Monochrome vs Colour Laser Printer for a Small Office: Which Is Better?

For a small office that mainly prints text, invoices, forms and reports, a monochrome laser printer is usually the better choice. It uses one black-toner system, keeps supplies simpler and normally costs less to run. Choose a colour laser printer when brochures, presentations, charts, posters or other client-facing graphics are a routine part of the work—not merely an occasional request.

The right decision depends on the exact models and your workload. Compare total cost of ownership, rated speed at your expected duty cycle, automatic duplexing, paper capacity, network and security features, energy certification, service arrangements and the price and yield of replacement supplies.

The short decision rule

If your office mainly needs Better starting point Why
Invoices, bills, forms, contracts, internal reports and ordinary correspondence Monochrome laser Only black toner is required, so supplies and operating costs are generally simpler and lower.
Regular brochures, presentations, charts, posters or branded client handouts Colour laser Colour is part of the document’s purpose, not an occasional convenience.
Mostly black-and-white documents with a few colour jobs each month Monochrome laser plus an occasional outsourced or shared colour option You avoid paying for colour consumables and hardware every day when colour is not a core workload.

This is a use-case rule, not a claim that every monochrome printer is faster or cheaper than every colour model. Configuration, paper size, coverage, duplex mode, regional supply prices and the manufacturer’s rated workload all change the result.

How monochrome and colour laser printers differ

Consumables and cost per page

A monochrome printer uses black toner for every page. Sharp describes its mono printers as printing documents using only black toner, while Ricoh says offices that mainly print monochrome documents or reports can save money and operating costs with a black-and-white printer. A colour laser printer needs separate colour toner supplies as well as black, and a colour page can consume several cartridges during one print job.

  • Mobile Integration: Brother Genuine technology ensures seamless compatibility with major mobile printing platforms and cloud services, enabling effortless document printing from your preferred devices

Do not compare machines by cartridge price alone. A low-priced cartridge may have a lower rated yield, and a printer with a higher purchase price may have cheaper high-yield supplies. Calculate black and colour cost per page from the exact replacement supplies available in your country.

Speed and workload

Manufacturers quote pages per minute (ppm), but the number is meaningful only when the test conditions and paper size match your work. Sharp’s UK black-and-white office-printer range includes models rated up to 55 ppm on its 2026 page. That does not mean every mono model beats every colour model; some colour printers are faster than entry-level mono units, while some mono devices are designed for much heavier workloads.

Check first-page-out time if users frequently print one- or two-page jobs, then compare continuous mono and colour speed for the paper size you use. ENERGY STAR criteria use images per minute and separate speed bands and energy formulas for monochrome and colour non-multifunction devices and multifunction devices. Treat a quoted maximum as a model-specific rating rather than a promise for your mixed office queue.

Text, graphics and colour accuracy

Monochrome laser output is well suited to small, sharp text, forms and line drawings. If a document’s meaning depends on differentiating coloured data series, highlighting, a logo or a photograph, black and white may be technically readable but less useful to the recipient.

Colour laser output is normally a practical choice for business graphics and branded documents. It is not automatically a substitute for a specialist photo printer: review the model’s supported paper types, colour controls and resolution if photographic or presentation quality is central to your work.

Duplexing, paper handling and footprint

Automatic two-sided printing reduces paper use and the number of sheets users must handle. ENERGY STAR states that a certified printer is automatically set by the manufacturer for double-sided printing to reduce the number of pages needed. Confirm that automatic duplexing is included on the exact configuration; some entry models make it optional or limit it by paper size.

Compare input-tray capacity, multipurpose-feed flexibility, output-bin size and the space needed to open trays and replace cartridges. A compact mono unit can fit a small work area, while a colour model with multiple cartridges and larger paper handling may require more clearance. Exact footprint and capacity are model-specific and should be checked in the manufacturer’s current specification sheet.

How to compare the real cost

Start with cost per page

For each toner cartridge, use this calculation:

cartridge price ÷ rated page yield = toner cost per page

Use the manufacturer’s yield for the correct cartridge, region and printer family. Yield is normally measured under a defined coverage standard; heavy graphics, dense forms and colour photographs will use more toner than lightly filled pages. For a colour printer, calculate black-only pages separately from colour pages and include every colour cartridge required for a typical colour page.

Add the costs that cartridge arithmetic misses

Xerox defines total cost of ownership (TCO) as the purchase price plus toner or ink, supplies, maintenance, downtime and IT support. Ricoh likewise warns that ongoing operating costs can overturn an apparently cheaper upfront purchase.

  • Hardware: purchase price, included starter toner and any required accessories.
  • Consumables: standard and high-yield toner, drums, waste-toner containers and other replacement units.
  • Paper: your normal stock, specialty media and the extra sheets caused by single-sided printing or misprints.
  • Maintenance: scheduled kits, service contracts, call-out fees and the labour needed to replace supplies.
  • Downtime and support: lost staff time, loan equipment, troubleshooting and IT administration.
  • Energy: electricity during printing, ready mode and sleep mode over the period you expect to own the device.

A simple ownership estimate is:

TCO = purchase price + (annual black pages × black cost per page) + (annual colour pages × colour cost per page) + paper + maintenance + support + energy

Run the calculation for your expected ownership period and at least two workload scenarios: your normal year and a busy year. If colour pages are rare, assigning a high colour printer’s full consumable system to every office page can make the comparison look worse than it will; if colour work is frequent, ignoring colour cartridge costs gives a misleadingly low estimate.

Why toner suits intermittent work

Xerox notes that laser toner does not dry out between jobs, unlike liquid ink. That makes a laser device practical for an office that prints heavily at month-end but sits idle on quieter days. High-yield cartridges can also make cost per page more predictable, provided the rated yield reflects your coverage and the cartridge is available at a reasonable local price.

