project notes, reference notes, and daily captures distinguishable so that a future tool can import them selectively.
With Notion, document how pages, shared areas, and structured records relate to one another. Treat the workspace’s navigation and permissions as part of the system, not as decoration. If a view or relation is essential, record what it means in plain language so an export remains understandable even if the interactive behavior is lost.
Separate capture from maintenance
Choose one fast inbox for uncategorized ideas, then schedule regular processing. The capture location can be a note in a local vault or a page in an online workspace; the important decision is that every item has a defined next step: link it, file it, turn it into a task, or delete it.

Keep the inbox deliberately small. A system that can capture everything but never revisits it becomes an archive of unfinished decisions. During a weekly review, identify stale items, add missing context, and move completed material to a stable reference location.
Keep the system recoverable
- Use stable titles and dates rather than ambiguous names such as “new note.”
- Store context inside the note or page instead of relying only on a view or search filter.
- Document recurring processes in plain text.
- Review old links and attachments on a schedule.
- Practice restoring a small sample before an emergency.
- Keep a short inventory of critical pages, folders, and attachments.
Collaboration, publishing, and personal boundaries
Notion explicitly presents its service as a connected workspace for collaboration and web publishing. If several people edit the same material, assess the current sharing, permission, and publishing behavior in the product documentation rather than assuming that a personal setup and a team setup are interchangeable.
Obsidian can remain a personal source of truth while selected material is shared through an additional service, but that introduces another boundary to document. Decide which copy is authoritative, how edits return to the main vault, and what happens when a published page is outdated. Do not let a public or shared copy become the only copy of an important note.
For a strictly personal system, collaboration may be irrelevant and local control may dominate the decision. For a household, study group, or project team, shared editing and account access may outweigh the convenience of ordinary files. Write down that priority before comparing plans.
Costs and plan questions
Obsidian’s core application is free for personal, commercial, and nonprofit use according to its license page. Sync and Publish are additional services, and the current price and plan limits should be checked on the live Obsidian pricing page. The same page is the appropriate source for current allowances rather than an old comparison article.
There is no verified current Notion personal-plan price or limit in the material summarized here. Check Notion’s live plan table before budgeting, especially if your system depends on collaboration, file uploads, export controls, or advanced workspace functions. Treat promotional prices, regional currency, and annual-versus-monthly billing as separate questions when comparing total cost.
Calculate total cost over the period you expect to use the system. For Obsidian, include any Sync or Publish subscription and the cost of your independent backup method. For Notion, include the plan required for the people, storage, publishing, or export functions you actually need. Also price the cost of your time: resolving sync conflicts, maintaining backups, or rebuilding structured pages after a migration.

A decision framework you can apply in 15 minutes
- Rate storage control. If direct access to files is non-negotiable, give Obsidian the advantage. If account-based convenience matters more, give Notion the advantage.
- Rate offline dependence. Test the exact workflow rather than relying on assumptions about either product.
- Rate collaboration. If several people edit the same workspace, evaluate permissions and shared workflows in the current product documentation.
- Rate portability. Inspect an Obsidian vault directly or run a representative Notion export and check what survives.
- Rate maintenance tolerance. Obsidian asks you to own sync and backup decisions; a hosted workspace reduces that local administration but makes you dependent on account access and service behavior.
- Rate recovery. Identify where the encryption password, account recovery method, independent backup, and export are kept.
- Run a failure rehearsal. Restore a backup, recover a deleted note, and open your data on a second device before migrating everything.
Choose the product that passes your highest-risk test, not the one with the longest feature list. You can build a productive personal system in either environment; the durable difference is who controls the underlying storage and how confidently you can recover it.

Frequently Asked Questions
Is Obsidian or Notion better for a personal knowledge base?
Obsidian is the stronger starting point when local files, direct storage control, offline access, and portability matter most. Notion is a better candidate when you want a managed online workspace, shared pages, and web publishing. Test your highest-risk workflow instead of assuming one is universally better.
Does Obsidian work offline?
Obsidian’s vault is stored locally, so the core files reside on your device. You still need a deliberate method to synchronize changes between devices, and you should test conflict handling. Obsidian Sync says users can work offline and sync later.
Does Notion have offline mode?
Offline behavior and limits can vary by app, platform, and plan. Check current Notion Help documentation and test the exact pages, attachments, and edits you need before relying on Notion without a connection.
Recommended Free Tools
Are Obsidian notes encrypted?
Obsidian does not encrypt a local vault itself. Obsidian Sync uses end-to-end encryption by default for a new remote vault, but losing the encryption password makes the protected remote data unusable to you and to Obsidian.
Can I export Notion to Markdown?
Notion’s GDPR information says a whole workspace can be exported as Markdown files in a folder, or an individual page can be exported. Test your own export because the available guidance does not establish how every database relation, view, property, or other structured behavior survives.
Is Obsidian free, and does Notion cost money?
Obsidian’s core application is free for personal, commercial, and nonprofit use; Sync and Publish are separate services. Check both vendors’ live pricing pages for current plans, limits, regional currency, and billing terms rather than relying on older figures.
Should Sync count as my Obsidian backup?
No. Sync and version history can help recover changes, but keep an independent backup that can restore an earlier folder state. Perform a restore drill and verify that notes and attachments open correctly.

The Bottom Line
Bottom line: Obsidian puts a personal knowledge base in a local folder and gives you direct responsibility for syncing, backups, and device protection. Notion centers an online connected workspace and can suit people who value managed access, collaboration, and publishing. Choose after testing offline work, recovery, export fidelity, and total cost for your actual system—not after comparing feature names.
