The safest Teams tenant is not the one with every collaboration feature disabled; it is the one whose identity, meeting, app and file-sharing controls match the people your organization actually works with. Start with the highest-impact changes: separate anonymous, external and guest access; restrict external access at both organization and user-policy levels; require lobby admission for sensitive meetings; govern recordings as stored files; approve apps deliberately; and tighten SharePoint and OneDrive sharing.
Microsoft describes Teams as following Zero Trust and least-privilege principles. Use that as a decision framework rather than a universal preset: your collaboration model, regulatory duties and licensing determine the right values. Policy changes can take time to propagate, and Microsoft’s admin interfaces and licensing names can change, so verify labels in the live admin centers before saving.

Start by separating the three ways outsiders join Teams
“External collaboration” is not one permission. Teams has three materially different paths, with different identity assurance and resource access.
Recommended Free Tools
| Path | Identity | What the person can access | Conditional Access | Primary security decision |
|---|---|---|---|---|
| Anonymous meeting participant | No authenticated Teams or Microsoft 365 identity | Can join a meeting if anonymous joining is allowed; no standing access to your tenant resources | Not an authenticated tenant identity to which your guest policies can be applied | Whether the meeting needs unauthenticated attendance and how the lobby vets it |
| External access | Authenticated user in another trusted organization | Communication such as chat, calls and meetings; not your teams, channels, files or other resources | Microsoft says Conditional Access does not apply to external-access users | Which domains and which of your users may communicate externally |
| Guest access | An Entra B2B guest account | Can be added to teams and, subject to permissions, use channels, files and other team resources | Conditional Access can apply because the guest has a B2B account | Whether the person needs persistent resource access, and how that account is governed |
Do not enable guest access when a partner only needs a meeting, and do not assume external access protects files: it does not grant team or channel access. Conversely, a guest account creates a continuing identity that needs lifecycle, access and review controls.

How do I review external access at both policy levels?
External access works only when two gates are open. Microsoft states: “For a user to use external access, both the organization setting and a user policy must allow it.” A permissive tenant setting therefore does not mean every employee should be able to contact every outside domain.
1. Choose an organization-wide domain model
- In the Teams admin center, open the organization-wide external access settings (the label may appear under Users or External access as Microsoft updates the interface).
- Review the default trusted-domain behavior. Microsoft documents a default that allows all external domains.
- Replace that broad model with an allow list of partner domains when your business relationships are known and stable, or use a block list only when an allow list is impractical.
- Record the business owner for each permitted domain and a review date. Remove domains when a contract or project ends.
2. Check each user policy
- Open Users > External access (or the equivalent user-policy page) and identify the policy assigned to each user group.
- Permit external communication only for roles that need it, such as sales, recruiting or a named project team.
- Test with a pilot account in each policy before broad assignment. A user policy that denies access overrides an otherwise permissive organization setting.
External access and guest access are separate controls. Changing the external-domain list does not remove existing guest accounts or their team memberships; review those in Microsoft Entra and Teams independently.
How do I stop anonymous users from joining Teams meetings?
Anonymous joining is an organization-level and organizer-level decision. Microsoft currently says the organization-wide anonymous-join control is being retired and recommends leaving it enabled while managing unverified joining through per-organizer policy. Because this control is volatile, confirm the current wording in the Teams admin center when you implement it.

