Microsoft 365 security tools compared: built-in Defender vs. third-party platforms

Microsoft 365 security is not one product or one entitlement. Every organization with cloud mailboxes receives baseline Exchange Online protection, while Defender for Office 365 Plan 1 and Plan 2 add progressively stronger prevention, investigation and response. Endpoint, identity, cloud-app and cross-domain XDR capabilities are separate workloads that depend on the exact Microsoft licenses you own.

A third-party platform can fill a defined gap or consolidate operations, but it can also add routing, permissions, cost, false positives and another quarantine or analyst workflow. The sound choice is to map your licensed controls to each workload, then compare the incremental coverage and operating burden of an additional service.

First, identify what “Microsoft 365 security” means in your tenant

“Microsoft 365” describes a family of subscriptions, not a uniform security package. A tenant may have a business plan, an Office 365 enterprise plan, Microsoft 365 E3 or E5, separate Enterprise Mobility + Security licenses, Defender add-ons, or a mixture assigned to different user groups. The same company can therefore have different security entitlements for different people.

Microsoft Learn describes the baseline this way: “Although all organizations with cloud mailboxes include built-in security features, Microsoft Defender for Office 365 is the primary email and collaboration security solution for Microsoft 365.” That distinction matters when someone asks, “Is Microsoft Defender included with Microsoft 365?” Some Defender protections are built in; the full Defender family and advanced Defender for Office 365 capabilities are not automatically included in every subscription.

Baseline protection for cloud mailboxes

Microsoft documents these controls as part of the baseline protection applied to cloud mailboxes:

  • Anti-malware scanning
  • Anti-spam filtering, including bulk email controls
  • Anti-phishing and spoof protection
  • Outbound-spam protection
  • Connection filtering
  • Quarantine
  • Reporting
  • Audit-log search
  • Message trace
  • Zero-hour auto purge (ZAP) for email

These controls protect Exchange Online mail flow. They should not be interpreted as a license for endpoint detection, identity protection, SaaS discovery or a complete security operations platform.

What Defender for Office 365 adds

Defender for Office 365 is an additional email and collaboration security layer. Microsoft’s live plan comparison should be checked for the exact feature list because packaging changes, but the practical difference between the plans is clear.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
Capability area Cloud-mailbox baseline Defender for Office 365 Plan 1 Defender for Office 365 Plan 2
Core mail filtering Anti-malware, anti-spam, bulk-mail controls, connection filtering and outbound-spam protection Includes baseline controls Includes baseline controls
Phishing and impersonation Baseline anti-phishing and spoof protection Adds impersonation-aware anti-phishing controls Includes Plan 1 capabilities
Malicious attachments Baseline anti-malware Safe Attachments, including protection for SharePoint, OneDrive and Teams content Includes Plan 1 capabilities
Malicious links Baseline filtering Safe Links link inspection and time-of-click protection Includes Plan 1 capabilities
Teams and collaboration controls Baseline Exchange Online protections Additional Teams-related protections and collaboration coverage Includes Plan 1 capabilities
Investigation and hunting Reporting, audit search and message trace Prevention-focused capabilities Advanced investigation and hunting capabilities
Automated response ZAP and standard mailbox actions Limited to the plan’s prevention and remediation features Additional automated investigation and response workflows

Plan 2 is therefore not merely “more filtering.” Its value is strongest when a security team needs post-delivery investigation, proactive hunting, coordinated remediation and automation. A small organization that only needs stronger link and attachment controls may not need those operations features; an incident-response team often does.

Defender is a product family, not just an email filter

Microsoft uses the Defender name for separate workloads. Evaluate each one rather than calling the whole family a single platform.

Workload What it protects Questions for the buyer
Email and collaboration Exchange Online, SharePoint, OneDrive and Teams content, depending on the licensed Defender for Office 365 plan Do we need stronger anti-phishing, Safe Links, Safe Attachments, collaboration protection or advanced response?
Endpoints Windows, macOS, Linux, mobile or other supported devices, according to the endpoint product and deployment scope Are all corporate and contractor devices covered, and are sensors deployed and healthy?
Identities Identity signals and suspicious account behavior through Defender for Identity and related Microsoft controls Are on-premises identity sources, Entra ID signals and privileged accounts included?
Cloud applications SaaS discovery, app governance and cloud-activity signals through Defender for Cloud Apps Which non-Microsoft SaaS applications must be visible and controlled?
Cross-domain XDR Correlated incidents across Microsoft email, endpoints, identities and cloud apps Are the necessary workloads licensed, connected and staffed for one investigation workflow?

