New Outlook spell check vs. Microsoft Editor: what’s the difference?

By Freedom251 Team · · 12 min read

Short answer: In New Outlook, “spell check” is one part of Microsoft Editor. Editor is the broader review interface that can flag spelling, grammar, and stylistic issues while you compose an email. They are not two competing products or separate checkers.

You can review issues as underlined text in the message or open the Editor pane for a categorized list. The exact suggestions depend on the proofing language and which features are available for that language and account.

Why the two names cause confusion

People often search for a New Outlook “spell check” command because older Outlook versions presented spelling as a distinct command. New Outlook instead directs you to Editor when you want to review a message. The spelling function still exists, but it appears within the same review experience as grammar and style checks.

That distinction matters when you are trying to fix one typo, review a complete message, change the language used for checking, or use a screen reader. Choosing Editor does not mean that a spelling-only check has disappeared; it means spelling is handled as one category inside a larger tool.

It also explains why two people can describe the same action differently. One person may say they are “running spell check” after selecting an underlined word. Another may say they are “opening Editor” because they used the pane. In New Outlook, both descriptions can refer to the same proofing system, viewed at different levels.

New Outlook spell check and Editor compared

Aspect Spell checking in New Outlook Microsoft Editor in New Outlook
Scope Spelling issues only. Spelling plus grammar and stylistic suggestions, where supported.
Where you work Underlined words or phrases in the message body. Underlined items in the message and the Editor pane.
Review method Select an underlined item to see available corrections. Open Editor, select a category, and work through suggestions.
Controls Accept or ignore an individual spelling suggestion. Accept a change, choose Ignore Once, or turn off a suggestion type in Editor settings.
Language Uses the proofing language selected for the draft. Lets you manage spellcheck languages through Editor Settings; the choice applies to that draft.
Availability Basic spelling support depends on the language. Grammar and refinement capabilities differ by language; not every language receives the same set of checks.
Accessibility Spelling suggestions can be reached through the Editor workflow. Microsoft documents a screen-reader sequence that moves from spelling to grammar suggestions.
Best use Fast correction of a visible typo. A systematic pass through spelling, grammar, and available style categories.
Effect of changing settings Changing the proofing language affects the current draft. Editor settings can also disable a suggestion type, while leaving other categories available.

The table describes one New Outlook workflow at different levels of detail: “spell check” names the narrow task, while Editor names the interface and the wider set of checks.

When a quick spelling check is enough

If you are sending a short note with familiar vocabulary, you do not have to open every category. Select an underlined word in the message body, inspect the proposed replacement, and accept it only if it matches your meaning. This is often faster than opening the pane for a one-word correction.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Inline review is also useful for terminology that should remain unchanged. Names, product codes, abbreviations, and industry terms can look unusual to a general dictionary. Use Ignore Once when the word is correct in this message. Ignoring one occurrence does not mean you have disabled all spelling checks.

How to spell-check an email in New Outlook

Run the review after you have opened the message you intend to send. The labels can appear in different places depending on your ribbon configuration.

  1. Open the draft. Start a new message or open an existing draft in the New Outlook compose window.
  2. Open Editor. Select Editor, then choose Open Editor. With some ribbon layouts, Editor is in the Message tab’s Proofing group. In the simplified ribbon it may be inside the overflow menu, while the classic ribbon layout can show an Editor icon directly.
  3. Choose Spelling. The pane groups issues by category. Select the spelling category to review spelling findings first.
  4. Apply or dismiss each suggestion. Select a proposed change to accept it, or use Ignore Once when the flagged word is intentional in this message.
  5. Check the message body as well. Spelling and other findings may be underlined inline. Selecting an underlined item exposes the available changes without requiring you to stay in the pane.
  6. Continue through the other categories if needed. Select Grammar or a stylistic category when you want a broader review than spelling alone.

New Outlook displays the number of suggestions below the composition area. If that count is distracting, Microsoft provides an option to hide it from the Editor menu. Hiding the count does not turn off checking; it only removes the visible total.

Do not assume that a message with zero spelling suggestions is error-free. It may still contain grammar or style findings, and a correctly spelled word can still be the wrong word for the sentence. Conversely, a style suggestion is optional: Editor is proposing an edit, not silently rewriting your message.

What the Editor pane adds beyond a spelling check

Category-by-category review

The pane separates findings into spelling, grammar, and stylistic groups. This lets you correct obvious typing errors first and then decide whether to address wording or sentence-level suggestions. A message can therefore have no spelling findings while still showing grammar or style suggestions.

Individual decisions instead of automatic rewriting

Editor presents a proposed change for your review. Accepting it changes the draft; choosing Ignore Once leaves that occurrence unchanged. These controls are useful for names, product terms, abbreviations, and other words that may be valid even though they are uncommon in a general dictionary.