Use organizer policy for the normal case
- Open Meetings > Meeting policies in the Teams admin center.
- Create or edit a policy for organizers who host public or partner sessions.
- Set whether anonymous users may join meetings organized by those users. Keep the setting disabled for organizers who handle confidential material.
- Assign the policy to a pilot group, create a test meeting, and verify the join experience from a browser session that is not signed in.
Teams Premium can add email-code verification for anonymous attendees. This does not turn an attendee into a tenant user, but it raises assurance above an unverified browser connection. Decide whether the additional friction is appropriate for webinars, customer briefings and other high-volume events.
Use the lobby as a second control
Disabling anonymous join is not the only answer. The lobby lets an organizer inspect participants before admission, including people whose identity is known but whose presence is unexpected.
| Meeting sensitivity | Lobby bypass | Presenter role | When to use |
|---|---|---|---|
| Baseline internal or routine partner meeting | Everyone except anonymous attendees may bypass | Normal organizer and participant roles | Low-risk collaboration where waiting-room friction should be limited |
| Sensitive meeting | Only invited people bypass; others wait | Organization members and guests as appropriate | Customer data, personnel matters or confidential project work |
| Highly sensitive meeting | Everyone waits for organizer admission | Explicitly limited presenters | Investigations, executive decisions or regulated discussions |
For a sensitive meeting, Microsoft’s example configuration prevents dial-in participants from bypassing the lobby, limits presenters to organization members and guests, and limits recording and transcription to organizers and co-organizers. Apply those options in a sensitivity label or meeting template when they must be enforced. An admin meeting-policy default can be changed by an organizer; a label or template can impose the required values.

How do I control who can bypass the Teams meeting lobby?
Set a default in the meeting policy, then decide whether the meeting requires enforcement. In the meeting options for a scheduled meeting, set Who can bypass the lobby? to the narrowest group that still works operationally. For high-risk sessions, choose invited people or require everyone to be admitted. Do not allow dial-in callers to bypass the lobby when you cannot verify their identity.
Quick wins for a faster PC:
Scan for outdated or missing drivers - takes under a minuteDriver Scan →Repair Windows errors before they cause bigger problemsFix Now →Make role and content controls match the lobby
- Limit Who can present? to organizers, organization members or approved guests instead of every participant.
- Allow recording and transcription only for organizers and co-organizers when the conversation contains sensitive information.
- Use a sensitivity label or meeting template for recurring confidential meetings so an organizer cannot relax the protections accidentally.
- Tell organizers that lobby settings affect admission, not what an admitted participant can copy, photograph or disclose; information-classification and endpoint controls still matter.
Where are Teams meeting recordings stored, and who controls them?
Teams recordings are files, not ephemeral chat data. Microsoft stores recordings in OneDrive and links them from the meeting chat and Teams calendar. OneDrive permissions, storage limits, sharing controls and Microsoft Purview retention therefore govern the recording after the meeting ends.
Check both recording permissions
Microsoft says the organizer and the person who starts a recording both need recording permission. Review meeting and event policies, then review the Teams Premium meeting options that let an organizer control who may record or transcribe. If either policy denies the action, a user cannot start it even if the meeting option appears available.

Apply a file lifecycle
- Identify who owns the OneDrive file and who receives access through the meeting chat.
- Check whether the recording contains personal, financial, health or customer information that requires a Purview retention label or a defined deletion period.
- Review sharing links and inherited permissions in OneDrive. Remove broad access that was useful during the meeting but is no longer necessary.
- Confirm that storage capacity and retention rules are compatible. A retention policy can preserve a file after users think they deleted it.
Do not promise that changing a meeting-policy toggle will secure existing recordings. Existing files retain their own permissions and retention treatment, so include a review of previously created content in your remediation plan.
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone. How do I restrict third-party apps in Teams?
Use the app-management model active in your tenant. Microsoft documents traditional app permission policies and app-centric management; app-centric management replaces permission policies for tenants using it. The labels and controls shown to you depend on which model has been enabled.
Do these 3 things before closing this tab:
1Repair Windows errors before they cause bigger problems2Scan for outdated or missing drivers - takes under a minute3Clear out junk files and repair common Windows errorsReview before allowing an app
- Open Teams admin center > Teams apps and identify whether your tenant uses app-centric management or app permission policies.
- Export or inspect the currently available apps and classify them as required, optional or unapproved.
- For each app under consideration, assess requested permissions, where data is processed, security documentation, compliance commitments and whether data is shared with external services.
- Allow only the apps with a documented business owner and an approved data-handling purpose. Block or remove apps that are unused, duplicative or impossible to assess.
- Assign access to a pilot group before organization-wide release, then review audit information and user feedback for unexpected data access.
App consent is not a substitute for identity controls. An app that is allowed for Teams may still reach data through the permissions granted to its signed-in user, so keep least-privilege Microsoft 365 and Entra permissions aligned with the app decision.

