Choose Microsoft 365 Copilot when your team works primarily in Teams and Microsoft 365 and needs assistance grounded in meetings, email, chats and files inside those applications. Choose ChatGPT Business when you want a separate, centrally managed ChatGPT workspace with connections to company sources. The right choice depends on your existing licenses, tenant configuration, permissions and representative work tasks—not on a headline feature list.
What “Microsoft Teams Copilot” means in this comparison
Microsoft’s current licensing and pricing pages call the paid product Microsoft 365 Copilot. It appears in Teams and other Microsoft 365 applications, rather than being a standalone Teams-only subscription. Microsoft also offers Copilot Chat for eligible Microsoft 365 users. Copilot Chat and the paid Microsoft 365 Copilot license are not the same experience.
As an Amazon Associate I earn from qualifying purchases.
Microsoft says eligible Microsoft Entra account users with a qualifying Microsoft 365 business or enterprise subscription can use Copilot Chat at no additional charge. As Microsoft Support puts it, “To use Copilot Chat you need to sign in with your Microsoft 365 account and have a qualifying Microsoft 365 business or enterprise subscription.” The paid add-on provides broader work-data grounding and in-app capabilities, including access to work content such as meetings, emails, chats and files when the tenant, permissions and feature configuration support them.
Check the exact entitlement assigned to each user before comparing products. A tenant that has Microsoft 365 but no paid Copilot licenses should not be described as having the full Microsoft 365 Copilot experience. See Microsoft’s license options and its Copilot Chat comparison.

How the two assistants are positioned
| Question | Microsoft 365 Copilot | ChatGPT Business |
|---|---|---|
| Where users work | Inside Teams and Microsoft 365 apps, with the experience integrated into the Microsoft environment. | In a separate managed ChatGPT Business workspace. |
| Primary context | Microsoft work data, subject to the assigned license, identity, permissions and tenant settings. | ChatGPT conversations plus company sources connected and enabled by the workspace administrator. |
| Teams integration | Native Teams features are part of the Microsoft 365 Copilot positioning. | OpenAI lists Microsoft 365 as a connection, but that does not establish equivalent Teams-native behavior. |
| Administration | Governed through Microsoft 365, Microsoft Entra identity and the organization’s compliance and retention configuration. | Centralized administration in the ChatGPT Business workspace, with connector and workspace controls. |
| Best initial fit | Organizations already standardized on Microsoft 365 that want assistance where employees already collaborate. | Teams that want a dedicated ChatGPT environment and flexible connections to company information. |
The table describes each vendor’s product positioning. It is not a claim that either product automatically has access to every source or feature in every organization.
Microsoft 365 Copilot in Teams and Microsoft 365
Work-data grounding is the central differentiator
With the appropriate paid license, Microsoft positions Copilot as an assistant grounded in the organization’s Microsoft 365 work graph. In practical terms, that can include relevant meetings, email, chats and files that the signed-in user is authorized to access. The assistant is intended to work in the same environment where those items are created and discussed.
Grounding does not override permissions. If a user cannot open a file or view a conversation in Microsoft 365, a Copilot license should not be treated as permission to retrieve it. Administrators still need to review sharing, group membership, sensitivity labels, retention and other tenant controls.
Quick wins for a faster PC:
Scan for outdated or missing drivers - takes under a minuteDriver Scan →Repair Windows errors before they cause bigger problemsFix Now →Fix the driver behind crashes, sound loss and screen glitchesFind Drivers →Teams meeting assistance
Microsoft’s overview and business pricing pages describe capabilities such as meeting summarization, transcription and action-item capture. Availability depends on the user’s license, tenant configuration, meeting policies, transcription settings, participant permissions and the specific meeting scenario. Do not promise that every meeting will produce the same summary or that every feature is available in every Teams plan.
For a Teams-centered organization, the operational advantage is proximity: participants can ask for meeting context, follow-up items or a recap without moving the conversation to another application. Whether that saves time or improves accuracy is an organizational question to validate with a pilot; Microsoft’s product pages do not establish a comparative productivity statistic.