Turning off a suggestion type

If a category or suggestion type is not useful for your writing, open Editor settings and disable that type. This is different from ignoring one word: disabling a type changes whether that class of suggestion is presented in the review experience.

How to change the proofing language in New Outlook

Use the language controls when an email contains another language or when New Outlook is checking words against the wrong dictionary. Microsoft’s documented path is within the composing message, not a permanent global switch for every future draft.

  1. Open the email draft in the New Outlook compose window.
  2. Open Editor and then open Editor Settings.
  3. Select Manage spellcheck languages.
  4. Add the language you need and select it for the current proofing task.
  5. Allow the draft to be rechecked. Existing underlines and suggestions should be evaluated again using the selected language.

Microsoft states: “The proofing language selection that is done within email composition will only apply to that specific email draft.” In practice, set the language again when another draft needs different proofing. Do not assume that adding a language to one message changes the default for all new messages.

That draft-specific behavior is an important pitfall for multilingual teams. If you open a second message and its words are flagged under the wrong dictionary, repeat the language steps in that draft instead of expecting the setting from the first message to carry over.

Language support is not identical across Editor

Editor’s capabilities vary by language. Microsoft’s availability information distinguishes basic spelling support from context-sensitive spelling, grammar, and refinement features. A language may have a dictionary and spelling suggestions without receiving the same grammar or style refinements available in English or another fully supported language.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Consequently, the absence of a grammar or refinement suggestion does not necessarily indicate that Editor is malfunctioning. Check the current language availability information for the specific language before troubleshooting the application. Avoid using the feature set shown for one language as a promise about another.

Mixed-language messages can be particularly difficult. A single draft may contain a product name, a quotation, or a paragraph in another language. Review the underlines in context, and select the proofing language that matches the text you are checking. A dictionary mismatch can create many false flags without indicating that the words themselves are wrong.

Screen-reader workflow

Microsoft documents a keyboard and screen-reader sequence for New Outlook. The workflow is designed to let you move through findings without relying on visual underlines.

  1. Open Editor from the message compose window.
  2. Choose the Spelling category.
  3. Step through the spelling suggestions and accept or dismiss each one as appropriate.
  4. Move to the Grammar suggestions when you want to continue the review.

Microsoft says this procedure was tested with Narrator, JAWS, and NVDA. That is Microsoft’s stated compatibility testing, not a guarantee that every configuration will expose identical controls. Microsoft 365 features can also roll out gradually, so an account or tenant may not show every interface element at the same time.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

If you are helping a colleague who uses a screen reader, describe the workflow as Editor followed by a category, rather than telling them to find a visual squiggly underline. The pane is the documented route for moving through spelling and then grammar findings with assistive technology.

New Outlook is not the same workflow as classic Outlook

Do not use instructions written for classic Outlook as if they describe New Outlook. Microsoft documents a separate older workflow in which classic versions may use Review > Spelling & Grammar. New Outlook’s documented route is the Editor button and its Open Editor command.

If a help page tells you to look for Review > Spelling & Grammar and that command is missing, first confirm which Outlook experience you are using. A different ribbon, account, or rollout stage can also change where Editor appears, but the underlying distinction remains: New Outlook places the review in Editor rather than presenting the classic command as the primary path.

Subscription and feature boundaries

Basic spelling in New Outlook should not be described as requiring a Microsoft 365 subscription in every case. Microsoft’s general Editor overview associates advanced grammar and style refinements, including clarity and conciseness suggestions, with a Microsoft 365 subscription. That overview covers Editor across documents, mail, and the web; it does not establish the exact entitlement for every New Outlook account or every combination of feature and language.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Use the spelling workflow that your account exposes, and treat advanced refinements as conditional. The presence of an Editor pane does not by itself prove that every premium refinement is enabled, and the absence of a refinement does not prove that spelling support is unavailable.

Troubleshooting common problems

Editor is not visible

  • Check the Message tab’s Proofing group.
  • Open the simplified-ribbon overflow menu if the button is not shown directly.
  • Look for the Editor icon when using a classic ribbon layout.
  • Remember that Microsoft 365 features are released gradually; your account may not yet display every feature described in support documentation.

The wrong words are being flagged

Open Editor Settings, use Manage spellcheck languages, add or select the language needed for the draft, and allow the message to be checked again. Because the selection is draft-specific, repeat the process for another message when necessary.

Grammar or style suggestions are missing

Confirm which category you opened and which language is assigned to the draft. Language support is uneven: not all languages have the same grammar, context-sensitive spelling, or refinement coverage. A spelling result alone cannot be used to infer that every other Editor category is available.

