Laser printer vs ink-tank printer for a small office: running costs, speed and maintenance

For a small office that prints mostly contracts, reports and forms in black and white, a monochrome laser printer is usually the better fit: it is fast, handles queues well and generally costs less per text page. Choose an ink-tank printer when color documents, charts or photos make up a substantial share of output and low bottle-ink costs matter more than maximum monochrome speed. The right decision depends on your measured page mix, monthly volume, queue tolerance and total cost of ownership—not on the printer category alone.

Laser or ink tank: the short answer

Office pattern Usually the better match Why
Mostly black-and-white reports, contracts, forms and invoices Monochrome laser Fast text output, strong queue performance and typically lower black-and-white cost per page.
Frequent color reports, presentations, charts or photos Ink tank Refillable liquid-ink reservoirs keep color running costs low and produce better-suited graphics and photo output.
Moderate color work but strict speed requirements Business ink tank or color laser, compared by ISO speed Some business ink-tank models approach laser-class speeds, so the specification and your actual queue matter more than the technology label.
Very light, intermittent printing Either, after checking inactivity requirements Ink tanks need periodic use and cleaning; a laser avoids liquid-ink drying but still needs toner and consumables.

HP describes ink tanks as refillable liquid-ink reservoirs and laser printers as devices that fuse toner powder to paper with heat. Its guidance places ink tanks with frequent color printing and lasers with high-volume black-and-white documents. ENERGY STAR similarly says lasers suit high-volume black-and-white text, while inkjets are better for graphics, color text and photos.

Do not treat a quoted pages-per-minute number as a universal promise. ENERGY STAR warns that manufacturers test speed differently. Use ISO figures where available, and treat them as a benchmark rather than a guarantee for mixed documents, duplex jobs or a network queue.

How the two technologies affect office work

Laser printing

A laser printer transfers powdered toner to a charged drum and fuses it to the sheet with heat. The process is optimized for repeated text pages, so a monochrome laser can clear a stack of forms or reports quickly and consistently. Toner does not dry out when the machine sits unused for a week, although the printer still has wear items and may eventually require a drum or maintenance kit when its manufacturer specifies one.

Ink-tank printing

An ink-tank printer stores liquid ink in refillable reservoirs and meters it through a printhead. Bottles can supply thousands of pages at a lower consumable cost than many small cartridges. The trade-off is operational: levels must be monitored, refills must be performed carefully, and long periods without printing can allow ink to dry in the system. Built-in cleaning cycles can restore missing lines or streaks, but they consume ink and add downtime.

Running cost: calculate the number that matters to your office

The useful figure is your blended cost per page, not a headline bottle or cartridge price. Calculate black and color separately, then weight each by the share of pages you actually print.

Blended cost per page = (black-page share × black supply cost per page) + (color-page share × color supply cost per page)

For each color, divide the replacement supply price by its stated yield. Include the printer’s purchase price, included supplies, paper and expected maintenance parts when comparing total ownership cost. A low consumable cost can be offset by a higher purchase price, expensive specialty paper or maintenance that your volume does not justify.

Published replacement yields

The following figures are manufacturer comparison specifications published by Epson America in 2023. They are not a guarantee for your documents. Epson notes that actual yield varies with image coverage, print settings, environment and maintenance.

Canon Maxify GX7020 6,000 pages 14,000 pages Up to 3,300 pages
HP Smart Tank 7602 6,000 pages 8,000 pages Up to 1,200 pages

HP states in 2026 that specified Smart Tank models can print up to 8,000 color pages, with usage-dependent results and up to three years of ink included in the box for the models covered by that statement. Confirm the exact model, regional package and included bottles before assigning a value to free ink.

Why page mix changes the winner

Suppose an office prints 2,000 pages each month, with 90 percent black text and 10 percent color. A printer with a very low black cost may win even if its color economics are ordinary. Change the mix to 50 percent color charts and the result can reverse, especially if color documents use broad areas of solid fill. Use at least one representative quarter of invoices, reports, presentations and occasional photos rather than a single unusually busy week.