Microsoft documents native links among Defender for Endpoint, Defender for Office 365, Defender for Identity, Defender for Cloud Apps, Conditional Access and Sentinel. For example, endpoint risk can inform Conditional Access, and cross-product context can connect activities with identities during an investigation. That integration is a practical advantage for a Microsoft-centered environment, but it is not independent proof that Microsoft detects every threat better than every third-party product.

Check entitlement before comparing products

Build an entitlement inventory before requesting a quote or planning a migration. Record the SKU, tenant, assigned users, geographic billing region, add-ons and prerequisites for each population.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  • Name the exact subscription: “Microsoft 365” is insufficient. Record whether the user has a business edition, Office 365 E3, Microsoft 365 E3, E5 or another SKU.
  • Separate included features from add-ons: A feature shown in a Defender portal may be unavailable to a user who lacks the corresponding license.
  • Check user eligibility: Licensing can depend on which people, devices or workloads are covered, not just the tenant’s top-level agreement.
  • Verify prerequisites: Some security bundles require a qualifying enterprise license or Enterprise Mobility + Security entitlement.
  • Inspect the live comparison: Microsoft changes plan composition, names and regional availability. Confirm the current feature matrix before signing an order.

Microsoft list prices illustrate incremental-cost questions

Microsoft’s displayed 2026 US pricing page lists Defender Suite at $12 per user per month, paid yearly. The page states that this security-focused suite requires Microsoft 365 E3 or Office 365 E3 plus Enterprise Mobility + Security E3. It also displays Microsoft 365 E5 at $60 per user per month, paid yearly, and an E5 configuration without Teams at $51.45 per user per month. Microsoft says agreement prices may vary.

Displayed option Price shown on Microsoft’s 2026 US page What the number represents Important qualification
Defender Suite $12/user/month, paid yearly Security-focused bundle Requires Microsoft 365 E3 or Office 365 E3 plus Enterprise Mobility + Security E3; agreement pricing may differ
Microsoft 365 E5 $60/user/month, paid yearly Productivity, security and compliance bundle Displayed US configuration; compare only the incremental services you actually need
Microsoft 365 E5 without Teams $51.45/user/month, paid yearly E5 configuration without Teams Displayed US price; geography, agreement and packaging can change

These are vendor list-price snapshots, not measured security outcomes. A customer that already owns E3 and Enterprise Mobility + Security may compare a $12 Defender Suite increment with a separate gateway or XDR license. A customer considering E5 must value its productivity and compliance services as well as security. Recheck the page for your country and contract before using any figure in a business case.

Where a third-party platform can fit

Adding another service is most defensible when it addresses a specific gap or an established operating model:

  • [Dont Hesite to Order] 24 hours customer services and professional technology team are standing by
  • Your organization already runs a non-Microsoft endpoint, identity or security operations platform and wants email signals in the same console.
  • A required workload, geography, device type or SaaS application is outside the Microsoft licenses you plan to buy.
  • Your mail team needs a gateway, quarantine experience or policy model that differs from the native Exchange Online workflow.
  • A managed security provider owns monitoring and response in another platform.
  • You can state the measurable requirement—such as a routing architecture, API feed, analyst workflow or regulatory process—before selecting a vendor.

Microsoft’s integration guidance warns that a non-Microsoft service can affect cost, complexity, false positives, quarantine usability and existing SecOps, SIEM and SOAR processes. The service may improve posture, but it can also create duplicate controls and unclear ownership.

Integration patterns and their trade-offs

MX gateway routing

In an MX design, inbound mail is delivered to the third-party gateway first, inspected there, and then routed to Exchange Online. Outbound mail can follow the reverse path through the provider. Proofpoint Essentials documents this type of inbound and outbound Microsoft 365 gateway deployment.

