I Gave a Local LLM Read Access to My Files—and It Found Things Windows Search Missed

Giving a local large language model access to a carefully chosen folder changed how I look for information on my PC. It did not make every search faster or more accurate: Windows Search is still better for exact filenames, dates and file extensions. The difference was conceptual queries. When I described an event or idea in my own words, a local document index could retrieve passages that did not contain the words I typed.

What “local AI file search” actually does

Most local document-chat tools do not repeatedly read every file when you ask a question. They first create an index. The application extracts text from the folders or files you select, breaks that text into snippets and converts each snippet into an embedding—a numerical representation of meaning. A prompt is converted in the same way, and the system retrieves snippets whose meanings are closest to the prompt. The language model then uses those snippets to compose an answer.

That design explains both the useful results and the limits. A document can be retrieved even when it uses different wording from your question, but the answer is only as good as the indexed text, the model and the permissions you granted. Scanned pages without OCR, unsupported formats and stale indexes can all produce an apparently confident “nothing found.”

Why semantic results can feel better than Windows Search

Consider the query “the notes about the contractor who handled the roof leak.” A keyword engine may look for contractor, roof and leak. If the note instead says “the roofer repaired the storm damage,” a semantic index has a better chance of connecting the concepts. The model can also summarize several retrieved passages and identify the files behind its answer, so you do not have to open results one at a time.

Sandisk 2TB Extreme Portable SSD, Up to 1050MB/s, USB-C, USB 3.2 Gen 2, IP65 Water and Dust Resistance, Updated Firmware, External Solid State Drive, SDSSDE61-2T00-G25

  • Up to 3-meter drop protection and IP65 water and dust resistance mean this tough drive can take a beating(3) (Previously rated for 2-meter drop protection and IP55 rating. Now qualified for the higher, stated specs.)
  • Use the handy carabiner loop to secure it to your belt loop or backpack for extra peace of mind.
  • Help keep private content private with the included password protection featuring 256‐bit AES hardware encryption.(3)
  • Easily manage files and automatically free up space with the SanDisk Memory Zone app.(5). Non-Operating Temperature -20°C to 85°C

This is not a controlled accuracy study. The published documentation for local tools and Windows describes capabilities and requirements, not a head-to-head recall, precision or latency benchmark. “Better” here means better for the kinds of concept-based questions I ask, not a universal replacement for the operating system search.

GPT4All LocalDocs: a private collection you can inspect

GPT4All’s LocalDocs feature links a collection to a folder, processes the folder into text snippets with Nomic AI’s on-device embedding models and makes those snippets available to a local chat. The desktop application is designed to run models locally. In a chat, the Sources control exposes the files used for the response, which is an important check against a plausible but unsupported summary.

SSK Portable SSD 500GB External Solid State Hard Drive USB C Up to 1050MB/s
  • Capacity Display Variance: 500GB external ssd often appears as around 465GB on Windows. MacOS can show full 500 GB capacity. This is binary calculation difference and doesn’t affect SSD hard drive actual physical storage
  • 1050 MB/s Speed: Instantly access to your files with blazing-fast 10Gbps external SSD read up to 1050MB/s and write up to 1000MB/s. LED Light indicates USB SSD instant activity
  • Data Security: Solid state drives S.M.A.R.T. health diagnostics and adaptive TRIM optimizing data block management ensures consistent write speeds and extends the longevity of the portable SSD
  • USB-C & USB-A Cable: Both cables featuring rapid USB 3.2 Gen2, this USB SSD effortlessly bridges devices, enabling seamless cross-platform file transfers and backup between computers, smartphones, tablets and iPhone
  • Always Fast: No slowdowns for large file transfers. With SLC caching (25% of current available capacity allocated as high-speed cache), this external SSD delivers steady 10Gbps for transfers within the cache capacity

Setup

  1. Install the GPT4All desktop application and download a model that your computer can run.
  2. Create a LocalDocs collection and link it to the folder you want indexed. Start with a narrow, intentional folder rather than an entire drive.
  3. Wait for indexing to finish. Adding or changing many files requires the collection to update before new content can be retrieved.
  4. Enable LocalDocs in the chat, ask a question in natural language and open Sources to inspect the referenced files.

The privacy boundary is the selected collection and the local model. You still need to check what the application supports, because a file that yields no extractable text cannot contribute useful evidence.

AnythingLLM: powerful folder access, disabled until you allow it

AnythingLLM Desktop offers a filesystem agent that can search the host machine or only the folders you authorize. The feature is disabled by default. On Windows, you grant access to folders; that permission applies to the folder and its subfolders and includes read/write access, so the safest practice is to authorize a dedicated read-only-style working area and avoid sensitive locations you do not intend to expose.

  • Solid state performance with up to 800MB/s read speeds in a portable drive. (Based on internal testing; performance may be lower depending on host device, interface, usage conditions and other factors. 1MB=1,000,000 bytes.)
  • Back up your content and memories on a storage solution that fits seamlessly into your mobile lifestyle.
  • Take it with you on your adventures—up to two-meter drop protection means this durable drive can take a beating. (Based on internal testing.)
  • Secure it to your belt loop or backpack for extra peace of mind thanks to the tough rubber hook.
  • From Sandisk, a brand professional photographers trust to take on assignments.

The Windows desktop app includes a built-in local engine powered by Lemonade and llama.cpp, or can connect to another local provider. If the required GPU dependencies are missing, local-model work can fall back to CPU processing, which may make indexing and responses substantially slower even though the workflow still functions.

Setup

  1. Install AnythingLLM for your current Windows user.
  2. Choose its built-in local engine or connect a local provider.
  3. Open the filesystem-agent permissions and explicitly grant only the folders you intend to search. No folder is searchable until you grant access.
  4. Run a test question whose answer you can verify, then inspect the files returned by the agent before trusting a summary.

Where Windows Search still wins

Classic keyword and metadata search is deterministic for an exact filename, a unique string, a date range, an extension or a known path. It also avoids the extra work of running an embedding model and generating a response. If you know the file is called 2024-tax-return.pdf, searching that name is usually clearer than asking a language model to find “my tax paperwork from last year.”

Windows 11 version 24H2 adds an optional local semantic-index setting on supported Copilot+ PCs and AI-enabled Cloud PCs. Microsoft describes synonym and concept expansion—for example, “sunset” can match “dusk,” “twilight,” “car,” “vehicle” or “sedan.” On unsupported devices, the properties are ignored and Windows silently falls back to ordinary keyword matching. That means seeing a setting in documentation does not guarantee that your PC is using a semantic index.

How to keep the experiment safe and useful

  • Limit the corpus: create a folder containing only the documents you want the model to read.
  • Check freshness: re-index after major edits and confirm that a newly added file appears before relying on it.
  • Verify citations: open the cited file and passage; treat an uncited summary as a lead, not proof.
  • Test both search styles: use concept questions, then exact filenames, dates and extensions to see which tool fits each task.
  • Protect permissions: AnythingLLM access includes subfolders and read/write capability, so grant the narrowest location possible.
  • Expect extraction gaps: run OCR on scans and convert unsupported formats before indexing.

The result is a complementary workflow: semantic retrieval for “what was that document about?” and Windows Search for “find this exact file.” A local model can make the first question dramatically more natural without eliminating the value of the second.
