Fix the driver behind crashes, sound loss and screen glitchesFind Drivers →Repair Windows errors before they cause bigger problemsFix Now →Scan for outdated or missing drivers - takes under a minuteDriver Scan →When several people share one free agent runtime, the server is rarely the problem. The problem is that nobody can say who changed what, which inputs produced a given sandbox artifact, or whether anyone else is using the machine right now. The fix is a single wiki page that names a Pin Owner, defines a short roster, and requires one pin record for every run you want to review or reproduce later.
The approach below comes from a DEV Community article by the account devx_6522 that proposes this exact one-page SOP. The full article could not be retrieved, so the details here rest on its visible summary text, supplemented by GitHub’s own documentation on pinning runtimes and actions. The specific fields are a practical proposal, not a standard mandated by GitHub or any regulator, and you should adapt them to your team’s risk.

What the one-page SOP has to answer
A useful shared-runtime page answers six questions without requiring anyone to ask in chat:
- Who currently owns the pin record and who rotates it?
- When does the next rotation happen?
- How do I request and record a window on the shared server?
- Which immutable inputs and identifiers must I capture?
- Where does the run ticket and the artifact live?
- Who reviews a change before it is promoted?
If the page cannot answer one of these in a sentence or two, it is not yet a SOP. It is a note.

The roster: four named roles
The proposed roster is a weekly rotation with four roles and a next-rotation date. Each role is held by a named person, not a team alias, so that a question on the ticket has an obvious recipient.
Pin Owner
The Pin Owner maintains the pin record and is the person who answers for the current state of the shared runtime. This is the role the title names. In the proposal, the owner’s name is written into the PIN_OWNER environment field, and it must match a real roster entry.
Transcript Owner
The Transcript Owner keeps the run logs and transcripts attached to the ticket for each artifact. Separating this from the Pin Owner means that the person who changes the runtime is not also the only person who can show what it produced.

Promotion Gate
The Promotion Gate is the reviewer who approves moving an artifact or a runtime change from shared testing into anything downstream. The gate is deliberately separate from the person who performed the run.
The pin record: fields to capture
The proposal says a pin record should identify the prompt pack, input pack, Git SHA, and occupancy window associated with a sandbox artifact. In the article’s words: “A pin records which prompt pack, input pack, git SHA, and occupancy window produced a sandbox artifact.” The table below expands that into fields a reviewer can check.
| Field | What to record | Why a reviewer needs it |
|---|---|---|
| Prompt pack | Directory path plus a content hash or commit reference for the frozen prompt files | Shows which instructions the agent actually received |
| Input pack | Directory path plus a content hash or commit reference for the frozen input files | Lets someone rebuild the same inputs later |
| Git SHA | The full commit SHA of the repository used for the run | A SHA identifies exact code, while a branch name moves |
| Occupancy window | Start and end time in UTC, plus the ticket ID that reserved it | Explains whether another run could have affected the server state |
| Runtime version | Exact interpreter version (for example, a full Python patch version) and any pinned action or package SHAs | Prevents silent changes in the environment underneath the code |
| Artifact location | Path or URL of the produced artifact and the run transcript | Connects the record to the thing being reviewed |
The table is a proposed field set. Teams with different storage or compliance needs may record the same information in other forms, but the reviewer should still be able to find each item.
Do these 3 things before closing this tab:
1Fix the driver behind crashes, sound loss and screen glitches2Clear out junk files and repair common Windows errors3Scan for outdated or missing drivers - takes under a minuteRequesting and recording a server window
The article’s visible excerpt gives the core of this procedure: freeze the prompt and input directories before occupying the shared server, record the contention window in both the ticket and the CONTENTION_WINDOW field, and set PIN_OWNER to a real roster name. The sequence below turns that into steps. The ordering is ours, built from the proposal.