Copilot Chat is a lighter entitlement
Eligible Microsoft 365 business and enterprise subscribers may receive Copilot Chat without purchasing the paid Copilot add-on. Microsoft describes the paid license as adding fuller work-data grounding and in-app capabilities. Therefore, a user who can open Copilot Chat is not necessarily licensed for the complete Teams and Microsoft 365 Copilot feature set.
Before rollout, administrators should map which users have only an eligible Microsoft 365 subscription and which users have the paid Copilot license. Document the difference in internal guidance so employees do not assume that identical prompts will produce identical access or results.
How ChatGPT Business works for a company
A separate managed workspace
ChatGPT Business is OpenAI’s self-serve team workspace. Employees use ChatGPT within an organization-managed environment rather than inside the Teams interface. OpenAI lists centralized administration and connections to Microsoft 365 and other company sources as Business capabilities.
A connector is not proof of a Teams-native equivalent to Microsoft 365 Copilot. The organization must enable the relevant connection, configure authentication and permissions, and confirm which sources and actions are supported. Access should be tested with ordinary user accounts, not only an administrator account.
Seats and plan levels
OpenAI’s Business pricing page lists Standard seats at $20 per user per month when billed annually or $25 per user per month when billed monthly. It lists Premium seats at $100 per user per month when billed annually or $125 per user per month when billed monthly. OpenAI’s Business overview states that a workspace requires at least two paid seats. These are vendor-listed US-dollar examples displayed on the official pricing page accessed October 13, 2026; prices, taxes, currencies and availability can vary by country. Enterprise is custom priced.

Business privacy statements
OpenAI states that “OpenAI won’t train on your workspace’s data.” Its Business privacy guidance also describes encryption in transit and at rest. Those statements are important, but they do not by themselves answer every organization’s questions about retention periods, legal holds, data residency, regulatory scope, connector permissions or contractual terms. The buyer’s security and compliance review still has to cover the actual workspace configuration and agreement. See OpenAI’s Business privacy guidance.

Licensing and price: compare the complete cost
| Product or entitlement | Vendor-listed price or condition | What the figure does—and does not—include |
|---|---|---|
| Microsoft 365 Copilot Business | $18 per user per month, paid yearly, on Microsoft’s US business pricing page accessed October 13, 2026. | A displayed offer for the Copilot add-on; recheck eligibility, term, geography and current offer. It assumes a qualifying Microsoft 365 base plan. |
| Microsoft 365 Copilot enterprise add-on | $30 per user per month, paid yearly, on Microsoft’s US enterprise pricing page. | An add-on price, not a complete Microsoft 365 subscription price. A separate qualifying Microsoft 365 plan is required. |
| ChatGPT Business Standard | $20 per user per month billed annually, or $25 monthly. | Business workspace seat pricing shown by OpenAI; a two-seat minimum applies. |
| ChatGPT Business Premium | $100 per user per month billed annually, or $125 monthly. | Premium seat pricing shown by OpenAI; a two-seat minimum applies. |
| Copilot Chat for eligible Microsoft 365 users | No additional charge for eligible users, according to Microsoft. | Not the same as the paid Microsoft 365 Copilot license; capabilities and work-data grounding differ. |
Do not compare Microsoft’s add-on price with ChatGPT Business as though both were complete productivity suites. For Microsoft, calculate the existing Microsoft 365 base-plan cost plus the Copilot licenses assigned to users. For ChatGPT Business, calculate the selected seat tier, the two-seat minimum, any additional usage or enterprise arrangement, and the cost of maintaining connected sources and identity controls.
All figures above are US-dollar examples from vendor pages, not a total-cost or return-on-investment study. Neither vendor figure establishes how much time a team will save.
Compare the assistants on the decisions that matter
Where does work already happen?
If employees spend the day in Teams, Outlook, Word, Excel, PowerPoint and SharePoint, Microsoft 365 Copilot minimizes application switching and places assistance alongside existing work. A team that prefers a general conversational environment, or that works across several systems rather than one Microsoft stack, may find a separate ChatGPT Business workspace easier to standardize.
How much native context is required?
Microsoft 365 Copilot is the more direct candidate when prompts must draw on Teams meetings, Microsoft 365 email, chats and files under the user’s existing permissions. ChatGPT Business can connect to Microsoft 365 and other company sources, but the administrator must enable those connections and verify their scope. Treat “Microsoft 365 connection” as a source-integration capability, not evidence of identical meeting controls, indexing or permissions.

