Choose an MSP when you need a partner to run and improve IT continuously; choose a VAR when you need a defined technology purchase or implementation. The distinction is not absolute. Many providers sell products, deliver projects and operate managed services under one roof, so the decision should be based on the scope of work, accountability and contract—not the label on the website.
MSP and VAR: the short definition
What an MSP does
A managed service provider (MSP) supplies regular, ongoing management, administration, support and monitoring of IT systems. The service can cover networks, endpoints, cloud infrastructure, applications, identity, backup, security controls and user support. Its value is operational: keeping agreed systems available, secure, maintained and documented over time.

The UK Department for Science, Innovation and Technology (DSIT) describes a managed service as one supplied by one business to another, relating to IT systems, infrastructure, networks, applications or security, relying on network and information systems, and providing “regular and ongoing management support, active administration and/or monitoring of IT systems.” DSIT also notes that there is no single unified definition of an MSP. A provider calling itself an MSP may therefore offer a narrow monitoring package or a broad outsourced IT function.
What a VAR does
A value-added reseller (VAR) primarily sells technology products or services and adds value through advice, architecture, integration, configuration, implementation, training, support or billing. A VAR might select laptops, design a cloud environment, migrate email, install network equipment, integrate business software or coordinate a manufacturer warranty. The commercial transaction is often tied to a product order, project milestone or implementation statement of work.

“Reseller” does not mean “box mover.” A capable VAR can provide substantial engineering and project management. The important question is whether its responsibility ends after deployment or continues as a contracted operational service.
Why the labels overlap
Technology channels increasingly combine resale, professional services and managed operations. Microsoft’s Cloud Solution Provider documentation, for example, observes that many indirect resellers also offer managed services, support and billing solutions. An MSP may procure and resell licenses or hardware; a VAR may operate a help desk and monitor customer systems.
For that reason, ask a provider to map its offer into three distinct buckets:
- Products and subscriptions: hardware, software, cloud consumption and licenses, including who owns the billing relationship.
- Projects: architecture, migration, implementation, integration, configuration and training, with a defined start and finish.
- Recurring operations: monitoring, administration, support, patching, security operations, backup management and lifecycle planning.
A company can perform all three jobs, but each has different deliverables, pricing, acceptance criteria and risks. Your contract should make those boundaries visible.
MSP vs VAR: side-by-side comparison
| Decision axis | Typical MSP emphasis | Typical VAR emphasis | Buyer question |
|---|---|---|---|
| Time horizon | Continuous relationship with recurring service | One-time purchase or milestone-based project | Who remains accountable after go-live? |
| Primary value | Operational outcomes, monitoring, administration and support | Product selection, integration and implementation | Are we buying an outcome or a technology deployment? |
| Commercial model | Recurring managed-service fee, often with service-level commitments | Product margin, transaction fees and project labor | Which charges recur, and which end when the project is accepted? |
| Typical scope | Help desk, infrastructure, cloud, security, backup and lifecycle management | Named products, architecture, procurement, migration and training | What is explicitly included and excluded? |
| Incident ownership | Defined queue, escalation path and communications for covered systems | Often limited to implementation defects, vendor support or warranty coordination | Who opens, owns and closes an incident? |
| Security responsibility | May operate controls and monitoring, but only within the contracted boundary | May design or configure controls during a project | Who monitors alerts, investigates them and preserves evidence? |
| Vendor neutrality | May support a broad stack, but may still resell products | Recommendations can be closely tied to products and reseller relationships | How are margins, incentives and alternatives disclosed? |
| Transition risk | Dependence on documentation, access and data portability over a long term | Handoff risk when the project team leaves | What must be delivered if we change provider? |
These are patterns, not legal categories. The service catalogue and statement of work are stronger evidence than a title.
When an MSP is the better fit
Select an MSP when the business needs continuous operational ownership rather than occasional advice. That usually means your internal team cannot, or should not, provide reliable coverage for all required hours and technologies.

