Microsoft 365 Copilot is usually the better starting point when your work must happen inside Word, Excel, PowerPoint, Outlook, or Teams. It is designed to operate alongside those applications and, in eligible licensed work experiences, use organizational context through Microsoft Graph. ChatGPT becomes the stronger fit when you need a conversational workspace that can retrieve information from connected Microsoft services or combine Microsoft data with work from other services.
There is no documented universal winner for answer quality or task success. The practical choice depends on the application you use, the files and mail you can access, your organization’s policies, and whether an administrator has enabled the required connections. The comparison below separates native in-app work from connected-app retrieval so you can choose, configure, and test the assistant that fits your Microsoft 365 workflow.

Quick verdict: choose by workflow, not by brand
Choose Microsoft 365 Copilot first if your primary jobs are drafting in Word, analyzing a workbook in Excel, creating or revising slides in PowerPoint, summarizing Outlook threads, or working with Teams meeting information without leaving Microsoft 365. Its value is the placement of assistance in the application where the document, spreadsheet, presentation, message, or meeting already lives.

Consider ChatGPT when you want a separate conversational workspace, need to retrieve permitted information from Outlook, Calendar, SharePoint, or work and school OneDrive, or expect to combine Microsoft content with other connected services. That choice is conditional: the relevant app must be available for your subscription, region, workspace, model, and interface, and your Microsoft account must have the necessary permissions.

Neither product should be declared the overall winner from the available official documentation. Those materials describe features, plans, and access controls; they do not provide a directly comparable head-to-head benchmark across real Microsoft 365 tasks.
What each assistant actually does in Microsoft 365
Microsoft 365 Copilot: assistance beside the document or conversation
Microsoft positions Copilot as an assistant embedded in Microsoft 365 applications. Its documented Word functions include drafting, rewriting, and summarizing documents. In Excel, Microsoft describes data analysis, insight generation, formula help, and visualizations. In PowerPoint, it lists prompt-based presentation creation plus summary and editing capabilities. Outlook features include drafting and thread summaries, while Teams features can include meeting summaries and transcripts.
The exact commands, limits, and availability depend on the Copilot experience, Microsoft 365 plan, application version, tenant configuration, and the type of data involved. A feature listed in an overview is not a promise that every account sees the same button or can use it on every file.
ChatGPT with Microsoft apps: a connected retrieval and action layer
ChatGPT can work with Microsoft information through connected apps when those apps are offered in your account and workspace. The Outlook Email and Calendar apps can search and retrieve supported mailbox and event information, and may support actions subject to permissions and workspace settings. The SharePoint app can reference content you are allowed to access in SharePoint and supported work or school OneDrive locations.
This is not automatic access to your Microsoft account. A connection can require Microsoft Entra permissions approved by an administrator, and a ChatGPT workspace administrator separately controls which actions are enabled. Granting a Microsoft permission does not automatically enable every possible action. Personal OneDrive is not supported by the SharePoint app, so a personal file location cannot be treated as equivalent to a work or school OneDrive connection.

Word: native drafting versus retrieved source material
Where Copilot fits
For a writer who is already editing a Word file, Copilot’s advantage is context and location. You can ask for a first draft, a rewrite, or a summary while staying in the document. Microsoft Learn’s overview describes this capability as “Word: Draft, rewrite, and summarize documents.” That wording is a feature description, not an independent measurement of quality.
Native placement also reduces handoff work. The result can be reviewed against the open document, with the user deciding what text to insert or keep. Whether the command appears and how much document context it can use still depends on the account’s Copilot access and Microsoft 365 environment.

