The plan gets one 2 TB pool shared by the primary subscriber and up to five additional members. For a full six-person plan, the maximum combined capacity falls from 6 TB to 2 TB, a reduction of 4 TB, or two-thirds of the former maximum. Files stay private to each person by default, so the pool is shared capacity, not shared access.
When the change applies to your subscription
Microsoft publishes two support pages that cover this change, and they give different dates. The table below shows both, so you can see the conflict rather than rely on one page.

| Subscription situation | “Changes to Microsoft 365 storage” page | “Microsoft storage quotas” page |
|---|---|---|
| New Family or Premium subscriptions | Starting October 8, 2026 | Starting October 7, 2026 |
| Existing subscribers | Generally after the first renewal on or after May 2, 2027 | Renewals starting April 1, 2027 |
| Eligible plan changes | May apply the shared model earlier | Not stated |
Both pages place the start for new subscriptions in early October 2026, so a plan bought today should already use the shared model. Neither page explains why the dates differ, whether because of regional rollout, a page update, or another reason. Microsoft says it will notify existing subscribers before the change is applied, so your account notice and plan page are the most reliable guide to your own timing.
What changes for each member
Before this change, each Family or Premium member had a 1 TB OneDrive allowance, up to six people. Now the plan’s storage is one pooled amount. The practical effects are:
#1 Best Overall
- Brilliant Display – Stunning 13.8" PixelSense touchscreen[1], with brilliant LCD display[2], unleashes luminous whites, deeper blacks and colors so richly saturated bringing vivid life into every frame – perfect for work, school, streaming and creative tasks.
- Power that lasts all day – With 20 hours of battery life[3], the new Surface Laptop powers through your entire day, so you can create, work and stream from morning to night without reaching for a charger.
- Work at the speed of your ideas – Built with the latest Qualcomm Snapdragon X2 Elite (12 Core) processors, Surface Laptop delivers fast, AI‑accelerated performance—making it the most powerful Surface laptop for everything from multitasking to demanding workloads.
- The ports you need – Charge on-the-go, transfer data fast, or create the ultimate desktop set up with two USB-C / USB4[4] ports.
- Built-in AI Companion – Work smarter, create freely, and communicate with confidence—Copilot[5] on Windows 11 is always there to help.
- One pool for the whole plan. The 2 TB covers the primary subscriber and up to five additional members combined.
- No automatic access to others’ files. A shared pool does not let members see each other’s files. Each member can access only their own files unless they explicitly share content.
- Usage can move between members. One person can use more of the pool while another uses less, which is the flexibility Microsoft describes. It does not raise the total.
- Add-ons go to the pool. Storage bought by subscription members is added to the shared pool, and subscribers can raise the total to 10 TB.
The capacity math
| Measure | Former model (per-person quotas) | Shared model |
|---|---|---|
| Storage per member | 1 TB each | No individual allowance; members draw from one pool |
| Maximum for a six-member plan | 6 TB | 2 TB |
| Change in maximum | A reduction of 4 TB, or two-thirds of the former maximum | |
| Ceiling after add-on storage | Not stated | 10 TB, per Microsoft’s change page |
The 6 TB figure was always a ceiling across six separate accounts, not a single allocation one person could use. Even so, any household whose combined use is above 2 TB will hit limits after the change, and those limits apply to the whole household rather than to each person.
Transition rules for upgrades and downgrades
- Upgrading from Family to Premium can bring the shared model forward, with a new allocation of 2 TB. Microsoft gives this as an example of an eligible change before the general transition date.
- Downgrading alone does not trigger the shared model immediately. According to Microsoft’s change page, the transition applies at a later eligible renewal.
- Transition bonus storage may be offered to eligible existing subscribers in supported markets at renewal. The change page does not state the amount, and it is not a universal entitlement.
What to do if your household is over 2 TB
- Open the storage section of your Microsoft account dashboard and check how much each account is using. Identify which accounts hold the largest share of the pool.
- Add up total household use and compare it with 2 TB. Do not compare each person with a separate 1 TB allowance, because that allowance no longer exists after the transition.
- Decide how to close the gap. You can delete or reorganize content, buy add-on storage from your plan page (check the price and availability for your country there), or check whether your renewal includes transition bonus storage.
- If you want to keep infrequently used files, move them to local storage such as an external drive. This is an editorial suggestion, not Microsoft advice. A 2 TB external hard drive is one common option for local archiving. It does not sync with OneDrive and does not add OneDrive quota. Keep a backup and verify the copy before you delete anything from the cloud.
- If you are considering another cloud service, compare the options using the criteria in the next section.
How to compare alternatives
Use these six criteria to compare your options, whether that is Microsoft’s add-on, another Microsoft 365 plan, or a different provider:
Rank #2
- With 16 GB of memory, runs as many programs as you want without losing the execution
- The 13.5" 2256 x 1504 screen provides a great movie watching experience
- 512 GB SSD is enough to store your essential documents and files, favorite songs, movies and pictures
- 8 Hours battery run time helps you stay unwired and work longer non-stop
- Total included storage
- Pooled versus per-person quota
- How many household members can use the plan
- Whether files stay private by default
- Cost of add-on or replacement storage
- Effort of migrating and backing up files
Microsoft 365 Pro is a separate plan with a 5 TB shared allocation. It is not the Family or Premium allocation, so it should not be used as a direct comparison for a six-person household.
What these pages do not settle
- Why the two Microsoft pages list different dates.
- The price of Microsoft storage add-ons, and which countries offer them.
- Current plan terms for competing cloud services.
Microsoft’s stated reason for the change is that the pool “provides more flexibility by making storage available to the people who need it most.” That is Microsoft’s rationale, as stated on its support page. It is not independent evidence that every household will find the pooled model more flexible, and the lower total maximum is the fact that matters most for planning.