Situations that point to an MSP
- You need proactive monitoring of servers, networks, cloud resources, endpoints or critical applications.
- Users require a help desk with defined hours, prioritisation and escalation.
- Patch management, identity administration, backup checks or security alert handling must happen routinely.
- You need lifecycle planning for hardware, software, certificates, licenses and cloud capacity.
- Compliance or customer contracts require repeatable controls, records and evidence.
- There is no single internal owner for incidents that cross network, identity, endpoint and application boundaries.
- After-hours response matters, and the business cannot staff it economically.
Questions to ask an MSP
- Which assets, users, locations and services are monitored? Obtain the inventory, not a general promise of “24/7 coverage.”
- What is excluded: line-of-business applications, personal devices, unmanaged cloud accounts, unsupported operating systems or third-party vendors?
- What response and resolution targets apply to each priority, and when does the clock start?
- Which team investigates security alerts, approves containment actions and communicates with your management?
- How are backups tested, and who owns restoration decisions and recovery documentation?
- What happens outside contracted hours, during a major incident or when a subcontractor is involved?
When a VAR is the better fit
Choose a VAR when the requirement is finite and technology-led: decide what to buy, design the target state, implement it, train staff or coordinate support. A VAR is often the efficient choice when your internal team can operate the environment after handover.

- You are replacing network equipment, endpoints, storage, telephony or business software.
- You need competing architecture options and a bill of materials for a defined project.
- You are migrating workloads, email, files or identities between platforms.
- You need integration between a new system and existing applications.
- You require configuration, deployment, user training or acceptance testing but not daily administration.
- You need one party to coordinate manufacturer warranty, licensing and logistics.
Questions to ask a VAR
- Which recommendations are based on requirements, and which products generate reseller margin?
- Is the design vendor-neutral? Request at least the relevant alternatives and the reasons for rejecting them.
- What is included in the project price: discovery, design, configuration, data migration, testing, documentation, training and travel?
- What constitutes acceptance, and what defects remain the VAR’s responsibility after acceptance?
- Who supports the environment after the project closes, and at what rates and hours?
- Will you receive administrator credentials, diagrams, configuration exports, runbooks and license ownership records?
Choose by operating model, not by acronym
Start with the outcomes your business must protect. List uptime, security, compliance, user productivity, recovery capability, cloud operations and project delivery separately. Then classify each requirement as ongoing, finite or both.
- Inventory the environment. Record locations, users, devices, networks, cloud tenants, critical applications, data stores, dependencies and current suppliers.
- Describe the required outcome. “Users can work” is too vague; identify critical services, support hours, recovery expectations and business consequences of downtime.
- Mark ownership. For every service, name the person responsible for approval, operation, security decisions, vendor escalation and final acceptance.
- Separate project work from operations. A migration statement of work should not quietly become an unlimited support obligation, and a monthly managed-service fee should not conceal a large implementation backlog.
- Request comparable proposals. Give each bidder the same asset list, service hours, assumptions and required deliverables. Insist that exclusions are written down.
- Test the operating model. Ask bidders to walk through a priority incident, a failed backup, a suspected account compromise and a major change. Observe who acts, who approves and who communicates.
- Check references. Speak with organizations of similar size, regulatory exposure, technology stack and support hours. Ask what was difficult during onboarding and what happens when the provider makes a mistake.
Commercial terms that prevent unpleasant surprises
Compare proposals on a normalized basis. Separate product pricing, project labor, recurring management and pass-through licenses. A low monthly fee can be misleading if essential systems, users, security tools or after-hours work are charged separately.
Require a service catalogue
The catalogue should identify included assets and users, service hours, locations, response channels, monitoring frequency, maintenance windows, supported technologies, assumptions, exclusions and subcontractors. It should state whether the provider may use automated tools, where logs are stored and who can access them.
Make service levels measurable
Define priority levels with examples, response targets, update frequency, escalation ownership and resolution or workaround targets where those are realistic. Clarify whether targets are commitments, objectives or service credits, and identify exceptions such as customer-caused delays, third-party outages and force majeure.

