Windows Live Captions converts detected speech from audio playing on a Windows 11 PC into on-screen text. It works across videos, browsers, apps, calls and streams, and Microsoft says processing happens on the device. The feature is available in Windows 11 version 22H2 and later; live translation is limited to Copilot+ PCs running Windows 11 version 24H2 or later. What Windows Live Captions does
Live Captions listens to speech in the PC’s default audio output and displays the result in a separate caption window. That can include a browser video, streaming service, local media player, presentation, game, video call or other application. It is independent of an app’s own subtitle system, so it can add a caption layer even when the app has no captions.
You can also optionally caption speech received through the computer’s microphone. The microphone option is off by default. Live Captions is an automatic speech-recognition aid, not a saved transcript: Microsoft says generated captions are not stored on the device or in the cloud.

Automatic captions are not certified human captioning and should not be the sole accessibility method for legal, medical, formal education or other high-stakes situations.

Compatibility and requirements
- Standard Live Captions: Windows 11 version 22H2 or later.
- Live translation: a Copilot+ PC with Windows 11 version 24H2 or later.
- Internet: usually needed for the first language-file download; ordinary caption generation can work offline after the files are installed.
- Microphone captioning: requires a working input device and permission to use it.
- Managed computers: Microsoft Store, language downloads, microphone access or accessibility settings may be restricted by an administrator.
Check your version in Settings > System > About. Do not assume that every Windows 11 PC has translation: that capability has stricter Copilot+ and 24H2 requirements.
How to turn on Live Captions
- Press Windows key + Ctrl + L.
- Or open Settings > Accessibility > Captions and switch on Live captions.
- You can also select the taskbar’s battery, network or volume area, open the Accessibility flyout and choose Live captions.
- Another route is Start > All apps > Accessibility > Live captions.
On first launch, Windows asks for consent to process voice data on the device and downloads speech-recognition files for the selected language. The caption window appears once the package is ready.
Choose or change the caption language
- Open the Settings menu in the Live Captions window.
- Select Change language.
- Choose a language, select Continue, then choose Download if prompted.
- Wait for Windows to report that Live Captions is ready.
Microsoft’s current speech-recognition list includes Chinese, Danish, English variants, French, German, Italian, Japanese, Korean, Portuguese and Spanish variants. Locale availability can change, so verify the current list on Microsoft’s support page.
Older Windows 11 builds may instead use Settings > Time & language > Language & region, with Enhanced speech recognition selected. Treat that as a legacy interface rather than the universal current path.

Caption microphone speech
- Open the Live Captions window’s Settings menu.
- Select Preferences.
- Turn on Include microphone audio.
- If nothing appears, check the input device under Settings > System > Sound and confirm microphone permission.
System audio is prioritized when system and microphone audio are captured together. This is not a dependable multi-speaker room-transcription system; overlapping voices may be missed or merged.
Position, resize and style the caption window
Use the Live Captions window settings to choose a docked position above or below the screen, or use a floating overlay. Docking reserves space without covering another application; floating mode can be moved away from video controls or subtitles. Drag the window edge to increase its height and show more lines during fast conversations.
- Open Settings in the caption window.
- Select Preferences > Caption style.
- Choose a built-in style or select Edit for a custom style.
Adjust text size and color, background color and opacity, contrast, position and the number of visible lines. A high-contrast style is usually easier to read over video or in bright rooms.
Using Live Captions with videos, meetings and headphones
Windows-wide captions are useful when audio moves between unrelated applications. For a Teams meeting, however, Teams’ own captions can provide meeting-specific controls, and its transcription feature can create a downloadable record when enabled. Teams also supports CART captions from a human captioner. See Microsoft Teams’ documentation.

Live Captions listens to Windows’ default sound-output device. If a headset, HDMI monitor, Bluetooth device or virtual meeting route is not the default, captions may appear empty even though you can hear audio.
Troubleshoot missing or inaccurate captions
- Confirm it is running. Reopen Live Captions with Windows + Ctrl + L.
- Check the language. Select the language spoken in the audio and verify that its package finished downloading.
- Check the output route. Go to Settings > System > Sound and set the headset, speakers or virtual device carrying the audio as the default output.
- Verify the input route. For microphone captions, check the selected microphone and its permissions.
- Check the content. Live Captions detects speech, not every sound. Music, applause and sound effects are not reliably captioned, and sung lyrics may be missed.
- Reduce system load. Heavy CPU or GPU activity can delay or drop captions; close resource-intensive applications and restart Live Captions.
- Restart after changes. Reopen the feature after changing audio devices or language packages.
When language files will not download
If Windows reports “We can’t download the required language files right now,” confirm internet access and test downloads in the Microsoft Store. If Store downloads work, submit feedback through Feedback Hub. On an enterprise PC, ask whether Store access or language-package installation is blocked. Microsoft’s troubleshooting guidance is at this support page; an alternate regional URL is Microsoft Support Australia.
Remove downloaded speech packages
- Open Settings > Apps > Installed apps.
- Search for Speech Pack.
- Open the package’s More menu and select Uninstall.
Accuracy and practical limits
Recognition quality depends on clear speech and a clean audio route. Expect errors with names, technical terms, strong accents or dialects, quiet or distant speakers, rapid delivery, echo, background noise and people talking over one another. Captions can also lag when the computer is busy. Use them as real-time assistance, not as a verbatim or professionally edited record.

Microsoft says Live Captions processes audio on the device, and that audio, voice data and generated captions do not leave the device. It also says generated captions are not stored locally or in the cloud. The microphone starts disabled. Internet access can still be required to download speech files initially or to repair a Store-package problem.

Those statements apply to Windows Live Captions itself. They do not describe Teams, Zoom, browser extensions, meeting bots or other software producing or transcribing the audio. An organization should also check its device-management, microphone, Store and data-loss-prevention policies.
Live translation on Copilot+ PCs
On qualifying Copilot+ PCs running Windows 11 version 24H2 or later, Live Captions can translate more than 40 source languages into English and 27 languages into Simplified Chinese, subject to Microsoft’s supported-language list and ongoing updates. This is separate from ordinary speech captioning and is not available to every Windows 11 computer.

Otter’s official pricing and feature details are at otter.ai/pricing. Its Basic plan and paid tiers are aimed at searchable meeting transcripts, summaries, speaker identification and integrations, not merely an on-screen caption overlay; prices and limits can change by billing term and region.
Microsoft Edge has a separate Live Captions implementation. Microsoft documents local processing and an approximately 100 MB first-use speech download, but its policy page says the feature is not generally available. Do not confuse it with Windows-wide Live Captions: Edge policy documentation.
The Bottom Line
Use Windows Live Captions when you need immediate, cross-application captions with local processing and no separate purchase. Prefer native meeting captions when you need meeting controls, and use an approved transcription service or human CART captioner when you need saved records, speaker identification, summaries or formal high-stakes accuracy.
