A missing exchange rate is missing information, not a rate of 1. Substituting 1 silently claims that one unit of the source currency equals one unit of the target currency. Unless an authorized policy explicitly permits that assumption for a defined purpose, the correct result is an error or an unresolved value that identifies the currency pair, date and rate type still needed.
What “missing exchange rate” actually means
Currency conversion is a lookup, not merely a calculation involving two currency codes. A usable rate is tied to at least these dimensions:
As an Amazon Associate I earn from qualifying purchases.
- Source and target currencies: for example, GBP to EUR is not the same lookup as EUR to GBP.
- Direction convention: a quote can state foreign-currency units per one euro, or euros per one unit of foreign currency. The same numbers have different meanings under those conventions.
- Effective date: the transaction date, posting date, document date, reporting reference date or another date selected by policy.
- Rate type: such as a mid-rate or another configured type.
- Purpose and governing policy: a management report, statutory filing, settlement, invoice or regulatory return may require different sources or dates.
A missing rate means no valid record was found for the complete set of dimensions required by the process. The pair may exist on another date, under another rate type, or in the opposite direction, but that does not make it valid for the current conversion.
Mathematically, a system should calculate only after it has identified a rate r with the required meaning. If the quote is target-currency units per source-currency unit, the conversion is target amount = source amount × r. If the stored quote uses the opposite direction, the system may need the reciprocal—but only when policy permits that transformation and the quote is nonzero. A blank, null, unavailable or failed lookup is not evidence that r = 1.

Why replacing a missing value with 1 is dangerous
Using 1 is an implicit parity assertion. It says, without an approval or source record, that the currencies have equal value for that date, rate type and purpose. A result can therefore look perfectly plausible while being unsupported.
| System state | What it establishes | Safe treatment |
|---|---|---|
| Valid rate found for the required pair, direction, date and type | A conversion value is available under the configured policy | Convert and retain the rate and its metadata |
| No rate found for the required lookup | The required information is unavailable | Return an error or explicit unresolved status; identify what is missing |
| Application substitutes 1 automatically | An unsupported parity assumption | Block the conversion unless a documented, authorized rule covers this case |
| Rate exists for another date or type | A potentially usable value for a different business rule | Do not silently reuse it; apply the approved date and rate-type policy |
The damage can spread beyond one transaction. A bad conversion can alter invoice totals, tax bases, receivables, inventory valuation, forecasts, consolidation figures and regulatory reports. In a data warehouse, the fabricated number may also be cached and reused after the original lookup problem is forgotten. Preserving “unavailable” keeps the defect visible and allows a controlled correction.
How to identify the dimensions that failed
Confirm the source and target currencies
Read the lookup in the same direction used by the business rule. “ABC to XYZ” is not interchangeable with “XYZ to ABC.” Check for three-letter-code errors, duplicate currency definitions and transactions whose currency was changed after the rate table was loaded.
Check the effective date selected by the process
Different applications choose different dates. A conversion profile might use posting date, document date or the date inherited from a source document. A rate available for 12 October cannot automatically satisfy a process that requires 13 October, unless a documented calendar or prior-business-day rule says so. Record both the transaction date and the date actually used for the lookup.
Verify the rate type
“Mid Rate” and other types are separate keys in many systems. A spot, buying, selling or reporting rate may exist while the configured type does not. Do not fix a missing mid-rate by copying another type without an explicit policy decision.

Check the purpose and jurisdiction
A reference rate suitable for a particular regulatory report may not be the rate required for settlement or a commercial contract. The governing accounting policy, contract and reporting instructions determine which source is acceptable. There is no universal fallback that applies to every business or jurisdiction.
What SAP error messages are telling you
SAP Business ByDesign: inspect the conversion profile
SAP documents the error: “Currency conversion failed due to missing Exchange rates. Maintain the exchange rates for conversion from ABC to XYZ for Mid Rate.” In the documented troubleshooting path, inspect the currency conversion profile first. Determine whether the process is using posting date, document date or source-document conversion date, then confirm the exchange-rate type and maintain the required source-to-target rate for the determined date and type.

- Open the relevant currency conversion profile.
- Identify the date rule selected by the profile: posting, document or source-document conversion date.
- Confirm the source currency, target currency and rate type, including whether the process expects Mid Rate.
- Look up the exact date produced by that rule, not merely the date displayed on the document.
- Maintain the rate for that source-to-target pair, date and type through your authorized master-data process.
- Re-run the conversion and verify that the stored result includes the rate metadata used.
This is product-specific guidance. It explains how to find a missing lookup in that SAP configuration; it is not a general accounting instruction for all ERP systems.
SAP Integrated Business Planning: missingness can remove results
SAP Integrated Business Planning documentation describes another valid behavior: calculations return no results for periods in which the exchange rate is missing. Its example has no calculation results for March and April 2022 because rates for those periods are absent. That behavior is preferable to manufacturing converted values. When a time-series calculation has gaps, identify the affected periods and load or approve the required rates before interpreting the output.
Rate direction: the most common silent mismatch
Eurosystem guidance for its reporting context defines the quote as the number of foreign-currency units per 1 euro. In the MMSR Questions and Answers, version 3.7, the example for 9 January 2026 gives 0.867 GBP for 1 EUR. Under that convention, converting 100 EUR gives 86.70 GBP.