Security, data and accountability
Outsourcing administration does not transfer every business obligation. The contract must assign practical responsibility for access, logging, vulnerability remediation, backups, incident response and regulatory notification.
Minimum security questions
- How are privileged accounts issued, approved, monitored and removed?
- Is multi-factor authentication required for provider staff and remote access?
- Which systems generate logs, how long are they retained and can you obtain them during an investigation?
- Who owns encryption keys, backup repositories, configuration data and forensic evidence?
- How are subcontractors vetted and restricted?
- What is the notification path and timetable for a suspected compromise?
Do not accept “the provider handles security” as an allocation of responsibility. Specify the control, the operator, the approver, the evidence produced and the exception process.
When a hybrid provider makes sense
A hybrid provider can give you one accountable partner from selection through operations. This is useful when a migration, new platform or security programme must be designed by specialists and then operated by the same team.
Use separate statements of work for projects and recurring services even when the supplier is the same. The project document should cover scope, milestones, dependencies, testing, acceptance and handover. The managed-service agreement should cover the operational catalogue, service levels, security duties, reporting, governance and price.
At handover, require a current asset inventory, diagrams, credentials held in your designated vault, configuration backups, license and subscription ownership, support contacts, runbooks, open-risk register and a list of unsupported items. Schedule a formal operational-acceptance meeting rather than treating the final invoice as proof that the service is ready.

Provider changes fail most often at the boundaries: undocumented configurations, inaccessible accounts, unclear data ownership and a support team that assumes someone else will act. Negotiate the exit before signing.

- Define the notice period and any minimum term or early-termination charge.
- Specify the format and timing for returning data, logs, configurations, documentation and credentials.
- State whether the provider must assist a successor and at what rate.
- Identify licenses, domains, certificates, cloud tenants and backup accounts that must be in your name.
- Require deletion or return of residual data, including copies held by subcontractors, subject to documented legal retention.
- Plan a period of parallel operation for critical services where the risk justifies it.
A provider that refuses to describe an orderly exit is asking you to treat switching cost as an afterthought.

Common mistakes and how to correct them
Choosing the cheapest monthly number
Why it fails: the quote may exclude security, backup, projects, sites or after-hours support.
Correction: compare the annual cost of the same asset inventory and service outcomes, including onboarding, tools, licenses and likely change work.
Assuming “managed” means fully outsourced
Why it fails: some managed packages monitor alerts but do not remediate them, administer applications or support users.
Correction: ask what action follows each alert and which team owns the result.
Recommended Free Tools
Letting a product recommendation become a strategy
Why it fails: a reseller’s preferred catalogue may narrow the design before requirements are understood.
Best Value
Correction: require written requirements, alternatives, evaluation criteria and disclosure of reseller margins or incentives.
Ending a project without operational documentation
Why it fails: the internal team or next provider cannot support what it cannot see or access.
Correction: make diagrams, runbooks, test results, credentials and configuration exports acceptance deliverables.
Do these 3 things before closing this tab:
1Clear out junk files and repair common Windows errors2Fix the driver behind crashes, sound loss and screen glitches3Repair Windows errors before they cause bigger problemsLeaving security ownership implicit
Why it fails: incidents fall between the customer, MSP, VAR, software vendor and internet provider.
Correction: create a responsibility matrix for prevention, detection, response, recovery and communication.
Market context
DSIT estimated UK managed-services revenue at £52.6 billion in 2022, with £29.1 billion in direct gross value added and 294,340 full-time-equivalent jobs. Its study found 53% dedicated or “pure-play” MSPs and 47% diversified providers. That near-even split helps explain why two companies using the MSP label can have very different scopes.
MSP Global’s 2024 State of the Industry Report estimated the global managed-services market at $278 billion in 2023 and projected $532 billion by 2028. It identified hosting, backup, storage and cybersecurity among demand areas. These are market estimates, not a guarantee that any particular provider has the skills, coverage or financial stability your business needs.
A practical decision rule
Use a VAR for a defined technology decision or implementation when you can own operations afterward. Use an MSP when the business needs continuous monitoring, administration, support, security activity and lifecycle ownership. Use a hybrid arrangement when both are required, but keep project and recurring-service obligations contractually separate.
Whatever model you choose, evaluate the same fundamentals: explicit scope, measurable service levels, security responsibilities, transparent pricing, documentation, vendor-neutral advice and a workable exit. Those details determine whether the relationship reduces operational risk or merely adds another layer of suppliers.
