New Outlook backup FAQ: what is saved, where it is stored, and what to back up

New Outlook for Windows can keep three different kinds of copies: the provider’s server mailbox, a limited local offline cache (including an OST for supported accounts), and a separate PST export or archive. They are not interchangeable. Your account type determines which copy is authoritative and which file you must preserve.

Start with the account type

Before deciding what to back up, identify how the account is configured in New Outlook for Windows. Open the Settings gear, choose Accounts, then Email accounts, and inspect the account and provider details. The important distinction is whether the mailbox is server-backed or whether the account stores its data locally in a PST.

  • Microsoft 365 and Exchange: messages and other mailbox items are normally held on the organization’s server.
  • Outlook.com: the mailbox is held on Microsoft’s servers.
  • POP: account data is stored in an Outlook Data File with the .pst extension on the computer.

Names and policies can vary in an employer or school account. A server mailbox may be subject to retention, legal hold, deletion, or recovery rules controlled by an administrator. If losing a message would have business, legal, or compliance consequences, ask the administrator which recovery and retention policy applies; a personal export is not a substitute for that policy.

What “backup” means in New Outlook

Storage layer What it contains How it behaves What you should do
Provider or organization mailbox The live mailbox for supported Microsoft 365, Exchange, and Outlook.com configurations Server-backed and synchronized to devices; recovery depends on the provider and any administrator policy Confirm retention and recovery arrangements; export items when you need an independent copy
New Outlook offline cache Selected folders and a limited date range of email Local data used to read and work while disconnected; its size is constrained by device storage Use it for offline access, not as your only backup
OST file A synchronized offline data file for certain server-backed accounts Represents a working copy of information that remains on the server; it can normally be recreated by synchronization Do not treat copying the OST as your backup plan
PST file POP account data, archives, or items exported from a mailbox; attachments can be included Independent local data that does not automatically mirror a server mailbox Protect PSTs containing unique or older material and store exports somewhere recoverable

The practical test is simple: if the computer disappeared, could you obtain the same data by signing in and synchronizing again? If yes, you are probably looking at a server-backed copy or an OST. If the only copy is a PST on that computer, that file needs deliberate protection.

New Outlook offline mode: useful cache, not an independent backup

Microsoft Support says, “Offline is turned on by default in new Outlook for Windows.” Offline mode saves selected folders and a chosen window of email on the device so you can read and work without an internet connection. It is a convenience and continuity feature, not a second, complete mailbox.

How much email is kept offline

New Outlook offers retention choices of 7, 30, 90, or 180 days. Microsoft identifies 30 days as the default. The setting describes how much recent email is cached locally; it is not a promise that messages can be restored after deletion, account loss, or device failure. Available device storage can further limit how much data is retained.

Older messages outside the selected window may still exist safely in the server mailbox while being unavailable offline. A folder can therefore look incomplete when disconnected even though the online mailbox is intact.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Changing the offline window

  1. Connect to the internet and open New Outlook for Windows.
  2. Open Settings (the gear icon).
  3. Go to the account and offline-data settings. Look for the control describing how much email is available offline.
  4. Select 7, 30, 90, or 180 days, then allow synchronization to finish.
  5. Reconnect and verify that the folders and date range you need are available before relying on offline access.

Increasing the window can consume more local storage. It still does not create an export that can be opened independently of the account.

OST files: why Microsoft says they generally do not need backup

An OST (Offline Outlook Data File) is associated with supported server-backed accounts. It lets Outlook maintain a synchronized working copy while you are offline and then reconcile changes when connectivity returns. The authoritative data remains on the server.

Microsoft Support states: “It isn’t necessary to back up an offline Outlook Data File (.ost), because it’s already a copy of the live information on the server.” If an OST is damaged or removed, Outlook can normally create a new one and download the mailbox again after you sign in. That process can take time and may be affected by the server’s retention rules, but copying the OST itself does not provide the same protection as an export.

There are exceptions to the assumption that every Outlook file is an OST. POP accounts use PST storage, and a separately created archive PST may contain messages that are no longer on the server. Identify the extension and the account before deleting or replacing any data file.

PST files: the local data you may need to preserve

A PST (Personal Storage Table, also called an Outlook Data File) can be the primary store for a POP account, a manually created archive, or an export of mailbox items. Unlike an OST, it can contain the only remaining copy of older or locally managed information.

What a PST export can include

Microsoft’s current New Outlook PST support information says mailbox export to PST is available for email, calendar, contacts, and tasks. Export creates a copy; it does not remove the original items from the mailbox. Attachments can be included with exported messages.

A PST is not a complete copy of every Outlook setting. Microsoft lists metadata that is not exported, including:

  • Folder properties
  • Message rules
  • Blocked-sender lists

Therefore, a PST is best understood as an item archive, not a full recreation of the Outlook installation, account configuration, rules, or security settings.

How to protect an existing PST

  1. Close Outlook before copying or moving the file so it is not being written to.
  2. Find every PST used by the account or archive. In Outlook’s data-file or account settings, note each file’s location and name.
  3. Copy the PST to a separate storage location, such as an external drive or an organization-approved backup system.
  4. Keep at least one copy disconnected from the computer when practical, and protect it with the access controls required for the messages it contains.
  5. Periodically check that the copy opens or can be restored on a test machine or test profile.

