Journalist Media Databases Compared: Muck Rack, Cision, and Prowly

There is no universal winner among Muck Rack, Cision, and Prowly. All three combine journalist research with media-relations tools, but they emphasize different jobs. Muck Rack is commonly positioned around journalist discovery, pitching, monitoring, and reporting; Cision is generally sold as an enterprise media-intelligence platform tied to PR Newswire distribution; and Prowly combines a media database with pitching, press-release creation, reporting, and a hosted newsroom.

Choose by testing your own target outlets, beats, monitoring queries, and reporting deliverables. Database-size claims, accuracy statements, ease-of-use descriptions, and price figures in vendor comparisons are not independent performance benchmarks, and current contracts require a direct quote.

What the three platforms have in common

Each service is designed to centralize parts of a public-relations workflow: finding relevant journalists and outlets, organizing media lists, sending pitches, tracking coverage, and reporting results. The overlap can make feature checklists misleading. A database with a large contact count is not automatically useful if it lacks the reporters who cover your subjects, while a sophisticated monitoring module may not justify its cost for a small team that only needs targeted outreach.

The practical comparison is therefore about fit: which beats and regions you cover, how many people need access, whether you distribute formal press releases, how broad your monitoring must be, and what evidence executives or clients expect in reports.

Muck Rack vs Cision vs Prowly: feature comparison

Decision area Muck Rack Cision Prowly
Core positioning Journalist and outlet database, pitching, monitoring, and reporting. This description comes from Muck Rack’s tier and category materials. Enterprise-oriented media intelligence with monitoring and PR Newswire distribution, as characterized by vendor comparisons. Media database, outreach, reporting, press-release creation, and an online newsroom, according to Prowly’s product description.
Search and list work Search for people and outlets, media-list management, and pitching are included in the published feature grid; exact limits depend on tier. Evaluate the database, regional coverage, filters, and list-management limits in a current proposal. Evaluate contact relevance, filters, list management, and the database included in the selected plan.
Outreach Pitching with email integrations and PressPal.ai is listed in the official pricing feature grid. Confirm campaign, pitching, and follow-up functions in a demonstration; the public comparison does not establish a like-for-like package. Outreach and pitching are part of the stated bundle; verify current sending limits and integrations.
Monitoring Monitoring and alerts appear in the tiered feature grid, with availability varying by plan. Monitoring is a major part of the enterprise media-intelligence proposition; confirm channels, query limits, and historical access. Monitoring is described as available, but coverage and limits should be tested against your terms.
Press releases and newsroom The published comparison emphasizes pitching and monitoring rather than a bundled hosted newsroom. PR Newswire distribution is highlighted in vendor descriptions; distribution terms and fees must be quoted. Press-release creation and an online newsroom are explicit parts of the product description.
Reporting and support Reporting, onboarding, and support arrangements differ among Starter, Standard, and Premier tiers. Obtain the exact dashboard, export, onboarding, and account-support commitments in writing. Confirm report types, exports, onboarding, and support for the plan you are considering.
Public price information The current pricing page reviewed lists tiers and features but no numeric price; a quote is required. A Prowly comparison estimated about $10,000 per year, but this is not a Cision quote. A 2024 Prowly comparison stated a starting price of $258 per month and a seven-day trial; current terms may differ.

Journalist database and search fit

Muck Rack

Muck Rack’s published materials put journalist and outlet discovery at the center of the product. The feature grid lists searches for people and outlets, media-list management, pitching, email integrations, and PressPal.ai. That combination suits teams that begin with a named reporter or outlet and then move directly into a pitch workflow.

Ask for a demonstration using your own target list rather than a generic search. Check whether the records include the exact beats, geographic editions, publication types, and current roles you need. Also ask how duplicate records, job changes, bounced addresses, and inactive outlets are handled. The available material does not establish an independent accuracy or freshness rate.

