Choose the Lightroom app you use
Adobe’s Lightroom desktop app centers organization on albums, folders, Smart Albums, metadata, and search. Lightroom Classic uses a catalog workflow with folders, collections, Smart Collections, keyword hierarchies, and the Library Filter bar. The names and controls are not interchangeable, so follow the instructions for your app.

Adobe’s documentation describes the tools, not one required folder or album taxonomy. Choose names that reflect how you actually look for pictures—for example, year and project—and treat that structure as your own convention, not an Adobe rule. Build a system that separates purpose, content, and status
Use each organizing tool for a distinct job. Albums or collections group photos for a purpose, such as a trip, client delivery, slideshow, or book. Keywords describe what appears in a photo, so the same image can be found across different projects. Ratings, flags, and labels record selection or work status. Smart Albums and Smart Collections gather images that meet rules.

Create albums or collections for projects
In Lightroom desktop
Create an album, give it a clear name, and add selected photos by dragging them into it. Folders in the Albums area can contain albums or other folders. Albums provide a convenient view of a purposeful set; they need not replace your underlying file organization.
In Lightroom Classic
Use the Collections panel to make purpose-based groups. Collections group photos for tasks such as preparing a slideshow or photo book and can be accessed from different modules. Keep the distinction between the Folders panel and Collections panel in mind: folders represent file locations included in the catalog, while collections are groupings for working with photos.
Automate groups that follow repeatable rules
Smart Albums in Lightroom desktop
Create a Smart Album by applying a filter to All Photos or starting from the Albums panel, then give it a title and set one or more rules. You can also save a search as a Smart Album. Its contents update as photos acquire information that matches the search or rules.

Smart Collections in Lightroom Classic
Create a Smart Collection, name it, define its criteria, and choose whether all or any of the criteria must match. Lightroom Classic automatically includes catalog photos that satisfy the rules; you do not manually add or remove each matching photo. The app includes examples such as Five Stars and Without Keywords.
Rules can use properties such as rating, pick flag, label color or text, keyword, filename, folder, collection, and export status or date. That makes it possible to maintain views such as high-rated selects, photos without keywords, or images already exported—provided you use the relevant metadata consistently. Add keywords for content-based retrieval
In Lightroom Classic, keywords are text metadata you add to describe photo contents. They are useful when a search might cross projects or dates: a subject, person, place, or event keyword can connect images that live in different folders and collections. Start with a small, repeatable vocabulary based on the terms you expect to search; add more detail only when it helps you retrieve or manage photos.

Classic supports nested keyword terms, synonyms, and keyword sets. You can apply keywords to selected images through the Keywording panel or from keyword lists and sets. Its export settings also let you control whether a keyword, or its containing terms, are included in exported files. Adobe’s keywording guide describes these options.
There is an important file-metadata distinction: keyword edits are stored in Lightroom Classic, but they are not written to the photo files unless Automatically Write Changes Into XMP is selected. You can also save metadata to files manually. If you expect keywords to be available outside Classic, account for that setting or save the metadata to the files.

In both apps, these tools can make selection and review easier, but their meanings should not overlap. A practical convention is to use flags for the initial keep-or-reject pass, stars to rank the quality or preference of keepers, and color labels for a user-defined task stage such as “needs edit” or “ready to deliver.” The label meanings are yours to define; consistency is what makes them useful.

Lightroom desktop lets you assign ratings and flags from the selection context menu and, in Square Grid or Detail view, from the grid. Lightroom Classic can filter by ratings, pick flags, and labels, and those properties can also drive Smart Collection rules. Stack similar frames to reduce clutter
Stacks are useful for bursts, bracketed exposures, pose variations, or other similar frames that you want to keep together without seeing each image separately. In Lightroom Classic, a stack is limited to a single folder or collection. You cannot create one while viewing a Smart Collection or a published collection.
Know what a collapsed stack does before editing: it displays the top photo, and rating, flag, label, or Develop changes made to a collapsed stack affect only that top image. Adding a selected photo from a stack to a collection adds only that photo, not every image in the stack. Adobe documents these behaviors in its Lightroom Classic stacks guide.
Find photos with search and filters
Search in Lightroom desktop
Search can use metadata, keywords, natural-language descriptions, and facets. Depending on the search, facets can include keyword, camera, lens, location, rating, flag, orientation, ISO, file type, and focal length. You can also find photos that are not in an album. Adobe notes that Improved Search may take time to index the first time it is used.
Filter in Lightroom Classic
- Select the source you want to search, such as the catalog, a folder, or a collection.
- Open the Library Filter bar and choose Text to search indexed fields, Attribute to narrow by properties such as flags, ratings, labels, edits, exports, or stacks, or Metadata to filter by information such as date, file type, keyword, camera, lens, exposure settings, and location.
- Combine criteria when needed. Multiple selected criteria narrow the results to photos that meet all selected criteria.
