Meeting-room endpoint monitoring reports selected room, device, peripheral, and operational signals; it is not the same as recording a meeting. What a platform can see, how quickly it raises an alert, and whether it can manage a device remotely depend on the vendor, model, configuration, connectivity, and licensing. An “unhealthy” or “unmonitored” status also does not by itself prove a room is unusable.
What does meeting-room endpoint monitoring track?
Monitoring services typically collect device-health and system telemetry, configuration and policy details, peripheral status, software or firmware versions, and incident or troubleshooting information. The exact signals differ by platform and deployment. A device being visible in a portal does not mean every fault will be detected, or that an administrator can change its settings remotely.

For example, Microsoft Teams Rooms Pro Management provides room and device status, incident views, basic history, and troubleshooting details. Its incidents can include sign-in failures, application or operating-system version warnings, and peripheral or configuration issues. Microsoft says the service deploys a monitoring agent on each Teams Rooms device; the agent must be able to connect to cloud services for telemetry to arrive. Zoom’s general telemetry documentation describes product-usage and system-configuration data, with collection dependent on diagnostic-consent settings, app version, and enabled products or features. It is not a complete specification for every Zoom Rooms deployment. Zoom Support: Required telemetry events
Does it record meeting audio or video?
Endpoint monitoring should not be confused with meeting recording. The Logitech Sync privacy whitepaper says Logitech does not capture or store sound or video through the Sync app. It also lists data the app may collect, including device name and unique ID, firmware and Sync app versions, serial number, computer operating-system and specification metadata, IP and MAC addresses, and room-occupancy metadata. Occupancy is not raw audio or video, but it can still reveal patterns of room use. The whitepaper is vendor-authored; check its current edition and the settings and products enabled in your deployment. Logitech Sync Security and Privacy Whitepaper
Microsoft describes Teams Rooms Pro Management as primarily processing device and operational information, such as health and telemetry, peripheral inventory and firmware, configuration and policy, room resource account information, incident and remediation history, operational logs, update status, and diagnostics. Microsoft says the service is designed for room and device management rather than individual user profiling, while noting that operational logs or diagnostics may incidentally contain user references. Microsoft separately states that limited end-user data is stored on Teams Rooms devices and may appear in log files for troubleshooting and support. That is Microsoft’s description of Teams Rooms, not a universal guarantee for other vendors, integrations, or configurations. Microsoft Teams Rooms security
What do “healthy,” “unhealthy,” and “unmonitored” mean?
These labels describe different states. In Microsoft Teams Rooms Pro Management, health classifications include healthy, unhealthy, unmonitored, and suppressed. Microsoft says health criteria use evolving heuristics, so an unhealthy label does not necessarily mean the room is out of service. “Unmonitored” means the agent cannot connect to cloud services and the portal is not receiving telemetry. Microsoft’s definition is: “We aren’t receiving telemetry about the device.” Network problems, firewall changes, or changes to the device image can contribute to that state. Microsoft Teams Rooms Pro Management Portal
In practice, treat an unhealthy status as a signal to investigate the specific incident, and an unmonitored status as a loss of current reporting—not confirmation of a room failure. Verify room function through other available evidence, such as a local check or a user report, before declaring an outage.

Why is a room showing as unmonitored?
For Teams Rooms Pro Management, the documented cause is that the monitoring agent cannot connect to cloud services. Microsoft identifies network issues, firewall changes, and device-image changes as possible reasons. Because telemetry is missing, the portal may not reflect the device’s current condition.
Do these 3 things before closing this tab:
1Repair Windows errors before they cause bigger problems2Scan for outdated or missing drivers - takes under a minute3Clear out junk files and repair common Windows errors- Check the reporting path: confirm the device has network connectivity and that relevant firewall or network changes have not blocked its cloud connection.
- Check the device and agent: investigate recent device-image changes and whether the monitoring agent is running and able to report.
- Verify the room separately: use an on-site check or another reliable signal to distinguish a reporting problem from an actual room fault.
- Reassess after connectivity returns: confirm that telemetry resumes and review any resulting incidents before closing the issue.
These checks reflect Microsoft’s documented Teams Rooms portal behavior; other platforms may use different definitions and recovery steps. Microsoft Teams Rooms Pro Management Portal