Cision

Cision is commonly described as an enterprise-focused platform. Its value may be strongest for organizations that need broad media intelligence, multiple regions, formal governance, or a distribution relationship through PR Newswire. Those are positioning statements, not an independent ranking. Require a sample of the regions and sectors your team actually covers, because a large global database can still be a poor fit for a specialized local campaign.

Prowly

Prowly describes its platform as including a media database alongside outreach, reporting, press-release creation, and an online newsroom. A separate Muck Rack overview describes Prowly as having more than one million contacts; that number is vendor-authored and its definition is not independently audited in the available material. Treat contact counts as directional only. Relevance, recency, and usable filters matter more than the headline total.

Outreach and pitching workflow

Compare the complete path from a saved list to a sent pitch. A useful demonstration should show importing or creating a list, personalizing a message, sending through the available email connection, handling follow-ups, recording responses, and removing or correcting a contact. Confirm whether team members can see one another’s activity and whether permissions separate list editing from sending.

Muck Rack explicitly lists pitching, email integrations, and PressPal.ai in its feature grid. Prowly describes outreach and pitching as part of its bundle. Cision’s exact pitching functions, sending limits, and integrations depend on the package proposed. Do not assume that a feature name means the same workflow across products; ask to see the screens your staff will use daily.

Monitoring, alerts, and reporting

Questions to ask about monitoring

  • Which sources are covered: online news, print, broadcast, podcasts, blogs, forums, or social networks?
  • Can you combine brand, executive, competitor, product, and issue terms with Boolean operators?
  • How quickly do alerts arrive, and can different stakeholders receive different schedules?
  • How far back does historical coverage go, and can results be exported?
  • Can the system distinguish an article that mentions a company from one that actually concerns the tracked issue?

All three products are described as offering monitoring in some form, but the available material contains no common recall, precision, alert-speed, or channel-coverage test. Treat claims about “comprehensive” monitoring as vendor claims until your own queries produce acceptable results.

Reporting requirements

Define the report before buying. A monthly client report might require article links, estimated reach, outlet and journalist names, sentiment labels, message pull-through, and export to a particular format. An internal communications team may need executive dashboards, trend lines, and permission controls instead. Muck Rack’s official pricing page shows reporting alongside tiered onboarding and support, but the exact inclusions must be confirmed for the quoted tier. Request sample exports from each supplier using the same fictional campaign so you can compare the amount of manual cleanup.

Press releases, distribution, and online newsrooms

Prowly’s stated bundle is distinctive when a team wants to draft a release, publish it in a hosted newsroom, contact journalists, and report on activity from one system. Verify the current newsroom design, domain options, search visibility, approval workflow, and retention rules before treating it as a replacement for your existing website.

Vendor descriptions position Cision alongside PR Newswire distribution. Distribution is a separate commercial and editorial decision from journalist pitching: ask which geographic wires, languages, multimedia options, word limits, and per-release charges apply. A database subscription does not necessarily include every distribution service.

Muck Rack’s comparison materials emphasize journalist research, pitching, and monitoring rather than a bundled press-release newsroom. If your workflow depends on hosted release pages or wire distribution, ask what integrations or additional services would be required.

Onboarding, support, and team operations

Support can determine whether a sophisticated database becomes part of daily work. Ask who configures the first searches, how contact corrections are submitted, whether training is live or self-service, and what response times apply to urgent delivery or monitoring problems.

Muck Rack lists Starter, Standard, and Premier tiers with different onboarding and support arrangements. The names alone do not reveal current seat, region, usage, or service limits. For Cision and Prowly, put onboarding hours, implementation ownership, training recordings, and renewal support into the proposal rather than relying on a sales presentation.

How much do Muck Rack, Cision, and Prowly cost?

