Can you log lunch with a quick photo, tell an agent you finished a task, and later find that update in an evening review—without letting every project, health record, and idea pile up in one chat? Layton’s custom LifeOS is designed around that problem. It pairs fast event capture with files that hold durable project and knowledge state, then uses scheduled or triggered workflows for the slower work of reviewing and updating context.
It is an architecture example, not a ready-to-install product or deployment guide. Layton says the setup is adapted to personal habits, and its value lies in how its parts divide responsibility rather than in a claim that one app can run someone’s life.

What the system is meant to solve
A chat window is convenient for a quick update, but it is a poor place to keep every event and the current state of multiple projects. Layton’s design separates the two. Small events are captured with minimal interaction; project documents and knowledge notes are maintained as durable files. When a task needs context—such as preparing a review or updating a project—the agent can read the relevant records and files and do that work later.
The arrangement also distinguishes a working task list from long-term project state. TickTick is the author’s daily task list, while project files in the vault preserve ongoing goals and tasks. When a task status changes in TickTick, that change is sent back to the agent as an event that can inform later project updates.

How a quick capture becomes a record
Routine events go through a short path
For routine capture, the agent interprets a request and calls a Python script named note.py. The script writes the event to SQLite, after which the agent gives a short confirmation. The author says the model is not asked to construct SQL directly. That boundary keeps the capture action simple: the agent interprets the request, while the script handles writing the record.
A correction changes an earlier record; a newly completed task is recorded as a new event. This distinction preserves the difference between fixing what was captured and recording something that happened later.
Context-heavy work happens later
Some requests require more than recording a line. The agent can read relevant SQLite records and vault files to prepare daily or weekly reviews, maintain project documents, save source material, create reusable Wiki notes, or help with writing. In this model, capture stays lightweight while interpretation and reconciliation happen when there is enough context to do them.

The author describes a simple record as usually receiving a response in a few seconds, but that is a qualitative account, not a timed benchmark; model and network conditions affect the wait.
Where information lives—and why the boundaries matter
| Store | Role in Layton’s setup |
|---|---|
| SQLite | Event history, including captures and edits. |
| Markdown vault | Current project state, tasks, reusable knowledge notes, and reports. |
| n8n Data Tables | Automation data. |
| TickTick | The author’s daily task list; status changes are sent to the agent as events. |
These stores are not treated as interchangeable. An event log answers what was recorded; a project file holds the current state that a person or agent needs to work from. The author’s morning planning, for example, starts with open project tasks and checks recent completion events. Keeping both views makes it possible to update longer-lived project information without turning the event history into a substitute for a current plan.
The vault’s six areas
Raw/keeps original source material.Wiki/holds reusable knowledge.Area/covers ongoing parts of life.Project/holds goals and tasks.Reports/stores reviews.Outputs/holds material intended for other people.
The distinction between Raw/ and Wiki/ is especially useful: a summary can become a knowledge note, but it does not replace the source material it summarizes. The organization is Markdown-based and Obsidian-style; the account mentions Obsidian templates but does not establish that a particular vault app is required.

How planning and reviews connect
TickTick provides the day-to-day task view, while the vault holds longer-lived project context. When a task is marked complete, the status change is captured as an event. Later, a daily or weekly review can consult recent events alongside the open tasks and project documents, then update the project state where appropriate.
This avoids asking one task list or one conversation to serve as the authoritative record for every kind of information. It does, however, require reliable handoffs: if task changes are not captured, a later review may lack that signal; if project documents are not maintained, the files can cease to reflect current plans.
What the named tools do
| Tool or component | Role described by the author |
|---|---|
| OpenClaw | Agent interface and workspace for LifeOS work. |
| n8n | Scheduled and webhook workflows, automation data, and calls to the agent. |
| Gitea and GitHub | Version history and synchronization are mentioned; implementation details are not provided. |
n8n is the workflow layer, not the source of truth for the personal system. The author also does not treat the agent as a dependable scheduler: scheduled or webhook workflows trigger n8n, which then calls OpenClaw. That distinction matters because storing durable state, deciding when work runs, and interpreting a request are separate jobs.

Remote access uses two different routes
Private access to the agent
For phone access, Layton uses Tailscale to connect devices privately and Tailscale Serve as the access point. Serve is described as access for devices in the tailnet; Funnel is the distinct option that publishes a service publicly. A private network does not remove the need for application-level authorization, so the service itself still needs to check who is allowed to use it.
A public route for health data
Health data follows a separate path in the described setup. Health Sync on an iPhone sends data to a public HTTPS endpoint hosted with Caddy on a cloud server. That endpoint checks authorization before forwarding requests to n8n at home. A ChatGPT custom MCP tool is also described as posting to an n8n health webhook.
Quick wins for a faster PC:
Repair Windows errors before they cause bigger problemsFix Now →Scan for outdated or missing drivers - takes under a minuteDriver Scan →These routes have different exposure boundaries: the agent is reached through private tailnet access, while the health-data endpoint is publicly reachable and relies on authorization checks before forwarding. The account describes this particular design; it does not establish broader security guarantees for the tools or configuration.

What this design gains—and what it asks of its owner
- Fast capture without losing history: routine events have a defined path into an event log, while corrections and newly completed work are represented differently.
- Separation of history and current state: SQLite preserves events and Markdown files hold working project and knowledge context.
- More focused agent work: routine capture does not require loading every project document; context-heavy reviews can read the records and files relevant to the task.
- More systems to maintain: the setup relies on distinct storage, task, agent, workflow, and access components, plus the handoffs among them.
- More responsibility for access control: private networking and public HTTPS endpoints have different exposure boundaries, and application-level authorization remains necessary.
The account supplies no comparative testing against chat-only reminders, manually maintained templates, or larger LifeOS suites. It also gives no measured setup effort or performance results. The useful comparison is therefore architectural: how quickly a system captures routine events, whether it separates event history from current state, how much context each task needs, and how much maintenance its owner is willing to take on.
Who should treat this as an example, not a blueprint
This design is most useful to readers thinking through the boundaries of a personal information system: where an event should be recorded, which document represents the current plan, and what should trigger a review. It is not a one-click installation recipe. The account does not provide deployment instructions, a hardware configuration, or a full security setup, so reproducing it would require choices and validation beyond the description here.
Layton’s own framing is appropriately personal: “This LifeOS is built around my own habits, not as a product anyone can install with one click.” The transferable idea is to adapt the division of responsibilities to your habits, not to copy the exact stack.
