“Sharing Copilot” can mean sharing a chat link, sharing a Microsoft 365 Family or Premium subscription, sharing a file, or assigning a work license. Those are separate permission systems. A Copilot link shares a conversation snapshot, not access to the files or messages behind it; the consumer AI included with Family and Premium belongs only to the subscription owner; and expiry removes subscription benefits without immediately deleting OneDrive files. Work and school accounts follow their organization’s licensing and retention rules.
Four different things people call “sharing”
Before troubleshooting access, identify what was actually shared. Microsoft treats these actions differently:

A file shared separately through OneDrive, SharePoint, or another service is its own permission decision. A Copilot link does not replace that decision.

What a Copilot session or response link actually shares
The link is a snapshot, not a window into your account
Microsoft’s Copilot sharing documentation describes a session link as a representation of the conversation at the time it was shared. If the recipient continues that conversation, Copilot creates a copy in the recipient’s own chat history. The recipient is not added to your session, and later changes in your chat do not turn the link into live access to your account.

A response link is narrower: it shares the response and the prompt associated with it. It is useful for showing an answer, but it does not carry the underlying document, mailbox item, meeting, or conversation that Copilot may have used.
Referenced content keeps its existing permissions
Microsoft states: “Sharing a Copilot session or response doesn’t give recipients access to files, emails, chats, meetings, or other Microsoft 365 content referenced in the conversation. Existing Microsoft 365 permissions still apply.” Someone who can read the shared text may still receive an access-denied message when trying to open a referenced file. Conversely, a person who already has permission to that file can open it through the normal Microsoft 365 sharing path, independently of Copilot.
Be careful with sensitive material in the visible transcript. Although the link does not grant the source file’s permissions, the words, excerpts, tables, or personal information that Copilot displayed in the conversation are part of the shared snapshot. Review the conversation before sending it, and share the original file separately only with people who need it.

In the Microsoft Copilot app and Microsoft 365 apps, an administrator can disable Copilot sharing. When that control is off, users cannot create new session or response links. It does not turn a recipient’s already continued copy back into your conversation; that copy remains a separate chat. If a sharing button is missing in a work or school account, an administrator policy is one possible explanation, alongside an account or app-version difference.

Can family members use the owner’s Copilot benefit?
No. Microsoft’s subscription FAQ says: “AI features in Word, Excel, PowerPoint, Outlook and Designer included in Microsoft 365 Family and Premium plans are only available to the subscription owner and cannot be shared with others.” Adding someone to the Microsoft family group, or sharing the wider subscription, does not transfer the owner’s included AI entitlement.
This distinction matters because a family member may legitimately receive other subscription benefits while still seeing no Copilot feature in a Microsoft 365 app. The result is not evidence that the family invitation failed; it reflects the owner-only rule for the included AI features. The family member would need an entitlement of their own if Microsoft’s current plan and account requirements call for one.
Family membership is not access to private data
Being in the same Microsoft family does not make each person’s files, mail, chats, calendar, or Copilot history visible to the others. Those remain associated with each individual account and their normal sharing permissions. If the goal is to collaborate on a document, share that document through its supported file-sharing controls rather than sending a Copilot transcript and assuming it includes the source.
What changes when a personal Microsoft 365 subscription expires?
Turning off renewal is not the same as expiry
Microsoft’s recurring-billing guidance distinguishes cancellation of automatic renewal from the end of the paid term. If you turn off recurring billing, the subscriber and people using shared benefits can continue using those benefits until the expiry date shown in the account. The change prevents another charge; it does not end the current period immediately.

At the expiry date, shared benefits stop
Microsoft’s consumer expiry guidance says people who were using shared benefits remain in the Microsoft Family group, but the subscription benefits stop and their accounts revert to the free state. The family relationship itself is not automatically removed. Treat the expiry date as the point at which you must have another plan or a backup for any benefit that matters to you.
Desktop Office apps become view-and-print only
After a personal subscription expires, the desktop Office applications associated with it become view/print-only until the subscription is restored or another valid license is applied. You can still open and print existing documents, but editing and creating new documents in the desktop apps require an active entitlement. This is a licensing change, not an instruction to delete your documents.
OneDrive returns to the free allowance
Microsoft’s current consumer guidance says the post-expiry OneDrive allowance returns to 5 GB. Existing files remain intact at expiry, but an account that is above the allowance needs prompt attention. Microsoft says uploads and syncing can be affected while storage is over quota. Check the storage indicator for the actual account rather than assuming every family member has the same usage.
Microsoft also describes conditional account actions for prolonged over-quota storage: after three months over the limit, OneDrive may be frozen; after six months, Microsoft might delete the OneDrive and all files. These are stated support timelines, not a promise that deletion occurs immediately at expiry or on every account. The safe response is to reduce storage or restore an eligible subscription before those conditions become relevant.