Logitech Sync distinguishes between supported devices it can monitor and manage and Logitech or third-party devices it can monitor but not manage. As Logitech puts it, “Select Logitech and third-party devices installed in meeting rooms can be monitored but not managed with Sync.” Monitoring may show a device’s status without providing remote configuration or control. Logitech Sync device coverage
Zoom’s alert documentation names selected microphones, speakers, cameras, and displays, but the documented display-disconnection alert applies to Zoom Rooms for Mac—not Windows or Appliances. The presence of a device category in an alert list should not be read as universal coverage of every model or failure mode. Zoom Support: Managing Zoom Room alerts

How do platform coverage and alert behavior differ?
| Platform | Documented coverage and signals | Important limits |
|---|---|---|
| Microsoft Teams Rooms Pro Management | Room and device status, incident views, basic history, troubleshooting details, and incidents such as sign-in, version, peripheral, or configuration issues. | Requires a monitoring agent able to reach cloud services. Generating incidents requires a Teams Rooms Pro or Teams Shared Device license. Verify current portal scope and licensing for the tenant and deployment. |
| Zoom Rooms | Configurable alerts for specified network, calendar/resource, SIP-registration, selected peripheral, display, and security or passcode conditions. | Selected mic, speaker, or camera disconnection can trigger a real-time notice during a meeting; outside a meeting, Zoom documents notice within 30 minutes. The documented display-disconnection alert applies to Zoom Rooms for Mac, not Windows or Appliances. |
| Logitech Sync | Monitoring and management for supported devices; some Logitech and third-party devices can be monitored only. | Confirm the exact model and whether the needed capability is monitoring, remote management, or both in Logitech’s current device list. |
These descriptions reflect the linked vendor documentation, not a like-for-like test of all products. For additional Logitech security context, a separate whitepaper describes Sync clients communicating with the cloud portal for monitoring, management, and room-usage or performance insights, and documents TLS 1.2 or above for those described connections. Its discussion also covers booking, calendar, and workplace-insight services, so it should not be applied indiscriminately to a monitoring-only deployment. Which alerts should IT act on?
Prioritize alerts by the specific condition, operational impact, and whether the signal is actionable. A vendor label alone is not enough to determine whether a room is unusable.
- Investigate potential service blockers: sign-in failures, loss of network connectivity, SIP registration failure, or a peripheral disconnection that prevents the room’s required functions.
- Review warnings in context: app or OS version notices, configuration issues, and calendar integration problems may need correction, but their effect depends on the room’s use and configuration.
- Separate informational notices from customer action: Microsoft distinguishes incidents requiring customer action from those under system investigation. Follow the incident details rather than treating every notice as an outage.
- Check timing and delivery: Zoom’s documented peripheral alerts can be real-time during a meeting or arrive within 30 minutes outside one; use the platform’s configured delivery channel, including webhooks where enabled.
- Validate device support: confirm that the affected peripheral is supported and whether the platform can manage it or only observe it.
- Use suppression carefully: Microsoft supports suppression for devices or individual signals in known maintenance states. Assign an owner to restore alerting when maintenance ends.
Microsoft’s incident, health, and suppression behavior is described in its Teams Rooms Pro Management Portal documentation; Zoom’s alert conditions and timing are described in its Zoom Rooms alerts documentation.
What privacy and access controls should an organization set?
Monitoring data can be operational rather than meeting content and still be sensitive. Device identifiers, network addresses, room-account details, logs, incident exports, and occupancy patterns may reveal information about infrastructure or how spaces are used.
