Managed IT in the Age of AI: What Businesses Need to Know

Managed IT can give a business ongoing technology and cybersecurity support, but outsourcing does not transfer the business’s responsibility for protecting its systems and data. AI adds another layer: providers and software vendors may operate parts of a service, while your organization still needs to set usage rules, control access and data, train staff, and review outputs. The right arrangement depends on what you use and what your provider’s written agreement actually covers.

What does a managed IT provider do?

A managed service provider (MSP) delivers contracted, ongoing support for specified technology or security needs. The scope varies: one provider might focus on outsourced cybersecurity, while another may also administer particular business platforms. Do not assume that every MSP monitors every system, responds to every incident, or manages every application. The signed agreement—not the provider’s general description—should define the service.

The National Institute of Standards and Technology (NIST) notes that small businesses commonly turn to managed service providers, managed security service providers (MSSPs), or fractional chief information security officers when they lack the expertise, staff, or budget to build those capabilities in-house. NIST’s guidance explains both the potential value and the limits of outsourcing: Building Your Small Business’s Cybersecurity Team: From In-House to Outsourcing.

Do you need an MSP for your small business?

An MSP may make sense if your business needs ongoing technology or cybersecurity work but cannot reasonably staff it internally. It is not automatically the right answer for every company. Start by identifying the outcomes you need—such as meeting a particular business, legal, regulatory, or contractual requirement—and then determine whether a provider can deliver them within a clearly defined scope.

NIST recommends assessing a provider’s experience with your industry and small businesses, confirming its ability to address your requirements, comparing quotes from multiple providers, and not choosing on price alone. A lower fee is not useful if important systems, responsibilities, or response expectations fall outside the agreement.

Does outsourcing IT mean the provider is responsible for security?

No. A provider can take on contracted tasks, but your business retains responsibility for protecting its systems and customer information. NIST puts it plainly: “You are ultimately responsible for protecting your systems and data.” That makes responsibility-sharing a core selection issue, not an administrative detail to settle after signing.

Ask for the agreement to identify covered systems and users, included services and exclusions, service levels, escalation paths, and each party’s responsibilities. Clarify who controls account access, device settings, backups, incident response, and escalation to other vendors. NIST specifically recommends documenting service levels, responsibilities, and expectations in a formal agreement.

How does AI change the managed IT conversation?

AI is not just a software purchase; it also changes how employees handle information and how the business governs access and decisions. Microsoft’s June 29, 2026, blog describes small and medium businesses moving from isolated AI use cases toward integrated workflows, and connects that shift with security, identity, data protection, governance, and compliance. This is Microsoft’s perspective, not a universal prediction about how every business will adopt AI. Read its discussion at Small and medium businesses aren’t waiting for an AI invitation—they’re already leading.

Who handles which AI controls depends partly on the deployment. Microsoft describes a different split for a managed software service such as Copilot than for a platform service or custom Azure OpenAI deployment. In Microsoft’s account, customers remain responsible for deciding how AI may be used, configuring their environment, managing identities and access, protecting and classifying data, training users, reviewing outputs, and considering applicable requirements. With platform or custom deployments, customers also take on further design, model-selection, integration, and infrastructure work. These are Microsoft’s descriptions of responsibility for its services, not an independent guarantee of any provider’s security.

When discussing AI with an MSP, get specific about the tools your organization approves, who can use them, what information may be shared, how staff will be trained, when a person must review outputs, and who configures or monitors each relevant control. The arrangement should reflect the AI services and workflows you actually use rather than rely on a generic promise that AI is “secure.”

Which security basics should you discuss with a provider?

Microsoft’s small-business guidance recommends considering multifactor authentication, verified access, managed and updated devices, email protection, data protection, and a response plan. It is a vendor’s practical guidance, not an exhaustive checklist that fits every organization. Use it to start a scope conversation: ask which controls the provider will configure or manage, which remain yours, and how you will know they are working. Microsoft’s guidance is at Cybersecurity for small and medium businesses.

When Microsoft 365 Lighthouse may be relevant

For businesses using Microsoft 365, qualifying Cloud Solution Provider partners can use Microsoft 365 Lighthouse for multi-tenant management. Microsoft describes features including SMB-focused security baselines, tenant configuration journeys, device-compliance views, risk investigation, and common account tasks. Microsoft currently says there is no additional cost to use Lighthouse to manage Microsoft 365 services and connected devices, but partner and tenant requirements apply. Confirm current eligibility and terms in Microsoft 365 Lighthouse overview. This is one platform-specific example, not a requirement to use Microsoft products or an MSP.

What should you ask before hiring a managed service provider?

Bring your intended outcomes and requirements to the discussion, then ask how the proposed service will meet them. NIST recommends comparing providers on experience and fit as well as cost; the questions below also make the day-to-day division of work and AI-related responsibilities concrete.

  • Which business and security outcomes are included, and how will we know they have been met?
  • Which systems, users, and locations are covered? What is explicitly excluded?
  • What experience do you have supporting businesses like ours and our industry?
  • How will the service address our legal, regulatory, and contractual requirements?
  • Who controls account access, device configuration, backups, incident response, and escalation to other vendors?
  • What service levels, response expectations, and escalation procedures will appear in the signed agreement?
  • For our AI tools, who sets usage policy, manages access and data, trains staff, and reviews outputs?

Compare multiple written proposals against the same questions. That makes it easier to distinguish a genuine difference in scope from a difference in price.

What do the reported SMB cybersecurity figures show?

Microsoft Cloud Blog reported on June 29, 2026, that a Microsoft Security 2024 study found one in three small and medium businesses had experienced a cyberattack in the prior year, at an average reported cost of USD 254,445. The blog also attributed to that study the findings that 94% of surveyed SMBs considered cybersecurity critical and 81% said AI increases the need for stronger controls. These are figures attributed to Microsoft Security’s study by Microsoft’s blog; the original study’s methodology and sample details are not established here, so they should not be treated as independently verified or representative of every business. The reporting is in Microsoft’s June 29, 2026, blog.

Where can a business find a cybersecurity framework starting point?

NIST’s CSF 2.0 Quick-Start Guides page lists a Small Business guide for organizations with modest or no cybersecurity plans. At the time described by NIST, the page also listed an initial public draft guide for using AI in CSF analysis and reporting, with comments due October 15, 2026. Draft status and deadlines can change; check the current NIST CSF 2.0 Quick-Start Guides page for the latest materials.
