Is OnPay Worth It in 2026? Pricing, Features, and Who It Suits

OnPay’s payroll price starts at $49 per month plus $6 for each worker paid during the billing month, so a one-worker business pays $55 before any optional modules or applicable sales tax. It may suit small U.S. employers who want payroll tax filing and unlimited pay runs in one service; the bill can rise if they add HR or time tracking. This review uses OnPay’s public product materials and Business.com’s independent assessment, not hands-on testing.

What does OnPay cost in 2026?

OnPay’s U.S. public list prices, accessed October 7, 2026, are $49 per month for Payroll Essentials plus $6 for each worker included in at least one pay run that month. OnPay markets the plan as starting at $55 per month, the total for one worker. Prices may change.

Plan or module Monthly price What the price means
Payroll Essentials $49 base + $6 per worker Core payroll subscription; unlimited pay runs are included. OnPay pricing
HR $15 base + $2 per worker Optional HR module. OnPay pricing
Time Tracking $15 base + $4 per worker Optional time-tracking module. OnPay pricing

For a quick estimate, multiply the number of workers included in payroll during the month by $6, then add the $49 base fee. If adding HR or time tracking, add that module’s base fee and per-worker charge as well. For example, a five-worker payroll-only account comes to $79 monthly ($49 + 5 × $6). With both HR and time tracking, the listed total would be $129 ($79 + $25 HR + $25 time tracking), before applicable tax or any other paid options.

Who counts as a billed worker?

OnPay’s help article says a person or contractor counts if included in at least one pay run during the billing period—even if no earnings are entered and the run pays $0. The article was updated May 1, 2025. It also notes that SaaS sales tax may apply in some states, depending on circumstances. OnPay help: How does OnPay’s pricing work?

#1 Best Overall

Are there fees for extra pay runs or states?

OnPay’s pricing page states that unlimited runs, multi-state payroll, year-end tax forms, and implementation or integration fees do not carry additional charges. Those are the company’s stated pricing policies, not independently tested claims. OnPay pricing

What does Payroll Essentials include?

OnPay describes Payroll Essentials as full-service payroll for W-2 employees and 1099 contractors. Its public page lists multiple payment methods, payroll tax filing and payment, federal, state and local filings, multi-state payroll, W-2 and 1099 year-end forms, hiring and onboarding basics, reports, and support. These are vendor-described inclusions; this review did not verify each feature in a live account. OnPay pricing

Unlimited pay runs can be useful for employers with weekly payroll or off-cycle corrections: the listed plan price does not rise just because payroll is run more often. The per-worker charge, however, is based on who appears in any pay run during the billing month, according to OnPay’s help article.

Which features cost extra?

The core plan should not be mistaken for an all-in-one HR and workforce-management subscription. OnPay lists HR and Time Tracking as separately priced modules, and it offers bundles and additional compliance and live HR support options. Check the current pricing page for bundle names and prices before choosing, since those offers can change. OnPay pricing

OnPay describes its time tools as supporting clock-ins and clock-outs or submitted timesheets, manager approval, geolocation or geofencing, configurable break and overtime rules, and syncing approved hours to payroll. The pricing page marks time tracking as an add-on rather than part of Payroll Essentials.

Its HR and compliance resources and live HR support can also add cost. Benefits administration, workers’ compensation, and 401(k) are described as integrated options, but insurance premiums or retirement-plan costs still apply. An integration does not mean the underlying benefit or plan is free.

What do independent reviewers say?

Business.com gave OnPay 9.3/10 in a review last updated July 8, 2026. It praised the service’s pricing transparency, support, and usability, while noting comparatively fewer third-party integrations and additional charges for most HR, compliance, and time-tracking features. That score reflects Business.com’s editorial judgment, not a universal rating or a hands-on evaluation here. Business.com’s OnPay review

Is OnPay a good fit for your business?

It may fit small employers seeking predictable payroll pricing

The base-plus-per-worker formula is straightforward to estimate, and the stated inclusion of unlimited runs avoids a per-run fee. Employers should still budget for optional HR or time tools and determine which workers will appear on payroll during each billing month.

It can accommodate contractors and teams in multiple states

OnPay describes support for both W-2 employees and 1099 contractors, as well as multi-state payroll and tax filings. Those capabilities may matter to a small company with a mixed workforce or employees in more than one state. Confirm that the precise filing coverage and workflow meet your needs before signing up.

Hourly teams should price time tracking separately

If staff need clock-in tools, timesheets, approvals, or scheduling rules that feed into payroll, include the Time Tracking module in the cost estimate. An employer that already uses a time system should first check whether its existing setup integrates and whether that connection meets its approval and payroll workflow needs.

Businesses with complex HR needs should compare total cost

OnPay’s core payroll price does not include every HR, compliance, or time-tracking feature. If your company needs those services, compare the total monthly bill for the same worker count—not just the advertised base price—and confirm which items are included in each provider’s plan.

How should you compare OnPay with another payroll service?

Use the same staffing assumptions and needs for every quote so the comparison reflects the bill you would actually pay:

  • Monthly cost: Calculate the total at your worker count, including each service’s base price, per-worker charges, and the HR or time tools you would use.
  • Payroll scope: Check federal, state, and local tax filing, year-end forms, worker types, payment methods, and multi-state coverage.
  • Pay frequency: Determine whether the quoted price includes the number of pay runs you need. OnPay says its plan includes unlimited runs.
  • Connected tools: Verify that the accounting and time systems you already rely on are supported; Business.com identified third-party integrations as a relative limitation.
  • Setup and support: Ask what implementation help and support channels are included, and whether the level of assistance fits your payroll experience and business needs.

There is no single meaningful total for every business: an owner paying a few employees through payroll alone has a different configuration from an hourly team adding time tracking and HR support. Calculate the modules you will use, then confirm current prices and terms with OnPay.
