If your Microsoft 365 profile photo is still old in one app, there is no single Microsoft 365-wide deadline for every service. Microsoft says SharePoint Online photos may take up to 24 hours to appear, and classic Outlook photos may take up to 48 hours. Teams can take time to update, but Microsoft gives no fixed duration. First confirm the new photo saved to your work or school profile; then use the affected app’s guidance below.
How long does a Microsoft 365 profile photo take to sync?

These are separate service-specific statements from Microsoft Support, with no publication year stated in the cited guidance. A photo appearing in one Microsoft 365 app does not establish that every other app has refreshed.

What to check first
- Confirm this is a work or school account. The steps here cover work or school Microsoft 365 accounts. Personal Microsoft accounts and Teams for personal use have separate profile workflows; Microsoft’s Microsoft account picture guidance is separate.
- Verify that the new photo saved to the work or school profile. Sign in to the My Account portal with the work or school account and check the profile photo. Microsoft’s instructions say to use the edit icon on the current photo when editing is available.
- Identify the app that still shows the old image. Apply the timing for that specific app in the table above rather than assuming one 24- or 48-hour clock covers all services.
- If Teams is stale, try clearing its cache. Microsoft says this may help the picture update sooner; it does not guarantee an immediate refresh.
- If there is no edit option, ask your organization’s administrator. IT or HR may control the photo or restrict profile edits.
Why SharePoint can keep showing an older photo
SharePoint Online synchronization uses the photo stored in Microsoft Entra. Microsoft says SharePoint evaluates a photo when a profile photo is requested. For a new user or a photo whose timestamp is older than 24 hours, SharePoint makes a sync request. If the Entra photo is missing, or the SharePoint photo already matches it, no change is needed; if the photos differ, SharePoint syncs the photo to its repository.

That mechanism has prerequisites: the Entra photo must exist, the profile’s Picture property must be editable, and the My Site Host site collection must have quota available for new pictures. Microsoft says guest user profile photos are not synchronized to SharePoint Online. If a SharePoint mismatch persists, an administrator can check these conditions. Microsoft specifically advises against manually changing user-photo properties in the User Profile.

When a photo will not upload or cannot be changed
An upload problem is different from a propagation delay. Microsoft says most static image files are supported for a work or school profile photo where editing is allowed, but HEIC images and animated GIFs are not supported. For a portrait or landscape image that needs to fit the square display, Microsoft suggests adding borders with an image editor. See Microsoft’s work or school profile picture instructions.
If the photo controls are missing or unavailable, the organization may have restricted editing or may manage profile information through IT or HR. Classic Outlook’s Change link can also be absent when profile details are controlled by the organization; contact the administrator rather than trying to modify directory or SharePoint profile properties yourself.
