Information Architecture in UX: Why It Matters

Information architecture is the structure behind how people find and understand content and functionality. Learn how it relates to navigation, sitemaps, and UX research.

Information architecture (IA) is the system behind how a website or app organizes, relates, and labels its content and functionality. Good IA helps people find what they need, understand where they are, and complete tasks. It is broader than a menu or sitemap: those are visible components and planning artifacts shaped by the underlying structure.

What information architecture means in UX

IA describes how information and functionality are organized, how different pieces relate, and what names people use to understand them. It can include content groupings, taxonomy, relationships, and useful metadata. The system may not appear as a single screen, but it affects the pathways and choices people encounter throughout an experience.

The VA.gov Design System defines IA as focusing on “the organization, labeling, and navigation of information” to help people find what they need, understand where they are and where they can go, and complete intended tasks. Its page was last updated May 8, 2026.

Why IA matters to users and teams

It supports findability and task completion

People arrive with goals and expectations about where information or functionality belongs. When categories and labels fit those expectations, people have a better chance of finding the right thing and moving forward. If a label is vague or a category boundary is confusing, visitors may not know what a choice contains—even if the menu looks polished.

It helps people stay oriented

A coherent structure gives people clues about where they are and what related options are available. The VA.gov Design System calls this sense of place and recommends clear labels, consistency, prioritization, focused navigation, and multiple ways to reach information so different mental models can be accommodated.

It needs to evolve with the product

Content and functionality change as a site or app grows. Categories, relationships, and labels may need maintenance too. A structure that works for today’s material may become difficult to understand when new topics are added, so scalability belongs in IA planning rather than being treated as a later cleanup task.

IA, navigation, and sitemaps are different

Term What it means What it does not cover by itself
Information architecture The conceptual organization of content and functionality, their relationships, and the naming system used to describe them. It is not just the menu or one diagram; it also involves choices about content, taxonomy, labels, and relationships.
Navigation Visible interface elements that help people move to information or functionality, such as global and local menus, breadcrumbs, filters, related links, and footers. A well-designed navigation component cannot make an incoherent underlying content structure coherent on its own.
Sitemap A visual representation of content structure, useful for planning and communicating hierarchy and relationships. It does not show every label, metadata decision, search interaction, or navigation component.

NN/G’s articles on IA and sitemaps and on the difference between IA and navigation make the distinction clear: IA informs navigation, while a sitemap represents only one view of the broader work. Teams should validate the organization before assuming a sitemap or menu pattern is the solution.

How to build and improve an information architecture

  1. Understand users and their tasks. Learn how people look for information, how they categorize it, and what they need to accomplish. The VA.gov Design System recommends researching how people categorize and search.
  2. Inventory and audit existing content. Record what is there, assess whether it is useful, and decide what to keep, update, or remove. An inventory helps prevent a new structure from being built around material that is outdated or unnecessary.
  3. Group and label information. Define categories, relationships, and taxonomy using terms people recognize. Microsoft Learn’s SharePoint IA guidance emphasizes planning from the viewer’s perspective and aligning labels with what people want or need.
  4. Map the structure and pathways. Use a sitemap to communicate the hierarchy as a planning view. Then design navigation components that suit the structure and people’s tasks; do not treat the map as a complete specification of the experience.
  5. Test the proposed structure and interface. Card sorting can reveal how participants group information. Tree testing can assess whether people can locate items in a proposed hierarchy. Task-based usability testing can show how navigation works in context.
  6. Iterate based on what happens. If people struggle to find something, identify whether the cause is the structure, a label, or the navigation interface before committing to a redesign.

How to diagnose poor findability

Low findability does not automatically mean the site needs a new menu. NN/G’s guidance on testing findability recommends identifying whether a problem comes from IA or from the navigation UI. Choose a method that isolates the question you need to answer:

How do people naturally group or name this material? Card sorting Patterns in participants’ groupings and vocabulary.
Can people locate an item in this proposed hierarchy? Tree testing Whether the structure and labels help people find a destination without relying on the full visual interface.
Can people complete realistic tasks using the actual experience? Task-based usability testing Where people hesitate or go astray while using the navigation in context.

These methods answer different questions; one does not replace the others in every situation. Compare candidate structures on findability, label clarity and fit with people’s mental models, orientation, coverage of current content and likely growth, and results from relevant testing. The VA.gov principles are design guidance, not a quantified universal benchmark.

Using screenshots during a content or UX audit

Screenshots can help a team record how pages and navigation appear during an audit or review. They document the visible interface, not the IA itself: a screenshot cannot establish whether people understand a category or can find an item. Pair visual records with a content inventory and user research such as card sorting, tree testing, or task-based testing.