Who will administer identity and access?
Microsoft-centered organizations should examine how Copilot follows Microsoft Entra identities, group assignments, SharePoint and OneDrive sharing, Teams policies, retention rules and compliance settings. ChatGPT Business buyers should examine workspace membership, administrator roles, connector authentication, source-level permissions, retention and any export or legal-hold requirements.
In both cases, the security decision is configuration-specific. A vendor statement that business data is not used for model training by default does not replace a review of the organization’s contract, regional requirements, retention policy and information-classification rules. Microsoft describes its enterprise Copilot data protections on its enterprise pricing page; OpenAI describes Business controls in its privacy guidance.
What kind of work should the assistant handle?
- Meeting follow-up: Microsoft 365 Copilot is the natural first candidate when summaries, transcripts and action items must stay in the Teams workflow, subject to meeting configuration.
- Drafting and transformation: Both products can be evaluated for rewriting, outlining, summarizing supplied material and producing first drafts. The quality of the output depends on the prompt, source access and human review.
- Cross-source analysis: Compare how each product retrieves information from the repositories your team actually uses. A listed connector is not enough; test permissions, freshness and failure behavior.
- Open-ended ideation: A separate ChatGPT workspace may suit teams that want a broad conversational tool independent of Teams. Microsoft 365 Copilot may suit teams that want ideas generated in the same apps where the final document is produced.
What does adoption look like?
Adoption is usually easier when the assistant appears at the point of need and uses familiar identities and files. That favors Microsoft 365 Copilot for a Microsoft-standardized workplace. A separate workspace can be clearer when a team wants one consistent ChatGPT interface across different source systems. Neither conclusion is universal; observe which workflow employees actually complete during a pilot.
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone.Which assistant should you choose?
Choose Microsoft 365 Copilot first when:
- Teams and Microsoft 365 are the primary collaboration and document systems.
- Users need assistance grounded in meetings, email, chats and files without leaving those applications.
- Your administrators already manage Microsoft Entra identities, Microsoft 365 permissions and compliance policies.
- You can budget for an eligible Microsoft 365 base plan plus the Copilot add-on for the users who need it.
This is a recommendation to evaluate first, not proof that every tenant will expose every feature. Confirm the license, meeting policy and data-access behavior in your own environment.
Do these 3 things before closing this tab:
1Fix the driver behind crashes, sound loss and screen glitches2Repair Windows errors before they cause bigger problems3Scan for outdated or missing drivers - takes under a minuteChoose ChatGPT Business first when:
- You want a dedicated, managed ChatGPT workspace rather than an assistant embedded primarily in Teams.
- Your team needs connections to Microsoft 365 and other company sources and is prepared to configure and test them.
- You prefer the Business workspace’s seat model and administration, including its two-seat minimum.
- Your users’ work spans systems where a separate conversational interface is more practical than an application-specific assistant.
ChatGPT Business should not be selected on the assumption that its Microsoft 365 connection reproduces every Teams-native Copilot function. Verify the connector, permissions and supported workflows before committing.
Best Value
Use a dual pilot when the organization is undecided
Some organizations have distinct groups with different needs: a Teams-heavy operations team may benefit from Microsoft 365 Copilot, while a research or communications group may prefer ChatGPT Business. A limited, policy-controlled pilot can reveal whether one standard is sufficient or whether separate deployments are justified. Avoid giving both tools unrestricted access to sensitive sources while the governance model is still being defined.
How to run a fair pilot
- Define the licensed scope. Record which Microsoft users have only eligible Copilot Chat access and which have the paid Microsoft 365 Copilot license. For ChatGPT Business, select the Standard or Premium seat type and account for the two-seat minimum.
- Choose representative tasks. Include a Teams meeting recap, action-item extraction, an email or document draft, a cross-file question, a policy lookup and a source-grounded analysis. Use sanitized but realistic material.
- Configure permissions first. Create test groups, connect only approved repositories and verify that each assistant sees exactly what the test user is allowed to see. Test a user who should not have access to a protected file.
- Run identical task briefs. Give comparable instructions, the same source material where possible and the same time limit. Record whether the assistant used the intended source, asked for clarification, refused correctly or produced unsupported assertions.
- Measure review burden, not just speed. Have subject-matter reviewers mark missing context, incorrect citations, stale information, formatting problems and unsafe disclosures. The official pricing pages do not provide an independent productivity or accuracy benchmark.
- Test failure paths. Remove a connector, change a file permission, disable transcription for a meeting and present an ambiguous request. A production assistant must fail clearly rather than imply it searched data it could not access.
- Price the real deployment. Include Microsoft 365 base licenses and Copilot add-ons, or ChatGPT Business seats, administration time, connector maintenance, training and any additional usage or enterprise terms.
- Set a human-review policy. Decide which outputs require approval before they become customer communications, meeting records, legal guidance, financial analysis or other official documents.
Common pitfalls and how to avoid them
Assuming Microsoft 365 automatically includes paid Copilot
It does not. Microsoft distinguishes eligible Copilot Chat access from the paid Microsoft 365 Copilot license. Audit licenses in the Microsoft 365 admin center and communicate the difference to users.
Assuming a connector grants broad access
A connection must be enabled, authenticated and permissioned. Test with ordinary accounts and document the repositories, fields and actions that are actually available.