A practical expiry checklist
Use this sequence when you are ending a consumer subscription or deciding whether to renew:
- Confirm the date and account. Sign in to the Microsoft account that owns the subscription and note the displayed expiry date. Check each person’s account if multiple people use shared benefits.
- Separate renewal status from service status. If recurring billing is off but the date has not arrived, continue using the benefits while you prepare; do not treat the cancellation confirmation as an immediate cutoff.
- Inventory OneDrive storage. Compare the account’s current usage with the 5 GB post-expiry allowance. Include shared folders, camera uploads, and large files that may not be obvious from a single device.
- Make an independent copy of important files. Download or move files you must retain before the account is over quota. Verify that the copies open correctly and that you have a way to edit them after desktop Office becomes view/print-only.
- Plan editing access. Decide whether you will restore the subscription, use another valid license, or work with a web or alternative editor. Do this before a deadline, not after an Office app switches modes.
- Recheck after expiry. Confirm that files remain available, watch for storage warnings, and resolve any sync or upload failures. If the account is over quota, treat the three-month and six-month conditions in Microsoft’s guidance as a reason to act quickly.
How work and school Copilot access differs
Consumer Family rules do not describe a work or school tenant. Microsoft distinguishes personal Microsoft accounts from Entra work or school accounts, where Copilot access depends on the organization’s plan and the license assigned to the individual.
Microsoft’s licensing guidance also distinguishes Copilot Chat without a Microsoft 365 Copilot license. In that configuration, the chat experience cannot access the user’s shared enterprise data, individual data, or external information indexed by Microsoft Graph connectors. Do not infer from the ability to open Copilot Chat that the account can search every company file or mailbox.
When an employee loses access
The exact result of a work or school subscription ending, a license being removed, or an account being disabled depends on the organization’s policies and Microsoft’s terms for that tenant. The consumer sequence—family members reverting to free accounts, a 5 GB OneDrive allowance, and the stated three- and six-month over-quota conditions—should not be applied to an organization without confirmation. Ask the Microsoft 365 administrator which licenses are assigned, what happens to stored files, and what retention or export process applies.
Common scenarios and the right fix
“My relative opened the Copilot link but cannot open the file.”
That is expected when the relative does not already have permission to the file. Share the file through its normal Microsoft 365 controls, or provide a deliberately redacted copy. Do not broaden access merely because the transcript mentions the file.
“A family member has Microsoft 365 but no Copilot buttons.”
Check whether that person is the subscription owner. The included AI features in Family and Premium are owner-only, so family membership alone does not provide them.
“I cancelled renewal and Copilot stopped immediately.”
Check the account’s displayed expiry date and sign-in account. Microsoft says benefits continue until that date when recurring billing is turned off. An earlier interruption may indicate a different account, a license change, or an organization policy rather than ordinary consumer cancellation.

“My files disappeared after expiry.”
Do not assume immediate deletion. Microsoft says existing OneDrive files remain intact at expiry, while over-quota accounts can lose upload and sync functionality and may face later freezing or deletion under the stated conditions. Sign in to the owning account, inspect storage status, and make a backup while the files are available.
“Our company Copilot behaves differently from a personal account.”
That is normal. Work or school access is governed by assigned licensing, tenant settings, and administrator policy. Contact the administrator rather than applying consumer Family or expiry guidance.
Bottom line
A Copilot link shares words from a conversation, not the permissions behind its sources. Microsoft 365 Family and Premium do not share the owner’s included Copilot AI features with other family members. For a personal subscription, turning off renewal leaves benefits active until the displayed expiry date; after expiry, shared benefits end, desktop Office becomes view/print-only, and OneDrive falls back to 5 GB, with additional action needed if storage is over quota. Work and school accounts require a separate license and policy check.