  • Strength: A gateway can inspect mail before it reaches Exchange Online and provide a familiar centralized quarantine.
  • Operational cost: You must change DNS and mail-flow configuration, maintain connectors, and define failover behavior.
  • Security considerations: Configure trusted sources, spoof protection, authentication checks and outbound routing carefully. Misconfiguration can break mail flow or weaken authentication alignment.
  • Reporting impact: Message trace, delivery timestamps and quarantine ownership span two systems, so analysts need a documented investigation path.

Graph API scanning after delivery

An API model leaves delivery in Microsoft 365 and gives the external service access to selected messages, alerts or telemetry through Microsoft Graph. Microsoft notes that Graph access can require broad mailbox permissions, so the permission set, consent process, data retention and revocation procedure must be reviewed by an administrator.

  • Strength: No MX cutover is required, and the organization can retain Exchange Online as the delivery system.
  • Trade-off: Scanning after delivery may produce a different prevention and remediation experience from a gateway that blocks a message before delivery.
  • Governance requirement: Limit access where possible, document which mailboxes are covered, and monitor API activity and token lifecycle.

In-and-out routing

Some designs route mail through an external service in both directions while Exchange Online remains the mailbox platform. This can provide consistent inbound and outbound policy, but it compounds connector, authentication, reporting and outage-planning requirements.

Microsoft notes that the routing methods differ in supportability and mail-flow behavior. None should be adopted without a pilot that tests normal delivery, malicious samples approved for testing, forwarding, mailing lists, shared mailboxes, encrypted messages, quarantine release and service-failure recovery.

Two integration examples—and what they do not prove

Proofpoint Essentials with Microsoft 365

Proofpoint Essentials documents an MX-based Microsoft 365 gateway path for inbound and outbound mail. This makes it a concrete example of a third-party email service that can sit in front of Exchange Online. The documentation establishes the integration pattern, not superior detection, complete replacement of Defender for Office 365 or independent efficacy against Microsoft’s controls.

CrowdStrike telemetry in Falcon

CrowdStrike Marketplace documents a Graph API connector that brings selected Microsoft Defender for Office 365 email alerts and identity telemetry into Falcon Insight XDR. This is relevant to teams already operating Falcon that want Microsoft signals in that console. It does not establish feature parity with Defender XDR, replace Microsoft’s mailbox protections, or demonstrate that one platform wins a controlled efficacy comparison.

Compare prevention, investigation and response separately

A fair evaluation uses three columns rather than one “security” score.

Decision layer Questions to answer Evidence to request during a pilot
Prevention Which messages, links, attachments, collaboration files, endpoints and identities are inspected before harm? Policy coverage, supported workloads, enforcement timing, safe handling of false positives and protection during service outages
Investigation Can analysts pivot from a message to a user, device, identity, URL and related incident? Search depth, retention, event correlation, audit data, message trace and permissions needed by investigators
Response Who can purge messages, isolate a device, revoke a session, block an indicator or enforce Conditional Access? Automation rules, approval controls, rollback, audit trail, ticket/SIEM/SOAR integration and ownership outside business hours

Defender for Office 365 Plan 2 is differentiated primarily by investigation, hunting and response depth. A third-party gateway may be excellent at pre-delivery filtering but offer less context about endpoint or identity activity. Conversely, an XDR connector may improve correlation in one console without changing where mail is filtered. Compare the actual workflow, not the product category.

Operating costs that do not appear on a price sheet

Calculate total operating cost in addition to license cost:

  • Mail-flow engineering: DNS, connectors, transport rules, authentication alignment and disaster recovery.
  • Permission governance: Graph application consent, mailbox scope, service accounts, API secrets and periodic access reviews.
  • Analyst training: New consoles, query languages, alert severity models and escalation procedures.
  • Quarantine handling: Who releases messages, how users request release, and how duplicate quarantine notices are avoided.
  • False-positive workload: Time spent tuning policies, investigating business mail blocked by either system and reconciling conflicting verdicts.
  • Data and retention: Storage, regional processing, legal hold, export and retention differences between platforms.
  • Incident ownership: A contract must state whether Microsoft, the third-party provider, an internal team or a managed service responds first.