An external SSD or hard drive can hold a PST, but buying a drive does not create the export or identify hidden archive files. Capacity depends on the size of the PSTs you actually have.

Exporting mailbox content to PST

New Outlook and classic Outlook do not expose identical menus. Microsoft’s detailed, menu-by-menu backup procedure is documented for classic Outlook, while the current New Outlook support page separately describes PST export. Do not assume that a classic-Outlook walkthrough applies unchanged to the new app.

Classic Outlook procedure documented by Microsoft

  1. Choose File.
  2. Select Open & Export, then Import/Export.
  3. Choose Export to a file and select Outlook Data File (.pst).
  4. Select the folder or mailbox content to export and include subfolders when appropriate.
  5. Choose the destination, filename, and any duplicate-item option shown by the wizard.
  6. Finish the export, then copy the resulting PST to your protected storage location.

New Outlook compatibility checks

In New Outlook, use the PST export command available in your installed build and confirm the account and item types it supports before starting. Microsoft documents separate actions for opening, importing, and exporting PST files; availability of one does not guarantee availability of the others.

  • Microsoft lists limitations in its PST support material, including lack of PST support in the ARM version of New Outlook.
  • Some opening or importing paths require classic Outlook or a qualifying account setup.
  • Export support is described for email, calendar, contacts, and tasks; verify the current support page if you need another item category.

If the command is missing, do not rename an OST to PST or copy an offline cache and call it an export. Use a supported version of the app, switch to classic Outlook where Microsoft requires it, or ask your administrator which export route is approved.

What to back up for each account scenario

Microsoft 365 or Exchange mailbox

  • Confirm who controls retention, deleted-item recovery, and any legal-hold policy.
  • Do not spend your backup effort copying an OST; it is a synchronized working file.
  • If you need a portable or independently held copy, export the required email, calendar, contacts, and tasks to PST where your version supports it.
  • Store the PST outside the computer and protect it like the sensitive mailbox data it contains.

Outlook.com mailbox

  • Keep the account credentials and recovery methods current so the server mailbox remains accessible.
  • Use offline mode for disconnected work, understanding that its date window is limited.
  • Export important content to PST when you need an independent copy, and verify that the export completed.

POP account

  • Locate the PST that holds the account data; it may be the primary copy rather than a convenience cache.
  • Close Outlook before copying it and retain more than one recoverable copy.
  • Do not delete or replace the file until you have confirmed that the protected copy contains the required messages and attachments.

Archive PST

Preserve any archive PST containing older, unique, or legally important material. A server mailbox export may not recreate the same archive structure or local-only items, and a new PST export does not automatically include every separate archive file.

Why OneDrive synchronization is not a complete PST backup plan

Microsoft warns that a large PST stored in OneDrive can slow synchronization and can trigger processing or file-in-use behavior. Synchronization also mirrors changes: a deletion, corruption event, or incomplete upload can be propagated rather than providing a clean historical recovery point. Keep the PST in a location that your chosen backup system handles reliably, and retain an independent copy instead of assuming that cloud synchronization alone guarantees restoration.

Common mistakes and recovery decisions

“My offline folders are visible, so I have a backup.”

Offline folders are a selected, time-limited cache. Reconnect to the server to obtain the full mailbox, then export the items you need for an independent copy.

“I copied the OST, so the mailbox is protected.”

An OST is normally rebuildable from the server and may not contain the full history selected for offline use. Confirm the account type and export to PST if you need a portable archive.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

“Every Outlook account stores mail on Microsoft’s servers.”

That is too broad. Microsoft 365, Exchange, and Outlook.com configurations are server-backed in the described setups, while POP data is stored in a PST. Check the account before choosing a backup method.

“The PST contains all Outlook settings.”

It contains exported items and attachments, but not every setting. Recreate or document rules, folder properties, and blocked-sender lists separately if they matter to your workflow.

“The export option is missing, so the data is gone.”

First check the app edition and architecture. New Outlook’s PST capabilities differ from classic Outlook, and Microsoft lists ARM limitations. The mailbox may still be available online even when a particular export command is unavailable.

A practical backup checklist

  • Record whether each account is Microsoft 365, Exchange, Outlook.com, POP, or another configuration.
  • For server-backed accounts, identify the administrator or provider retention and recovery policy.
  • Set the offline window for the work you genuinely need without a connection; choose from 7, 30, 90, or 180 days and account for device storage.
  • List every PST, including POP data files and separately opened archives.
  • Export required mailbox items to PST using the command supported by your current New Outlook or classic Outlook version.
  • Copy PST files to protected storage and keep an independent copy.
  • Test that a PST copy can be opened or restored before treating the job as complete.
  • Review the process after account, app, or organization-policy changes.

Bottom line

The server mailbox is the authoritative copy for supported Microsoft 365, Exchange, and Outlook.com accounts; New Outlook’s offline cache and OST are synchronized working copies; and a PST is the deliberate local copy used for POP data, archives, or exports. Back up the PSTs that contain unique information, export server mailbox items when you need an independent archive, and do not mistake offline storage or an OST for a standalone backup.