Can external Teams users access our files?
External-access users cannot open your team, channel or file resources merely because they can chat or meet with your employees. Guests can access those resources when you add their Entra B2B account to a team and the underlying SharePoint permissions allow it.
Set a restrictive sharing baseline
- Open the SharePoint admin center and review organization-wide sharing for SharePoint and OneDrive. Set it to the minimum level your collaboration model requires.
- Identify high-risk sites, such as executive, finance, legal and research sites, and apply stricter site-level sharing settings.
- Disable guest sharing of items that guests do not own when that option is available in your tenant. This reduces guests’ ability to reshare unrelated content.
- Avoid “Anyone” links. If business operations require them, set an expiration date and use view-only permission rather than edit access.
- Review team membership, private-channel membership and SharePoint site permissions together; changing a Teams setting does not automatically remove a direct SharePoint share.
Teams channel files rely on SharePoint, so a Teams security review that omits SharePoint and OneDrive is incomplete. Run periodic access reviews for guest accounts and remove dormant memberships.
What are the limits of unmanaged-device controls?
SharePoint controls can block or limit access from unmanaged devices, but Microsoft documents important boundaries. Some of these controls require Microsoft Entra ID P1 or P2, and they affect only the SharePoint sites explicitly included in SharePoint access control. They are not a tenant-wide switch that automatically protects every Teams file.
Implement with explicit scope
- Verify that the required Entra license is assigned to the users covered by the policy.
- List the SharePoint sites that contain sensitive Teams channel files and include those sites explicitly.
- Choose the user experience—block access or permit browser-only access—based on the sensitivity of the content and the work employees must perform.
- Test owners, members, guests and external users separately. A policy that works for a licensed employee may behave differently for a guest or for a site outside the included scope.
A practical rollout sequence
Changing every control at once creates confusing failures. Use a staged review that preserves a way to recover legitimate collaboration.
- Inventory identities and resources. Export external domains, guest accounts, meeting organizers, Teams apps, sensitive teams and SharePoint sites.
- Set the identity baseline. Decide which domains are allowed, which user policies permit external access, and which collaboration requires a guest account rather than a meeting link.
- Protect meetings. Assign organizer policies, configure lobby defaults and create labels or templates for sensitive meetings.
- Govern content. Confirm recording permissions, OneDrive ownership, Purview retention and SharePoint sharing settings.
- Reduce app exposure. Move to the active app-management model, approve only assessed apps and pilot changes.
- Test and monitor. Test anonymous, external and guest scenarios; verify file access from a managed and unmanaged device; and watch audit logs for unexpected sharing or app activity.
- Communicate the change. Give organizers a short explanation of lobby, recording and presenter restrictions, and provide a documented exception process with an owner and expiry date.
Allow for propagation: Microsoft notes that Teams meeting-policy changes may take up to 24 hours to take effect. Recheck after that window before treating a setting as failed, and record the final values, policy assignments, site scope and next review date.
Quick Recap
Administrator checklist
- Anonymous join is a deliberate choice, with organizer policy and lobby rules tested.
- External access uses a reviewed domain model and is enabled only in user policies that need it.
- Guest access is reserved for people who need team or file resources and is reviewed as an Entra B2B identity.
- Sensitive meetings restrict lobby bypass, presenters, recording and transcription through enforceable labels or templates.
- Recordings have an owner, appropriate OneDrive permissions and a Purview retention decision.
- Teams apps are assessed for permissions, security, compliance and data handling in the tenant’s active management model.
- SharePoint and OneDrive sharing is set to the minimum practical level, with high-risk sites tighter than the organization baseline.
- Unmanaged-device controls document their Entra licensing requirement and the exact SharePoint sites in scope.
- Exceptions have a business owner, an expiry date and a review trail.