Microsoft’s displayed figures are add-on prices that depend on a qualifying base plan. ChatGPT Business prices are workspace seat prices with a two-seat minimum. Build a per-user and organization-wide cost model using the complete stack.
Treating privacy headlines as a complete compliance assessment
“Not used for model training by default” is not the same as a full retention, residency, regulatory or contractual analysis. Involve security, legal and records-management owners before connecting sensitive repositories.
Promising identical meeting results
Teams meeting summaries and action items depend on transcription, meeting policy, language, permissions and other conditions. Pilot the exact meeting types your organization runs.
Publishing generated text without review
Both assistants can produce incomplete or incorrect output. Require a person who owns the underlying work to verify facts, permissions, citations, commitments and tone before distribution.

A practical decision checklist
- Are most target users already working in Teams and Microsoft 365?
- Do they need meeting, email, chat and file context in the same application?
- Which Microsoft 365 base licenses are already paid for, and which users qualify for the paid Copilot add-on?
- Would a separate ChatGPT workspace better fit teams that work across several source systems?
- Which ChatGPT Business seat tier is needed, and has the two-seat minimum been included in the budget?
- Can administrators prove that each assistant respects current identity and repository permissions?
- What retention, data-residency, regulatory and contractual requirements apply to prompts and connected data?
- Which representative tasks will determine quality, review effort and adoption?
- What human approval is required before an AI-generated output becomes an official record or external communication?
Bottom line
For a Microsoft 365–centered organization seeking assistance directly in Teams, evaluate Microsoft 365 Copilot first, while verifying the paid license, tenant configuration and meeting policies. For a team seeking a managed ChatGPT environment with configurable connections to company sources, evaluate ChatGPT Business first. Check the complete cost and governance model, then run both against real, permission-sensitive work before making a company-wide decision.
