What should a KPI dashboard archive preserve?
The word “archive” can mean several different things. A PDF can show what a dashboard looked like at a point in time, but it does not preserve the model behind the charts or prove that the dashboard can be rebuilt. Match each artifact to the future task it must support.

Use more than one artifact when the archive must serve multiple purposes. For example, a PDF may be suitable evidence of presentation while a model backup and data export are needed for recovery or analysis.
How to archive a dashboard without losing important context
1. Set the retention goal and scope
Write down what the archive must make possible: viewing, analysis, rebuilding, audit, or recovery. Identify the dashboard and everything it relies on: reports, semantic models, extracts, data sources, and downstream reports. In Power BI, Microsoft recommends confirming scope and reviewing lineage and impact before retirement, since a semantic model may serve reports beyond the item being removed (Microsoft lifecycle planning guidance).

2. Check use across an appropriate time window
Usage metrics are one input to a retirement decision, not automatic permission to delete. Consider seasonal, annual, regulatory, and other infrequent workflows, and ask the owner or subject-matter experts about uses that may not appear in a short history window.
For Power BI, Microsoft documents a 30-day history window for the Get Unused Artifacts as Admin API and cautions that this can be too short for many decisions—for example, an artifact used for annual external-auditor reporting. The standard Power BI usage metrics report covers the last 90 days and updates daily; Microsoft notes that it can differ from audit logs because the sources and collection methods differ. Its documentation also identifies coverage limits, including some embedded experiences and regional-cloud deployments (Power BI usage metrics documentation).
3. Capture artifacts that fit the goal
Export the dashboard in the formats your retention goal requires. Record the export date, date range, filters, data freshness, and known limits alongside each file. Looker supports dashboard downloads as PDF and CSV, but PDF rendering has documented row and cell limits for some chart types; a rendered file may therefore be incomplete as a representation of the source data (Looker dashboard downloads).
For Power BI, Microsoft describes downloading content and backing up semantic models as distinct parts of an archive approach. A downloaded report and a model backup are not interchangeable; preserve both if future restoration requires both (Microsoft lifecycle planning guidance).
4. Preserve the context needed to interpret the files
Keep a metadata record with each archive package. At minimum, record:

- Dashboard name, owner, business purpose, and retirement rationale.
- Metric definitions, source systems, model or report version, and dependencies.
- Relevant filters, date range, refresh timestamp, export date, and file format.
- Access controls, retention rationale, archive location, and restore instructions.
- Known export limitations or missing elements that affect interpretation.
Without this context, a file may be intact but misleading: a chart can be mistaken for current data, a filtered view for a complete one, or a visual rendering for a recoverable report. Tableau also recommends that KPI dashboards identify data sources and update timestamps (Tableau KPI dashboard guidance).
5. Store the package with controlled access
Use an organization-approved repository and limit access to the minimum necessary audience, particularly when exports contain sensitive business or personal data. Microsoft lists source control, downloaded content, semantic-model backups, and repositories such as OneDrive or SharePoint as possible parts of a Power BI archive approach (Microsoft lifecycle planning guidance).
For Tableau Cloud entity snapshots, Tableau documents downloading the files and copying them to centralized cloud storage such as Amazon S3, Azure, or Google Cloud Storage, or to local file storage (Tableau Cloud historical data documentation). These are platform examples, not a universal storage recommendation. Choose a destination based on policy, required retention, permissions, retrieval needs, and recovery design.
6. Test recovery before retiring the live item
Document how a future user will locate, interpret, and restore the archived content. Test the recovery process before deleting the live dashboard or its dependencies. For Power BI retirement, Microsoft recommends a change log recording what was removed, when, why, and by whom (Microsoft lifecycle planning guidance).
Set the retention period according to your organization’s applicable records, security, contractual, and legal policies. The correct period depends on jurisdiction and sector; no single period can be prescribed for every organization.

Which archive method should you choose?
There is no universally best format. Compare the options against the task the archive must support and your governance requirements.

Platform-specific issues to check
Power BI and Microsoft Fabric
Use lineage and impact analysis to identify downstream reports before retirement. Microsoft’s documented Get Unused Artifacts as Admin API looks back 30 days, while the standard Power BI usage metrics report covers 90 days and updates daily. The two usage views should not be treated as identical to audit logs or as complete evidence that an artifact has no business use.

Tableau Cloud
Tableau distinguishes entity snapshots—which capture the state of site content, users, and relationships—from event logs, which capture activities. Its documentation says entity snapshots refresh every 60 minutes and are retained for 14 days. To keep them longer, download them to approved central or local storage. Tableau also describes combining snapshots with Activity Log events for monitoring; availability of related event-log capabilities may depend on product context and licensing (Tableau Cloud historical data documentation).
Google Analytics 4
Archiving a custom dimension or metric is irreversible. Before doing so, review affected entities and export their list. Dependent reports, explorations, segments, or audiences can become invalid; an invalid audience no longer accumulates new users (Google Analytics custom dimensions and metrics documentation). Retiring a dashboard does not itself preserve or protect the definitions on which it depended.
Looker
Choose PDF when the visual rendering is the artifact you need and CSV when exported data is the priority. Check Looker’s documented PDF limits for chart types, rows, and cells before treating the PDF as a complete record (Looker dashboard downloads).

Capture a visual record of the dashboard
A screenshot can supplement an archive package when you need a readable record of the dashboard’s appearance. It is not a replacement for a data export, report definition, model backup, or dependency record. Record the capture time and relevant filters, and consider whether consent banners, popups, or chat widgets obscure the dashboard. For a browser-based capture, use the browser’s print-to-PDF or screenshot function after loading the dashboard in the required state; store the result with the metadata and other archive artifacts.

Common archiving mistakes and how to avoid them
- Keeping only a screenshot: retain data exports, definitions, and model backups where the goal requires analysis or restoration.
- Deleting based on a short usage window: ask owners about annual and seasonal use, and account for the documented limits of platform usage metrics.
- Assuming a platform snapshot lasts indefinitely: check the product’s retention window and export snapshots when longer retention is required.
- Leaving filters or freshness undocumented: record the exact scope and timestamp so a historical image or CSV is not mistaken for a current or complete view.
- Archiving a report but not its dependencies: review lineage and impact before retiring shared models, definitions, or data sources.
- Storing files without a restore test: test retrieval and recovery before deletion, and document the procedure and responsible owner.
Frequently asked questions
Does archiving a dashboard preserve its history?
Not automatically. A rendered export, underlying data, and platform activity history are distinct artifacts; decide which are required and retain each through an appropriate process.

Can I delete the live dashboard after exporting a PDF?
Only if a visual record is sufficient and dependencies have been checked. A PDF alone does not preserve the dashboard definition or establish that it can be rebuilt.