ENERGY STAR reported in 2013 that inkjet cost per page can be four to five times as high as laser, depending on the ink used. That is a broad, dated comparison rather than a current quote for every model; high-yield tanks are specifically designed to narrow or reverse the consumable-cost difference for color work. Compare the actual bottle or toner prices and yields available in your country.

Costs that a simple yield calculation misses

  • Purchase price: Include the printer and the value of supplied ink or toner, not just the first replacement purchase.
  • Paper: Duplex printing can reduce sheet consumption, while photo and presentation stock costs more than ordinary office paper.
  • Maintenance parts: A laser may list drums, fusers or maintenance kits; an ink tank may consume ink during cleaning and eventually need printhead service. Use the manufacturer’s stated replacement schedule where one exists.
  • Downtime: A failed cleaning cycle, empty tank or depleted toner cartridge has a labor cost even when the consumable itself is inexpensive.
  • Waste and spillage: Incorrect ink bottles, overfilled tanks or poorly handled toner can create cleanup and disposal costs.

Speed and queue behavior

Speed matters in two different ways: how long a one-page job takes to start and how quickly a multi-page queue clears. Published ISO ppm is the fairest starting point, but first-page time, warm-up, duplexing, paper handling and network traffic determine the wait people feel.

Comparable ISO figures

Epson America’s September 2023 comparison lists these ISO speeds:

Canon Maxify GX7020 24 ppm 15.5 ppm
HP Smart Tank 7602 15 ppm 9 ppm

These are manufacturer specifications in Epson’s comparison, not an independent head-to-head test. ENERGY STAR defines ppm as the number of pages produced per minute and cautions that companies test under different conditions. Compare ISO with ISO, and check whether a quoted figure applies to black, color, simplex or duplex output.

Burst jobs versus sustained monthly work

A printer rated for a high monthly volume may still feel slow for a ten-page emergency if its first-page time is long. Conversely, a fast ppm rating does not make a low-duty-cycle model suitable for a department that continuously feeds large queues. Look for a published first-page time when your office has frequent one-page jobs, then compare the recommended monthly volume with your measured peak month.

The published comparison gives the ST-C5000/ST-C5500 and GX7020 recommended monthly volumes of up to 3,300 pages, versus up to 1,200 pages for the Smart Tank 7602. “Up to” is a design recommendation, not a promise that every page will print without service. Leave headroom for busy periods, and do not use a lower-volume model as the shared device for a much larger team.

Output quality and document mix

Black text and forms

Laser printers are generally strongest for dense black text, repeated forms and documents that must look uniform from page one through page hundreds. ENERGY STAR says laser printers produce black-and-white text faster and at better quality than inkjet printers. For a small office whose output is almost entirely text, that advantage can be more important than occasional color capability.

Color graphics and photos

Ink tanks are designed for color text, charts, graphics and photos. They can place multiple liquid-ink colors smoothly across coated media, making them a natural fit for marketing handouts, classroom materials, signage and image-heavy reports. If color is only an occasional requirement and exact photographic appearance is not important, a monochrome laser plus an outsourced color workflow may still cost less overall; that decision depends on your local print prices and turnaround needs.

Duplex and paper handling

Automatic duplexing reduces sheets for policies, reports and drafts. Check whether duplex speed differs from simplex speed and whether the paper tray accepts the sizes and weights your office uses. Capacity matters when a shared printer serves several people: frequent refilling can erase the productivity advantage of a fast engine.

Maintenance, reliability and downtime

Ink-tank maintenance routine

Epson’s care guidance recommends genuine ink, regular level checks and the printer’s built-in cleaning cycles when pages show streaks or missing sections. It also warns that very long inactivity can allow ink to dry and suggests printing every few weeks. A practical routine is:

  1. Check each tank before a long batch and refill only with the bottle specified for that model and region.
  2. Keep the printer level, close bottle caps promptly and clean any spill according to the manufacturer’s instructions.
  3. Print a small test page every few weeks if the office is otherwise idle.
  4. If lines are missing, run the normal nozzle or printhead cleaning cycle, then print a nozzle check. Avoid repeating deep cleaning unnecessarily because it uses additional ink.
  5. Escalate persistent gaps, leaks or error messages through the maker’s service procedure rather than repeatedly forcing a refill or cleaning operation.