- Check the wiki roster and confirm the current Pin Owner and Contention Owner.
- Open a ticket for the run and state the requested window with a start and end time in UTC.
- Wait for the Contention Owner to confirm the window. Do not occupy the server on an unconfirmed slot.
- Freeze the prompt pack and input pack directories so that nothing changes while the run is in progress. Record their hashes or commit references in the ticket.
- Set
PIN_OWNERto your roster name andCONTENTION_WINDOWto the confirmed window, then occupy the server. - When the run finishes, record the Git SHA, the artifact location, and the transcript location on the ticket, and release the window.
If a run overruns its window, the Contention Owner must be told on the ticket before the next user starts. A silent overrun is the most common way a pin record becomes wrong, because the next run inherits a server state nobody documented.
Pinning the runtime
A pin record is only as good as the runtime it describes. On GitHub Actions, the runtime can drift without any edit to your repository, so the SOP should require explicit selection.
Python on GitHub-hosted runners
GitHub recommends using the setup-python action to select a Python version explicitly, and says this supports consistent behavior across runners. Its documentation warns that the default Python version on GitHub-hosted runners varies, which can cause unexpected changes or leave a job running an older version than intended. Two policies are reasonable:
- Exact patch reproducibility: pin a precise version such as a full three-part Python release, and record it in the pin record. Upgrades then happen through a deliberate change with its own review.
- Accepted patch updates: allow the maintained minor version to receive patch updates, but write that policy on the wiki page so reviewers know the runtime is not frozen to a single patch release.
What the SOP should not do is leave the Python version implicit. Either choice is defensible; an unstated one is not.

Agent packages and action references
GitHub Agentic Workflows documentation describes an apm.lock file that pins each agent-package dependency to an exact commit SHA, and says lock-file diffs appear in pull requests for review. The compilation guide also says GitHub Actions can be pinned to commit SHAs, recommends committing the action-to-SHA lock map to the repository, and directs teams to the documented update and compile workflow for refreshes. Use these records as the reviewable trail: when a SHA changes, the diff shows it, and the Promotion Gate can see it.
These mechanisms record what the repository asked for. They do not prove that every input, external service, or piece of state on the shared server is reproducible. The pin record exists to cover that gap, which is why the prompt and input pack fields are required even when the lock files are present.
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone.Choosing a pinning policy
The SOP should record a decision on four axes. None has a universal correct setting, because the right answer depends on how much compatibility risk your team tolerates and how often reviewers can act.
Recommended Free Tools
| Decision axis | One end | Other end | Trade-off to write down |
|---|---|---|---|
| Runtime version | Exact patch release | Maintained version range | Exact versions reproduce better but need manual upgrades |
| Reference type | Immutable commit SHA | Movable tag | SHAs are unambiguous but require a refresh step to adopt fixes |
| Update cadence | Strict freeze | Scheduled updates | Freezes protect a run in progress; schedules keep dependencies current |
| Approval | Approver separate from updater | Same person approves and performs | Separation adds review time but catches unreviewed changes |
Whichever end your team picks, name the rotation date after which the policy is reviewed, so the choice does not quietly become permanent.

Review and promotion
The final section of the page defines how an artifact moves forward. Keep it short:
- The Transcript Owner confirms the transcript and artifact are attached to the ticket.
- The Promotion Gate checks that all pin fields are present and that the Git SHA and runtime version match what the artifact claims.
- Any runtime or action change goes through the lock-file review path, not a direct edit to the shared server.
- A rejected artifact stays on the ticket with its pin record intact, so the failure can be reproduced.
Notice that the wiki page itself is also a reviewed document. Changes to roster names, rotation dates, or pinning policy should go through the same Promotion Gate, with the change logged on the page’s history.
Starting the page this week
Create the page with five headings: Purpose and scope, Roster and next rotation, Requesting a window, Pin record fields, and Pinning policy. Fill in the roster first, because every other step depends on a name someone answers to. Then run one real artifact through the procedure end to end and fix whatever the reviewer could not find. A SOP becomes trustworthy only after a run has been reproduced from its own record.
Current action syntax, runtime defaults, and lock-file commands change over time. Check the official GitHub documentation for the version you use before copying any command into your repository.