The reciprocal is approximately 1.1525 EUR per 1 GBP. The same Eurosystem example identifies reporting 1.1525 EUR for 1 GBP as erroneous in that reporting context because it reverses the required direction. The reciprocal may be useful for a different system that explicitly stores EUR-per-GBP quotes, but direction must be stated and handled deliberately; it must never be inferred from a missing row.

Using the European Central Bank as a source: important limits
The European Central Bank says its euro reference rates are normally updated around 16:00 CET on each working day, except on TARGET closing days. A reference-rate page displayed rates dated 12 October 2026 when checked. Those dates and values are volatile, so a production process should retrieve and archive the rate it actually used rather than relying on a screen viewed later.
The ECB also states: “The reference rates are published for information purposes only. Using the rates for transaction purposes is strongly discouraged.” Therefore, an ECB reference rate cannot be presented as a universal transactional price. Use it only where the applicable reporting or internal policy authorizes it.
Coverage can change. The ECB says its EUR/RUB reference rate is suspended and that 1 March 2022 was the last publication date. A request for a later EUR/RUB rate is therefore a coverage or publication-status issue, not a justification for inserting 1.
For AnaCredit reporting, the ECB Q&A says: “foreign currency amounts should be converted into euro at the respective ECB euro foreign exchange reference rates (i.e. the mid-rate) on the reporting reference date”. That instruction is specific to the AnaCredit context. It should not be generalized to every accounting entry, contract or settlement.

A controlled process for handling a missing rate
- Stop the conversion or mark it unresolved. Return a clear status such as
MISSING_RATEinstead of a numeric result that downstream systems may mistake for final data. - Capture the complete lookup key. Store source currency, target currency, direction, required date, rate type, business purpose and the record or job that requested it.
- Distinguish a data gap from a configuration error. A missing pair, an incorrect date rule, a disabled feed and an inverted quote require different fixes.
- Check the authorized source. Verify publication schedule, currency coverage and whether the source is permitted for this transaction or report.
- Apply an approved fallback only when one exists. The rule must state who authorized it, which purpose it covers, its date limits, how direction is defined and how the decision is audited.
- Load or maintain the rate through controlled master data. Record source, retrieval time, effective date, rate type, quote direction and the person or service that approved the change.
- Reprocess and reconcile. Compare the corrected output with the original unresolved records and document any downstream postings or reports that changed.
If no approved fallback exists, leave the value unresolved. Escalating a missing rate is safer than allowing an untraceable assumption into financial data.
Implementation patterns that preserve data integrity
Database and API design
Represent an unavailable rate as NULL or an explicit status, not as numeric zero or one. Keep rate value and rate status separate so a valid rate of 1, where it genuinely occurs, cannot be confused with a default. An API response should expose the pair, effective date, rate type, direction and source along with the conversion status.
Validation and monitoring
- Reject requests with an unknown currency code or an unsupported direction.
- Alert when a required date has no rate before a batch closes.
- Flag unusually long gaps, sudden source changes and reciprocal mismatches for review.
- Prevent publication of reports containing unresolved conversions unless the report format explicitly permits them.
- Keep an audit trail for rate loading, edits, overrides and reprocessing.
Backfilling historical periods
Do not fill a historical gap with the latest available value merely because the system can do so. Establish which date rule and source apply to the historical record, obtain an authorized rate, then re-run affected calculations. A time-series process can legitimately have no result for a period until that work is complete.
Quick troubleshooting guide
| Symptom | Likely cause | Next action |
|---|---|---|
| Error names a pair and “Mid Rate” | The configured pair/type row is absent | Inspect the profile and maintain that exact pair and type for the determined date |
| A rate exists, but the system still reports missing | Date rule or direction differs from the maintained row | Log the actual lookup key and compare date, direction and type field by field |
| Only some months have no planning results | Time-series periods lack rates | Identify the missing periods, load approved rates and reprocess |
| Values look exactly unchanged after conversion | A default of 1 may be masking a failed lookup | Inspect status handling and audit logs; replace silent defaults with an explicit failure |
| A source stopped publishing a currency | Coverage suspension or schedule change | Confirm the source status and follow the organization’s approved alternative or escalation path |
Checklist before declaring a conversion complete
- Is the source-to-target direction written down?
- Does the effective date match the governing business rule?
- Is the rate type correct?
- Is the source authorized for this purpose?
- Was the currency pair actually published for that date?
- Are missing values represented as errors or unresolved states rather than 1?
- Can an auditor identify the source, timestamp, rate, direction and approver?
- Were affected reports, postings or planning periods reprocessed after correction?
A conversion is complete only when its rate is both numerically present and contextually valid. If any required dimension is unavailable, preserve that fact, expose it to the responsible team and resolve it through an authorized, auditable process.