Laser maintenance routine

Laser owners normally monitor toner, replace the cartridge when the printer reports it is depleted and follow the model’s instructions for drums or maintenance kits. Keep spare toner available if the printer supports a shared queue. Toner replacement is usually a predictable event; the exact drum, fuser or waste-container schedule is model-specific, so include every listed part in your ownership estimate rather than assuming toner is the only consumable.

Symptoms and responses

Energy and paper use

ENERGY STAR identifies automatic duplexing, sleep mode and draft-quality settings as practical ways to reduce paper, energy and ink use. Enable sleep mode unless an immediate first-page response is more important than standby savings. Use draft quality for internal reading copies, but keep a standard or high-quality preset for customer-facing documents. Duplex by default for long reports, and provide a clear one-sided exception for forms that must be scanned or filed separately.

Energy savings do not make a poor capacity match acceptable. A printer that is constantly waking, cleaning, refilling or waiting for paper can consume more staff time than a slightly less efficient model that clears each queue reliably.

A selection process for a small office

  1. Measure a representative quarter. Record total pages, black-only pages, color pages, duplex jobs, largest batch and the number of one-page urgent jobs. Include a busy month rather than averaging away the peak.
  2. Set wait limits. Decide the maximum acceptable wait for one page and for a multi-page batch. Write down whether color jobs can wait behind black-and-white work or need a separate device.
  3. Screen specifications. Compare ISO black and color ppm, first-page time where published, recommended monthly volume, automatic duplexing, paper capacity, supported media and network features.
  4. Build total cost of ownership. Add street price in your region, included supplies, replacement yields, paper, scheduled maintenance parts, expected cleaning ink and the cost of keeping a spare supply on hand.
  5. Stress-test the queue. Ask whether the model’s duty recommendation covers your busiest month and whether color output will block routine black-and-white work.
  6. Plan maintenance before purchase. For an ink tank, assign level checks, periodic printing and cleaning responsibilities. For a laser, budget for toner and every drum or maintenance kit listed for the model.
  7. Recalculate when the mix changes. A new color-heavy workflow, remote-work pattern or additional employee can change the better choice even if the printer itself has not changed.

Decision examples

Mostly contracts and invoices

If nearly every page is black text and several employees send jobs throughout the day, start with a monochrome laser. Prioritize ISO black speed, first-page time, automatic duplexing, tray capacity and a recommended monthly volume comfortably above your peak. A color tank is difficult to justify unless color is frequent enough to avoid outsourcing or a second device.

Color proposals and charts every week

If proposals, dashboards and presentations routinely contain color, calculate the blended cost with the real black/color ratio. An ink tank may deliver the lower operating cost and more appropriate output. Compare business-oriented models rather than assuming every tank has the same speed or workload rating.

Occasional color with a small staff

When black text dominates but a few color pages are needed each week, compare the cost of a monochrome laser plus an external color service with a single color-capable printer. Include employee time, turnaround and the inconvenience of splitting jobs. The cheapest consumable is not automatically the lowest total cost if it leaves the team waiting.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Quiet office with long gaps between jobs

A laser is operationally simpler when the printer may sit unused for long periods because it does not rely on liquid ink in a printhead. If an ink tank is otherwise attractive, assign a recurring test print every few weeks and make that task part of office ownership rather than an afterthought.

Cost worksheet

Use one row for each candidate and fill in values from the same country and purchase date:

Input How to use it
Printer purchase price Record the actual local price and subtract only discounts that are certain at checkout.
Included black and color supplies Record stated yields and distinguish starter supplies from full replacement supplies.
Replacement supply price and yield Divide price by yield for black and color cost per page.
Monthly black/color pages Use measured pages from a representative quarter, not a guessed average.
Paper cost Apply the correct paper price to simplex and duplex output.
Maintenance parts and cleaning allowance Include listed drums, kits, printhead service and expected ink used by cleaning.
Downtime and labor Estimate the cost of refills, cartridge changes, test pages and resolving failed jobs.

Run the worksheet at your expected monthly volume and again at the busiest month. A model that wins only at a low volume may not be the right shared-office printer once queues, maintenance and color demand rise.