When colour is worth the extra cost

Colour is part of the message

Colour is justified when recipients must quickly distinguish categories, follow a visual hierarchy or recognise your organisation’s identity. Examples include:

  • Sales presentations and proposals where charts or diagrams rely on multiple colours.
  • Client-facing brochures, posters, menus and event material.
  • Maps, safety notices and schedules that use colour coding.
  • Documents with logos, signatures or product images that would look unprofessional in grayscale.

Ricoh’s guidance draws the same boundary: black and white fits bills, invoices, documents and reports, while colour is a must for vivid brochures, posters and presentations. Estimate how often those jobs occur and whether sending them to a print service or another shared device would be acceptable.

Colour is not automatically better for ordinary office documents

Adding colour to a routine invoice or internal memo does not necessarily improve comprehension. It adds cartridge management and can increase supply cost. If users routinely select colour because it is available, set black-and-white as the default and require colour only for jobs that need it.

Selection checklist for a small office

1. Match the duty cycle to your real volume

Find the manufacturer’s recommended monthly volume, not only the maximum duty cycle. Include seasonal peaks, mailing runs and occasional large reports. A device that is technically capable of your busiest month may still be unpleasant to operate if its recommended volume is much lower.

2. Verify speed in the mode you will use

Record the rated mono and colour speed, paper size, simplex or duplex condition and whether the figure applies to a multifunction or printer-only model. Ask about first-page-out time for short jobs and warm-up behaviour from sleep.

3. Require automatic duplexing when paper use matters

Confirm that duplexing is standard, works on your normal paper sizes and does not impose a large speed penalty. ENERGY STAR certification is a useful starting filter because its imaging-equipment criteria include power-management features and duplexing requirements at specified speeds, but you still need to verify the individual model’s settings.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

4. Check paper capacity and media support

Compare the standard input tray with the capacity you actually need. Look for a multipurpose tray if you print envelopes, labels or heavier stock. Confirm the supported paper weights and whether duplexing is available on those media.

5. Review network and security controls

For a shared office, check wired and wireless networking, driver support for your operating systems, print-from-mobile options if relevant, user authentication, secure release, encrypted administration and firmware-update procedures. A cheap printer that requires manual USB transfers or lacks current security controls can increase support costs.

6. Check serviceability and supplies before buying

Look up the exact black and colour cartridge part numbers, rated yields, drum arrangements, regional availability and warranty terms. Determine whether staff can replace supplies without a service call. Ask how firmware, error logs and remote diagnostics are handled if the printer is connected to your network.

7. Compare energy certification and power behaviour

Prefer a current ENERGY STAR-certified model when one meets your performance and security needs. ENERGY STAR publishes separate Typical Electricity Consumption (TEC) tables and kWh-per-week formulas for monochrome and colour products, with distinct categories for printer-only and multifunction equipment. Compare the model’s sleep, ready and printing behaviour rather than assuming that a smaller chassis always uses less electricity.

Paper waste and energy are part of the operating decision

ENERGY STAR’s current guidance uses 10,000 sheets per year as a typical office-worker figure. It reports that 45% of those sheets end up in recycling by the end of the day and estimates that 10% to 35% of pages are left at the printer and never picked up. These figures show why duplex defaults, secure release and sensible print settings can matter as much as the printer’s rated efficiency.

Which option fits common small-office scenarios?

One to five people, mostly administration

Choose a compact monochrome laser with network printing, automatic duplexing and a recommended volume that covers invoices, correspondence and forms. Prioritise reliable black-toner availability and simple user-replaceable supplies over colour capability that will rarely be used.

Design, sales or consulting team

If proposals, charts and client handouts are produced every week, a colour laser can justify its higher supply complexity. Compare colour cost per page using realistic coverage, not the black-only yield, and confirm that the colour speed and paper handling match your presentation workflow.

Mixed office with occasional colour demand

Keep the everyday shared device monochrome if most pages are text. For occasional colour, use a second shared colour device, a print service or another established office resource. The best arrangement depends on the cost and delay of that alternative; include those costs in the TCO calculation rather than treating occasional colour as free.

High-volume black-and-white operation

Look for a mono model with a higher recommended monthly volume, large input capacity, high-yield toner, fast duplexing and a service plan. Sharp’s published range illustrates that mono office models can reach ratings up to 55 ppm, but the appropriate speed depends on your queue and duty cycle.

Example model and how to validate it

Sharp describes the MX-B427PW as a compact A4 black-and-white printer suited to small-office or home-office use. Treat that description as a starting point, not a universal recommendation. Before purchasing any named model, verify the current regional specification, included toner, replacement-yield figures, automatic-duplex status, network and security features, warranty, support availability and total footprint.

  1. Write down your annual black pages and realistic colour pages.
  2. List the paper sizes, weights and envelope or label jobs you actually run.
  3. Check the model’s recommended monthly volume, rated speed and duplex limitations.
  4. Price every required supply in your country and calculate cost per page.
  5. Add paper, maintenance, energy, support and downtime to create the ownership estimate.
  6. Confirm that the printer’s security and firmware support meet your office policy.
  7. Choose the lowest-TCO option that still meets colour, speed and paper-handling requirements.

Bottom-line buying advice

For text-heavy small-office work, buy monochrome unless colour output is a recurring business requirement. The mono choice usually reduces supply complexity and running cost, while laser toner remains usable during idle periods. Buy colour when the value of clear, branded or client-facing graphics outweighs the additional cartridge and maintenance cost.

Whichever category you choose, make the decision from the exact model’s numbers: rated yield, cost per page, recommended volume, duplex performance, paper capacity, security, service terms and energy behaviour. A printer’s purchase price is only the first line of the bill.