Microsoft’s own documentation cautions that no matter how many layers exist, “total protection never reaches 100 percent.” Layering should therefore be justified by a defined risk reduction or workflow benefit, not by the assumption that more products automatically produce complete protection.

A practical decision process for Microsoft 365 administrators

  1. Inventory workloads. List cloud mailboxes, Teams and SharePoint usage, endpoints, identity sources, SaaS applications and existing SIEM, SOAR or XDR tools.
  2. Map current entitlements. Export assigned SKUs and add-ons by user group. Mark which baseline, Plan 1, Plan 2, endpoint, identity and cloud-app features are actually available.
  3. Describe the gap in one sentence. Examples include “We need advanced email investigation,” “Our non-Microsoft endpoint platform must receive Microsoft email alerts,” or “We need a pre-delivery gateway for a defined mail-flow requirement.”
  4. Compare the smallest viable change. Price the relevant Microsoft add-on, a broader Microsoft bundle and the third-party option. Include implementation and recurring operations, not only subscription fees.
  5. Design the integration. Choose MX, Graph API or another supported pattern. Document permissions, connectors, authentication, routing, outage behavior, quarantine and data residency.
  6. Run a controlled pilot. Use a representative group and test normal mail, phishing simulations approved by your security policy, attachments, links, shared mailboxes, Teams or SharePoint files, endpoint alerts and identity incidents.
  7. Measure analyst work. Record time to triage, pivot, contain and recover; false-positive rate; user friction; duplicate alerts; and the number of consoles required.
  8. Assign response ownership. Write who monitors alerts, who can purge or release messages, who approves automated actions and who handles an outage.
  9. Recheck licensing and price at purchase. Confirm the live plan comparison, geographic price, agreement terms, user eligibility and any prerequisite SKU immediately before signing.

Common failure modes and fixes

Assuming an E3 or business tenant has every Defender feature

Symptom: A portal control is visible in documentation but unavailable to the intended users. Fix: Verify the named SKU and assigned users against Microsoft’s current licensing guidance; do not infer entitlement from the word “Microsoft 365.”

Putting two filters in series without an ownership model

Symptom: Conflicting verdicts, duplicate quarantine notices and analysts unsure which system is authoritative. Fix: Define the enforcement order, source of truth, release process, tuning owner and escalation path before enabling production routing.

Free tools Windows power users keep installed

Granting an API connector excessive access

Symptom: A connector receives broad mailbox permissions that nobody reviews. Fix: Scope access to the required users or telemetry, document consent, monitor usage and establish a revocation procedure.

Measuring only blocked-message counts

Symptom: A procurement decision is based on a dashboard total rather than operational outcomes. Fix: Measure prevention, investigation speed, containment, false positives, user impact and response ownership together.

Treating an XDR feed as a full product replacement

Symptom: An alert connector is assumed to provide every underlying email, identity or endpoint control. Fix: Separate telemetry ingestion from enforcement and confirm which product still performs filtering, remediation and policy decisions.

Which approach fits which environment?

Environment characteristic Likely starting point Why
Microsoft-centric users, endpoints and identities with a small security team Consolidate on the Microsoft controls already licensed, then add the specific Defender workload that closes the gap Native context, Conditional Access links and fewer consoles can reduce operational friction
Existing non-Microsoft XDR or managed-security operation Evaluate a targeted Microsoft telemetry connector or a defined email integration The value may be unified investigation, provided enforcement and ownership remain clear
Strong requirement for a pre-delivery mail gateway Compare MX gateway designs with the relevant Defender plan Gateway routing changes mail flow and must be justified by a concrete policy or operating requirement
Mixed endpoints, identities and SaaS applications Map each workload independently before selecting a suite No single email product automatically covers non-Microsoft devices or cloud apps
Limited staff for multiple security consoles Favor the architecture with the fewest handoffs and clearest automation License breadth is less useful if alerts cannot be investigated and contained promptly

Bottom line

There is no universal winner between built-in Microsoft security and third-party platforms. Start with the controls your exact Microsoft licenses already provide, then identify the unprotected workload or workflow that matters. Defender for Office 365 Plan 1 extends prevention; Plan 2 adds deeper investigation and response; the wider Defender family covers endpoints, identities, cloud apps and cross-workload XDR only when those workloads are licensed and deployed.