ChatGPT can help create a brief, rewrite supplied passages, or answer questions about Microsoft content retrieved through a connected app. The documented connections do not establish that ChatGPT edits the open Word document through the same native surface. If the final step is replacing text in Word, plan for a copy, paste, or separate editing step unless your specific integration exposes a supported action.
Excel: distinguish spreadsheet work from data questions
Copilot inside the workbook
Microsoft’s overview describes Copilot assistance for analyzing data, generating insights, suggesting formulas, and creating visuals. This matters when the task includes understanding the workbook’s structure, selecting a range, changing a formula, or turning findings into a chart. Advanced Excel capabilities can vary by plan and environment, so confirm what your tenant and application version provide.
ChatGPT outside the workbook
A connected ChatGPT conversation can be useful for explaining a result, proposing an analysis plan, or answering questions about retrieved information. That is different from operating directly on the workbook. The available documentation does not establish parity with Copilot’s in-sheet editing and visualization workflow; do not assume that a chat response can safely modify formulas, formatting, or charts in the original file.

PowerPoint: creation and revision
Microsoft lists prompt-based presentation creation, along with summary and editing capabilities, for PowerPoint. If your deliverable is a deck that must follow an existing template, use the in-application workflow and verify slide structure, speaker notes, citations, and brand formatting manually.

The cited materials do not establish equivalent native PowerPoint actions, so treat it as a preparation or content layer unless your particular workspace offers a supported presentation integration.
Outlook, Calendar, and Teams: permissions determine the result
Outlook mail and calendar
Copilot’s Outlook feature descriptions include drafting and thread summaries. ChatGPT’s Outlook Email and Calendar apps can search and retrieve supported messages and events, and may perform additional actions when both Microsoft and ChatGPT administrators allow them. The same natural-language request can therefore produce different results for two users because their mailboxes, role permissions, regions, subscriptions, or workspace policies differ.
Teams meetings
Microsoft lists meeting summaries and transcripts in Teams, but availability varies by plan and environment. A ChatGPT Teams connection does not guarantee access to every transcript or recording. Meeting artifacts can be protected by separate Microsoft permissions, retention rules, or tenant settings. Verify that the specific meeting, transcript, and action you need are exposed before designing a workflow around them.
SharePoint and OneDrive: source scope is the key difference
In an eligible licensed Microsoft 365 experience, Copilot can use organizational data through Microsoft Graph. The data it can ground on is still governed by the user’s existing Microsoft permissions and the tenant’s configuration.

The ChatGPT SharePoint app can reference SharePoint content and supported OneDrive for work or school content that the user is permitted to access. Personal OneDrive is unsupported by this app. Administrator-managed sync is a separate capability, limited to eligible Enterprise and Edu workspaces and supported regions. Sync status, index scope, and permission changes can affect what appears in results, so a successful connection does not mean that every site or file has been indexed.

Microsoft 365 Copilot Basic and Premium
Microsoft distinguishes Basic and Premium Copilot access. Basic users may receive standard in-app Copilot features, subject to capacity and feature availability. Premium is the full add-on experience described as providing priority access and deeper grounding in work data. Business and enterprise licensing prerequisites, included capabilities, and prices differ by plan and geography; there is no single universal price or feature list that applies to every Microsoft 365 customer.
Before purchasing or assigning a license, identify the tenant, the user’s Microsoft 365 subscription, the applications and versions in use, and the data sources the assistant must reach. A user can have a Copilot entry point but still lack a particular premium function or permission to use organizational data.
ChatGPT subscription and workspace controls
Connected-app availability depends on the ChatGPT subscription, region, workspace type, user role, selected model, and interface. A workspace administrator can enable or disable actions independently of a user’s personal preference. Microsoft Entra approval may be required for Graph permissions, and the user’s existing Microsoft permissions continue to limit the data that can be retrieved.
For an organization, compare the complete configuration rather than a consumer plan name: subscription tier, workspace policy, region, app availability, Entra consent, SharePoint scope, retention requirements, and who can authorize actions.
How to set up a controlled comparison
Prepare the same test case
- Choose a representative task, such as revising a two-page policy in Word, analyzing a defined Excel table, or preparing a meeting brief from a specified Outlook thread.
- Use the same source files, message set, prompt wording, output format, and deadline for both assistants.
- Record the Microsoft account, tenant, Copilot plan, ChatGPT plan, workspace, model, application versions, and region used.
- Confirm that each assistant can access only the data that the user is authorized to use. Do not upload or connect confidential material unless the organization’s policy permits it.
Evaluate the outputs
- Accuracy: Are names, dates, figures, formulas, and conclusions supported by the source?
- Completeness: Did the assistant address every required point or omit an important caveat?
- Traceability: Can the user identify the source passage, message, file, or meeting artifact behind each material claim?
- Formatting: Does the result preserve the required Word styles, Excel formulas and ranges, PowerPoint layout, or Outlook tone?
- Editing effort: How much manual correction, copying, reformatting, and permission troubleshooting was required?
- Latency and reliability: Did the request finish consistently, or did it fail because of capacity, indexing, or connector limits?
- Governance: Did the workflow stay within retention, access, and data-handling rules?
This method is an evaluation framework, not a claim that one product has been benchmarked here. Run it with real representative tasks before making a team-wide decision.
Common failure modes and fixes
“I can see Copilot, but it cannot use our work data.”
Check whether the user has the required Copilot tier, whether the application and tenant support the requested feature, and whether the source is covered by the license and Microsoft Graph configuration. A basic in-app experience does not necessarily include the deeper work-data grounding associated with Premium.
“ChatGPT connected to Microsoft, but the answer is empty or incomplete.”
Verify that the correct Outlook, Calendar, or SharePoint app is enabled in the workspace, that the user granted the requested Microsoft permissions, and that the source is within the app’s supported scope. For SharePoint, confirm that the file is in SharePoint or work or school OneDrive rather than personal OneDrive. If administrator-managed sync is being used, check workspace and region eligibility plus index status.