Product Published figure available in the comparison material How to interpret it
Muck Rack No numeric price shown on the official pricing page reviewed; it lists Starter, Standard, and Premier tiers. Request a current quote. Price may vary with features, regions, team size, seats, and contract terms.
Cision Approximately $10,000 per year, estimated by a 2024 Prowly comparison. This is a dated estimate in a competitor’s article, not a Cision quote or a guaranteed starting price.
Prowly $258 per month starting price and a seven-day trial, stated in a 2024 Prowly comparison. Confirm the live plan, billing period, included regions, seats, usage limits, and trial conditions before budgeting.
Muck Rack (comparison estimate) Approximately $15,000 per year, estimated by the same 2024 Prowly comparison. Use only as historical context. It conflicts with the absence of a public numeric price and must not be treated as a current quote.

Total cost is more than the subscription line. Include implementation, extra seats, additional database regions, distribution charges, premium monitoring, email or CRM integrations, data exports, and renewal increases. Ask whether the contract is monthly or annual, what happens to lists and reports at cancellation, and whether a trial converts automatically.

Which media database is right for my team?

Choose a Muck Rack evaluation first when

  • Your daily workflow starts with finding named journalists and outlets.
  • You want pitching, media-list management, monitoring, and reporting in one environment.
  • You are willing to obtain a quote and compare the actual Starter, Standard, or Premier inclusions.

Choose a Cision evaluation first when

  • You need enterprise-scale media intelligence across regions or business units.
  • PR Newswire distribution is a required part of the communications plan.
  • You need contractual clarity on governance, support, historical monitoring, and distribution costs.

Choose a Prowly evaluation first when

  • You want press-release creation and a hosted newsroom alongside database and outreach functions.
  • A seven-day trial is useful for a quick workflow fit check, subject to current terms.
  • You can validate that the database, monitoring, reporting, and regional coverage meet your requirements rather than relying on the stated starting price.

A practical side-by-side evaluation

  1. Write a must-have list. Specify beats, countries, outlet types, seats, sending volume, monitoring channels, report fields, newsroom requirements, and distribution needs.
  2. Create one target set. Use the same 20 to 50 real journalists and outlets, including difficult local or specialist examples, in every demonstration.
  3. Run one pitch workflow. Prepare the same sample pitch, add personalization, send it in a test environment, and inspect activity history, permissions, follow-up, and export options.
  4. Run one monitoring workflow. Use identical brand, executive, competitor, and issue queries. Record irrelevant results, missed mentions, alert timing, historical depth, and channel coverage.
  5. Build one report. Ask each vendor to produce the same executive or client report. Measure how many fields are automatic and how much spreadsheet work remains.
  6. Request itemized quotes. Have each proposal state seats, regions, modules, onboarding, support, distribution, implementation, contract length, renewal terms, and cancellation treatment.
  7. Score operational fit. Weight the capabilities that affect your outcomes most. A lower subscription is not a saving if staff cannot find relevant contacts or must rebuild reports manually.

Common buying mistakes

  • Comparing contact totals as if they were equivalent. Vendors may count people, records, outlets, or historical contacts differently.
  • Treating a competitor’s estimate as a quote. The published Cision and Muck Rack amounts are estimates from a 2024 Prowly article.
  • Assuming every tier includes every module. Muck Rack’s feature grid is tiered, and current package boundaries for all three products require confirmation.
  • Skipping a real query test. Generic demonstrations can hide weak local, specialist, or multilingual coverage.
  • Confusing distribution with pitching. A wire release, a newsroom page, and a one-to-one journalist pitch solve different problems and may carry separate charges.
  • Ignoring exit terms. Confirm whether lists, historical coverage, reports, and newsroom pages remain accessible after cancellation.

Bottom line

Muck Rack, Cision, and Prowly overlap, but they are not interchangeable bundles. Start with Muck Rack if journalist discovery and pitching are the center of the workflow, investigate Cision for enterprise media intelligence and PR Newswire distribution, and investigate Prowly when a newsroom and press-release creation belong beside database and outreach tools. Validate each choice with the same target contacts, sample pitch, monitoring queries, report, and itemized quote. That process is more dependable than a database-size claim or a historical price estimate.