A language disappears or the order changes unexpectedly

Microsoft recorded a New Outlook proofing-language settings problem that could change the default language or reorder or remove added languages. Microsoft says a service-side fix resolved that issue worldwide in December 2024; the notice was last updated January 29, 2025. Treat this as historical troubleshooting context. If a similar symptom appears now, verify the current service status and account behavior rather than assuming the 2024 incident is still active.

The suggestion count is distracting

The count appears below the composition area and can be hidden from the Editor menu. This changes the display of the total, not the checking behavior or the contents of the draft.

A suggested replacement changes the intended meaning

Do not accept every proposal automatically. Read the full sentence, especially when the message includes names, technical terms, abbreviations, or words borrowed from another language. Choose Ignore Once when the original is correct, or leave the text unchanged and continue reviewing other findings.

A practical pre-send routine

For a short message containing only familiar words, selecting an underlined item may be enough. For an important or multilingual email, use a complete pass:

  1. Open Editor and review the Spelling category.
  2. Resolve or intentionally ignore each flagged word.
  3. Check the proofing language and change it if the draft contains another language.
  4. Review Grammar and any available style categories.
  5. Read the final message yourself. Editor suggestions are recommendations, so retain wording that is correct for your audience, terminology, or context.

This routine keeps the narrow spelling task separate from optional stylistic decisions without treating them as separate applications. It also gives you a chance to catch problems Editor cannot judge from a dictionary alone, such as an incorrectly spelled person’s name that happens to form another valid word.

Frequently asked questions

How do I spell check an email in New Outlook?

Open the draft, select Editor, choose Open Editor, and select Spelling. You can also select an underlined word directly in the message body. Accept a proposed correction or choose Ignore Once when the wording is intentional.

Is Microsoft Editor the same as spell check?

No. Spell check describes the spelling portion of the review. Microsoft Editor is the broader New Outlook interface that contains spelling along with grammar and, where supported, stylistic suggestions.

How do I change the proofing language in New Outlook?

In the draft, open Editor and Editor Settings, select Manage spellcheck languages, add or choose the language, and let the draft be checked again. The selection applies only to that specific email draft.

Why can’t I find Review > Spelling & Grammar?

That path belongs to documented classic Outlook workflows. New Outlook uses Editor and Open Editor instead. Also check whether your ribbon is simplified or whether the feature is still rolling out to your account.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Can I turn off grammar suggestions but keep spelling?

Editor settings let you turn off a suggestion type. That is different from ignoring one word and allows you to keep the categories that are useful for your writing.

Does every language get the same Editor features?

No. Spelling, context-sensitive spelling, grammar, and refinement coverage differs by language. Consult Microsoft’s current language availability information for the language in your draft.

Is a Microsoft 365 subscription required for spell check?

Do not assume that basic New Outlook spelling always requires a subscription. Microsoft associates some advanced grammar and style refinements with Microsoft 365, but exact entitlements vary by account, feature, and language.

Why does Editor show a suggestion count?

New Outlook displays the count below the composition area. You can hide it from the Editor menu; hiding the number does not disable checking or remove the findings.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Bottom line

In New Outlook, spell check is a capability inside Microsoft Editor. Use the underlined text for a quick correction or open Editor for categorized spelling, grammar, and style review. Set the proofing language from Editor Settings for each draft that needs it, and remember that language support, advanced refinements, accessibility controls, and interface labels can vary by language, account, ribbon layout, and rollout stage.

Frequently Asked Questions

What is the difference between New Outlook spell check and Microsoft Editor?

Spell check is the spelling portion of the review. Microsoft Editor is New Outlook’s wider interface for spelling, grammar, and supported style suggestions.

How do I spell check an email in New Outlook?

Open the draft, choose Editor, select Open Editor, and then choose Spelling. You can also select underlined words inline.

How do I change the proofing language?

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Why is the classic Spelling & Grammar command missing?

New Outlook uses Editor instead of the classic Review > Spelling & Grammar route. Ribbon layout and gradual feature rollout can also affect where Editor appears.

Can I disable only grammar or style suggestions?

Yes. Editor settings let you turn off a suggestion type while leaving other categories, such as spelling, available.

Does Editor support every language equally?

No. Spelling, context-sensitive spelling, grammar, and refinement capabilities vary by language.

Do I need Microsoft 365 for basic spell check?

Basic New Outlook spelling should not be treated as universally subscription-only. Microsoft associates some advanced grammar and style refinements with Microsoft 365, with exact availability depending on account and language.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Can I hide the Editor suggestion count?

Yes. The count below the composition area can be hidden from the Editor menu without turning off checking.

The Bottom Line

New Outlook does not offer spell check and Microsoft Editor as competing products. Spell check is one Editor category; use inline underlines for a quick fix and the Editor pane for a full review. Proofing language choices are draft-specific, and language support, subscriptions, accessibility features, and interface placement vary.