Retrieval and action are separate permissions. Microsoft Entra consent, the user’s Microsoft role, and the ChatGPT workspace action policy can each block an operation. Ask an administrator to review the exact permission and action rather than granting broad access without a defined need.
“The two assistants give different answers.”
Compare the sources each one actually used. Different mailbox folders, SharePoint sites, indexed files, meeting transcripts, or document versions can produce different results even with identical prompts. Record the source identifiers and timestamps before judging answer quality.
Security and governance checklist
- Map every requested data source to the user’s existing Microsoft permissions.
- Require administrator review for Microsoft Entra Graph permissions and ChatGPT workspace actions.
- Separate personal OneDrive from work or school OneDrive; the documented SharePoint app does not support personal OneDrive.
- Define which tenants, sites, mailboxes, meeting artifacts, and regions are in scope.
- Test revocation: remove a user’s Microsoft permission and confirm that retrieval and actions stop as expected.
- Review retention, audit, export, and incident-response requirements before allowing sensitive workflows.
- Give users a manual verification step for consequential outputs, especially formulas, financial figures, legal wording, and meeting decisions.
Which assistant should you choose?
Choose Microsoft 365 Copilot when
- Your work is centered on Word, Excel, PowerPoint, Outlook, or Teams.
- You need help applied directly to the open file, message, presentation, or meeting workflow.
- Your organization can provide the required Microsoft plan, tenant configuration, and Graph permissions.
- Keeping users inside Microsoft 365 is more important than combining many external services in one chat.
Consider ChatGPT when
- You need a conversational interface that can retrieve permitted Outlook, Calendar, SharePoint, or work and school OneDrive information.
- The task combines Microsoft content with other connected services or requires a separate reasoning and drafting space.
- Your subscription, region, workspace, model, and administrator settings expose the specific Microsoft app and actions you need.
- You are prepared to verify source scope, permissions, and the final handoff into Microsoft 365.
Use both when the workflow has two distinct phases
Some teams can use Copilot for in-app creation and ChatGPT for cross-service briefing or retrieval, provided policy permits both. Keep the boundary explicit: identify which assistant accessed which source, avoid copying restricted data into an unauthorized workspace, and have a person validate the final document, spreadsheet, presentation, message, or meeting record.
Bottom line
For Microsoft 365-native work, start with Microsoft 365 Copilot and verify the exact plan and tenant capabilities. For connected retrieval and cross-service conversation, consider ChatGPT only after confirming the Microsoft app, permissions, workspace controls, and regional availability. Because official documentation does not establish a universal performance winner, the defensible decision is a controlled comparison using your own files, accounts, success criteria, and data rules.
