Microsoft Universal Print is generally available on macOS; it is not a new 2026 launch. Microsoft announced a public preview on February 1, 2024, and its change log records general availability in December 2024. The free Mac App Store app lets eligible, authorized users find shared Universal Print printers and print through the familiar macOS dialog—but it requires a correctly configured tenant, an eligible license and macOS Sonoma 14.6.1 or later.
What became available for Mac users?
Universal Print is Microsoft’s cloud-managed printing service. An organization registers or connects printers, then shares them with users or groups. The Mac app lets a signed-in user search for printers by name or location and add printers they are authorized to use. Once added, a printer appears in the standard macOS print dialog, so printing from a supported application still uses Cmd+P. The Mac needs an internet connection to reach the service.
This is macOS client support, not a replacement for the Universal Print administration service or every printer’s native driver and features. The app is free to download, but service access depends on organizational configuration and licensing. Microsoft’s macOS setup guide and the Mac App Store listing describe the client workflow.

Requirements before a Mac can print
Mac and app
- The documented minimum is macOS Sonoma 14.6.1. Older Macs that cannot run that version are outside the stated requirement; “modern Mac” is not a precise substitute.
- The app is listed for Mac in the Mac App Store. Its listed seller is Microsoft Corporation.

Tenant, user and printer
Installing the app alone will not make printers appear. Before a user can add one, the organization needs an Entra ID account for that user, an eligible license, Universal Print enabled, and at least one printer registered and shared with that user or a group they belong to. The relevant printer’s macOS support setting must also be configured. Microsoft lists these prerequisites in its macOS setup guide.
Eligible licenses and job allowance
Microsoft lists Microsoft 365 Enterprise E3, E5 and F3; Windows 10/11 Enterprise E3 and E5; Microsoft 365 Business Premium; and standalone Universal Print among relevant commercial offerings. Educational and government options are documented separately. The Mac client does not require a separate macOS-specific Universal Print license, but the user still needs eligible access. These jobs are pooled at the tenant level. Microsoft defines one print job as one completed document submission, regardless of its page or copy count: a 10-page document printed in 15 copies counts as one job under the documented model. The included allowance is therefore not a page quota. See Microsoft’s usage and licensing documentation for current terms.
Install the app and add a printer
- Install Universal Print from the Mac App Store.
- Open Apple menu → System Settings, then select Universal Print in the left-hand navigation.
- At the initial consent prompt, select Allow, then sign in with the Entra ID account that meets your organization’s prerequisites.
- Select Add printers. Search by printer name or location, or browse the available printers.
- Select the printer or printers you need, then click Add.
- In an application, choose Print or press
Cmd+P, select the added Universal Print printer and submit the job.

What IT can deploy—and what still needs user action
IT can license the app for organizational distribution through Apple Business Manager and deploy it with an MDM platform. Microsoft documents deployment paths using Intune and Jamf. However, provisioning the app does not currently make printer setup fully zero-touch: users still need to sign in and select printers. Microsoft’s FAQ describes system-wide single sign-on and printer provisioning as future direction, not as part of the current documented workflow. See the setup guide and macOS FAQ.
macOS normally requires administrator privileges to install and modify printers. Microsoft provides separate guidance for removing that requirement, so this is a deployment decision—not a blanket requirement that every end user be a local administrator. Also account for shared Macs: an installed printer can appear in the system print dialog for all users, but a submitted job is attributed to the currently logged-in user and authorization is still assessed per user. Additional print capacity and cost
For organizations already holding an eligible Microsoft subscription, Universal Print may use existing licensing. If more capacity is needed, Microsoft’s licensing page lists add-ons of 500 jobs for $25 per month and 10,000 jobs for $300 per month. It lists education pricing of $7.50 per month for 500 jobs and $90 per month for 10,000 jobs, subject to academic eligibility. The page says add-ons are monthly charges with an annual commitment and that prices may change; these figures were checked against a page last updated July 21, 2025, as of August 18, 2026. Confirm current pricing and terms with Microsoft’s licensing page before budgeting.
The relevant comparison is not the free app versus a paid app: it is the cost and capabilities of Universal Print under your existing licenses versus a dedicated print-management service or existing infrastructure. Include job volume, secure release, accounting and quotas, rules-based routing, cross-platform needs, driver and finishing support, deployment effort, and cloud dependency in that decision.

Limitations and troubleshooting
A printer does not appear
- Confirm the user has an eligible license and Universal Print is enabled for the tenant.
- Verify that the printer is registered and shared with the user directly or through one of their groups.
- Check that macOS support is enabled for that printer.
- Search using the exact printer name or its configured location.
- Confirm the Mac meets the Sonoma 14.6.1 minimum.
These checks follow Microsoft’s setup guidance.
The printer is listed, but the job fails
Visibility is not proof of permission. Microsoft says jobs submitted without permission to use a printer fail, so check the user’s printer authorization and sharing configuration. Setup guide; macOS FAQ.
The job is missing from the queue
Microsoft documents a known issue in which a job may not appear in the print queue even though it is still processed. A missing queue entry by itself does not establish that printing failed. Check the printer’s output and job status before submitting a duplicate. (Setup guide.)
Printer features and government environments
The standard macOS print workflow does not guarantee that every model’s full native feature set will work through this client. Validate duplex, color, paper sizes, trays, finishing, authentication and secure release with the actual printer models and tenant configuration before broad rollout. Microsoft’s FAQ reviewed for this article still describes GCC and GCC High support as upcoming in early 2025, while its general access page lists government-specific offerings. Because those documents do not establish current availability for every government cloud, customers should verify support for their exact environment rather than assume commercial-cloud instructions apply. When Universal Print for macOS is a good fit
- Your organization already has eligible Microsoft licensing, uses Entra ID, and wants to centrally share printers across Windows and Mac users.
- You want cloud-managed discovery and access controls rather than manually distributing printer addresses or queues.
- Your Macs meet the OS requirement, users can complete sign-in and printer selection, and the internet dependency is acceptable.
- Your print volume fits the tenant’s pooled allowance or the additional capacity makes financial sense.
It is a weaker fit if the fleet includes unsupported macOS versions, deployment must be silent, cloud dependency is unacceptable, or the organization needs advanced accounting, quotas, routing, secure-release workflows, or printer-specific features that have not been validated. If those needs dominate, compare dedicated options such as PaperCut Mobility Print, PrinterLogic, uniFLOW Online and Printix against the existing print setup; their costs and fit depend on the organization’s requirements.
